Tel: Internet: Overview The INTUITY AUDIX Multimedia Message Server is designed as a platform for enterprisewide unified messaging. Under the control of the system administrator, all users can have access to applications such as: Call processing Automated attendant Voice, and fax messaging Both a telephone user interface (TUI) and a graphical user interface (GUI) are available, with text-tospeech (TTS) capabilities further allowing mobile users to access messages anytime from anywhere. Every INTUITY system is multimedia enabled with the ability to accept voice, fax, text, file attachments and as valid message types. This architecture allows for mixing of media types within messages. For example, a user can send an message with a voice message attached to add clarity to the communication. The server allows resources to be shared by universal ports. The system administrator can allow callers to transparently move across applications in any order they choose. INTUITY comes with multilingual functionality for American English, Canadian French, Latin American Spanish and Teletype/Telecommunications Device for the Deaf (TTY/TDD) (hearing impaired). Customers have the option to install up to nine of 35 available languages. The following three models are available, with each retaining all of the feature sets and applications yet providing cost-effective sizing to meet the specific requirements of each business user: The Model 5, intended for small businesses, can support a maximum of 18 ports, 175 hours of storage and 15,000 seats (voice mailboxes with fax and visual desktop messaging functionality). The Model 40, intended for small and midsize businesses with single or multiple locations, supports a maximum of 42 ports, 600 hours of storage and 15,000 seats. The Model 100 satisfies the needs of larger organizations with single or multiple locations by supporting a maximum of 64 ports, 1,400 hours of storage and 30,000 seats. For example, up to 20 systems can be added and networked together locally using distributed communication system (DCS) integration, an optional proprietary protocol that can link multiple Avaya systems together to appear as one system for transparent centralized messaging capabilities. One INTUITY can support centralized messaging for a total of 20 DEFINITY Communications Systems in a DCS PBX network. Up to 485 INTUITY systems can be networked via DCS-type facilities (high speed), analog modems (low-speed digital) and TCP/IP WAN facilities. The system also includes four TCP/IP channels to support INTUITY Digital Networking. This provides high-speed transport of messages and other system data between local nodes (via LANs) or geographically remote nodes (via WANs). INTUITY Digital Networking is feature-transparent to users. Features such as name voice-back, user directory, transfer-by-name, uniform addressing, group distribution lists and delivery confirmation are all preserved. INTUITY provides an automatic administrative update capability so the system administrator has to add or make changes to a user only once, not once for each system. Analysis The INTUITY AUDIX Messaging Solutions system has a multilayered architecture that incorporates the Basic Processing Layer, the Service Layer and the Applications Layer. Main components of the Basic Processing Layer are: Chassis, which contains the power supply and slots for voice boards Intel Pentium CPU (specific type varies by model) Disk drives RAM Small Computer Systems Interface (SCSI) removable media (Integrated Drive Electronics [IDE] for Model 5) UnixWare operating system The Service Layer manages the primary functions common to all applications, including: Networking Module Switch Interface Module 15 July

6 Following are overviews of the software applications that provide a unified messaging INTUITY platform. Message Manager The Message Manager application provides an easy-to-use graphical user interface to voice, fax and using the INTUITY Internet Messaging application messages, as well as binary attachments. Users use their PCs to retrieve and create voice, fax and messages, as well as to modify user administration parameters. Message Manager supports all of Microsoft s supported Windows operating system versions, including Windows XP. Utilizing visual message status, Message Manager provides for nonsequential access to voice, fax and messages and allows unlimited archiving on the user s PC. INTUITY Message Manager is a Windows-based application that can be installed on the user s computer or on a network server for shared access. After users enter their passwords, Message Manager provides them their entire mailbox contents at a glance, including voice, fax and messages; binary attachments; and system broadcasts. Users can select messages in any order to quickly locate and act on them based on their own priorities, without the need to move through all messages sequentially. On-screen controls are available to control playing, replying directly or by voice mail, forwarding, saving, deleting, undeleting at anytime prior to exiting, recording and addressing messages, and editing the subject line, as well as managing distribution lists, greetings and passwords. Users can also sort and organize messages into folders, adding a text description