This information can be used to generate reports for our funding partners. The main areas of functionality currently available on the system include:- - Storing profile information - Provides a centralized place for storing profile information on lero s researchers. - Store Grant Information - Store Lero s Work Programme Information - Store Lero s academic outputs and activities: - You can add and share academic outputs and activities with your work programme team people including publications, presentations, conferences/workshops hosted, or scientific awards. In future the system will be expanded to The ability to add Academic Collaborations, Industry Engagements and commercialisations. Posting activities to Lero website and social media: - For each academic output or activity that you enter you have the opportunity to post a story about it. For example you may enter a published journal article and may wish to share this on Lero s website, social media (twitter, Facebook), newsletters, foyer screen (Lero@UL) or Monday morning . The existing functionality currently available in Lero webforms is now integrated into Linx. If you have any queries or issues in relation to accessing the system please contact itlhelpdesk@lero.ie or questions on using the system please contact dara.oconnor@lero.ie 2 Accessing the system The Linx system can be accessed at The username and password are the same as those used to currently access the Vidyo video conferencing system. If you are unable to login you can request a login to Linx by ing ithelpdesk@lero.ie. To change your password at any time go to Lero The Irish Software Engineering Research Centre Page 3

5 4 Home page Once logged in you will be presented with your home page. 4.1 Menus The homepage has a navigation menu on the left that shows the main options available to you. There are two menus shown. 1. Main Menu which displays the main options. Click on the main menu options to view the submenus. 2. Actions Menu This will give you the options available to you depending on what area of the Linx you are working on. E.g. if you are viewing an output the options available at that list will be list outputs and edit output. The navigation menu can be minimised to give you more workspace by clicking on the left arrows (chevrons) to minimise or right arrows to maximise. 6 4.2 Main Window In the main window you will be presented 5 tabs that shows different views of your work programme, grants and research outputs. 1. My Work programmes A list of your work programmes that you are associated (this is the initial view) 2. My Outputs A view of recent outputs and activities which you are associated with. 3. Work programme Outputs A view of outputs and activities for all work programme (WP) that you are associated with either that you lead or are a members of. 4. Other Lero outputs A view of all Lero outputs/activities entered for the centre. 5. My Grants A list of grants you are a principle investigator, funded investigator or CO- Investigator on. Click on each tab to view the relevant information there. Note: - These tabs only show you the latest 20 relevant items. To view all items, click on the View All button at the end of each tab list. 4.3 View/Edit/Delete actions buttons When you view any list of items in Linx each item will have set of buttons listed on the right hand side of it. These are the View/Edit/Delete Click on this button to view a Linx item. Click on this button to edit a link item. Click on this button to delete a item. 7 5 Adding/Editing profile information To edit your own profile, click on the Edit Profile link at the top of the left hand menu. 5.1 Add a new person. If you have a new WP team member or a visitor joining Lero that is involved in lero-related research work, carry out the following steps to add them to Linx:- 1. Check to make sure that the individual does not already exist on Linx by viewing the existing person list (click on Lero people menu option) and in the search box provided under quick reports enter the last name of the person and click on Submit to view the filtered list. Note:- you can also filter by start and end date, location, Lero role, nationality or gender. 2. If the person is already there and you need to change their profile information go to section 5.2 below in this guide. Otherwise continue on to step If the person is not listed in step 1 then click on the select New Person from the actions menu and will be presented with the following screen. 8 Fill out the form fields adhering to the following guidelines:- Title First Name Last Name Gender Nationality Location(s) Select from the list of Mr, Dr, Ms etc. Enter the persons first name Enter the persons last name Enter the persons address (Please note this is a required field). Note: - If unknown enter your own address as a contact person and edit this record again once the address is known. Select from the list of Genders Select one from the list of nationalities Lero people can be associated with one or more locations. Select a Lero institution from the drop down list and click on the Add button underneath. You can add multiple locations (for example if a lero person moved from one location to another). For each location selected/added you can enter an effective date and an end date Lero The Irish Software Engineering Research Centre Page 8
