3 The Login Page You can login to Commercial Card Data Management (CCDM) here: You will be informed of your login details once you have been set up as a user. You may receive two s automatically generated and sent from the system; or you they may be communicated by some other means by a system administrator If you ever forget your password you can use the Forgotten your password? link on the login page. It will ask for your username, after which the system will you a new, temporary password 3
4 The Home Page At the top right corner of the home page, a menu with four links is displayed. Here, as well as being able to change the language and personal settings of the system and log-out, you can refer to a comprehensive Help section Help opens on a subject that relates to the page you are viewing at the time but there is also a search function The Home Page itself contains two links: Approvals most of the time when visiting the system you will need to click here. The red dot or red lettering indicates that there are items requiring your attention (see page 5) Reports depending on how your system has been set up there is a selection of reports available. This functionality is not covered in this user guide but it allows you, for example, to view (and export into Excel or PDF) a breakdown of cardholder spend by merchant 4
5 Items Requiring Your Attention After clicking on Approvals on the Home Page menu,you will be given an option to view Items Requiring Attention or by selecting by Statement period From here you can navigate to the transactions yet to be approved. Clicking on the Employee name will show all items for that cardholder; and clicking on a Period will display the items for that cardholder in that statement period You can view transactions by statement period. A statement period with a red dot indicates that there are transactions that have not yet been approved 5
6 Transaction Approval From the Items Requiring Attention page you will reach the Transaction Approval page. Here you can view previously approved or declined transactions but items to be actioned are grouped as follows: Information Required transactions that have been returned to the cardholder, normally because amendments or further information is required before approval Information Provided transactions where a cardholder has responded to a previous request for further information. Approval is still required Approval Required transactions that you are yet to attend to After clicking on one of these headings (or Expand All ) the transactions will be detailed. There is an example of a transaction below Two icons to the right hand side indicate the status of the transaction: the first reflects what has been done by the cardholder; the second reflects the approval status. Please click on Help to see a definition of each symbol The coding that has been applied to the transaction by the cardholder is displayed below the transaction. It displays coding values but if you hover your mouse over a code value then the code description will be displayed. Above, 400 is the Department Code for Marketing If a receipt has been uploaded then it can be previewed by clicking on Yes in the Image(s) column More detail can be viewed by clicking the approval status symbol (see page 7). Alternatively, you can tick the box at the far right and click Approve Selected (or Approval All depending on how your system has been set up) towards the top of the page 6
7 Transaction Details If you click the approval status symbol then more detail is given on the transaction. There are three tabs: Coding here you can view the coding that has been applied to the transaction by the cardholder; and the receipt that has been uploaded Approval here you can add a comment and respond to the transaction Summary here you can view some transaction information that has been provided by the merchant; and also an audit history of what has happened to the transaction up to this point On the approver tab, as well as the opportunity to add comments, the are two possible responses other than Approved : Information Required the transaction will be returned to the cardholder Declined the transaction is declined. This is irreversible and is unlikely to ever be used when reviewing and approving card transactions Click Save to close the transaction. On the Transaction Approval page the approval status symbol will update and the transaction will move to the relevant group (e.g. Information Required ) 7
