5 Welcome Screen The Visual Barcode Inventory Control Software turns a Pocket PC into a powerful inventory management tool. Users free to work their way through the stock room making requisitions, updating inventory and identifying parts to order with the freedom and flexibility of the Pocket PC. 6 Software Load & First Time Setup Software Load The Visual Barcode Software installs on your PC first and then transferred to the Pocket PC via its USB connected cradle. 1) Insert the Visual Barcode Software CD in the PCs CD-ROM drive. 2) Open My Computer and click on the CD drive containing the Visual Barcode Software. The files and file folders below will appear in the My Computer window. 3) Click on setup.exe to start the installation. 4) Press the Next > button at the bottom of the VisualBarcodeInstall window. 7 Software Load & First Time Setup (Continued ) 5) Read the License Agreement that appears in the VisualBarcodeInstall window. Press the Print button to print a copy of the license agreement. If the license terms are acceptable, click the option next to I accept the terms in the license agreement and press the Next > button to continue the installation. If terms are not acceptable, press the Cancel button to stop the installation. Eject the installation CD from the drive and return software and all documentation to Dynamic Control Software. 6) Enter the licensee User Name and the Organization in the labeled text boxes and press the Next > button to continue the installation. 9 Software Load & First Time Setup (Continued ) 9) Press the Yes button in the Installing Applications pop up window. 10) Pocket PCs have a range of options and performance features, which may need to be addressed directly on the Pocket PC. Check the Pocket PC screen and address any messages that appear and press the OK button in the Application Downloading Complete window. Dynamic Control Software Page 7
10 Software Load & First Time Setup (Continued ) 11) Press the Finish button at the bottom of the VisualBarcodeInstall window. Note: Software installation is now complete on the Pocket PC. The Pocket PC must be configured and a database created before it will execute the Visual Barcode software. Please see Pocket PC Configuration in the next subsection of this manual. 11 Software Load & First Time Setup (Continued ) Pocket PCs have numerous memory options for supporting programs. The Visual Barcode Software is loaded in the Internal Memory of the Pocket PC and the inventory database, including part images, is loaded in either the SD or CF memory cards. Configuration and Database Creation Launch the Visual Inventory Control Barcode software by pressing Start, and then Programs, then press the Visual Barcode icon. 1) From the welcome screen, press the Utilities then Configuration commands in the lower right of the display (See figure to the right). 2) Select the com port on the host PC supporting the Pocket PC (Com 1 in figure to left). Note: The Pocket PC requires a serial port to transfer inventory data to the PC. 3) Select a memory card location for part image database (SD Card in figure to left). Note: Internal Mem is much smaller than SD and CF, and best used just for applications. Images are stored separately by the Visual Inventory Control application and should be saved in the larger SD or CF locations. 4) Select the View Images option to see images on the Pocket PC screen. 5) Press the Save Configuration button, then the Main Menu button. 12 Software Load & First Time Setup (Continued ) 6) From the welcome screen, press the Utilities then Database commands in the lower right of the display (See figure to the right). 7) Enter the administrator password kitty in the text box and press the OK button. Dynamic Control Software Page 10

This creates database files on the Pocket PC for storing inventory transactions prior to upload to the Visual Inventory Control database. A Please Wait message will appear in red font in the middle of the display. 9) Press the Main Menu command in the lower left corner of the screen to return to the welcome screen. The Pocket PC is now configured and ready to record database transactions. The Pocket PC can also support images of users and inventory parts. To load these images into the Pocket PC, please see the next section, Copying Images to Pocket PC. Dynamic Control Software Page 11
14 Software Load & First Time Setup (Continued ) Copying Images to Pocket PC 1) Open a My Computer window on the PC and locate the Visual Inventory Control image directory. For single user implementations of the software, this directory is C:\WholeSale\Bitmaps. For network implementations of the software, the location of the image directory displays in the top center of the Configuration Form window in the text field under the Picture Directory title. The images in this directory need to be copied into the image directory of the Pocket PC. 2) Click the Edit pull down menu in the My Computer window and click Select All. 3) With all the images in the image directory selected, click on the Edit pull down menu again and click Copy. 4) Open a second My Computer window on the PC. In the second My Computer window, click on Mobile Device, then My Pocket PC (or the name given the Pocket PC), then the directory for the memory card in the Pocket PC (probably SD Card of CF Card), then VicData, then Images. 5) With the Images file folder open in the second My Computer window, click the Edit pull down menu, then click Paste. The images in the Visual Inventory Control database will be copied into the Images file folder of the Pocket PC. 6) A File Conversion popup window may appear warning that file conversions may affect the information in the copied files. If this warning appears, press the OK button to continue. Employee pictures and part images will now appear on the Pocket PC screen. Dynamic Control Software Page 12