9 To add an additional locations select another location from the dropdown list and enter the effective and end dates for it. Lero Role A lero person can have one or more roles within the centre. For example if a person goes from being a phd student to a postdoctoral researcher. This needs to be captured in Linx. Select a Lero role from the drop down list and click on the Add button underneath. You can add multiple roles. For each role selected/added you can enter an effective date and an end date. New Picture Start Date End Date Supervisor(s) MSc. Date PHD. Date Grant(s) To add a profile picture for the person click on the browse button to select a JPEG image. Note :- image will be uploaded when you submit the form. This is the start date of the person s contract. Click in field to bring up calendar widget. This is the end date of the person s contract. Click in field to bring up calendar widget. Select a list of Lero supervisors in order. Primary, secondary etc. where applicable. Note: - If you have a name of an existing supervisor, enter the first name into the field and bring up a list to select from and choose Add Supervisor. For additional supervisors enter an additional name into the field. The list of selected supervisors will appear below the supervisor field (#1,#2) This is the date the person s Msc was awarded (if applicable) This is the date the person s PhD was awarded (if applicable) A lero person can be associated with one or more grants (funding sources). 10 To make it easier to find the grant you are looking for a grant filter is provided. This allows you to find the grant you are looking for by Granting body and/or grant type. Select a Grant from the drop down list and click on the Add button underneath. You can add multiple grants. For each grant selected/added you can enter an effective date and an end date. Work Programme(s) A lero person can be associated with one or more work programmes (projects). Select a work programme from the drop down list and click on the Add button underneath. You can add multiple work programmes. For each work programme selected/added you can enter an effective date and an end date. Previous Institute Select from the list of Institutes. Note: - If this person s previous institute is not available in the list then choose the add institute link to create an institute. Table 2 Completion guidelines for a People profile 5.2 Edit existing person profile To edit the profile information for an existing person:- 1. Click on the Lero people menu option to view a list the existing list of people. 2. In the search box provided enter the last name of the person to find their profile. 3. Click on the view icon beside their name. 4. Click on the Edit Person link from the Actions Menu to view the edit screen for the person. Once the updates are made click on the submit button at the bottom of the page to save the record. 6 Adding Grants and Work Programmes 6.1 Adding a Grant If you have a new grant that you wish to add to Linx click on the Administrative functions menu and then select the Grants option. This will present a list of existing grants. Note:- To avoid duplication please ensure to check the existing grant list before adding a new grant. To add a grant go under the Actions menu, click on New Grant and you will be presented with the following screen. Click on the new grant option form the actions menu and you will be presented with the following add grant screen. Lero The Irish Software Engineering Research Centre Page 11
12 Fill out the form fields adhering to the following guidelines:- Grant Title Code Granting body Grant Type Start Date End Date PI Co-PI(s) This is the title of the Grant The code associated with the grant The granting body associated with the grant The grant type This is the start date of the grant. Click in field to bring up calendar widget. This is the end date of the grant. Click in field to bring up calendar widget. This is a drop down list. Select the Principal Investigator for the grant from the list of Lero people. Here you can add 1 or more Co-PI s to the grant. 1. If the CO-PI is a Lero person, type the first name of the person into the box provided and a list of suggestions will appear, Lero The Irish Software Engineering Research Centre Page 12
13 select the person and click Add Co-PI. 2. If the CO-PI is an external person, type the person s name of the person into the box provided and click Add Co-PI. Note: - CO-PI information will not be saved until the Add grant form is submitted. Funded Investigator(s) Here you can add 1 or more funded investigators to the grant. 1. If the FI is a Lero person, type the first name of the person into the box provided and a list of suggestions will appear, select the person and click Add Funded Investigator. 2. If the FI is an external person, type the person s name of the person into the box provided and click Add Funded Investigator. Note: - FI information will not be saved until the Add grant form is submitted. Location(s) Here you can add 1 or more locations to the grant. For example is the grant is associated with lero locations DCU and DKIT. To select one or more locations, click on a location in the left-hand location list and using the right-pointing arrow button, selected your desired locations. To remove location, click on the location you wish to remove from the right-hand side selection locations list and click on the left-pointing arrow button to remove the location. Work Programme Here you can add multiple work programmes to the grant. You can choose to add a new work programme or select one or more existing work programmes. 14 To add a new work programme enter the title and work programme leader and click add the WP will be added to the list of associated work programmes. To add an existing work programme to the grant click on the OR ADD EXISTING link to select from a list of existing work programmes. After you select the work programme from the list, click on add the WP will be added to the list of associated work programmes. Total Consortium value ( ) Direct Costs ( ) Indirect Costs ( ) Total Costs ( ) Complete only if part of a larger consortium. Include the total of direct and indirect cost for the entire work programme. Grant Amount Excluding overhead Overhead Amount Total of Direct and Indirect Costs Table 3 Completion guidelines for Grants 6.2 Adding a Work Programme If you have a new work programme that you wish to add to Linx click on the Administrative functions menu and then select the Work Programme option. This will present a list of existing work programmes. Note:- To avoid duplication please ensure to check the existing work programme list before adding a new work programme. 