4 Objectives Upon completion of this class, you will be able to: Organize your fare contracts for efficient data entry Establish viewership and user profiles Access Direct Fare Filing in the Sabre MyFares application Use the online help system Build contracts for fixed price and discount fares Create fares, fare markets and apply fare rules and restrictions Use the Reports tool to review contract for accuracy Find the fare in the Sabre system fare quote (FQ) Book an itinerary and price (WP) to test the fare/contract Testing your input When you first build your fare in Direct Fare Filing, you should open viewership to these fares and test these fares in another pseudo city code (PCC). This is known as a multiple PCC. This avoids any impact to your main PCC. Once you are comfortable that the fare is pricing correctly, you can modify the viewership to include your main PCC and whomever you want to be able to price the fare. You may request a multiple PCC via Agency eservices, Order menu, Place an Agency Order, New Multiple PCC. There is no charge for a multiple PCC. 5 Getting Started Direct Fare Filing Quick Reference O V E R V I E W Direct Fare Filing delivered by the Sabre MyFares application is our next generation web-based fare management tool that enables travel agencies to file private fare and rule data directly through the Sabre system. This tool further automates the management of your negotiated fare contracts by providing the ability to input, edit, manage, and distribute multiple negotiated fare types. In addition, you can mark up net fares filed via this tool and redistribute them to branch locations or other stand-alone agencies. Features supported in Direct Fare Filing include: Contract management capabilities to create, clone, modify, and delete contracts. Option to create user-defined viewership groups with dynamic update capability. Option to create user-defined geographic groups to establish fare markets. Multiple levels of security and user administration. Ability to mark up or discount fares by a flat amount, percentage, or a combination of both. Ability to redistribute net fares to applicable branches. Calculate function to update fares quickly. Ability to input rules, routing, and booking codes for fares. Access to contract reports and option of exporting report data to spreadsheets. Direct Fare Filing addresses key agency needs by providing the following benefits: Reduced cost of managing and distributing your private fare content. Increased productivity by automating fare filing, thereby eliminating the paper distribution of negotiated fare contracts. Greater fare management efficiency by offering a single tool to input, manage, and distribute multiple fare types. Competitive edge through the ability to load fares in the Sabre system in near real-time, typically within 30 minutes of submission. Full integration of fares with all other Sabre system fare content for shopping, pricing, and ticketing. Transactions available for management in Direct Fare Filing include contracts for: Fixed price fares Discount fares Net fares Mark-up of net fares Note: The workflow for marking up net fares depends on where the net fares are filed. Mark-up Manager Application works in conjunction with the Contract Manager. Allows you to mark up only net fares filed through Direct Fare Filing in the Sabre MyFares application. 6 O R G A N I Z E C O N T R A CT I N F O R M A T I O N Preparing in advance for the creation of your contract and the subsequent input of data results in a smoother workflow and expedites the overall process as well. Prior to accessing Direct Fare Filing in the Sabre MyFares application, it is recommended that you review the contract received from the carrier in its entirety and evaluate the information to be recorded during creation of the automated contract. Assessing the details up front allows you to organize details according to their use during the contract input and also determine any tasks, such as creation of groups, that could be completed ahead of time to facilitate the process. Use the following suggestions to organize your contract data and prepare for input: Determine the type of fare contract to be created. Fixed Price Fare - (a fare that is a set specified amount). Net Fare - (a fare that can be set at a net amount and raised to a selling amount). Discount Fare - (a fare that is created using another fare as a base). Establish viewership by determining who is eligible to see and sell the fares. Determine if an existing viewership group is applicable. Create a new viewership group, if desired. Determine eligible fare markets and rules to be applied to each. Group together geographical markets that use the same fare rules. Use Location Code Translator tool to encode/decode location types, as needed. Determine if any existing geographic groups are applicable. Create any new geographic groups for these markets, if desired. Only cities and airports can be included in groups used with Fixed Price and Net fares. Each cycle through the fare and rule input process is referred to as an iteration. Markets with the same fare attributes and rule restrictions are entered in a single iteration. Multiple iterations are entered when fare attributes and rule restrictions vary for the eligible fare markets. Determine whether you will use an existing carrier routing or create a new routing. If creating Discount fares, determine whether the fare amounts are specified or to be calculated. If creating Net fares, determine if they are to be redistributed, as well as other permissions being assigned. Verify that individuals assigned to create contracts are authorized to use Direct Fare Filing in the Sabre MyFares application (See below). Note: All contract data does not have to be entered during a single access. If you begin creating a contract but do not complete the process and submit it to the Sabre system, be sure to Save any data you wish to keep. You then have 