1 Genesis Webinar-To-Go Quick Reference Guide This document is intended to provide you with helpful information and basic usage tips for Genesis Webinar-To-Go Page 1 of 1 WEBINAR_A2

2 Logging in Genesis Webinar-To-Go supports 3 types of users; Participants, Presenters and Moderators, each of which require different information to login. Participants are required to enter the following information; Meeting Room: First Name: Last Name: Company: Remaining fields are optional. Presenters are required to enter the following information; Meeting Room: Access Code: Remaining fields are optional Page 2 of 2 WEBINAR_A2

3 Moderators are required to enter the following information; Meeting Room: Account: The first Moderator or Presenter to join Genesis Webinar-To-Go has control of the presentation. Control can be passed to other Moderators or Presenters (or can be taken by them) at any time. Control can only be passed to a Participant once the Genesis Webinar-To-Go session has been started. When Moderators and Presenters initially log in to Genesis Webinar-To-Go, they are in a private session. Attendees joining at this time will only see the Genesis Webinar-To-Go splash page until the session is started. The splash page that your attendees see before the live webinar begins can be customized by uploading an image of your choice. A few general notes about presentations Upload the files to be used in your presentation a few days in advance of the live event. This allows time for you or the Genesis Webinar-To- Go team to resolve any issues that may arise. Moderators and Presenters can upload files via the Conference Materials pod. Click on the Presentation tab, then click on the plus sign button. You will be prompted to select a file from your computer for uploading. The following files types are supported: "sxw", "doc", "docx", "odp", "sxi", "ppt", "pptx", "ods", "sxc", "xls", "xlsx", "csv", "tsv", "pdf", "txt", "rtf", "wpd", "odg", "jpg", "gif", "png", "bmp", "mp3", mp4, m4a, m4v, "wav", "flv", "mov", "mpg", "mpeg", "wmv", "avi" Page 3 of 3 WEBINAR_A2

4 Note that PDF files are uploaded as slides. This means that any file that can be exported to a PDF file can be shown as slides in Genesis Webinar-To-Go, even file formats that are not directly supported. Animations, slide transitions & movie clips embedded in PowerPoint presentations are not supported. Some special adjustments can be made via the Setup option located on the menu bar at the top of the Genesis Webinar-To-Go page. If the slide size in your PowerPoint presentation is larger than the default slide size setting (onscreen 4:3 ratio), change the Slides Width setting in the Setup option to 800 pixels. If you wish to increase the display area for your PDF file, change the PDF Scale setting in the Setup option. To increase or decrease the bandwidth setting for playing media files, change the Media Playback setting in the Setup option. Use high bandwidth only for special situations, as this mode requires high network bandwidth and can introduce delays for your attendees. Your presentation Files to present are stored in the Presentation tab in the Conference Materials pod. To show or play a file, click on the file and then click on the Open/Share Document button or simply double-click on the desired file. Depending on what you ve selected to present, one of four tabs will automatically open in the Presentation area of the Genesis Webinar-To-Go page. You can easily switch between tabs to show different materials during your presentation. The tabs are: Documents: Survey: Web: Media: This tab is used for sharing documents, slides and pictures. This tab is used for creating, editing, showing and running polls. This tab is used for showing external web pages, which the audience can then navigate through independently. This tab is used for playing audio or video files, or sharing your desktop. The Toolbar at the bottom of the Presentation area provides a number of features that are available based on the type of presentation that is currently active Page 4 of 4 WEBINAR_A2

5 Remember to START the Genesis Webinar-To-Go session when you re ready, so that the Participants can see your first slide and then the rest of your presentation as you commence the webinar. At the end of your presentation, STOP the Genesis Webinar-To-Go session and disconnect the participants. LiveView Click on the LiveView option on the menu bar at the top of the Genesis Webinar-To-Go page to share your desktop. Sharing your desktop broadcasts its content to the audience in real-time. You have the option of sharing an application, your entire desktop or a selected area. Always remember to click on the Exit button in LiveView when you want to end your desktop sharing session! When you select the LiveView option, Genesis Webinar-To-Go will check that you (as a Presenter or Moderator) have a current version of Java. You may also be prompted to accept a digital signature for BeaconLive. Click Yes or Always (option depends on your browser). You should not be prompted again for this information. A LiveView toolbar will appear at the left side of your screen. The status of your desktop sharing session is shown at the top of the LV toolbar started, not started, waiting, paused. The options on this toolbar in include: The ability to configure image quality, frame rate and network settings. Using the default settings is recommended. Use specified configurations only for special situations, as these modes may require high network bandwidths and can introduce delays for your attendees. Start desktop sharing. You will be prompted to share an application, your entire screen or a selected area of your screen. Pause desktop sharing. This temporarily suspends broadcasting. Exit desktop sharing. Always remember to click on the Exit button in LiveView when you want to end your desktop sharing session! Page 5 of 5 WEBINAR_A2

6 Polling & Surveys Polls: You can get immediate feedback from your audience on questions by using the instant poll feature. In the Chat pod, attendees can select answers from the Feedback/Status pull-down menu. You can then see the results on the Feedback tab in the Attendees pod. Surveys: You can also set up survey questions in advance (or even during the event!) via the Survey option on the menu bar at the top of the Genesis Webinar-To-Go page. Surveys can be saved (they ll appear in the Presentation tab of the Conference Materials pod) for running at any point during your presentation. You can share the results with your audience. All results are saved and can be viewed and downloaded via the Report option on the menu bar at the top of the Genesis Webinar-To- Go page Page 6 of 6 WEBINAR_A2

7 Other exciting features Share files with your audience! You can make presentation materials and other files available to the audience for downloading onto their own computers. Simply upload the file(s) via the Handouts tab in the Conference Materials pod. Save a record of questions asked during a Q&A session! Questions sent from the audience to the Q&A session via the chat feature available in the Chat pod are saved and can be viewed and downloaded via the Report option on the menu bar at the top of the Genesis Webinar-To-Go page. Download room reports post-conference! Moderators can download room reports via the Reports option on the menu bar at the top of the Genesis Webinar-To-Go page. The report provides a list of everyone who joined the Genesis Webinar-To-Go session - Moderators, Presenters and Participants along with Survey results and Q&A session messages. Send invitations to additional participants or presenters during the webinar! s can be sent via your own provider or via the Genesis Webinar-To-Go service. When sending the invitation via the Local option, you are able to edit the before it is sent, and the received by your invitee will come from your default address. When sending the invitation via the Meeting option, the will get sent directly from the Genesis Webinar-To-Go system. All pertinent login information will be included in that and it will be received by the invitee from apps@beaconlive.com. This method may be useful if you do not wish the invitee to see your personal address Page 7 of 7 WEBINAR_A2
