3 WHAT IS QLIK SENSE? Qlik Sense is our new reporting module that will replace ART as we upgrade from ServicePoint 5x to ServicePoint 6x and as internet browsers no longer support Java. Qlik Sense is a relational database management system. Its primary differences from ART is speed and usage. It is a powerful data visualization application with a heavy emphasis on analyzing your data. This document was created to clarify some questions that you may be asking during this transition period. 4 FREQUENTLY ASKED QUESTIONS Report Design Q: HOW WILL FILTERS WORK, SUCH AS REPORT FILTERS, INPUT CONTROLS, AND QUERY FILTERS? A: Qlik Sense uses SQL and Sections instead of Query Filters. We are still determining the best course of action regarding the possibility of allowing all users access to SQL. When viewing the report, Report Filters and Input Controls are replaced with Filter Panes and the Selection Tool. Qlik Sense relates data automatically as you click on different dimensions, measures, and values. Q: HOW WILL THE TABLE JOINS BE HANDLED? A: Mediware Information Systems is currently meeting with Qlik Data Architects to determine the best reporting structure for our databases. We may have to create different apps for different reporting scenarios and joins, similar to the different universes in ART. Q: IF TABLES ARE BEING JOINED, WHAT SOLUTIONS OR EQUIVALENTS TO MERGE DIMENSIONS ARE AVAILABLE? A: We are investigating programming that would remove the need for Users to manually create joins in reports. Joins would be created through the Data Manager and Data Load Editor. Q: IF PARTICULAR JOINS ARE NOT AVAILABLE (SUCH AS CASE MANAGERS TO ENTRY EXITS), CAN PARTICULAR JOINS BE REQUESTED? A: Particular data joins will need to be requested through the customer support portal. This process will be very similar to the ART Feature Enhancement process. Q: HOW WILL PROMPTS AND REPORT PARAMETERS BE DISPLAYED, SUCH AS WHAT IS SHOWN IN THE ART GALLERY REPORTS ADDITIONAL INFORMATION TAB? A: Prompts, as we are accustomed to in ART, do not exist in Qlik Sense. Prompts are a type of report filter based on a selection. With that in mind, Qlik Sense has very thorough filtering options using various table, filter, and selection properties, comparable to a more advanced version of Input Controls from ART. Add-on functionality for Qlik Sense brings prompt functionality back, but we are still exploring and testing this ability. The Additional Information tab in the ART Gallery Report utilized formulas to collect prompt responses and display them. While Qlik Sense doesn t have traditional prompts, there are formulaic methods to display this information. Expect similar information but displayed different, perhaps displayed in a summary-style sheet. Page 4 v.01

5 Q: HOW ARE DELETED FIELDS AND ASSESSMENTS HANDLED? A: In the initial release of ServicePoint, objects such as Entry Exits, Services, and Goals will automatically have inactive data removed from reporting. Inactive sub-assessments and assessment responses will not display in reporting either. If a field is completely removed from ServicePoint (such as a question or sub-assessment from the Assessment Admin), it will no longer be reportable in Qlik Sense. Some tables such as Worksheets, Users, Providers, and CallPoint utilize inactive records for historical purposes. Documentation will be provided at a later date explaining proper reporting of these objects. Q: HOW WILL MULTIPLE TABBED AND PAGED REPORTS DISPLAY IN QLIK SENSE? A: Qlik Sense displays information in a single-screen format. Report tabs are considered Sheets in Qlik, and when multiple sheets are organized together they are called Stories in Qlik, and that would display the report in a similar multi-tabbed fashion. When viewing a sheet, there are icons to navigate other sheets instantly, similar to navigating to tabs in ART. Creating an App with multiple sheets is another equivalent of a multiple tabbed or paged report. Within a sheet you have tables and charts called visualizations that can be expanded and exported as a PDF or Microsoft Excel. We are currently exploring add-ons and additional functionality to bring a Qlik Sense experience similar to ART in this respect. For example, there is an add-on for a Next Page function that is a clickable shortcut to another sheet. Q: REPORTWRITER WAS TYPICALLY USED AS A RAW DATA PULL. WILL QLIK SENSE OFFER SIMILAR FUNCTIONALITY? A: Qlik Sense will replace ReportWriter in ServicePoint 6, and will export data in both chart and Microsoft Excel table style formats. ReportWriter was considered a raw data pull because there are no formulas and it pulls from live data. Qlik Sense will refresh data far more often than ART s current once a day server refresh. Q: IT APPEARS QLIK SENSE SAVES DATA CONTINUOUSLY. HOW WILL VERSIONING WORK? A: We are currently exploring administrative options to see what saving options are available. The current recommendation is to create a copy of the report for editing. This recommendation coincides with the treatment of published reports in Qlik Sense. Once a report is published in Qlik Sense, you must either duplicate it or unpublish it to edit. Q: HOW WILL THE EFFECTIVE DATE OF THE RECORD TRANSLATE IN QLIK? IN ART, UNIVERSES WERE UTILIZED TO DETERMINE WHEN ASSESSMENT DATA WAS COLLECTED. A: In ServicePoint 5x and ART, the effective date of the record was determined by a particular universe. For example, assessment responses were returned as of the Effective Date prompt in the Live_U, or by values as of Entry or as of Entry in the EE_U. Qlik Sense will presumably have a similar structure in place via apps. ServicePoint 6x utilizes a different structure for storing assessment responses, and Qlik Sense app structures will change accordingly. We will release more detailed information as Qlik Sense is closer to a release date. Page 5 v.01

