3 1. Introduction This Guide is intended for users of PSI Talent Measurement s Apollo website. Apollo is a web-based platform that allows you to administer online assessments to Participants. Using Apollo, you can: Create assessment projects Assign Participants to projects Invite Participants to complete assessments Send automated reminders to Participants (if required) View and download results from assessments The purpose of this guide is to provide an overview of the key functionality in the Apollo website and describe the process for setting up and managing assessment projects and Participants. A glossary of key terms used in Apollo is provided at the end of this Guide. 3

4 2. Accessing the Apollo Website 2.1 Supported Browsers For a list of compatible browsers please go to: While Apollo may function with other browsers and versions, we do not support the use of Apollo within these other browsers. 2.2 Logging in to Apollo for the first time Access to the Apollo website is controlled by the use of secure login details that are unique to each user, consisting of a username and password. When you are registered as a system user by PSI Talent Measurement, you will be sent an with your username and a link to follow to set your secure password. To access Apollo, follow the link in your and set your secure password following the criteria given. Figure 2.2 4

5 2.3 Logging into Apollo once you have set your password Follow the link below Enter your username and password to login to the system. Figure 2.3 If you have any difficulties logging into the site, make sure that you have entered your login details correctly, remembering that your username and password are case-sensitive. 2.4 Your Access Rights Your user level in the Apollo website is Registered User. This means that you are able to create and manage assessment projects within Apollo, and view the results from assessments that you are registered as being qualified to use. 5

6 3. Overview of Apollo 3.1 Administrator Home Page When you login to Apollo, you will initially be presented with the Administrator Home Page. This page displays any updates to assessment projects that you have created or been assigned to since you last viewed them. Any notifications from PSI Talent Measurement will also be displayed here. Figure 3.1 At the top of the page, a menu bar is provided. This menu bar provides you with access to all of the functions available to you in Apollo. Some menu items will display a list of options relating to that function when you hover over it. There are also three items on the top right hand side of the page. A brief overview of the functions available from each menu item is provided below. A detailed description of how to use the functions available from these menu items is provided in the following sections of this guide. 3.2 Projects Menu Apollo is based on the principle of assessment projects. A project consists of a group of Participants being asked to complete a nominated assessment, for example, a test, questionnaire or exercise. You can use the Projects menu to create new projects and manage all of the existing projects that you have access to. This is the main tab that you will need to use to manage the process of assessing Participants. 3.3 Participants Menu From this menu, you can search for any Participant that has been created in your Apollo account, and view details of the projects he or she has been assigned to. 3.4 Administrators Menu This menu allows you to view the other Administrators that are assigned to your Apollo account. As a Registered User, you also have the option available from this menu to add other types of Administrators to your account, although they will only have permissions to perform certain activities on the Apollo website. 56

7 3.5 Account Menu From this menu, you can: View the details of your Apollo account, including the number of credits you have available and the main contact person for the account. Edit the template s for your account which will save the changes for all future projects you create. View Management Information Reports for your account. 3.6 My Settings From this menu you can change your password and edit the time zone for your account. You can see the current time zone for your account at the top right hand corner of your screen. 3.7 Home This menu item will return you to the Administrator Home page wherever you are within the website. 3.8 Help This menu allows you to download a PDF copy of this Guide to using Apollo. 3.9 Logout Use this menu to log out of Apollo. 7

8 4. Creating a New Project To assess a group of Participants, you will need to set up an assessment project. This allows you to specify the assessment, the way you want to administer it and the Participants that you want to complete the assessment. 4.1 How to create a New Project To create a new assessment project, go to the Projects menu and select Create Project. You will then be taken through three steps where you will be asked to enter information about the new project. Figure 4.1 Enter the name of the project and an optional description of the project, if required. Then select the assessment you wish to use in this project from the list available. Depending on the assessment you select, you may also be presented with an additional option to select which version you wish to use (for VirtualAC assessments you will be asked to select the specific exercise required, and for 360 Propel you will be asked to select the 360 questionnaire you would like to use). 8