15 Requisition Stock Requisition Stock removes parts from inventory and records the stock as transferred by the scanned employee number and charged to the scanned internal account number. The Pocket PC scans the employee, account, and stock numbers. Part quantities are entered manually on the screen. 1) From the welcome screen, select Inventory then Requisition Stock. 2) Scan the employee barcode in response to the Enter Name prompt (left image below). 3) Scan the account barcode in response to the Enter Account # prompt (center image below). 4) Scan the stock number barcode in response to the Enter Stock # prompt (right image below). 16 Requisition Stock (Continued ) 5) Enter the requisition quantity in the text box just below the stock number and above the Enter Quantity title in green font. The quantity can be adjusted in several ways. Pressing the up or down arrows on the right side of the text box will increase or decrease the quantity by one. Pressing the + or boxes to the left and right of the part image will also increase or decrease the quantity by one. For larger adjustments, press the X1, X10 or X100 button across the bottom of the screen followed by the + or boxes to the left or right of the part image. Example: To enter a quantity of 319, press the X100 box followed by pressing the + button three times. This adds 300 to the quantity to the initial default value of 1 bringing the number in the text box to 301. Press the X10 button followed by pressing the + button two times bringing the quantity in the text box to 321. Press the X1 button followed by pressing the - button twice to bring the number in the text box down to 319. Note: The Pocket PC keyboard can also be used to enter the quantity being requisitioned. Press the keyboard icon in the lower right corner of the screen to bring up the keyboard. Enter the quantity using the number keys across the top of keyboard. Close the keyboard and press the OK button (the enter key on the keyboard will not enter the quantity for the requisitioned part, the OK button must be used). 6) Press the OK button to the right of the text box when the quantity is correct. 7) Repeat steps 4 thru 6 above until all requisitioned parts have been entered into the Pocket PC database. 8) Press the Main Menu command in the lower left corner of the Enter Stock screen to exit the requisition mode and return to the welcome screen. 17 Requisition Stock with Serialized Parts Requisition Stock will recognize the stock numbers of serialized parts. When the Pocket PC scans a serialized stock number, it will prompt and store the serial numbers of the parts requisitioned from inventory. 1) From the welcome screen, select Inventory then Requisition Stock. 2) Scan the employee barcode in response to the Enter Name prompt (left image below). 3) Scan the account barcode in response to the Enter Account # prompt (center image below). 4) Scan the stock number barcode in response to the Enter Stock # prompt. If the stock number represents a serialized part the screen will prompt for the serial number and inform the user that the serialize items must be Requisitioned One (1) at a Time (right image below). Scan the item serial number. The system will return to the Enter Stock # screen. 5) Repeat step 4 above for all Requisition Parts. 6) Press the Main Menu command in the lower left corner of the Enter Stock screen to exit the requisition mode and return to the welcome screen. 18 Update Inventory The Update Inventory function corrects errors in inventory count. For example, if the system shows a quantity of 5 in inventory, when there are only 4 parts in the bin location, the inventory count should be corrected to show the accurate inventory count of 4. Update Inventory allows a user to scan item barcode labels followed by the physical count for each scanned item. The Pocket PC scanner can then upload the item quantities to the system, replacing the database quantities with the scanned or physical inventory counts. 1) From the welcome screen, select Inventory then Update Inventory. 2) Scan the stock number barcode in response to the Enter Stock # prompt (left image below). 3) Enter the physical inventory count in the text box adjusting the number as described in step 5 of the Requisition Stock section of this manual (center image below). 4) Press the OK button to enter the physical inventory count for this item. 5) Repeat steps 2 thru 4 above until all physical inventory counts have been entered. 6) Press the Main Menu icon in the lower left corner of the screen to exit the Update Inventory mode and return to the welcome screen. 19 Update Inventory with Serialized Parts Update Inventory will recognize the stock numbers of serialized parts. When the Pocket PC scans a serialized stock number, it will prompt and store the serial numbers of the parts counted in physical inventory. 