6 Q: HOW WILL DATA STRUCTURE CHANGES IN SERVICEPOINT 6X FOR HOUSEHOLDS AND SUB- ASSESSMENTS BE HANDLED? IS ANYTHING BEING DONE IN SERVICEPOINT 5X TO PREPARE FOR THE CHANGES? A: ART and Qlik Sense import data from ServicePoint based on table structures created by our programmers. More information will become available as we are closer to a ServicePoint 6x release date. 7 User Experience Q) HOW DOES SHADOW MODE WORK IN QLIK SENSE? A: Shadow Mode will work similar to how it currently functions with ServicePoint and ART; Qlik Sense follows the license used within ServicePoint. Q) HOW DOES EDA MODE WORK IN QLIK SENSE? A: Enter Data As Mode will presumably be done via scripting the apps, and would then be available in the sheet as a dimension. Q) HOW DOES BACKDATE MODE WORK IN QLIK SENSE? A: In the initial release of Qlik Sense we will have a reporting app that encapsulates several ServicePoint tables; Entry Exits, Services, Call Records, and Goals are just a few of them. With that in mind, there are several timeframes used for reporting. Backdate mode is just one of several, such as values as of Entry, as of Exit, as of a Service Start Date, or as of a Call Record. We are creating several Answer Value as of type objects to report this data. A tutorial will become available once Qlik Sense is released. Q: WILL REPORT SCHEDULING BE AVAILABLE? A: Due to the speed of Qlik Sense, scheduling is not a feature available by default. We are currently researching additional functionality that will offer a similar experience to scheduling reports in ART. Reports are instantly retrieved instead of requiring several minutes to run. This speed differences addresses one reason why Users preferred scheduling reports. The other primary reason for scheduling reports was to download several different instances of the same report (perhaps different providers or date ranges), and then compare them in PDF or Microsoft Excel. Qlik Sense instead offers Bookmarks and Snapshots as a way to quickly compare datasets from different parameters. Q: WHAT EXPORT OPTIONS ARE AVAILABLE? A: Qlik Sense can currently export what is seen on the screen in PDF, or individual visualizations as PDF or Microsoft Excel. Stories can be exported as Microsoft PowerPoints and PDF. We are currently researching additional exporting options. Q: HOW DOES THE PRINTER OPTION WORK? IS IT COMPARABLE TO ART? Page 7 v.01