for future reference. Message Manager notifies users of any new messages that arrive. Users can easily access more than one mailbox, using a simple command to transition from one to the other. INTUITY Message Manager users can create and use a Personal Address Book for storing contact information, such as telephone and fax numbers, and network mailbox addresses. Users can also choose addresses from the INTUITY Directory, which provides a listing of all users with mailboxes on the INTUITY server and includes all administered network users. Using Message Manager, INTUITY users can immediately and confidentially receive and view fax messages directly on their computer screen using any standard Tagged Image File Format (TIFF) fax viewer application, without printing them or sending them to a fax machine. Faxes can be viewed, rotated and zoomed to improve their readability on the PC screen and, if so desired, sent to any printer accessible to the PC, including those on the network. Senders receive an error message if delivery was unsuccessful. Fax-extended dialing allows up to 23 digits to be specified and stored in a dial string. Message Manager can also provide a cover sheet to accompany the fax, containing sender and recipient details, a subject and a memo. Before sending, users can preview the fax cover sheet onscreen. Message Manager also has a fax broadcast feature that provides each fax recipient with an individual fax cover sheet. Message Manager automatically installs its own printer driver on users PCs so they can create a document from any Windows-based application and send it via fax through the INTUITY server to a fax machine or a fax-enabled mailbox. This eliminates the need for a fax modem or analog phone line to send documents from the PC. To facilitate the use of faxed documents created by users in other Windows applications, Message Manager allows users to attach a binary file to a message or send a binary file as a message. Message Manager offers extensive online help to users, indexed by topic and context-sensitive to the specific feature being used at the time of the request. Individual help topics can be printed. Message Manager is also available in German, French, Spanish, Dutch, Portuguese and Italian. INTUITY Message Manager is a Windows-based application that can be installed on the user s computer or on a network server for shared access. Message Manager communicates through the provided LAN 15 July

7 card with the INTUITY server using TCP/IP on the LAN/WAN. The LAN that connects to the INTUITY must be an Ethernet connection. Fax Messaging INTUITY Fax is an included software application that gives users the ability to manage both voice and fax messages within a single password-protected mailbox using a common set of services. All seats (mailboxes) are licensed for fax messaging; the system administrator chooses which users have this feature activated. Users have the ability to receive, send, store, forward and broadcast fax mail messages the same way as voice mail messages. Fax-extended dialing allows up to 23 digits to be specified and stored in a dial string for print/sending fax messages. INTUITY Fax also provides the following capabilities: Guaranteed Fax (Fax Overflow) Call coverage for fax machines to provide temporary buffering of faxes when the fax machine is busy. The goal of this service is to alleviate congestion at shared fax machines, thereby reducing the likelihood that callers will experience a busy signal. Fax Broadcast Transmission of a fax to multiple fax endpoints. There are many applications for fax broadcast, ranging from informal communication within a company to regular dissemination of sales and news information to a base of external clients. LAN Fax Server LAN-based access from PCs to centralized fax-processing capabilities. This allows users to send and receive faxes from their desktops using a PC-based application. Additionally, INTUITY Fax provides the following benefits: Privacy/Security INTUITY Fax provides secure and private access to fax communications. Faxes, like voice messages, are confidential and secured by the user s mailbox password. Users can control when and where faxes are output. The ability to retrieve faxes over the same call can be used to ensure that faxes containing sensitive information are seen only by the recipient. INTUITY Message Manager and Visual Desktop Messaging applications allow faxes to be viewed or retrieved privately at the desktop without faxing to a shared fax machine. Mobility Users can retrieve fax messages wherever they are, whenever they want. They can scan and manage different types of messages at the same time and from the same place. Only one phone call is required to deal with both voice and fax messages. TTS INTUITY provides the ability to convert text files to speech in order to play them back through the telephone and the ability to convert text to fax for delivery to a convenient fax machine. This allows users to have access to all their messages (voice, fax and text/ ) from any device, including a home phone, a cellular phone, a pay phone and a PC. Single Extension Number for Voice and Fax The user interface is designed to accommodate fax messages, fax messages with voice message introductions and voice messages. If the server detects a fax tone or the caller enters a touch-tone fax command, the server immediately prepares for a fax transmission rather than a voice message. Improved Communication and Productivity Using the Visual Desktop Messaging applications, users have the convenience of being able to send and receive faxes from the desktop rather than using a standalone fax machine. This also allows users to annotate faxes with a voice message so they do not have to place two phone calls, one to send the fax and another to tell the recipient that a fax has been sent. INTUITY Fax supports the creation of voice/fax messages from both a touch-tone telephone and the INTUITY Message Manager PC interface. 15 July

