1 Ćw. IV. DynamicTables Task 1. We have a table with three columns containing the product name, category to which the product belongs, and its sale last year. The table contains data for 500 products. We were asked to calculate: the total sales for each of the 10 categories of products, the average sale of one product in each category, how many different products were sold in each category and which was the best selling products. How to do it: 1. Insert a Dynamic Table We move a field 'Category' to the area labeled 'Drop Row Fields here'. (Label lines) Three times we move the box 'sales' to area 'Drop data items here' (values) 1
2 Drag the box 'product name' for the data elements (values) The table should look like below. Already at this time we are known and respond to two of the four raised at the beginning of this example questions. In column B, we have the total sales for all categories and in column E the number of products by categories. 2
3 Now we format the columns in the table. Right-Click any of the fields of the first column of data, and choose 'Settings field values...' Effect: However, we still have 3 sales totals (in columns B, C and D). Click any cell in the column 'total sales of 2', right field and select 'Settings field values...'. 3
4 This time, in addition to changing the format of numbers, change also the 'Summarize value field by' to 'Medium'.... In the case of the column with the heading "Total of sprzedaz3 change the 'Summarize value field by' 'to' maximum '(also suitably formats numbers). We get Table containing all the information searched by us. We change all the column headers to give a table like the following figure. (Sale, medium, Max, Amount) 4
5 WARNING: The data in dynamic tables aren't automatically updated. To update it go to cards 'Options', and select 'Refresh'. At the end of this example, even we format the Table using one of the available 'Dynamic Table Style'. 5
6 Example 2 An additional task after completing the 'Example 1' will be to calculate what was the percentage breakdown of sales by category. For this purpose, once again add sales to the dynamic table. Click the newly created field right mouse button and choose 'Settings field values...'. Go to the card 'Showing values as a' in window 'Show value as' scroll down and select '% column' and then click 'OK.'. In this way we get a table, which should look like this below. We can still sort the categories according to their share of sales in the total sales. Click on the arrow icon in the cell 'A4' and select the command 'more sorting options...' 6
7 . Example 3. In this example we will use the same data table. Suppose that we have been asked to prepare a report showing sales of last year, the top 10 products (so-called. TOP 10) in each of 12 categories of products, and the total sales of these products. How to do it: 1. Insert a Dynamic Table Transfer the names of the fields as shown below. 7

9 Right click on one of the product names and select the command Filter and then the first 10. Select 'Top' '10' 'Elements' by 'Sum of sale'. The report is now ready and should look like the following. If you have previously used the style formatting another Dymanic Table Excel will remember it, and in the same style will prepare a new Table. Example 4 In this example, we will continue working on a pivot table created in Example 2. The next time we will prepare the same report is not necessary to perform all operations from scratch, simply replace the old data with new ones in a spreadsheet with the data, right-click on the table and choose 'Refresh' (alternative to the command 'refresh' button located on the ribbon). 9
10 Now you will add one product at the end of the table with the data in the worksheet 'Pivot Tables 1'. If the new data sheet has more lines than the previous one, set the active cell in the pivot table and card 'Options', select 'Change data source'. Will be shown a sheet of source data and the range used by the Dynamic Table. Scroll to view the product which has been added. 10
11 We change the address of the last line of D502 to D503 and click OK. The data in the dynamic table will be updated. 11
12 Additional information Before preparing the PivotTable report must be prepared table with data, because not every list of data we can prepare a PivotTable. The list must meet the following conditions: 1. Each column has a header, which is located in one row, every column is different. 2. All the data is in one table. 3. Table no blank rows or columns. Excel treats blank column or row as the end of the table, the data below a blank line / on the right of the empty column will not be taken into account. 4. An empty cell is not the same as zero! Empty cells are ignored by many calculations, for example, the average will be different depending on whether the cell is a zero if it is empty, if empty cell it will not be taken into account in the calculations. 5. The table of data is not merged cells, merged cells are not treated as a description of all cells but merely as a description to the first row / column in which they are located. 6. In each cell there is only one data item. For example, placing the name in one cell will prevent sorting the names, if we have the data, we can easily separate them by using the right combination of features of text). 7. Figures are numbers. Often the figures imported from internal corporate IT systems are text. To easily check if all the data are numbers easiest to select columns of data and the status bar, select 'Counter num.' and then 'counter' if the quantities vary, but some data is text. The simplest method of converting numbers to text will: - Entering into any cell outside the table ones, - Copying cells with a One - Check the area in which the number should be - Pasting specifically as shown below. All texts will be replaced by numbers. 12
