1 How to complete your full application file On the day of the Assessment Centre you will be asked to provide a complete application file. The present instructions should be followed strictly. Should you fail to provide the documents in the order and format as instructed, EPSO will ask you to send the missing documents by post in certified copy format, at your own expenses, on the very last day of the Assessment Centre period at the latest (as specified on eu-careers.info). No reminder will be sent. The Selection Board may decide to end your participation in the selection procedure if you fail to provide the necessary documents when requested. EPSO staff will scan your file during the Assessment Centre day and return it to you at a specified time slot. The scanning process requires you to follow these instructions in order to have a complete application file: GENERAL CONSIDERATIONS REGARDING THE ORIGINALITY AND THE VALIDITY OF DOCUMENTS Documents should not only be signed and stamped by the issuing authority, but they should also be printed on official letterhead ( papier à en-tête ). Date and Place of delivery should appear. Education: The original diploma should be provided. If it is not an A4 format, or if is in a material problematic for the scanning process, or if the candidate simply does not wish the original to be scanned, an A4 photocopy should be made and provided together with the original. If the diploma was not issued or officially recognised by an EU Member State, a NARIC certificate ( equivalence ) is requested. In case the original diploma is not available, a duplicate or certified copy of the duplicate or an official certificate/transcript/record by the university/school or by a national authority (e.g. Ministry) can be accepted. In case the relevance of the education is not self-explanatory, a certificate or transcript should be provided in addition to the diploma, including a list of courses completed. Electronically certified diplomas can be accepted provided they include a formal identifying number. Auto-certification by the candidate, although in use in some countries (e.g. Italy), is not accepted Experience: Preferably the contract plus the last pay slip (be the contract concluded for a definite or an indefinite duration). Alternatively a certificate or reference letter from the employer can be accepted (but it must mention start, end, duration, type of contract, and gross monthly salary). If the nature of duties is not mentioned in the contract, the job description or a certificate or reference letter from the employer should be provided in addition to the contract and pay slip, clearly describing the duties performed. Any document accompanied with an /correspondence from a national authority can be accepted.

2 1. Format of documents Only A4 pages. For documents outside or smaller than the A4 format, an A4 copy (reduction if necessary) has to be made by the candidate and brought together with the original; NO staples (except for certified translation with a stamp on the staple), NO paper clips. If some originals are stapled, the staple must be eliminated and the paper sheets must be clearly detachable from each other; Use a flap folder to put all documents in. 2. Order of documents One envelope with ID format (35 45 mm) photo (with your current name and candidate number on the back) "Divider: Part 1" (dividers are provided in the following pages of the present document) Readable copy of ID card/passport (preferably colour copy).if you changed name and your present name is different from the one appearing on the documents in Part 2, 3 or 4, please insert an original or certified copy of an official document with evidence of the link from the name on the documents to your current name Application form Replies to Talent Screener questions and documents supporting your replies e.g. knowledge of languages. "Divider: Part 2" Education see table above "Divider: Part 3" Professional experience see table above "Divider: Part 4" Others any information or training relevant to the application (e.g. books ) If the documents are not in EN, FR or DE a translation into one of these languages would facilitate a prompt evaluation of your file (not obligatory) In short: - PREPARE YOUR DOCUMENTS IN THE INDICATED ORDER ADDING THE PROVIDED DIVIDERS - PLACE THE WHOLE FILE INTO A FLAP FOLDER

3 If some documents are not considered as originals or certified copies by EPSO, EPSO will make a photocopy of them and stamp them with "Original missing". Once your file has been scanned and given back, please check if some documents have been stamped "original missing" and, for those necessary for your eligibility to the competition 1,, send certified copies of those documents by post to: EPSO Competition number Avenue de Cortenbergh/Kortenberglaan Brussels Belgium Please note that any documents sent by post to EPSO will not be returned by post but will be inserted in the candidate's application file. Reimbursement documents will be prepared separately and handed over at the beginning of the day. Should you need more time to complete these documents they can be sent at a later stage by . These documents cannot be inserted into the flap folder. 1 There might some documents not provided in original and consequently stamped by EPSO as "original missing", but not necessary for your eligibility. In these cases you do not have to send a certified copy by post. Please refer to the Notice of the Competition to see which documents are necessary for your eligibility.