9 Figure 4.2 Finally, select the administration mode that you wish to use. The administrations modes available to you will depend on the specific assessment selected. There are three main modes of administration in Apollo: 1. Supervised Administration This mode will allow an Administrator to run an assessment under their supervision. A unique username will be generated for every Participant, as well as a Supervised Administration Code which will work for every Participant in this project. You must supply both of these details to the Participant(s), along with the link to the Participant site when they are ready to take the test, as an invitation will not be generated. To obtain the details for this assessment you will need to locate two sets of information, the Username and the Supervised Administration Code. You can find these by going to View Projects and clicking on the View icon for this project and locating them in the following places: Username This is found in the Project Participants table under the Username column. You can also download the Usernames in a CSV download called Download Participants under the Action drop down list. Supervised Administration Code This is found in the Project Participants and Project Details section. The Participant will need to add this code into the Password box when they are logging in. Link to the Participant Site This is found in the Project Participants section. The participant will need to follow the link to log in to Apollo to complete their test/questionnaire/exercise. 9

10 Figure Assessment Web Links You should use this mode if you wish to organise and send the Participants invitations to complete the assessment manually, without using the invitation facility in Apollo. This mode can also be useful if you do not know in advance the specific details of the Participants. Using this mode, the website will generate a specified number of unique assessment web links that you can assign manually to Participants. Each Participant should receive one of the web links generated. When a Participant receives a web link, he or she can use it to access the website, selfregister his or her details and then complete the assessment in unsupervised conditions, at a time and location of his or her choosing. A web link can only be used to self-register on the website once. This means that it is your responsibility to ensure that each web link is provided to one Participant only. If another Participant attempts to use a web link after it has already been used, he or she will not be able to access the Apollo website. 3. Invitations You should use this mode if you wish to nominate specific Participants and send them an automated invitation asking them to complete the assessment. This invitation will contain the Participant s unique username and a link to create a password if they haven t created one previously. If they have previously been invited to complete an assessment, they will be sent a link to the website so they can login and complete the assessment. The assessment is completed in unsupervised conditions at a convenient time and location. 10

11 4.2 New Project Details From this screen, you can specify any settings you require for the project. The specific settings available will vary depending on the assessment chosen and the mode of administration. Timescales The Timescales category of settings allows you to set specific timescales and deadlines relating to the project. The exact timescale options will depend on the administration mode of the project. For projects administered using invitations or assessment web links, you can indicate a close date and time for the project if required. After this date has passed, the project will be closed and any Participants who have not yet completed the assessment will be unable to access it. You are able to re-open a project once it is closed if you need to, by changing the close date to a new date in the future. In these modes of administration, you can also specify dates where an automated reminder will be sent to any Participants who have not yet completed the assessment on that date. Apollo allows you to set up to two reminder dates for your project. Figure 4.4 For supervised administration projects, you will be asked to specify a start date/time and a close date/ time between which the administration of the assessment will take place. It is recommended that you allow some contingency when setting the start and close dates/times, just in case there are any Internet connection issues which delay the actual administration of the assessment. After the close date/time has passed for a project, Participants will no longer be able to access the assessment and it will be displayed as Closed in the Participant s task list. Figure

12 Messages Figure 4.6 These settings are mainly relevant for projects where you are sending automated invitations to Participants from the Apollo website. For projects using the invitations administration mode, you can edit the default invitation, reminder and feedback text that will be sent to Participants by selecting the appropriate from the drop-down list provided. However, if you do choose to edit the we recommend that you retain all of the placeholders displayed in the default invitation and reminder. Placeholders indicate specific text that will be inserted depending on the individual Participant and/or the assessment he or she is being assigned to complete. A placeholder is enclosed in the text within the following symbols $>> and <<$. Click on the More information link for a list of placeholders that can be used. For project using supervised administration you will only be able to edit the Assessment Feedback . For projects using web links mode you will be able to edit the Participant Self-Registration and the Assessment Feedback . Administrators Figure

