3 1 Search 1.1 Improved search in the classification field When you start typing in the Classification search field, Perinorm will search for suitable entries in the ICS classification and show them as type-ahead suggestions. You can select from the suggestions using the arrow keys and confirm with return. The respective entries will then be copied into the search field. The index list of the classification field now also offers a type-ahead function. Beuth Verlag GmbH

4 1.2 Numbers of hits in some index lists not displayed any more For technical reasons the index list of the field Update flag, does not show the number of hits for each entry any more. 2 Result list / Full Display 2.1 Users can decide on positioning of company standards in result list (first/last/mixed) The positioning of company standards records in the result list can now be defined in the settings dialogue. The following options are available: Show all company standards first Show all company standards last Mix company standards with Perinorm records Beuth Verlag GmbH

5 Price infos as tool tips When moving the mouse over the Price field in the result list, the following information will be displayed: Result list new option Deselect all documents This new option clears selections from all results pages, not only the current page. It might be useful, if for example you intend to mark some documents on the third page of a results list for ordering them. By clicking Deselect all documents before that, you will make sure that any documents that you had previously marked on the first results pages will not get into the order list. 2.4 Extra fields for company standards can be displayed in the result list In addition to Perinorm fields, company standards records can include up to three userdefined extra fields. These fields can now be selected for display in the result list. Up to now, they were only visible in the full display format. Beuth Verlag GmbH

6 3 Improved dialogue wizards After having evaluated feedback from users, we have modified some dialogue wizards to make them more logical and faster. The Save and close option can now be clicked as soon as all essential selections were done so that steps that are not necessary for the user can be skipped. 3.1 Save search wizard If you save a new search query, the first step of the dialogue will now already ask for the name. So it can be saved immediately, if no further options like alerts or automatic exports are needed for that query. In the second step of the dialogue, there is a new option, which allows you to receive an alert also when no changes occurred during the last data update. The third step includes a new option to receive daily alerts. This could make sense, because company standards, which can be modified daily can now be included in saved searches (see 4.3 below). 7 The fourth step allows selecting user groups in addition to single users for alerts: User groups are displayed in brackets in the select box to distinguish them from single users. The next steps concern settings for automatic exports. Besides FTP, SFTP and FTPS are now also available. 3.2 Assign single full text wizard The order of the steps in this dialogue was improved to make uploading of full texts files easier. 8 2. File 3. Basic path 4. Summary In the first step you will now choose a collection to which full texts should be added. If you select an existing collection, step two will show you the path or the URL which leads to that collection. This will help you to eventually copy and paste an entry into the field Path or URL to the collection of full texts when creating a new collection. The next step (Basic path) will be skipped if an existing collection was selected. The last step (Summary) has not changed. Beuth Verlag GmbH

9 3.3 Assign full texts via Upload list of files wizard The order of the steps in this wizard was modified to make uploading of documents easier. 1st step: select a collection 2nd step: define type of list 3rd step: define if full texts should be added or the collection should be synchronized Beuth Verlag GmbH

11 6 th step: Summary 3.4 Wizard Load list of documents for importing records into the search mask The Execute action is now available after completing the first four steps. Profile and options can be skipped. 4 Update Bookmarks/Notes/Profiles/Saved Searches 4.1 Alert when no changes occurred A new option Also send mail when no changes occurred is now available in the Save search query dialogue. 12 4.2 Send alert s to groups of users Alert mails can now be sent to groups of users without having to select each user separately. This applies to the following alerts: Saved searches Profiles User data updates Beuth Verlag GmbH

13 4.3 Automatic update and alerts for company standards (if wanted) Company standards can be added to notes, bookmarks, and profiles in Perinorm. And they can be included in saved search queries. When creating automatic update procedures for notes, bookmarks, and profiles or setting alerts for saved searches, however, company standards have been ignored so far. With the new software version, company standards records can be included in update and alert processes if the user wants this. The option for including company standards in updates and alerts is set via the Organisation settings in the admin tab. Here, the last option has to be checked once. Please note: Including company standards in update processes and search alerts can only work, if the update flags that trigger status changes (entries p, r, a, w, n in the Update flag field) are provided and updated regularly in your company standards records. 5 Web shop and central ordering 5.1 Alert to the person requesting a document When a web shop administrator changes the status of a document request to rejected or available, the requester will receive an with information about the new status. 5.2 Company standards can also be requested With the new software, not only Perinorm documents but also company standards (Origin code CS) can be requested. 5.3 Default for language version in document requests If only one language version is found, and this is English, German or French that language version will be selected. If the requested document is available in more than one language, the current user interface language will be selected 5.4 Faster administration of document requests The processing time for managing document requests, even in case of larger numbers of requests, could be reduced considerably. 5.5 Include customer ID in confirmation The customer ID will be added to the reference of the confirmation . 14 6 Company Standards 6.1 Start indexing manually Company standards records are indexed automatically once per day. However, you can now start the indexing process manually so that all new or modified records are found immediately. A table in the company standards dialogue will show the dates of the last three indexing processes plus the duration of a process which is currently being executed. 6.2 Fields for editing company standards are configurable Company standards administrators can choose from all available Perinorm fields for editing their own company standards. Still, normally, not all fields are required. In the company standards dialogue, you can now choose the fields that you want to use and also define the order in which they should appear in the editing mask. This will make it easier and faster to add your own records in Perinorm. Beuth Verlag GmbH

