1 OVERVIEW W elcome to the CAPScan Users Guide. The purpose of this document is to explain to our customers how to use the CAPScan software, as well as the Dolphin 9951 scanner that it runs on. The purpose of CAPScan is to allow our customers the ability to Ship and Receive the containers they are using via their agreement with CAPS. Over the next few pages, this document will walk you thru the screens, and basic tasks that each of these transactions uses. Pre-Requisites Component Required Hardware Components Dolphin 9500/7600 Mobile Computer Cradle Power cord USB cable Required Software Components Microsoft ActiveSync IT ScriptNet RunTime CAPScan Software Description Hand-held terminal with integrated pistol-grip and High- Performance Laser Scanner. The following describes each option on this screen: Option Description 1) Ship Empty / Ship Full This option allows you to ship the container from your location to others. It also allows you to distinguish between a full and empty container. 2) Receive Empty / Receive Full When a container is sent to you, these options are used to receive it at your location. 2 CAPScan SHIP Empty/Full Ship To Location 1.) Select Ship Empty or Ship Full from the CAPScan Main Menu: You will receive the Ship-To location screen (Scan Container Barcode). 3 Scan Barcodes You will receive the Ship-To Location screen (Scan Customer Barcode). 3.) Scan the container Barcodes you will be shipping (example below). 4.) 4 CAPScan Receive Empty/Full Scan Barcodes 1.) Select Receive Empty or Receive Full from the CAPScan Main Menu. 2.) The Receive Containers screen will appear (Scan Container Barcode). 3.) Scan the container Barcodes (example below). 4.) Then just press Save and Exit and you have successfully received the containers and you are ready to transfer the data to CAPS. 5 CAPScan Transfer Data 1.) To Transfer your scanning data to CAPS, check to make sure the download server is running on your PC (the little globe with the lighting bolt down by the clock), then cradle the scanner and wait till ActiveSync connects to the scanner. If you have established a partnership between the scanner and ActiveSync, it will connect automatically. If not, select yes when prompted to setup a partnership. It will ask you what items you wish to sync. Select to sync only the files (Leave Contacts, Calendar, and Task unchecked). Once the scanner is connected and the ITscriptNet Download server is running, the data will upload automatically to CAPS. PLEASE ALLOW A FEW MINUTES FOR THIS TO HAPPEN AND DON T CANCEAL THE PROCESS. Allow the transfer the time it needs (usually on about 20 seconds) and you will be prompted that the file has uploaded successfully. If you have any technical difficulties at all, please feel free to contact CAPS. Dolphin 9551 Scanner Overview Environment for use - operating temperature 14 to 122 F (-10 C to 50 C); humidity - 95% humidity, non-condensing. The unit is water-resistant and can withstand a small amount of abuse. Continued abuse of the unit will cause the mirror used for scanning to become out of alignment. The mirror is crucial to achieving accurate scans each time. Customers will be responsible for the care of the scanners and be liable for the units if negligent in its care. The unit contains a battery that is recharged each time the scanner is placed in the docking cradle. To conserve battery power, the unit will go into sleep mode after 20 seconds of no activity. Battery The batteries for the scanner are Lithium-Ion battery technology; 7.4V, 14.8 watt-hour main battery with hot-swappable design for fast replacement in the field. A dead battery will charge to full capacity in about 4 hours. Entering Data and Use of the Touch Screen To enter data or selections, you may: Use the laser to scan bar code data into data fields within the application Use the 56-key keyboard Use the Soft Input Panel (SIP) aka Touch Screen For Touch Screen input, use the included stylus or your finger. The method you choose depends on which one is appropriate for selecting options within the CAPScan application. For buttons or icons that are close together, you generally achieve greater accuracy with the stylus. Use of other objects, such as paper clips, pencils, or ink pens can damage the input panel and will void the warranty. The stylus functions as a mouse; generally, a tap is the same as a click. Tap: Tap the touch screen once to open menu items and select options. Drag: Hold the stylus on the screen and drag across the screen to select text and images. Drag in a list to select multiple items Tap & hold: Tap and hold the stylus on an item and a popup menu appears. On the pop-up menu, tap the action of the task you want to perform. Rebooting the Terminal As mentioned above, the scanner is a mobile computer. It has a reboot function similar to larger units. There are two ways to reboot the terminal. Soft Reset (Warm Boot) is the preferred method. CAPS require that you ONLY use Soft Reset. You would perform a soft reset when: The terminal fails to respond. After installing some software applications. After making changes to certain system settings, such as network cards. To conduct a Soft Reset: Press and hold the Control (CTRL) and the Shift (SFT) keys for approximately five seconds. The decode and scan LEDs flash for approximately three seconds as the terminal resets. When the reset is complete, the Today screen displays. 6 1.2.4 Verify Date and Time It is critical that the scanner has the correct date and time before scanning. All of the transactions recorded in the scanner include the date of the transaction. The date and time is used for inventory purposes and therefore needs to be accurate. To verify/view the Date and Time on the Dolphin 9500, look at the TIME shown in the upper right hand corner of the CAPScan menu. This will display the current time and date that the computer is using. If this is NOT the correct Date and Time, please contact CAPS to assist in resetting. CAPScan Troubleshooting Guide Scanner does not turn on or loses power quickly Cause: Li-ion battery is not installed properly. Solution: Verify that the Li-ion battery is seated securely in the battery well so that the battery contacts connect. Cause: Li-ion battery is not fully charged. Solution: Using a peripheral, fully charge the Li-ion battery for a minimum of four hours; re-install the battery and power on again. For more information about batteries, see the Dolphin 9500 Series User s Guide. Scanner Does Not Respond to Any Commands CAUSE: The scanner software may have caused the unit to freeze. If the screen shows the scanner is in the middle of a transaction, please note what was being done to redo the transaction when the scanner is fixed. RESOLUTION: The scanner should be rebooted by pressing and holding the Control (CTRL) and the Shift (SFT) keys for approximately five seconds. The screen should clear and then several startup messages will appear until it restarts the CAPScan application. If the unit fails to restart properly, please contact CAPS for further assistance. A Serial Number Will Scan, But is Not Accepted The scanner is designed to reject duplicate scans of a container. It will remember the serial number of the containers you are scanning during a particular function (ship or receive.)if you attempt to scan a serial number that was previously scanned, the scanner will emit beep and display a pop-up menu alerting the User of the error. The Scanner is not able to Read the Bar Codes The inability of the scanner to read a bar code can be caused by one of the following: Dirty laser lens Clean the clear glass with a soft cloth and optional Windex cleaner Laser mirror out of alignment Contact CAPS for further instructions Laser not displaying red laser light Contact CAPS for further instructions Downloading to the CAPS FTP Server CAUSE: Failed to receive the collected data This means that the data is on the PC, but has not been downloaded to CAPS. Please contact CAPS to resolve this issue. Unable to receive from the Terminal. Bad Packet Number Error. This means that the data is on the scanner still. Check the Scanner Base and be sure the cable is securely connected to both the Base and the PC. Resend.