1) From the welcome screen, select Inventory then Update Inventory. 2) Scan the stock number barcode in response to the Enter Stock # prompt (left image below). 3) If the stock number is for a serialized part the screen identifies it as a Serialized Item and prompts for the physical inventory quantity. Enter the physical inventory count in the text box adjusting the number as described in step 5 of the Requisition Stock section of this manual (center image below). 4) Press the OK button to enter the physical inventory count for this item. The system will continue to prompt for serial numbers until it has serial numbers for the full quantity entered. The screen will then return to the Enter Stock # prompt in the left image below. 5) Repeat steps 2 thru 4 above until all physical inventory counts have been entered. 6) Press the Main Menu icon in the lower left corner of the screen to exit the Update Inventory mode and return to the welcome screen. 20 Place On Order The Place On Order function creates a list of parts and quantities to be put on order. The list is then forwarded to Purchasing, or similar department for a final purchase decision. 1) From the welcome screen, select Inventory then Place on Order. 2) Scan the employee barcode in response to the Enter Name prompt (left image below). 3) Scan the stock number barcode in response to the Enter Stock # prompt (center image below). 4) Enter the quantity to place on order in the text box adjusting the number as described in step 5 of the Requisition Stock section of this manual (right image below). 5) Press the OK button to enter the stock number and quantity into the Place On Order list. 6) Repeat steps 3 thru 5 above until all items are entered in the Place On Order list. 7) Press the Main Menu icon in the lower left corner of the screen to exit the Place On Order mode and return to the welcome screen. 21 View Requisition Data View Requisition Data allows the user to review the requisition data file before transferring to the Visual Inventory Control database. In this mode, item quantities are changed and/or items are deleted. To add an item to the Requisition Data file, please return to the Requisition Data section of this manual. 1) From the welcome screen, select View then Requisition Data. 2) To edit a quantity, select a line item on the display (left image below). 3) Press the Edit button on the lower left of the screen. 4) Edit the quantity with the up and down arrows to the right of the text box (center image below). 5) Press the Done button to save the change. 6) To delete an item, select the item on the display (similar to the left image below). 7) Press the Delete button to delete the line item (right image below). A Please Wait message will appear on the screen followed by a redisplay of the requisition data with the deleted item removed. 8) Repeat steps 2 thru 7 above as needed. 9) Press the Main Menu icon in the lower left corner of the screen to exit the View Requisition Data mode and return to the welcome screen. 22 View Update Data View Update Data allows the user to review the contents of the update data file before transferring the file to the Visual Inventory Control database. In this mode, item quantities are changed and/or items are deleted. To add an item to the Update Data file, please return to the Update Data section of this manual. 1) From the welcome screen, select View then Update Data. 2) To edit a quantity, select a line item on the display (left image below). 3) Press the Edit button on the lower left of the screen. 4) Edit the quantity with the up and down arrows to the right of the text box (center image below). 5) Press the Done button to save the change. 6) To delete an item, select the item on the display (similar to the left image below). 7) Press the Delete button to delete the line item (right image below). A Please Wait message will appear on the screen followed by a redisplay of the requisition data with the deleted item removed. 10) Repeat steps 2 thru 7 above as needed. 11) Press the Main Menu icon in the lower left corner of the screen to exit the View Requisition Data mode and return to the welcome screen. 23 View On Order Data View On Order Data allows the user to review the contents of the on order data file before transferring the file to the Visual Inventory Control database. In this mode, item quantities are changed and/or items are deleted. To add an item to the On Order Data file, please return to the previous On Order Data section of this manual. 1) From the welcome screen, select View then On Order Data. 2) To edit a quantity, select a line item on the display (left image below). 3) Press the Edit button on the lower left of the screen. 4) Edit the quantity with the up and down arrows to the right of the text box (center image below). 5) Press the Done button to save the change. 6) To delete an item, select the item on the display (similar to the left image below). 7) Press the Delete button to delete the line item (right image below). A Please Wait message will appear just above the Edit and Delete buttons, followed by a redisplay of the On Order Data with the deleted item removed. 8) Repeat steps 2 thru 7 above as needed. 