16 6.3 Extra fields for company standards are now searchable Three extra fields are available for company standards, which can be named individually. From now on these fields will be included in the list of fields in the search mask so that you can restrict searches to entries in these fields. 6.4 Edit company standards via a link from full display Up to now, company standards could only be modified in the company standards dialogue. With this release a link, Edit Company Standard, has been introduced in the full display, which allows you to edit your records directly. 6.5 The field Withdrawal flag is not needed any more to show the withdrawn symbol and to filter for withdrawn documents It is now sufficient to provide your company standards records with update flags w or h in order to mark them as withdrawn documents in Perinorm. The contents of the field Withdrawal flag will have no impact any more. Please note that changes in company standards will only become effective for searching, after the indexing process has been completed (see 7.1 above). Beuth Verlag GmbH

17 7 Full Text Collections 7.1 New licence settings for online documents and online collections Licence restrictions for documents that are part of online collections can now be set in the customer data dialogue. You can restrict access to single documents or entire collections, and a maximum number of allowed simultaneous users can be defined for each document or collection. 7.2 Overview of all full text collections of all users A new page was introduced which gives an overview of the full text collections of all users in their companies to full text administrators. You can sort the list by clicking the symbol in the respective column. Beuth Verlag GmbH

18 8 New import fields for loading lists of documents in the search mask The fields Fulltext Online ID and Product ID can now be used in import files. 9 Export 9.1 New predefined formats default and E-Norm Beside default settings, a new format was introduced which is optimized for exporting data from Perinorm to the e-norm standards management application (published by Beuth Verlag). 9.2 Prefix in field content of Full Text Online ID Exporting the field Full Text Online ID, will add a prefix before the identifiers which signals whether a document is available in electronic format: EL_: available in electronic format NEL_: not available in electronic format 10 Admin Functions 10.1 Manage Users - overview shows more information In the table listing all users, the following columns were added: Member of group(s) Cost centre When printing the list, the cost centre information will be included. 19 10.2 Manager users - search for cost center in list of users In the Manage users dialogue cost centers are now searchable. Searches will be truncated automatically, e.g. 100 will find also find cost centers 1000 and Manage users - user import with roles and groups In the admin dialogue: Admin > Manage users > Add users from list users can now be imported with defined roles and groups. The import is done via csv files with semicolon as separator. In the first row the following field names have to inserted: username last name first name accountnumber password Group Org_admin (company admin) Webshop_admin (web shop admin) Exp_user (export user) User_data_admin (user data admin) Comp_Stand_admin (company standards admin) Fulltext_admin (Full text admin) Read_only (user with read-only access) Read+ (user with read-only+ access) The new column Group in the import file allows to add an information to which group a user belongs. If a group name is mentioned there which does not yet exist in Perinorm, a new group will be created automatically. The roles that should be activated for a user have to be marked in the import file with an x in the respective column. If an import file contains contradicting roles for a user, the role with less rights will be imported. If for example the import file defines a user with company admin and read only rights, read only will be imported. To facilitate the correct creation of import files a sample file is available. The new import is downwards compatible, i.e. existing user lists without the new additional entries will still work. Beuth Verlag GmbH

20 10.4 Add an info on internal support contacts Company administrators can add individual texts to the support message in Perinorm to inform their users about contact partners within the organization. Texts can be edited in all three Perinorm user languages: They will then be displayed under Info > Hotline/Support 10.5 Set a default result list format for users in your organization Company administrators can define a standard format for the Perinorm result list for users in their company, thus making sure that they see only relevant information. When creating the format, the admin can choose between text and table layout and select the fields that should be displayed: Beuth Verlag GmbH

21 10.6 Improved statistics User statistics are an extra module in Perinorm, which allows administrators to generate reports on how the application is used in their company. 22 11 Small improvements and bug fixes If a user deactivates the filters in the search settings, not only the filters in the result list will disappear, but also the filters for notes, bookmarks, profiles and full texts in the search page. The search filter for documents with full texts will now work correctly for company standards, too. A standard search mask for company users will also apply to IP users. A search for w or n in the monthly update flag field will now find withdrawn or new documents even if they had occurred in previous weekly updates. The status field was added to the default result list format. Company standards can be filtered for valid and withdrawn records in the result list. When restoring a back-up file, the field Date of appearance will be imported correctly. Performance problems when managing document requests were fixed. Read-only users will not be able to export data any more. Occasional problems with s to web shop admins re. document requests were fixed. In new installations PostgreSQL services do not have to be installed on the local server. Beuth Verlag GmbH