13 You can assign other Administrators to your project if you wish to. This means that they will also be shown updates about the project on the Home Page and, if the New Score Notification option is set, then they will also receive an notifying them when a new Participant has completed the assessment. 4.3 Other Assessment Specific Project Settings Depending on the assessment you are using there will be different options in the New Project Settings for you to select from. These are described below New Project Settings VirtualAC For VirtualAC assessments, you will be given the option to change the standard time limit for the assessment. Please note that this will change the time for all Participants in the project. If you just need to amend the timing of the assessment for one of your Participants only, you can do this in the Project Participants page once you have launched the project. Figure 4.8 You will be given the option to show the Participant Report Form at the end of the exercise. Untick this box if you do not want the participant to complete this. Figure 4.9 You will also be asked to select whether you would like to enable Competency Comments, Key Strengths and Development Areas, Overall Activity Comments and Overall Activity Rating. For the Competency Comments you can choose to automatically generate comments. If you would like to enable a character limit of how much an assessor can write, you can tick the Enable Character Limit box. 13

14 Figure 4.10 You will be able to choose the criteria you wish to assess within the exercise and import a rating scale, this image shows our default rating scale which you can edit or you can add your own rating scale by selecting Add New Scale Value. You can also select the marking options you would like to choose, you can apply settings to control who marks Participant exercises, whether overall ratings and/or comments must be supplied by Assessors. 14

16 4.3.3 New Project Settings 360 Propel Figure 4.13 For 360 Propel projects you are given more options for your timescales. Here you should select when you would like the project to be launched and when Participants and Raters should be sent reminder s. Reminders can be set either on a specific date or by selecting a number of days after they receive their invitation or the number of days before the project closes. You can also choose to send the Participant a Rater Progress Status Report, which informs them which of their Raters have completed the 360 questionnaire New Project Settings LIVED 360 For LIVED 360 projects, you will see the same timescales as shown above when describing 360 Propel. However, you get to choose which Rater Groups and Open Text Questions you would like to include within your questionnaire. To choose a Rater Group, you would need to select the one(s) you would like and then click the > to transfer them into the Rater Groups Used in Project box. You can also add a new Rater Group with a different name as well. 16

17 Figure 4.14 You can also add any Free Open Text Questions if you would like them to be included at the end of your questionnaire. You would need to tick the box to include the Open Text Question and then write the question in the box below it. Figure

18 4.3.5 New Project Settings Smart Aptitude Series For the Smart Aptitude Series tests you can choose if you would need to apply extra time to a project. Please note that if you add extra time, it will be applied to all the participants within that project. You will also need to choose the Norm Group. Figure Step 3 New Project Participants The screen displayed at this stage will depend on the administration mode you are using for the project. Assessment Web Links If you are using the assessment web links administration mode, you will be asked to enter how many Participants you wish to generate web links for. Figure 4.17 Once you have entered the number of Participants required, click on Launch Project and you will be informed about how many credits the project will cost. Once you have confirmed the project launch, you will be able to download the assessment web links in a TXT file. The TXT file will contain each web link and the date it was created. A web link can only be used by one Participant 18

19 to register his or her details. It is your responsibility to track which Participant you distribute each web link to. If another Participant tries to access a web link that has already been used then it will not work. Invitations or Supervised Administration If you are using the invitations or supervised administration mode, you will be given several options to assign Participants to your project. Figure 4.18 Back: This will take you back to the previous Project Settings screen. Cancel: This will cancel the project without launching. If you cancel the project, you will lose any settings you have entered so far. Remove Participant: This will remove any selected Participants from the current list. Add Existing Participants: Use this option to add Participants who have already been created in your account for previous projects. Existing Participants will be able to use the login details that have already been issued to them. Add New Participant: Use this option to create new Participants and assign them to your project. If you add a Participant who has the same details as an existing Participant in your account, you will be alerted to this. Upload Multiple Participants: Use this option to add a batch of new Participants from a CSV (Comma Separated Values) file. This is a simple text file that contains units of information separated by commas. Apollo can read these files if the information is set up in the correct order, to make the input of multiple new Participants easy. If you wish to upload multiple participants, you will need to create the CSV file containing the Participants First Name, Last Name and Address. These files can be easily created using Microsoft Excel. 19

