2 Topic Pages 1. Navigate to the Website and log in Open your web browser and enter the address, Do not enter as that will return a Server not found message. Once you have reached the website, type /user (without quotations) at the end of the address as shown below and press your Enter key. /user 2. Sign in Enter your single sign on into the provided fields and click the Log in button. 2

Upload Documents If you have documents (like a handbook or a list of frequently asked questions) that you would like to upload to the website, click on User management, My account, and File browser as shown below 4. If a Folder Does Not Exist for Your Topic Page If a folder does not already exist for your topic page, you may need to create one. Folders for each topic are important in that they make it possible to store all files related to topic in one place. Using folders for each topic will also decrease the possibility that someone may loose a file for their topic or accidently delete someone else s file for their topic. To create a folder for your topic, click on Directory in order to make the subdirectory dialog box appear. In the Subdirectory name field, type the name for your topic using all lower case letters and an underscore (_) to connect each word. Click the Add button. Click the x in the upper right corner of the subdirecty dialoge box after you have added your folder. sample_name 3

Adding and Removing Files to and from Your Folder After a folder has been created for your topic, click on the folder and you will see a list of files (if any) under File name to the right of that folder (see below). To add a file to your folder, click the Upload button to see upload dialog box. Click the Browse button. the Navigate to where the file is stored on your hard drive, click on file name and then click the Open button. the Now click the Upload button. Repeat the process until you have uploaded all of your documents. Click the x in the upper right corner to close the Upload dialog box 4

5 6. Creating a Topic Page To create a topic page, place your mouse over the Content Management menu, then over Create content and then click on Just in Time Training. Type the name of your topic into the Title field. It is not necessary to user the lower case naming convention we used when creating your folder in step 4. Here, you may use the capitalization rules you would use for any heading. After entering the title for your new topic page, click the drop down arrow under Page Category and select Resources as shown below. 7. Adding Content to, and Updating, a Topic Page Now you may enter or edit content for your topic page. You may enter text into the text box and use the tools above the text box to modify the text. You ll find that the tools appear and work very much like the tools found in Microsoft Office programs like Microsoft Word. In order to create a hyperlink to a website or a file you uploaded earlier, select the text you would like to turn into a hyperlink and click the hyperlink tool as shown below. 5

6 Now you will see the hyperlink dialog box. To link to another web page, navigate in a seperate browser window to the page you would like to link to, copy the link from the address bar and paste the link into the URL field in the hyperlink dialog boxand click the OK button as shown below. copy paste 6

7 If you would like to link to a file you uploaded previously, click the Browser Server button to open the File Browser dialog box. Double click the file name and the program will place the link in the URL field. double click Click OK to exit the Link dialog box. As a general procedure, avoid using click here phrasing to direct viewers to documents or other information. Instead, the link title should be the name of the item being referenced. 8. The Content Sections and the Information They Should Contain Announcements Section In this section you will only place big news items such as: Recent changes in policy or planned changes Dates for an upcoming session/event FAQ Section Place up to four of your actual questions so they are visible on the page (in order of most frequently asked/importance) with the answer being shown (within a document) when you click on the question. The fifth line should read More FAQs and should take you to the entire list of FAQs. 7

8 Documents Section Place links to up to three documents (policy bulletin or memo, etc.) so that the title of the document is reflected as the link title (see sample template) The fourth line should read More Critical Documents Here is a list of the types of documents that should be placed in this category: o District Policy Documents (bulletins or memos) o District Procedures Documents o White Papers/Articles o Books o Handbooks Job aids and Other Resources Section Place links to up to three job aids/resources so that the title of the aid or resource is reflected as the link title (see sample template) Here is a list of the types of information that should be placed in this category: o Sample items o Flow Chart o Org Chart o Check lists o Tip Sheets o Links to other websites that have resources o Videos/Media Pieces o Power Point Presentations o Quick Reference Guides o How Tos Opportunities Section In this section you will only need to change the phrase Cumulative Records for Secondary Schools to reflect the name of your topic. 8

9 Technical Contact Section In this section you will need to change the name and address to your name and address. Select Martha s entire name and click the Unlink button and type your name. Click and drag to highlight your name that you ve just typed and click the hyperlink button. In the Link dialog box, click the drop down arrow under Link Type and select E mail to change the dialog box to an link dialog box. Then enter your address. In the Message Subject field, you may enter the name of your topic page followed by the phrase Web Page so you ll know where s are coming from when you receive them later. Then click the OK button. 9

10 9. Reviewing and Saving Your Page The Preview button shown below doesn t render an accurate preview of what your page will look like. Click the Save button to see how your page will appear when viewed on the website. 10. Topic Page Approval After you have collected enough resources on your page that you feel it will be helpful to others, ask your supervisor for a review. When they feel it is ready to be viewed by others in the District, they will inform Bob and he will create a link to your page from the Topic Page directory. 11.