15 Fill out the form fields adhering to the following guidelines:- Work Programme Title This is the title of the Work Programme Work Programme This is a drop down list. Select the Work programme leader for the Leader work programme from the list of Lero people. Description This is a full description of the work programme. Grant(s) A lero work programme can be associated with one or more grants (funding sources). To make it easier to find the grant you are looking for a grant filter is provided. 16 To select one or more grants, click on a location in the left-hand grant list and using the right-pointing arrow button, selected your desired grant. To remove a grant, click on the grant you wish to remove from the right-hand side selected grants list and click on the left-pointing arrow button to remove the grant. You can also add a grant if one is not available in the list. Click on the add grant button to bring up the add grant window. Enter the details and click on the add grant button. A message will display saying you have added a new grant. Close the window and the grant will be available in the Grant list for selection. 17 7 Research Outputs and Activities 7.1 Viewing the existing list of outputs and activities To view a list of your outputs that have been logged against your name click on the View all of my outputs and activies button at the bottom of the list to bring up the outputs list. This will show you a list of all of your outputs. At the top right of the screen you can change the display to view the list in different ways Click Other Lero outputs to view all Lero outputs that have been logged on the system. Click on My outputs to view outputs that have been logged against your name. Click on My Work programme outputs to view outputs that have been logged against your work programmes (by you or your WP team people). Lero The Irish Software Engineering Research Centre Page 17
18 7.2 Adding new outputs and activities To add a new output view the list of outputs and click on New output from the actions menu or click the outputs and activities menu and choose Add output/activity. You will be presented with a screen prompting for selection of an output type. Choose one from the following list of options. Academic Output Description Types Publication These are publications produced by Lero people or produced by a non-lero person as a result of Lero funding. Presentation These are presentations made, both international and national, by Lero people or as a result of Lero funding e.g. keynotes, invited talks at a company, talks as a result of a research visit to another University. NOTE:- This is not to be used for reporting on presentations made at conferences or workshops Editorial or PC These are where Lero people are people or editorial boards or membership programme committees. Scientific Award Won These are scientific awards won by Lero people. They can include best paper awards at conferences. Media Contribution These are where Lero research and activities have been publicised on notable public media, including newspapers, TV, social media, and popular websites (i.e. silicon republic) based on work by Lero people or a result of Lero funding. Event hosted by Lero These are events organized and hosted by Lero people/partner institutions. They include international and national conferences, conference workshops, invited speakers or industry workshop hosted. Table 5 - Description of Academic output types 7.3 Adding a Publication To enter a publication select Publication from the output type drop-down list and select from the following list of output sub types:- Journal Article Conference Paper Workshop paper Book Book Chapter Open source publication Technical paper Conference proceedings Depending on your selection you will be presented with a screen requesting the relevant information. 19 Fill out the form fields adhering to the following guidelines:- Publication Status Publication Date This is the status at which the publication is currently at. There are two options, In Press or Published. If a publication has a status of Published then you are required to select a publication date for it. Important Note :- If only a publication year/month is available then select a date that is the first day of the month of publication e.g. if a journal article is published in the May 2013 then the date selected should be Title Citation Bibtex file upload This is the full title of the publication If the publication is a journal article, conference paper, workshop paper, book or book chapter then you will be asked for a citation for it. If this is available then paste a citation into this field. If the publication is a journal article, conference paper, workshop paper, book or book chapter and you prefer to upload the citation this way please upload a bibtex file. This is an optional field so if you have already completed the citation tab you can ignore this. Lero The Irish Software Engineering Research Centre Page 19