20 Figure 4.19 To produce this file, open a new Excel document then for each Participant enter the First name in the first column titled A, enter the Last Name into column B and finally the address should be entered in Column C. Repeat this for all Participants using a separate row each time. The Participants should be listed on continuous rows with no blank rows in-between. When you wish to save the file you will need to go to the File menu and click Save As. Once you have done this select CSV (Comma delimited) as the file format in the drop down list titled Save as type. This will save the file in the correct format. You can then upload this file and assign the group of participants to the project. If there are any Participants in the upload file who are duplicates of existing Participants in your account, you will be alerted to this. For certain projects, in the Project Participants section, you may also have the option to Change Assessment Duration under the Action dropdown list, eg for VirtualAC projects. Select the Participant(s) whom you want to edit the time limit for and then click on this button. You will then be able to amend the time limit for the specific Participant(s). Once you have added all of the Participants you wish to assign to the project, click on Launch Project to save the new project. You will be informed about how many credits the project will cost and be asked for confirmation. For projects using invitation mode, the system will then send Participants an invitation automatically asking them to complete the selected assessment. 20

21 5. Viewing Projects You can monitor the progress of a project once it has been set up by selecting the View Projects option from the Projects menu. You can use the search options provided to decide which projects you wish to view. Figure 5.1 Enter any search criteria you require and click on Apply. The table below will then refresh and display the projects that meet your criteria. Each row in the table shows the current status of a different project. The column headings of the table are shown below. Figure 5.2 The Status column indicates the current status of the project as follows: Open: This indicates that the project is currently active and open for Participants to complete the nominated assessment. Closed: This indicates that the project has passed its close date. Any Participants who have not already completed the nominated assessment will no longer be able to do so. You can re-open a closed project if necessary by adjusting the close date setting on the project. Archived: This indicates that the project has been permanently closed and archived. An archived project cannot be re-opened and no further Participants can be assigned to it. Not Launched: This indicates that the project was created but Launch Project was not selected during the setup. This means that no participants will have been invited and the project is not live. You are unable to launch a project from this state, so you would instead have to create a new project. 21

22 The columns Not Started, Started, Completed allow you to view the progress of any projects listed quickly. These columns show the number of Participants at each stage of the assessment process: Not Started: The Participant has not yet started the assigned assessment. Started: The Participant is in the process of completing the assessment. Completed: The Participant has finished the assessment and his or her responses have been submitted. Feedback Sent: This shows how many Participants have been supplied assessment feedback reports. Credit Check: When a Participant has not completed an assessment within 3 months, an exclamation mark will appear in this column. Removing these Participants from the project will refund the original credit cost of adding them to your account. As with most data columns in the system you can also sort these columns by clicking on the column title. Click once for ascending order and twice for descending. The sorting order depends on the type of data contained in the column: it may be arranged in date order or alphabetical order for example. 22

23 6. Managing Your Projects To access a specific project, select the View icon for that project in the list. You will then be shown the Individual Project screen with three tabs. These tabs allow you to view different information about the project you have selected. Figure Project Participants Tab This is the default screen that will be displayed when you view a project. It displays all of the Participants who have been invited to the project. You can use the search options if you wish to view specific Participants who are assigned to the project. Enter the search criteria you require and then click on Apply Filter. The table of Participants will then be updated. Each row in the table shows the current status of a different Participant. The column headings of the table are shown below but will vary depending on the assessment. Figure 6.2 The Status column indicates the current progress of each Participant (eg Not Started, Started, Completed). If the Participant has completed the assessment, then a score may be shown depending on the assessment type. You can also view any reports available for a completed Participant. A number of options are provided on this screen relating to project Participants, which can be accessed from the Actions list of options. You can invite new participants / generate new assessment web links using the same options as were provided when setting up the project. The exact options provided for this will depend on the administration mode of the project. If necessary, you can remove Participants from the project. Select the checkbox next to the Participant or Participants names and then click on the Remove Participants in the Actions list. If you remove a Participant who has already completed the assessment, then his or her results will be deleted. If you remove a Participant who has not yet completed the assessment, the credits for that assessment will be refunded to your account. For certain projects, it will be possible to give Participants access to a feedback report if they have completed the assessment. Select the checkbox next to the Participant or Participants you wish to do this for and then click on the Provide Feedback options in the Actions list. The selected Participants will then be sent an notifying them that their feedback can be viewed by logging back into the Participant site. You can download the details for all of the Participants assigned to the project using the Download Project Data option in the Actions list. This will generate a CSV file containing all of the project information held on each Participant (biographical information and assessment scores, where relevant) that can be viewed easily in Microsoft Excel. 23