8 Simplified Messaging/Universal Mailbox Users have one login for both voice and fax. Features that are common for voice and fax work the same way. All received voice and fax messages are stored in the same mailbox. Many established voice mail features, such as forward and reply, are supported for fax as well. Cost Control INTUITY provides ways to reduce and contain fax communications costs. The ability of the INTUITY system to digitally network fax messages can provide a significant reduction in fax costs for clients who use digital networking but currently send faxes by other means. Digital networking has two major benefits over typical telephony-based fax transmissions: Faxes can be sent at higher speeds, up to 64 Kbps. A fax message destined for multiple recipients at a remote location is sent only once with a fan out at the remote machine once the fax message has been transmitted. Reduce Administration Costs INTUITY administration and reporting capabilities can be used to manage both fax and voice messaging with a common set of tools and screens. Compare this, for example, to an environment where a separate, stand-alone LAN fax server is implemented, where separate systems with different capabilities and different administrative user interfaces have to be managed. Visual Desktop Messaging In addition to using any touch-tone telephone to access messages, the user can also utilize a visual desktop user interface from a PC. Message Manager is bundled with to form the Visual Desktop Messaging applications. The licensing is included with voice and fax as part of a seat. The system administrator determines which users have access to which applications. uses a single Internet Web browser application to provide INTUITY users visual control and flexible access from their PCs to voice and fax messages. As the software is not resident on the desktop, no pre-installation is required. Multiple users can use the same computer and yet have private access to their messages. Traveling users can easily use computers and their company remote access to obtain messages from any office or home location. The user enters the pre-administered URL to log onto the INTUITY server. The screen then lists the server name and the required fill-in fields of mailbox number, telephone number for voice message playback and password. Once accessed correctly, provides the entire mailbox contents at a glance or only the messages in the New, Unopened or Old folders, including voice, fax and messages; binary attachments; and system broadcasts. Users can sort messages in the in-box as well as select messages in any order from the various queues to quickly locate and act on them based on their own priorities, without the need to move through all messages sequentially. On-screen controls are available to control playing, replying by voice mail and , forwarding, saving, deleting, recording and addressing messages, as well as managing distribution mailing lists, changing passwords, setting outcall notification, configuring the fax destination telephone number and administering personal greetings. Controls are also available for recording and playback through both the telephone user interface and a multimedia-enabled computer. If known, users can call the sender of a selected message. Additionally, the user can refresh new messages on demand, access the INTUITY directory, administer distribution lists and change user voice message record/playback default media. The user only needs Internet Explorer 4.0 or Netscape Navigator 4.08, a mailbox on the INTUITY and a Web address assigned on the Windows NT 4.0 server. This allows users of various operating systems (Windows, Macintosh and Sun Unix are supported) to access their voice and fax messages using a commonly known method of Web access. No desktop installation is required. A user-downloadable free Avaya Voice Player plug-in application can be used for voice message record and playback through a multimedia-enabled computer. does not require any additional software if playing the 15 July

