1 Visual Streamline FAQ How does the Template Import Work? The Template Import routine enables you to import new inventory items, as well as New Supplier List Records, and make changes to existing Inventory items and make changes to supplier info records. The difference between the Template Import and the Map Import is that the Map Import uses any excel sheet, and you map the excel columns to the streamline database, whereas the Template Import requires you use a predefined template. This means you must copy and past or the data manually into the template. From the Menu options select: Inventory > Global Changes> Export Template. You will then be presented with the screen below. To begin a new import you need to select the Create Excel Template option above. You will be presented with the screen below. 1

2 If this is your first time using this program, the above screen might not be displayed since there will not be any previously saved work files. If you want to continue with where you previously left off, click NO and the system will take you to the last saved work file. If this is a new template, click on YES. For the purpose of this documentation we will be starting a new import and so we are clicking Yes on the above message. Upon clicking on Yes, you will be presented with the blank template shown below. This template should already be presaved on your system. All fields shown in Orange are considered mandatory fields. Manually enter the data into each cell. Please note that there are two work sheets on the one excel file: One for Products and another for Supplier Info. The sheet shown above is the products worksheet. Some fields might be restricted and require that you select the value from a dropdown list, for example the Stock Type field. See example below. Once your data has been entered complete into the worksheet, then proceed to enter the information into the second worksheet if needed also. 2

3 Once you are finished, you need to save the workfile. You have two options located at the top of the excel screen shown in RED. Save for Import to be used when you are ready to import the data, no work file needed Save Temporary Working File to be used when you want to save changes made so far but you are not yet ready to import. Clicking on the above options will save the data for you so that you do not have to go through: File > Save As. Once the file is saved, you click on Import Products: from the screen below. 3

4 This will display the next screen for you: At this point you are using the same program that is used for the Map Import. To import the saved template you click on Template Import located on the right hand side of the above screen. You will be presented with the screen below: Click OK to continue. 4

5 The system will then validate the information being imported and display all errors to you as per the next screen. If the next screen is not shown to you, then that means there were no errors found and you can simply proceed with the next step to upload the imported file. If errors are found, it will appear similar to the print screen below: This error tells me that I have entered an incorrect stocking uom onto the template and therefore the change cannot be imported. Once all errors are corrected, and the file imports successfully, you can proceed to uploading the file. You need to locate the Import log where the file was imported into, and genrally this will be the last log file shown on the log screen as per print screen below. 5

6 Park on the log file and click Deails button locate don the right hand side of the above screen, and then click Update. Once this last step is done, the changes made will be visible in Streamline. 6