24 If the project is using the supervised administration mode, then the username for each Participant will be shown in the table. The generic password that all Participants can use will be listed above the table. 6.2 Project Details Tab This screen displays the summary details about the project for information, including the name and description of the project, when it was created, administration mode, project status and the number of Participants at each stage in the project. If you are conducting a supervised administration project, the Supervised Administration Code (password) for the Participants is provided on this screen. 6.3 Project Settings Tab This screen allows you to edit the settings for the project. The options are the same as those provided when creating a project. Make any changes required and click Save to confirm them. From this screen, you can also choose to archive the project. If you archive a project, the project will be closed permanently and the status will change to Archived. You will not be able to re-open an archived project. Any Participants who have not yet completed the assessment will be unable to access it. The credits assigned to any uncompleted Participants will be refunded to your account. 24

25 7. Participants 7.1 Searching for Participants in your Account If required, you can search all of the Participants who have been created in your account across all projects. You can use this to see at a glance all of the projects and assessments that a Participant has assigned to him or her and view these results. Select the View Participants option from the Participants menu to search for Participants. From this screen, you can choose the criteria you wish to search on. Figure 7.1 The table will have the following columns displayed. Figure Viewing Participant Details If you wish to view all of the information about a specific Participant, select the View icon in the table. 25

26 Figure 7.3 This will display the following information about the Participant: Participant Details: This shows the Participant s name and address, which you can edit if required. The Participant s login Username is displayed, and you can resend their login details to them from here. Biographical Information: The Participant s responses to the Biographical Questionnaire. Participants are asked to complete this questionnaire the first time they are asked to complete an assessment. Associated Assessments: This section lists all of the assessments that the Participant has been asked to complete, and their status. If the Participant has completed any of these assessments, you can view the reports for these assessments by clicking on the Reports icon. 26

27 8. Administrators 8.1 Viewing Administrators To view all of the Administrators who are assigned to your account, select the Manage Administrators option from the Administrators menu. This will display the Administrators names, addresses and access level. Figure 8.1 To view the details for a specific Administrator, select the appropriate View icon in the table. 27

28 Figure 8.2 If the user you have chosen to view is a Project Co-ordinator or an Assessor, you can edit his or her details if required. You are not permitted to edit the details of another Registered User. 8.2 Adding Administrators As a Registered User, you are able to create other users in your account who have restricted access to some elements of the website. Project Co-ordinators can set up and manage projects, but they are not qualified to interpret the results of the assessments in Apollo. Project Co-ordinators will not be able to see the results of the assessment when they view a project. If your account has VirtualAC enabled, you will also be able to create Assessors. Assessors are able to view and mark VirtualAC exercises (but not other assessments). They will only be able to see participants they have been assigned to mark. To create a Project Co-ordinator or Assessor, select the Create Administrator option from the Administrators menu. 28

29 Figure 8.3 Enter the First Name, Last Name and Address of the Administrator, choose the required Administrator level and click Save. If you are selecting the Administrator to be an Assessor and you wish for them to mark VirtualAC exercises, you will need to tick the box VirtualAC Assessor. The Administrator will be sent an automatically with his or her login details. You are not permitted to create other Registered Users in your account. Registered Users can only be set up by PSI Talent Measurement, as they must be certified by PSI Talent Measurement as meeting the qualification requirements to use and interpret results for a specific assessment product. 30 Account 8.3 Viewing your Account Details To view the information held about your account, select the Account Details option from the Account menu. Figure 9.1 You will be shown details of the number of credits available, the nominated contact person for your account and the PSI Talent Measurement support information. 30