20 File upload Acknowledgement Lero Author(s) If you have a PDF or word version of the publication, Click browse to upload it here. This is necessary for the institutional repositories. There is one of two choices for acknowledgement to be made here. Select SFI if the publication is acknowledgement has been given to the Science Foundation of Ireland on the publication. Select Other and type 1 or more acknowledgements (separated by a commas) Here you can add 1 or more Lero authors for the publication. To select one or more authors, click on an author in the left-hand Lero authors list and using the right-pointing arrow button, selected your desired authors. To remove a selected author, click on the author you wish to remove from the right-hand side selected authors list and click on the leftpointing arrow button to remove the author. Grants Here you can add 1 or more grants to the publication. To select one or more authors, click on a grant in the left-hand grants list and using the right-pointing arrow button, selected your desired grants. To remove a selected grant, click on the grant you wish to remove from the right-hand side selected grants list and click on the left-pointing arrow button to remove the grant. Work Programme Here you can add 1 or more work programmes to the publication. To select one or more work programmes, click on a WP in the left-hand work programmes list and using the right-pointing arrow button, selected your desired work programmes. To remove a selected work programme, click on the WP you wish to remove from the right-hand side selected Work programmes list and click on the left-pointing arrow button to remove the work programme. 21 Conference/Workshop Publications If a publication type of conference paper or workshop paper or conferencing proceedings selected from the publication type list then you will be prompted for additional information:- Conference name :- here you enter the name of the conference including the year, e.g. ICSE 2013 Conference/workshop location:- here you enter the location of the conference event, e.g. Tokyo, Japan If this is already included in the citation there is no need to do this as they are optional field. Presented by Lero person: - Select this checkbox if the presentation was made by a Lero person. The SFI census requires this information. 22 7.4 Adding a Presentation Select an academic output type of Presentation and then select an output subtype of either :- a. National presentation delivered by Lero (or) b. International presentation delivered by Lero Note:- for invited speakers use the academic output type of Event hosted by Lero. You will be presented with the following screen:- Fill out the form fields adhering to the following guidelines:- Presentation Date This is the date on which the presentation was made or will be made in the future. Presentation This is the full title of the presentation. Title Event Name The event at which the presentation took place (workshop, conference) if applicable. 23 File Upload Lero Presenter(s) If a softcopy of the presentation (if available) click on the browse button to select and upload the associated file. Here you can add 1 or more Lero presenters for the presentation. To select one or more presenters, click on the Lero person(s) in the left-hand lero presenters list and using the right-pointing arrow button, selected your desired presenters. They will appear in the selected presenters list. To remove a selected lero person, click on the person you wish to remove from the right-hand side selected presenters list and click on the left-pointing arrow button to remove the presenters. Grants Here you can add 1 or more grants to the presentation. To select one or more authors, click on a grant in the left-hand grants list and using the right-pointing arrow button, selected your desired grants. To remove a selected grant, click on the grant you wish to remove from the right-hand side selected grants list and click on the left-pointing arrow button to remove the grant. Work Programme Here you can add 1 or more work programmes to the presentation. To select one or more work programmes, click on a WP in the left-hand work programmes list and using the right-pointing arrow button, selected your desired work programmes. To remove a selected work programme, click on the WP you wish to remove from the right-hand side selected Work programmes list and click on the leftpointing arrow button to remove the work programme. 24 Table 7 - Completion guidelines for Presentations Once finished, click on the SUBMIT button to add the presentation. 7.5 Adding an Editorial or PC Membership Select an academic output type of Editorial or PC membership and select an output subtype of either a. Editorial Board Membership b. Programme committee Membership Fill out the form fields adhering to the following guidelines:- Membership Start and End dates Conference Name These are the dates for when the membership starts and ends. If you select programme committee membership please enter the conference that this membership is associated with. Journal Name If you select Editorial board membership please enter the journal that this membership is associated with. Associated Here you can add 1 or more Lero people for the membership. 25 Lero staff To select one or more people, click on the person in the left-hand associated lero staff list and using the right-pointing arrow button, selected your desired people. They will appear in the selected lero staff list. To remove a selected Lero person, click on the person you wish to remove from the right-hand side selected presenters list and click on the left-pointing arrow button to remove the person. Grants Here you can add 1 or more grants that are associated with the membership. To select one or more authors, click on a grant in the left-hand grants list and using the right-pointing arrow button, selected your desired grants. To remove a selected grant, click on the grant you wish to remove from the righthand side selected grants list and click on the left-pointing arrow button to remove the grant. Work Programme Here you can add 1 or more work programmes associated with the membership. To select one or more work programmes, click on a WP in the left-hand work programmes list and using the right-pointing arrow button, selected your desired work programmes. To remove a selected work programme, click on the WP you wish to remove from the right-hand side selected Work programmes list and click on the leftpointing arrow button to remove the work programme. 26 Once finished, click on the SUBMIT button to add the membership details. 7.6 Adding an Scientific Award Won Select an academic output type of Scientific Award Won to enter details of scientific awards won by Lero people. Fill out the form fields adhering to the following guidelines:- Date Award This is the date on which the award was won (date of award). Name of award Awarding body Awardees This is the title of the award This is the main Lero institution that achieved the award. Here you can add 1 or more Lero people to the award. To select one or more people, click on the person in the left-hand associated lero awardees and using the right-pointing arrow button, selected your desired awardees. They will appear in the selected lero awardees list. To remove a selected Lero person, click on the person you wish to remove from the Lero The Irish Software Engineering Research Centre Page 26