8 A: Printing is the equivalent of printing your current screen, or using the PrtSc button on your keyboard. It doesn t print multiple pages or reports simultaneously. We are currently exploring add-on functionality for more printing options. Q: WILL CUSTOMERS BE ABLE TO SHARE REPORTS BETWEEN IMPLEMENTATIONS, SPECIFICALLY THOSE THAT ARE NOT WITHIN THEIR SERVICEPOINT SITE? IF IT IS POSSIBLE, HOW WOULD THAT APPEAR/WORK? A: Based on discussions with Qlik Sense representatives, Qlik Sense has security structures that will allow reports to be shared within Streams. Streams are similar to the Public Folder within ART. Mediware Information Systems will be responsible for the creation of streams between customers. How exactly these streams will work, such as if they will share just the report or actual site data, is still being determined. Q: CAN YOU SHARE REPORTS WITH USERS WHO DO NOT HAVE THE SAME VISIBILITY SETTINGS TO SEE THE DATA IN SERVICEPOINT? A: Qlik Sense will have similar security settings to ART. As such, if users could not view data in an ART report due to their security, they will not see it in Qlik Sense. Q: HOW WILL SITES WITH MULTIPLE IMPLEMENTATIONS BE HANDLED? A: Site with multiple implementations will have multiple streams, the equivalent to multiple Public Folders in ART. It will be up to the implementations to decide how reports will be shared between these streams, and to relay that decision to Mediware Information Systems to create the stream relationships. Q: HOW DOES QLIK SENSE COMPARE TO ART? A: Qlik Sense is much faster and relational. It refreshes data faster from ServicePoint, you can have multiple reports up at the same time, and reports load instantly. Edit and View modes are almost identical. Qlik Sense takes the idea of Input Controls in ART much farther; clicking on one object/result will display related information in other visualizations. That functionality can be turned on/off with formulas. There are also several more user role options and security options that allow for more control with the distribution of reports. Q: WILL QLIK SENSE HAVE THE SAME DAILY REFRESH THAT ART HAD? A: Qlik Sense will refresh more often than ART. At this time we are testing an hourly refresh rate. While Qlik Sense can refresh more frequently than that, we are still testing performance across several database scenarios and found the hour refresh to work the best. More frequent refreshes also made report development difficult as it became increasingly difficult to verify a formula as the result changed based on live data entry. Page 8 v.01

9 Q: IS QLIK SENSE REAL TIME WITH DATA FROM SERVICEPOINT? A: Qlik Sense is not quite real time. We are currently testing data loads to ensure the best performance and determine the refresh rate that will be applied to sites. Qlik Sense does load data much faster than ART. Real-time data, while a frequent request, is not realistic for report creation purposes. Data entry constantly interferes with formula verification, and it s not a quick process to edit data refresh rates. Our goal with Qlik Sense is a faster, more stable, and versatile reporting tool that can run on multiple platforms without fear of being quickly outdated due to browser or operating system upgrades. 10 Existing Reports, ART and Beyond Q: WHAT WILL HAPPEN TO THE CANNED SERVICEPOINT REPORTS SUCH AS THE CLIENT SERVED REPORT OR THE AUDIT REPORTS? A: Canned Reports will be individually phased out as they are recreated in Qlik Sense. Audit reports may remain canned for propriety and security reasons. Due to the unique nature of our reporting requirements, Canned Reports will be available in ServicePoint 6x. As we gain more Qlik Sense experience, expect Canned Reports to be phased out in ServicePoint 6x as well. Q: WILL DASHBOARD REPORTS EXIST IN QLIK SENSE? A: Dashboard reports are ART reports with a much smaller page size setup. As Qlik Sense is far more dynamic at fitting various resolutions, expect a more seamless replacement of dashboard reports using Qlik Sense instead of ART. Q: WHAT ART GALLERY REPORTS WILL BE RE-CREATED WHEN QLIK SENSE IS RELEASED? A: The ART Gallery Reports are currently being evaluated by our Industry Compliance Officer. The initial release will not contain any ART Gallery Reports. These will be added over time and the ART Reports will be retained until they are re-created. Q: WHAT WILL HAPPEN TO THE ART REPORTS IN MY FAVORITES FOLDER OR REPORTS IN THE PUBLIC FOLDER? HOW MUCH LONGER WILL ART BE AVAILABLE? A: ART will continue to be available for ServicePoint 5x users. As of January 2017 only Internet Explorer will be able to edit ART reports. This is due to all other internet browsers phasing out Java support. As long as ART can be edited and a customer is in ServicePoint 5x, custom reports in the Public Folder or My Favorites will remain there. ART will not be available in ServicePoint 6x. Qlik Sense will be available in ServicePoint 5x. It is highly recommended that existing ServicePoint 5x users begin recreating their custom ART reports in Qlik Sense. Mediware Information Systems has developed an Access Report that will tell customers what are their most popular custom reports. Please contact your customer care analysts for more information. Q: WHAT WILL HAPPEN TO REPORTWRITER? A: ReportWriter will continue to be available for ServicePoint 5x users. It will not be available in ServicePoint 6x. Qlik Sense is the expected replace for many reporting applications, ReportWriter included. Users will need to recreate ReportWriter reports in Qlik Senses. Page 10 v.01