60 days to complete the data and submit the contract to the Sabre system before the partial contract data is purged. A U T H O R I Z A T I O N T O U S E T H E T O O L Contract Manager and Mark-up Manager authorization for your agency is controlled by an Administrator selected by your specific agency. The user profile for your agency s initial Administrator is set up by Sabre Travel Network representatives. The Administrator is then allowed to set up all subsequent user profiles in your agency. Administrators assign the privilege levels that authorize individual users to view and/or perform contract activities. For information on creating user profiles, see Adding a New User quick reference. Note: If a user profile has not yet been created either for the designated agency Administrator or any individual agent, attempts to access Direct Fare Filing in the Sabre MyFares application generate an error response. 7 A C C E S S T H E A P P L I C A T I O N Direct Fare Filing in the Sabre MyFares application is accessible from the Sabre Agency eservices web site. 1. Access eservices.sabre.com. 2. From the Business Tools menu, click Direct Fare Filing. 3. From the Direct Fare Filing application page, click the link for Direct Fare Filing delivered by the Sabre MyFares application. 4. Enter your log in information and click Login. The home page displays. M A I N T O O L B A R Upon accessing Direct Fare Filing, the Main Toolbar opens with the default Home page displayed. The Main Toolbar includes eight menus: Home - Default screen when the tool is initially opened. Contract Manager - To choose a workflow and specify the type of contract in which you want to work. Mark-up Manager - To mark up, redistribute, accept, decline, and void negotiated contracts. Reports - To generate simple reports for viewing, saving and/or printing. Tools - To define geographic or viewership groups, use a location code translator or define Booking Code Exception requirements. To access current status information on contract activations, dynamic viewership updates and Mark-up Manager actions such as Mark-up and Redistribution, use Transaction Activities. Administration - To authorize individual agent access to contracts filed in Direct Fare Filing in the MyFares application. Help - To access the Help system. Logout - To access logout screen and close the browser. The Home page also includes a separate Main Menu Selection that provides access to three of the most frequently used components: Start Contract Manager Start Mark-up Manager Start Tools Note: You can access Contract Manager, Mark-up Manager and Tools from either the Main Toolbar or the Main Menu Selection. 8 G E N E R A L S C R E E N L A Y O U T When you select one of the menus, an additional horizontal toolbar displays below the Main Toolbar and reflects the titles for the activities that can be performed at that level. Screen title (Contract Control in above example) displays below the toolbars to identify basic information about the work in progress. In the area directly below the screen title, the following items display: User Name - Identifies individual user accessing the tool. Contract Label - Name that identifies the contract displays once it is assigned. Revision Number - Identifies the current version of a contract (circled 2 in the above example). Each time you make edits to a contract following the initial creation and submission, the revision number changes to the next sequenced number. Each time you access a contract, the latest version of the contract displays and reflects the revision number in the upper right-hand corner. Rule Number - Assigned automatically by Direct Fare Filing (circled M004 in the above example). Regardless of the number of contract revisions submitted to the Sabre system, the rule number remains the same as for the original version. Actual work area is below the above items. Each screen is unique, based on its content, but a general theme is apparent throughout. C O M P L E T E D A T A F I E L D S Multiple methods are used to select and/or record information, according to the specific types of data required on each screen. For options presented in a series of radio buttons,, click the appropriate button to select your choice. For boxes,, click inside the box with your mouse to select the field and enter information. You may also use the Tab key on your keyboard to move through fields. For options presented in a drop-down menu, click the to view available choices. Then click an item from the list to select it. For options enabled by a checkbox,, click the box to either add or remove the checkmark, as appropriate. Click the icon to display a calendar. Use the drop-down menu to select and change the month. Click the arrows (<< >>) to change the year. Click desired date to select it. To close calendar, select a date or click anywhere outside the calendar. An asterisk (*) appears prior to the label of required fields, identifying items that must be completed on a given screen. 9 G E N E R A L N A V I G A T I O N T I P S Direct Fare Filing is designed to follow a directed contract workflow for specified activities. Within that workflow, you have some choices for navigating through the various screens. Tabs Some screens reflect tabs that allow navigation within a specific section of the contract. The active tab within the section is highlighted. Upon reaching a given point in the workflow, you may return to a previous screen by clicking the available tab. (See Viewership, Viewership Definition, and Restrictions tabs below) However, please note that using screen tabs for navigation is for informational purposes only. If data on a previous tab in a workflow requires changes, the workflow should be repeated in order for the change to take place. Scrolling Use the vertical and horizontal scroll bars when the work area utilizes more space than is viewable on the screen. Buttons Navigation buttons reside at the bottom of a screen