1 QUICK GUIDE Introducing Oasys
2 Introduction to Oasys This quick guide is designed to give an overview of Oasys platform administration. It has been structured around the tabs used to navigate around the Oasys platform. Topic Page My Tasks 3 Organisation 4 Projects 5 My Details 6 My Reports 7 Users 8 2
3 My Tasks The My Tasks page is the first page a user sees when they log in to the Oasys platform. It is used to manage any assessments the user has been set up to complete, supervised projects and new candidate reports. A number of views can be selected by picking from the drop-down menu and clicking Switch View, the most important being Unread Reports and Supervised Projects. Current Tasks Any outstanding assessments the user has to complete are found here. This applies to candidates and to administrators who also hold a candidate role. Completed Tasks As the name suggests, this is a list of tasks which the user has already completed. Supervised Projects The projects using supervised assessments which have been created by the current user. For more details, see quick guide Creating a Project with Supervised Aptitude Tests. Unread Reports All new reports generated by the administrator can be found here. Once the administrator views or downloads the report it will disappear from this list, but is permanently stored on the My Reports tab. My Projects This lists all the projects created by the current user. This is especially useful for System Administrators as it filters out projects created by other users. 3
4 Organisation As well as editing the organisation s details the Organisation tab allows the user to edit the From Display Name and the master templates. Please note: the Organisation tab can only be accessed by System Administrators. From Display Name This determines the name which appears in the From field of any s sent from the Oasys platform. By default, your organisation s name is entered here, so that candidates can recognise the sender and do not delete their invitation or login s. Reply to This determines where the goes to when a candidate replies to an invitation. As almost all such replies are technical support queries, we ask you not to change this address. These queries will be dealt with on your behalf by our technical support team. Any messages requiring your attention will be forwarded to you; for example, we do not reset aptitude tests without the permission of the administrator who has created the assessment. Manage Templates This link allows the user to review the master templates for the platform. More information can be found in quick guide Editing Platform Master Templates. 4
5 Projects As the name suggests, the Projects tab is where an administrator manages their projects. This is where he or she will come to create new projects and to manage existing projects. The projects are listed alphabetically by title. The search function will look for matches in both the Project Name and Description fields. The Results per page functionality allows the user to toggle the display to show 5, 10 or 20 projects on each page, while the arrow icons at the foot of the page allow the user to move back or forward between pages. From this tab, an administrator can: Create new projects Manage existing projects Add candidates to existing projects Edit project specific templates Re-configure automatic reporting Manually generate reports Send reminder s Reset candidate assessments Check candidate completion status. 6 My Details The My Details tab allows the user to review their personal details and biometric data and to change their username and password. Editing Login Details Open the My Details tab and click the Edit Login Details link on the left hand side of the screen Enter new username and password Click the Save button 6
7 My Reports The My Reports tab is used to find and download reports generated by the administrator. All reports generated by the current user, either manually or automatically on projects created by that user, are permanently stored on the My Reports tab. The reports are presented in chronological order, with the most recent appearing at the top of the list. In common with the Projects list, the user can browse page by page using the arrows at the foot of the screen and the search function will find matches in all the fields. Therefore, if the user searches for a candidate name, all reports for that candidate will be found. Alternatively, a search for a particular project name will return all reports generated within that project. An extra feature of the report list is the ability to filter any of the fields alphabetically or A 0 numerically. The Z or 9 icons at the head of each column sort the list in ascending order, the Z or 9 icons in descending order. A 0 To download a copy of a report, click the PDF icon If your Oasys platform has several languages loaded, a report may be available in more than one language. To access the report in an alternative language, select from the drop-down menu in the Language column and download using the PDF icon as normal. Downloading a Report Open the My Reports tab and find the report using the search or filter functions Select the required language from the drop-down menu Click the PDF icon 7
8 Users As the name suggests, the Users tab allows the administrator to manage platform users. This could be the creation of other administrator users, or candidate management. Creating a New Administrator Any user with administrator access can create new administrators up to their own level of access; i.e., Project Administrators can create new Project Administrators, System Administrators can create new Project Administrators or System administrators. All new users are created with candidate access by default. Administrator access is then manually assigned to the user. Open the Users tab Click Create New User in the list of options on the left hand side of the screen Enter the user details and click Create Find the new user in the user list Pick the icon on the right hand side to view the user details Click the Edit button and scroll down to the User Roles section Tick the box next to the required administrator role Click Save 8
9 Assigning Administrator Roles All new users are created are assigned the Candidate user role by default. This means they have no access to the platform beyond their own assignments and personal details. Please refer to Introduction to Oasys guide to find out how to create a new user. Assigning Administrator Access Administrators can assign rights up to the same level as their own role. This is done as follows: Log in to the platform and open the Users page Find the relevant user and click the magnifying glass icon to view their details Click the Edit button and scroll down to the Administrator Roles section Tick the box next to the appropriate role and click on the Save button If an administrator is required to complete assessments, then they can hold both candidate and administrator roles. Hierarchy of Administrators. There are two administrator levels: Project Administrator and System Administrator. Both can create projects and candidates, and can generate reports. However, there are some key differences. Project Administrator: Can only view projects, candidates and reports they themselves have created Has no access to the Organisation page System Administrator Can view projects and candidates created by other administrators 9 Can only view reports generated by themselves Can access Organisation page
10 Candidate Management The Users page also allows the administrator to find out which projects a candidate has been assigned to, check a candidate s completion status or to send a password reminder to a user. Open the Users tab and find the relevant candidate Pick the icon on the right hand side to view the user details The candidate s Assigned Assessments are listed at the bottom of the screen Pick the icon on the right hand side to open the Participant Details page (used for Performance 360 and Job Profiler assessments and sending reminder s; see quick guide Sending Reminder s ) Click the workflow icon to view instrument completion status (instruments can be reset on this page; for more information, see quick guide Resetting Aptitude Assessments ) Resetting Candidate Passwords For security, on first log in every user is required to create a personal password known only to themselves. If the user forgets their password, they can request a new one by clicking Request a New Password Here on the login page and entering their username and address. Alternatively, an administrator can reset the password for them. Open the Users tab and find the relevant user Click the send icon on the right side of the screen, next to the view user details icon Review the text (please do not change the runtime fields i.e., $$$Password$$$ - these will be automatically populated by the system) and click Send 10