9 audio messages through the telephone user interface. If the recipient s PC has a microphone, the recipient can record and save a file and use it in a reply message just like any other file. The Avaya Voice Player is available for Microsoft Windows, Macintosh and Sun Solaris platforms. Internet Messaging The INTUITY Internet Messaging application allows those with Internet access to send and receive voice, fax and text/ messages at a personal computer. Any system that adheres to Simple Message Transport Protocol/Multipurpose Internet Messaging Extensions (SMTP/MIME) and Post Office Protocol 3 (POP3) can be used to send and receive , voice and fax messages on both platforms. Popular POP3-compatible clients include Microsoft Exchange, Microsoft Outlook, Microsoft Internet Explorer, Netscape Communicator, Qualcomm EudoraPRO, as well as Qualcomm Eudora Light Mail, Lotus Notes 4.6 Desktop Client and Lotus Mail 4.5, and HP OpenMail. (The client interface aggregates all messages from the separate servers and presents the messages in a unified view at the desktop.) INTUITY Internet Messaging also makes Administration Web Browser easy through Internet-standard HTTP. Internet Directory Enables INTUITY to create a Lightweight Directory Access Protocol (LDAP)-compliant Internet directory with user names, addresses and extension numbers from the INTUITY user information. External (PC-based) clients (such as Microsoft Outlook, Netscape Messenger and Eudora Pro) can use their LDAP directory interface to look up addresses and extension numbers. TTS Four channels providing TTS capabilities are included with the option to expand up to 30 TTS channels on the Model 40 and Model 100. INTUITY provides the ability to convert text files to speech in order to play them back through the telephone and the ability to convert text to fax for delivery to a convenient fax machine. This allows users to have access to all their messages voice, fax and (using INTUITY Internet Messaging) text/ from any device, including a home phone, a cellular phone, a pay phone and a PC. Networking Options INTUITY supports the following analog and digital networking alternatives. AMIS Analog Networking Audio Messaging Interchange Specification (AMIS) Analog Networking is a standard feature that permits users to exchange voice messages with voice mail systems anywhere in the world, provided those systems also have AMIS analog capabilities. Messages can also be exchanged with users on remote systems (with AMIS capabilities) made by vendors other than Avaya. AMIS networking is fully supported with enhanced features to enable organizations to expand the efficiency of voice processing technology to awidersetofusers. Digital Networking Included in the system is INTUITY Digital Networking via four TCP/IP channels. This provides high-speed transport of messages and other system data between local nodes (via LANs) or geographically remote nodes (via WANs). Multiple INTUITY systems can communicate with each other digitally. Digital networking supports the transfer of all message components; furthermore, voice quality is not compromised in digital transmission. Digital networking has the added advantage of reducing telecommunications costs through the efficient use of networking resources. When the same message is sent to several users on a remote machine, only one copy of that message is sent; the receiving machine 15 July

10 distributes that one copy to all intended receivers. As a result, the time required for and the associated costs of message transmission are greatly reduced. In addition to reducing telecommunications costs, digital networking can also reduce the administrative burden of maintaining a messaging network. In particular, when a user is added to one INTUITY system in a network, that user information can be automatically updated on all other INTUITY systems in that network. DCS networking is fully compatible with INTUITY Digital Networking, allowing for the addition of system capacity while maintaining full-feature transparency between systems. Optionally, two other types of digital networking are available: Low-Speed Digital Networking Multiple INTUITY systems can communicate with each other using modems on regular telephone lines. The rate of data transfer is limited to the condition of the telephone line and the speed of the modems. The data transfer speed is usually limited to 9,600 baud. High-Speed Digital Networking When the INTUITY is connected to a DEFINITY system that is connected to other DEFINITY systems via a Distributed Communications System network, the INTUITY connects to the DEFINITY using DCP ports. As a result of this connection, data is transferred at rates of up to 56,000 baud. Avaya Interchange Networking Avaya Interchange supports a mixture of networking protocols so users can exchange messages between dissimilar voice-messaging systems. The Interchange network topology includes: A Model 5 or Model 100 multiapplication platform with Avaya Interchange software. Remote-machine support for INTUITY AUDIX, AMIS, Octel Analog Networking and Voice Profile for Internet Messaging (VPIM) v.2 networking. Support for up to 50 remote machines per Interchange Model 5 Support for up to 500 remote machines per Interchange Model 100 Avaya Interchange features include: Compatibility with established systems that support AUDIX Digital networking, such as Avaya DEFINITY AUDIX, Avaya DEFINITY One, Avaya IP600, INTUITY AUDIX release 3.0 and higher, and INTUITY AUDIX LX. Compatibility with established systems that support Octel Analog Networking, including Avaya Octel 100 release 3.2.9d and Avaya Unified Messenger release 3.0 and 4.0. Compatibility with established systems that support the VPIM v.2 protocol in an open and digital TCP/IP format. Transport and protocol conversion that automatically transcodes message formats between all supported networking protocols. AMIS Analog Gateway support that allows Avaya systems to exchange messages with non-avaya messaging systems using the AMIS analog protocol. 15 July