or tab. While working in a contract, you may access any menu on the Main Toolbar, such as Tools or Reports, and then return to the point in the contract where you left off without starting over. To help you track your progress as you navigate through the workflow, the Main Toolbar highlights the tool component being used, and the additional toolbar highlights the activity currently underway. Warning: Direct Fare Filing is designed to use only the application s navigation features. Do not use your browser s Back or Forward and the need to reenter it. C O M M O N C O N V E N T I O N S buttons (except with Help), as doing so could result in loss of your current information The table below includes descriptions of conventions that are common to Direct Fare Filing. CONVENTION DESCRIPTION Calendar Cursor Dates Tabs Text Edit Functions Times Typing in Menu Fields Wildcards Opens a calendar tool. If you click on a date, the date fields are automatically updated. Defaults to the upper-left input field upon entering each page. Entered as 3 menu fields: Day, Month, Year. Day options are Month options are the 12 months, spelled out. Year options appear as 4 digits. In addition to the current year, the calendar displays 2 years back and 10 years forward. The 9999 option represents infinity (no discontinue date). May tab from one data input field (including check fields), toolbar item, or action button to the next by pressing the Tab key. Tabs begin in the top-left corner and proceed to the right, across the screen. From the right-most field on a row, the tab advances the cursor to the left-most field on the next row. From the bottom-right field, the next field is the starting field in the top-left of the screen. All data input fields may be edited with Cut, Copy, and Paste functions, accessed either with the rightclick menu options or through standard CRTL X, CTRL C, CTRL V keyboard entries. Default time entry format is Hours:Minutes. Hours is a pull-down menu with choices of Minutes is a pull-down menu with choices of You may type a value in any pull-down menu. As you type, the menu will advance to that portion of the menu to display more relevant options. When entering search field inputs, you may enter the * character as a wildcard. 10 C O M M O N C O M M A N D B U T T O N S A N D I C O N S The table below includes descriptions of common commands and icons used in Direct Fare Filing. COMMAND/ICON DESCRIPTION Adds the defined data to a field. Returns to the preceding section in the logical flow of the contract build process. Reopens the specified window without saving the data. Clears information in the fields, so you can retrieve and view new information or specify different values. Allows you to clone (copy) an entire contract or selected information from an existing contract. Goes to Miscellaneous Rules screen, so you can specify international contract rules. Goes to Rules main menu screen, so you can apply specified rule conditions, as required. Continue to buttons go to the specified screen in the workflow. Your work is saved each time you click a Continue to button. Starts the process to delete data (provides a prompt which allows you to confirm that you want to delete). Allows you to modify or view selected data (Appear as separate buttons in some tools). Removes the entire contract from the Sabre system. Goes to the next screen in the logical workflow. Puts fields back to the last saved state. Return to buttons go back to the specified screen in the workflow. Any input on the screen is ignored (not saved), and you must start again from the specified screen. Saves your work each time you click the button. Allows you to save contract data and access again at a later date. Searches for all applicable contracts that you identified in search fields. Returns to the Search Screen, so you can perform another search. Sends completed work to the Sabre system. Goes to the Contract Definition tab, and the Expire Contract button is enabled. 11 Add a New User Direct Fare Filing Quick Reference O V E R V I E W Each agent who will input or modify fares in Direct Fare Filing through the Sabre MyFares application must have a user profile in order to access the tool. Select a Direct Fare Filing Administrator within your agency and contact your Sabre Travel Network representative to request creation of the initial user profile for your Administrator. Each agency Administrator is then authorized to create all subsequent user profiles and define privilege levels granted to other users in the agency. U S E R P R I V I L E G E L E V E L S The following user privilege levels are available: Administrator Create/Modify View Only Inactive Allows user to create profiles and define privileges for additional Administrators and other users in their own Pseudo City (PCC), as well as view/create/modify contracts. Allows user to create and modify contracts. Allows user to only view contracts. User s privileges are revoked, no longer allowing access to Direct Fare Filing; their profile remains in the system but is accessible only to the agency Administrator. Note: You cannot delete user profiles. However, you may set the privilege level to inactive to prevent Direct Fare Filing access. P S E U D O C I T Y C O D E ( P C C ) C A T E G O R I E S When authorized by the agency Administrator, you may work in pseudo cities other than your default PCC, as defined in the Direct Fare Filing section of the agency Travel Journal Record (TJR). Refer to MyFares online Help for details about the Sabre system entries required to update your TJR. The TJR must be updated before the Acting PCCs can be added to the User Profile. The following categories of PCCs are used by Direct Fare Filing: User PCC Access PCC for Contract Manager Access PCC for Mark-up Manager Acting PCC Agent s default PCC (your Sabre system sign-in PCC). PCCs in which you are authorized to view/create/modify contracts. PCCs in which you are authorized to