1 AiM Navigation icons Budget Manager Date Manager Budget Revision screen is the main source of information on a project. is the central hub to which all other transactions will be associated. How to enter a : 1) Click on Capital Planning and Project Management from the menu channel. 1 P age

2 2) From the Capital Planning and Project Management menu channel, click on link. 3) Click on the New Icon. 2 P age

3 4) Complete the form as described below: Add information A B C D E a. Change field according to the project number which has be assigned. ie. State 5-digit project number; add 3-digit task number Maintenance Reserve State 5-digit project number/ task number Non-capital BCOM number or University Internal Project number Foundation Project Managers will assign AiM Project number b. Add detailed description of the project 3 P age

4 c. Type (must be selected before Status) Click the Zoom icon The Type table will populate. Select which Project type; Capital, Maintenance Reserve, Non-Capital or VCU Foundations Status will populate to Draft. Note: When Type is selected the Project Component Group will populate The Project Component group is a reporting element that represents a roll up of all the project component information associated with a specific project. d. Click the Zoom icon. The Institution search is displayed. Click the Search icon to select the appropriate Institution. Select the appropriate Department, the Organization will automatically populate based on the selection. ie. Finance Administration as Owner; Institution D Department 1880 Organization Owners: University Department or VCU Foundation Projects (select the appropriate organization number). e. Click the Zoom icon The Institution search is displayed. Click the Search icon to select the appropriate Institution (the Institution will always be D). Select the appropriate Department, the Organization will automatically populate based on the selection. If you know the Organization s number, you can key into the field. FM Planning and Design: Institution = D, Department = 1884, Organization =169 FM Construction: Institution = D, Department = 1886, Organization =165 Click the Zoom icon The Employee table will populate. Scroll through the table until you have located the Project Manager s user name; click on the user s name. 5) Click Save icon (at least items a-c must be completed prior to saving). 4 P age

5 How to enter the project budget: 1) From the click the Budget Manager icon to enter the project budget information 2) Click the Edit icon to activate the fields to begin entering the project budget for each chosen project component. 3) Enter the budget amounts for the applicable components. 4) Click Save icon 5) Click the Flag icon to return to the main screen 5 P age

6 How to enter the Project Team: 1) Navigate to the 2) Click the Edit icon 3) Click View: Select, choose Project Team 4) Select the Employee code for each Responsibility known Note: PLAN PROJ MANAGER should be filled out at project creation 6) Load Other Contacts as needed a. Click Load Responsibility on the Other Contacts header b. Select desired Responsibility codes c. Click the Flag icon d. Enter the contact information for each entry 5) Click the Flag icon to return to the screen 6) Click Save 6 P age

7 Change Status to Pending Funding: After all project information has been entered, PM must change the status to Pending Funding for Financial Services to load the Account Setup information and activate the project. 1) Navigate to the 2) Click the Edit icon 3) Click the Zoom icon, select Pending Funding from the status table. 4) Click Save icon 7 P age