9) Press the Main Menu icon in the lower left corner of the screen to exit the View Stockroom or On Order Data mode and return to the welcome screen. 24 View Serial # Data The tracking of serialized data requires some special handling. If the quantity of a serialized part needs to be changed in Update Data, the serialized parts being deleted or added, must be tracked by the system. For this reason, any attempt to change the quantity of a serialized part in the View Update Inventory screen will result in a pop up window notifying the user that the item is serialized and cannot have its quantity changed. The pop up window will direct the user to the View Serial # data function. 1) From the welcome screen, select View, then Serial # s. 2) To edit a serial number, select the serial numbered part in the list (left image below). 3) Press the Edit button to display the serial number with a text box below. Scan the serial number for it to appear in the text box (center image below). 4) Press the Done button to store the correct serial number. The screen will display a Please Wait message in red font just above the Edit and Delete buttons. The screen will return to the View Serial Number display with the corrected serial number (right image below). 5) To delete an item, select the item and press the Delete button. A Please Wait message will appear just above the Edit and Delete buttons, followed by a redisplay of the Serial # items with the deleted item removed. 6) Press the Main Menu icon in the lower left corner of the screen to exit the View Serial # mode and return to the welcome screen. 25 Upload Requisition Data The Upload Requisition mode transfers the requisition data file, stored in the Pocket PC Scanner, to the Visual Inventory Control database. 1) From the welcome screen, select Upload then Requisition Info. 2) Connect the serial cable to the Pocket PC. 3) From the Main Menu of the Visual Inventory Control system, select Barcode Scan then Up Load Remote Data. An empty DownLoad Barcode Reader Form window will open. Note: The Pocket PC transfers a data file that is identical to the data file transferred by the Symbol P360 barcode scanner. Therefore the same Up Load Remote Data function is used for both remote devices. The Download window for the Pocket PC even has P360 in the blue label bar across the top of the window (See next page). Dynamic Control Software Page 23
26 Upload Requisition Data (Continued ) 4) Press the Upload Now button to transfer the requisition data file to the Visual Inventory Control database (left image below). 5) Transferring data will quickly flash across the screen (center image below). 6) The DownLoad Barcode Reader Form responds by filling the data fields with Requisition data transferring from the Pocket PC. The Quantity field changes to a yellow background. Change the field to the desired or correct quantity and press the Done button. Delete line items by selecting the line item and pressing the Delete button. 8) Press the Remove From Inventory button on the DownLoad Barcode Reader Form to remove the items from inventory. 9) On the Pocket PC screen, an Upload Complete pop up window appears, asking if the transferred data file should be deleted from the Pocket PC. Press the Yes button to delete the file. Note: If the data transfer appears unsuccessful (perhaps due to an intermittent cable connection, power failure during transfer, or similar mishap) press the No button in the Upload Complete pop up window. This will hold the file in the Pocket PC for a second download after the cause of the failure has been resolved. 10) The screen confirms File Deleted in red font. 11) Press the Main Menu icon in the lower left corner of the screen to exit the Update Requisition mode and return to the welcome screen. Press the Yes button to delete the file. Note: If the data transfer appears unsuccessful (perhaps due to an intermittent cable connection, power failure during transfer, or similar mishap) press the No button in the Upload Complete pop up window. 33 Upload Stock Order Data (Continued ) 7) Review the items in the list. Edit quantities by selecting the line item and pressing the Edit Qty button. The Quantity field changes to a yellow background. Change the field to the desired or correct quantity and press the Done button. Delete line items by selecting the line item and pressing the Delete button. 8) Press the Add to Stockroom Orders button on the DownLoad Barcode Reader Form to add these parts to the orders from stockroom. These items will now appear in the Orders From Stockroom window and can be viewed by going to the Main Menu and selecting Inventory then View Orders From Stockroom. 9) On the Pocket PC screen, an Upload Complete pop up window appears, asking if the transferred data file should be deleted from the Pocket PC. Press the Yes button to delete the file. Note: If the data transfer appears unsuccessful (perhaps due to an intermittent cable connection, power failure during transfer, or similar mishap) press the No button in the Upload Complete pop up window. This will hold the file in the Pocket PC for a second download after the cause of the failure has been resolved. 7) The screen confirms File Deleted in red font. 8) Press the Main Menu icon in the lower left corner of the screen to exit the Upload Order mode and return to the welcome screen.