11 Q: WHAT WILL HAPPEN TO THE MEDIWARE INFORMATION SYSTEMS SUPPLIED REPORTS IN THE ART GALLERY FOLDER? A: ART Gallery Reports will be replaced by their Qlik Sense equivalent in ServicePoint 5x and 6x. As a Gallery Report is recreated in Qlik, the original in ART will be removed. Q: WHAT IS THE PROCESS FOR ART TO QLIK SENSE REPORT REQUESTS? A: At this time, we are not accepting Qlik Sense report requests. Mediware will make an announcement via a Mediware Information Systems Client Update when customers can create cases for Qlik Sense report requests. However, we expect to approach Qlik Sense reports based on ART reports as if they are new Qlik Sense reports. Qlik Sense is a different reporting language and cannot be easily translated between the two applications. Be sure to collect any materials related to the ART report to re-create; this includes Statements of Work, PDF and Excel examples, and programming language/guidelines. Q: WHAT WILL HAPPEN TO QLIK SENSE REPORTS CREATED IN SERVICEPOINT 5X? A: Qlik Sense reports created in ServicePoint 5x will transition to ServicePoint 6x. The only instances that may not transition correctly would be those where a data structure change has occurred within ServicePoint, such as the way households or sub-assessments are handled in ServicePoint 6x. In those cases, Qlik Sense reports would need to be edited to adhere to the new data structure. Page 11 v.01

12 Release, Licensing and Cost Concerns Q: WHAT IS THE RELEASE TIMETABLE FOR QLIK SENSE? A: At this time, we are expecting release to begin the week of April 10, The application is currently in the final stages of reviewing and testing. Q: HOW WILL LICENSE ASSIGNMENTS BE HANDLED BETWEEN ART, QLIK SENSE, SERVICEPOINT 5X, AND SERVICEPOINT 6X? A: The default license assignments will be the same number of ART Ad Hoc and Viewer license for equivalent Qlik Sense licenses. This means if you have 2 Ad Hoc users and 100 Viewer Licenses, you would have 2 Qlik Creators and 100 Qlik Viewers. We have not yet decided if these licenses will automatically be assigned when Qlik is deployed, or if the Qlik licenses will be allocated to the accounts to decide when to assign them. Q: WHAT COSTS ARE EXPECTED FOR EXISTING SERVICEPOINT 5X CUSTOMERS WHO WISH TO USE QLIK SENSE? A: Mediware Information Systems is paying the fees for the Qlik Sense licenses for ServicePoint 5x users. ServicePoint 5x users with both Qlik Sense and ART will not have an increased cost. Additional Qlik Sense licenses will have a cost that is to be determined. Q: WHAT COSTS ARE EXPECTED WHEN SERVICEPOINT 6X IS RELEASED WITH QLIK SENSE? A: Please contact your CSA or set up a case in the customer support portal for inquiries on pricing options. Page 12 v.01

13 Qlik Sense Compatibility Q: WILL MEDIWARE INFORMATION SYSTEMS SUPPORT REPORTS AND APPS CREATED THROUGH QLIK SENSE DESKTOP? A: At this time Mediware Information Systems will not support Qlik Sense Desktop reports, apps, or data uploads. Q: WHAT BROWSERS ARE COMPATIBLE WITH QLIK SENSE? A: Please refer to the Qlik Sense Technical Requirements document for updated information. Q: WHAT ARE THE COMPUTER REQUIREMENTS FOR QLIK SENSE? A: Please refer to the Qlik Sense Technical Requirements document for updated information. Q: FOR CUSTOMERS WITH PRIVATE SERVERS, WILL THEY NEED HARDWARE CHANGES? A: Private servers are no longer an option for reporting purposes. Please consult your customer care analysts for more information. Page 13 v.01

14 Roles and Responsibility Q: WHO IS THE SYSTEM ADMINISTRATOR OF THE QLIK SENSE APPLICATION? A: Mediware Information Systems is the lead System Administrator of Qlik Sense, in charge of data management, table joins and filtering, and app deployment. Q: WHAT SORT OF USERS ROLES DOES QLIK SENSE OFFER, AND ARE THEY DIFFERENT THEN ART? A: There is more flexibility in the equivalent roles of Ad Hoc and Viewer. For example, apps and streams can be locked from view or editing by user. Mediware Information Systems will release more information as we get closer to a release date for Qlik Sense. Page 14 v.01