11 Octel Analog Networking Gateway support that allows INTUITY systems to exchange voice and fax messages with Octel Analog messaging systems using the Octel Analog Networking protocol; also used to exchange voice-only messages with Avaya Unified Messenger release 3.0 and 4.0. VPIM Digital Gateway support that allows Avaya systems to exchange messages with non-avaya messaging systems using the VPIM v.2 digital protocol. Interchange-to-Interchange configurations that support an Interchange-to-Interchange configuration to increase network capacities. Directory views that allow for a subset of names and subscriber remote screens to be downloaded from the Interchange to a specific location. Administration by Avaya Professional Services, which provide initial translation support for the Interchange. Voice- and fax-messaging support. Optional Applications INTUITY AUDIX release 5.1 also supports the following software-based applications. INTUITY Lodging Features INTUITY Lodging is an option designed for hotels and other lodging providers, including hospitals and colleges, for situations in which the same voice extension or mailbox needs to be turned on, turned off and assigned to different people. The guest voice message interface is multilingual. Guests can choose a language from those installed in which they want to hear the system instructions spoken. INTUITY Lodging also provides the capability to interface with a Property Management System (PMS) to activate, deactivate and set preferences for a voice mailbox when guests check in or check out. The system can operate voice-messaging applications simultaneously for guests, temporary residents and staff. INTUITY Lodging also supports: Call answer Voice messaging Simplified guest interface Specialized telephone interface Lodging fax messaging Broadcast messaging Aria User Interface By adding the optional Aria Interface to the INTUITY server, customers can continue using the Avaya Octel 250/350 TUI with which they are familiar. This allows all customers, including those with locations worldwide, to have a standard user interface, regardless of the Avaya platform used. The interface has been developed as a set of add-on applications requiring no underlying changes to the INTUITY. This unique architecture supports a high degree of flexibility in switching between applications. Switch Integration INTUITY systems can be integrated with voice-switching platforms, such as: 15 July

Multilingual Auto Attendants can be set up with two or more languages. Callers select a language at the first Automated Attendant prompt and then hear subsequent prompts in that language. A menu option given to callers can be used to return to the system greeting to select a different language. The multilingual feature also provides messaging service to hearing-impaired callers. Users who elect to enable the Call Answer Language Choice feature can record two separate personal greetings, one for each language choice presented to callers. The caller interacts with the system in the language designated as the user s primary language, with the option of switching to the user s secondary language. The system administrator designates an announcement set as the primary system announcement set, as well as a secondary Call Answer announcement set for each user. As soon as a user on a multilingual system logs in, the system switches to the user s chosen login announcement set. The system supports prompts in the following languages: Arabic Male, Female; Brazilian Portuguese; Cantonese; Croatian; Czech Republic; Danish; Dutch; English British Standard, TDD/TTY, United States, U.S. Numbers, U.S. Terse; Finnish; French Canadian, Parisian; German; Greek; Hindi; Hungarian; Indonesian; Italian; Japanese; Korean; Malay; Mandarin Chinese PRC, Taiwan; Norwegian; Polish; Russian; Slovak Swedish; Spanish Castilian, Latin America; Thai; and Turkish. Avaya Advanced Speech Access Voice-enabled technology, developed by Avaya, which works with Microsoft Exchange to provide mobile and remote speech access to voice and messages, contact lists, calendars, calling and conferencing by simply speaking commands into any phone. Network Backup INTUITY AUDIX now offers the ability to perform backups across a network to any data storage location of the customer s choice. This is in response to Avaya s customer s request for the ability to store backup information at a different location than the INTUITY site. This is available as a feature on all new INTUITY AUDIX sales and as an addition to all INTUITY R5 systems. Avaya INTUITY AUDIX LX Avaya INTUITY AUDIX LX software is based on the software for Avaya INTUITY AUDIX r.5.1, but is written in the language of the Linux operating system, which enables it to run on industry-standard PC hardware. The system is intended to be a lower-cost alternative for enterprises with requirements for voice, and fax messaging. Multilocation users can standardize on their messaging platform in environments with disparate communications systems.