27 right-hand side selected awardees list and click on the left-pointing arrow button to remove the person. Grants Here you can add 1 or more grants that are associated with the award. To select one or more authors, click on a grant in the left-hand grants list and using the right-pointing arrow button, selected your desired grants. To remove a selected grant, click on the grant you wish to remove from the righthand side selected grants list and click on the left-pointing arrow button to remove the grant. Work Programme Here you can add 1 or more work programmes associated with the award. 28 7.7 Adding a Media Contribution Select an academic output type of Media Contribution and select an output subtype of Newspaper Journal Social media Website Other to enter details of media contributions made by Lero people. Fill out the form fields adhering to the following guidelines:- Publication Date Title Media Title Presentation Upload Select the date on which the media story was published (e.g. date of newspaper publication). Enter the title of the news story. Enter the name of the media, e.g. Irish Times. Where possible upload a scanned image of the media contribution (format of PDF or JPEG etc.) and click on the browse button to select and upload the associated file. 29 Associated Lero staff Here you can add 1 or more Lero people associated with the media contribution. To select one or more people, click on the person in the left-hand associated lero staff list and using the right-pointing arrow button, selected your desired people. They will appear in the selected Lero staff list. To remove a selected Lero person, click on the person you wish to remove from the right-hand side selected presenters list and click on the left-pointing arrow button to remove the person. Grants Here you can add 1 or more grants that are associated with the media contribution. To select one or more authors, click on a grant in the left-hand grants list and using the right-pointing arrow button, selected your desired grants. To remove a selected grant, click on the grant you wish to remove from the righthand side selected grants list and click on the left-pointing arrow button to remove the grant. Work Programme Here you can add 1 or more work programmes associated with the media contribution. To select one or more work programmes, click on a WP in the left-hand work programmes list and using the right-pointing arrow button, selected your desired work programmes. To remove a selected work programme, click on the WP you wish to remove from the right-hand side selected Work programmes list and click on the left-pointing arrow button to remove the work programme. 30 Table 10 - Completion guidelines for media Contributions Once finished, click on the SUBMIT button to add the media contribution. 7.8 Adding an Event hosted by Lero Select an output type of Event hosted by Lero to enter details of any events hosted by Lero people/institutions. Select an output subtype of one of the list below. Here you can add 1 or more lero people associated with the event To select one or more people, click on the person in the left-hand associated lero staff list and using the right-pointing arrow button, selected your desired people. They will appear in the selected lero staff list. To remove a selected Lero person, click on the person you wish to remove from the right-hand side selected presenters list and click on the left-pointing arrow button to remove the person. Grants Here you can add 1 or more grants that are associated with the event. To select one or more authors, click on a grant in the left-hand grants list and using the right-pointing arrow button, selected your desired grants. 33 8 Permissions Permissions in Linx are setup for work programme leader as follows:- - You can view items if you o Created the item. o Have been assigned as the record owner by an administrator. - You can only edit items where you are the record owner. - Administrators are only allowed to delete entered items. 9 Frequently asked questions Q: Can I enter an output/activity that has happened in the past or that will happen at a future date? A: Yes, for every item entered you must enter a specific date or range of dates (In the case of editorial or Pc membership). This gives flexibility in entering items as you can enter outputs and activities that have happened in the past or will happen at a future date. Q: Do I just enter items directly generated by Lero people or Lero work programme team. A: As well as entering outputs and activities that you have generated as an individual or generated by the work programme you are a person of we also encourage you to enter items that have been generated indirectly as a result of Lero funding. Q: Do I enter a publication that has been submitted but not yet been accepted? A: Yes, it s a good idea to add publications that have been submitted to keep your work programme people as well as the Lero centre up to date. In this instance you submit the publication with a publication status of In Press. Note:- when the paper has been accepted please you should edit the existing output and change the publication status to Published and you be prompted to enter a publication date.
