1 Financials: Sync With Quick Books 1. This tutorial will cover how to sync your online Quick Book account with Fundly CRM. 2. Please note: this is a one-way sync information on financial transactions will be pushed to Quick Books only; no information from Quick Books will be added to Fundly CRM 3. ONLY TRANSACTIONS THAT HAVE AN ACCOUNT ASSIGNED TO THEM WILL BE SYNCED. 4. Be sure that you have first configured your chart of accounts and account classes (see our tutorial if you need help: Financials) and make sure your financial transactions have an account synced. 5. If your QB account does not have classes enabled (the highest subscription level), then any transactions in Fundly CRM that have a class assigned will NOT sync. You must first delete the class from the transaction for it to sync. 6. If your QB account does have classes enabled, be sure that your classes are set to one to each row in transaction or class information will not sync correctly to your QB account. In QB, on under Account and Settings, choose Advanced.

2 Setting Up the Sync: 7. On the Fundly CRM Main Menu, select FINANCIALS 8. Mouse over the green "Sync With Quick Books" button in the upper right hand corner

3 9. Select the "Get Started" option from the box that pops up 10. Read the user agreement and click the By registering to Sync with QuickBooks, you: check box

4 11. Then select the I agree, continue button in the lower right hand corner of the screen. 12. A pop up box will open, warning you that you are about to leave the Fundly CRM site. Click the "Connect to QuickBooks" button at the bottom of the pop up.

5 13. A new window will open, asking you to log into your online Quick Books account (if you are already logged into QuickBooks this step will be skipped). 14. Once you log into your online QuickBooks account, you may be prompt to verify your identity by having a unique identifier code texted or ed to you. Select which option you want to use and proceed. Once you receive the code, enter it into the verification screen. You will receive a message telling you the verification has been successful.

6 15. You will then be asked to authorize sharing between the two systems; click the blue authorize button in the lower right hand corner of the screen 16. You ll then be notified that the sync is being created/the message will change to Intuit is now securely transmitting your data to Fundly CRM

The QuickBooks window/ Securely Transmitting Data window will close and you will be back on this page inside Fundly CRM/it will appear you are back on step #11 DO NOT CLICK THE Connect to QuickBooks button the system is actually loading a page/moving off of this screen and clicking the button will restart the sync process. The page will refresh in a moment and close the Connect to QuickBooks window. 15. Once the page finishes loading, a QuickBooks Sync Start Date field will pop up. Only transactions dated with this date and greater will sync with your Fundly CRM (use this field to restrict old data from syncing). Enter a date and click save

8 16. The pop up window will close and you will be back in the Financials screen of Fundly CRM. At the top of the screen you will see a message that the QuickBooks sync is active. 17. It may take up to 30 minutes for the system to finish completing the sync set up/for transactions to populate into your Quick Books account. 18. From this point forward, the sync will be ongoing/automatic. There will be no sync complete status displayed anywhere in Fundly CRM, because the system will sync/update in real time (usually within 5-10 minutes, but it may take up to 30 minutes for new transactions to appear in your QuickBooks Account). 19. Below are the various QuickBooks statuses. Keep in mind, when you receive full payment for donations, event registration, or other financial transactions, that makes the transaction PAID: OPEN = transaction for which payment is not received PAID = transaction for which payment is received UNAPPLIED = a payment which is not allocated against any Invoice transaction CLOSED = a payment which is allocated properly with an Invoice