31 8.4 Templates Figure 9.2 The Templates option is also located in the Account menu drop down list. You can edit certain standard system s on this page including: Assessment Invitation, Assessment Reminder, Participant Self-Registration and Assessment Feedback. To edit a message, first select it from the Type dropdown list. Then make any required changes to the subject and body of the message. When you have completed the amendments click Save. You will then receive a warning notice advising you that you are about to change this template. You need to confirm you wish to make these changes by clicking OK or click Cancel to return without saving. The Reset button will remove any unsaved changes and reset the template back to the currently saved state. Please note: Any changes in these templates will affect all future s sent out from the system across all administrators assigned to your account. Any projects already launched will not be affected. 31

32 8.5 MI Reports Figure 9.3 The MI Reports option within the Account drop down list can be used to generate summary reports of your account usage, in terms of the number of projects, credits and assessments completed. Select the range of dates you wish to generate a report for and click Submit, this will then display a Download CSV button which you can use to download a file. The file contains the following information: Total Projects This is the total amount of projects setup in the system. It will also give a breakdown of the number of projects launched for each assessment type. Tests Completed The amount of individual Participant tests that have been completed both overall and in each project type. Total Credits Spent The amount of credits used by your account. This is again displayed for the whole system and also for each project type. 8.6 Ordering Credits If you wish to order credits please contact the Client Services Team at PSI Talent Measurement at clientservicestm@psionline.com 32

33 9. User Settings 9.1 Changing your Password If you wish to, you can use the My Settings menu to change your login password. To do this, select the Change Password option. Figure 10.1 You must enter your current password and then enter your new password twice to confirm. Once confirmed, you must use this new password if you want to log back in to the Apollo website. 33

34 10. Technical Support 10.1 Security The security of your personal information is of great importance to us. PSI Talent Measurement has industry standard security measures designed to protect against the loss, misuse and/or alteration of the information under its control. These include, but are not limited to: SSL (Secure Socket Layer) website encryption. Servers are located in a highly secure data compound. Advanced firewall protection to prevent others from accessing confidential data or accessing PSI Talent Measurement internal networks that store confidential data. Participant access controlled by a secure password and on an invite only basis. All of our employees who have access to and are involved in the processing of personal data are required to respect the confidentiality of our visitors and Clients data Help and Support If you experience any technical difficulties while using the Apollo Administration website, firstly ensure that your browser meets the requirements stated in the Accessing the Apollo Website section. In the unlikely event that you are using a compatible browser but still experience technical difficulties, you should contact the PSI Talent Measurement Client Services Team using the details below. 35 11. Glossary This section provides an explanation of key terms used in this Guide. Key Term Account Explanation This is the client group you belong to. Within an account, there may be several Administrators, each of whom can set up assessment projects. Administration Mode This indicates how the assessment will be administered to the Participants in the project. The administration mode you choose will depend on the practical requirements of your project. Administrator Assessment Assessor Template Project Participant Project Co-ordinator Registered User An Administrator is a client user who sets up and manages assessments. There are different levels of Administrator and each level of Administrator has different permissions on the Apollo website relating to the features they can access. This is a test, exercise or questionnaire that users can invite individuals to complete. An account may have one or multiple assessments available to use. An Assessor is level of Administrator who is only permitted to mark VirtualAC exercises and is not qualified to interpret the results from any other assessments. Assessors can co-ordinate projects but cannot view Participants results except for VirtualAC. This is the message text that will be sent to Participants when they are assigned to a project. Default text is provided for all templates but this can be edited if required. Apollo is based on the principle of assessment projects. A project consists of a group of Participants being asked to complete a nominated assessment. For example, this could be a recruitment campaign or a development process. A Participant is an individual who has been nominated to complete one or more assessments in the system. A Project Co-ordinator is a level of Administrator who is not qualified to interpret the results from the assessments available in your account. Project Co-ordinators can set up and manage projects, but they cannot view Participants results. A Registered User is a level of Administrator who is qualified to interpret the results from one or more assessments available in your account. Registered Users can co-ordinate projects and view the results of the assessments they are qualified to use. 35
