3 Compress Anything: The App Introduction The compression tool for Salesforce is here! The main purpose of this app is to help administrators to create zip files where they will be able to store a bunch of Attachments or Documents in one single zip file. Features Zip Attachments and/or Documents in one single file. Choose between no-compression (storage) or Deflate compression. Save the ZIP file in Salesforce as an Attachment or Document. Send the ZIP file by to multiple recipients. Create ZIP files from one specific parent or multiple parents. Cool & friendly interface ;) Installing the app You can install the app from the AppExchange: Compress Anything Understanding the app From the user perspective, this app consists of one Custom Tab and one Visualforce Page: Custom Tab Zip : it provides access to the Visualforce Page BZip. Visualforce Page BZip : it contains all the functionality of the app. From the Administrator perspective, this app also comes with: Custom Buttons Zip Attachments : it allows the administrators to automatically zip Attachments from a parent SObject. There are two buttons with the same name for each SObject, one is a Detail Page Button and the other one is a List Button. Field Sets bzip_att_parent : it allows the administrators to customize the search results when the user wants to save the ZIP file as an Attachment and is searching for the parent. If you have the need of override the field set, you can create a new one with the same name and the system will know which one have to use. 3

4 This is the list of SObjects where you can find these Custom Buttons and Field Sets (that is, the list of Standard SObjects that support Attachments): Asset Campaign Case Contact Contract Event Lead Opportunity Product Solution Task Creating a new Zip file From the bzip tab These are the main steps for generating a ZIP file: 1. Go to the bzip Tab. 2. Search for the Attachments and Documents you would like to compress and press the search button. 3. Select and add them to the ZIP file. 4

5 4. Choose what you want to do with your ZIP file: Save, Send by or Save and send by Check the ZIP file status. 6. Choose the compression type and generate the ZIP file. 7. A new screen will be displayed. Depending on what you want to do with your ZIP file, 5

6 this screen will show some of the steps, or all of them. This example assumes you ve selected Save and send by , so the first screen is the Save one. 8. Enter the ZIP s filename. 9. Choose how you would like to save the ZIP file. a. As an Attachment : i. Select the SObject where you want to search, type the search term and press the Search button. ii. Choose the record where you want to save the ZIP file. b. As a Document : i. Type the folder name that you want to find. 6

7 ii. Choose the folder where you want to save the ZIP file. 10. Click Next button. The Send screen appears. 11. Type the electronic address of the recipients to whom you would like to send the Additionally, you can also search for recipients within Salesforce using the search button. 13. The search recipients screen appears. 7

8 14. Enter a search term and press Enter. A list of results group by SObject type will be displayed. Select the recipients you would like to add. 8

10 16. Choose the sender display name and address that the recipient will see. 17. Click Next button. The Upload screen appears. 18. Check the information and press Upload Zip. 19. Once the file is uploaded, depending on the action you have selected: a. Save : the system will show the newly created file. b. Send by the system will refresh the current page. c. Save and Send by the system will show the newly created file. From a parent SObject In order to create a ZIP file from a parent record (Case, Opportunity, etc.) you have to follow all the steps explained in From the bzip tab, except the first one. Instead of going to the bzip Tab, you have to go to the corresponding page layout or list view 10