view/create/modify data in Mark-up Manager. PCC you are working in, which may be a non-default PCC available to your agency, if authorized by your Administrator. Only one Acting PCC is in use at a time. The guidelines below apply in regard to Acting PCC and movement within the various tools: When you initially access Direct Fare Filing, the Acting PCC defaults to the User PCC. You have the option of changing the Acting PCC to one you are authorized to work in, based on the access defined in your user profile (for example, your default PCC is A1B2, you need to create a contract in your branch PCC of Z9Z9). To change the Acting PCC, use the drop-down menu on the first screen of the Contract Manager or Mark-up Manager to make your selection (select your branch PCC of Z9Z9 to create the contract here). User Admin activity always processes under the User PCC. Therefore, even if you change the Acting PCC in Contract Manager or Mark-up Manager and then access the Administration tool, User Admin processing reverts to the User PCC. If you change the Acting PCC, initiate a workflow in Contract Manager or Mark-up Manager, and then access a different tool (other than Administration), the most recently selected Acting PCC is assumed for the new tool. If you move from Contract Manager to Mark-up Manager or vice versa, work is processed under the changed Acting PCC If you access the Tools menu, any user-defined geographic groups or viewership groups that you create are associated with the changed Acting PCC (If you access the Tools menu independent of Contract Manager or Mark-up Manager by proceeding directly to it after accessing Direct Fare Filing, your User PCC will be the Acting PCC). Upon subsequent return to Contract Manager or Mark-up Manager from the other tool (including Administration), the Acting PCC change is still assumed for the session. Note: If you change the Acting PCC but do not initiate a workflow before moving to a different tool, the Acting PCC reverts to the User PCC, both in the new tool and upon returning to the previous tool (Contract Manager or Mark-up Manager). Therefore, to work in a different Acting PCC after returning to Contract Manager or Mark-up Manager, you must make that selection on the initial screen of either application. 12 A C C E S S T H E A D M I N I S T R A T I O N T O O L 1. Select Administration from the Main Toolbar. 2. Then select User Profile from the Administration Selection menu. ADD A U S E R P R O F I L E The User List tab displays. When you initially display the User List, The system displays only the Administrator s profile. 3. Click Add to add a new user. 13 4. Define the user profile. In the ADD/Update User Profile area: In the User ID box, enter the new user s Sabre system ID. enter the new user s First Name. enter the new user s Last Name. enter the new user s Phone number. enter the new user s . In the Administration section: Select User or Administrator User Type. In the Agency User Defaults section: enter the new user s default User PCC. Consolidator active only for consolidators. In the User Preferences area: Select the appropriate permission (Not permitted (N), or Permitted (Y)) for Use of geographic codes in Viewership. In the Contract Manager Access area: Select the checkbox for the privilege being assigned to the new user. In the boxes, enter any additional PCCs the new user is authorized to work in while using Contract Manager (Click + to add a row for additional codes). In the Mark-up Manager Access area: Select the checkbox for the privilege being assigned to the new user. In the boxes, enter any additional PCCs the new user is authorized to work in while using Mark-up Manager (Click + to add a row for additional codes). Note: You may click Copy to Mark-up Manager button if Mark-up Manager privileges are the same as those for Contract Manager. In the Fares Web Service Access area: Select the checkbox for the privilege being assigned to the new user. In the boxes, enter any additional PCCs the new user is authorized to work in while using Fares Web Service (Click + to add a row for additional codes). Click Save. 14 The User List displays with the new user data. At a glance, you can identify privileges assigned to a given user in Contract Manager, Mark-up Manager or Fare Web Service. To add additional users, click Add again and repeat step 4. To exit the Administration tool, select the desired menu from the Main Toolbar. SEA R C H F O R A U S E R P R O F I L E Follow steps 1-2 under Access the Administration Tool. The User List tab displays. 3. Click Search. All fields on the User Profile Definition tab are blank, so that you can provide the desired search criteria. (partial display) 4. Complete desired search fields. The following search fields may include asterisks (*) as a wildcard. User ID First Name Last Name Phone number 5. Click Search. The User List displays the users whose data match the search criteria provided. If you need to view or edit a given user profile, refer to the section below. 15 V I E W O R E D I T A U S E R P R O F I L E As described previously, perform a search for a given profile using the desired search criteria. From the results on the User List tab: 1. Select (click to highlight) the row identifying the user whose profile you wish to view or edit. 2. Click Edit or View, as applicable. 3. The User Profile Definition tab displays with the requested user profile information. If you selected Edit from the previous screen: Make the desired changes. Click Save. If you selected View from the previous screen: After viewing, the only active option is to click Cancel. Note: Once an individual s user profile has been established, the User ID and User PCC may not be edited. To exit the Administration tool, select the desired menu from the Main Toolbar. C L O N E A U S E R P R O F I L E As described previously, perform a search for a given profile using the desired search criteria. From the User List tab: 1. Select (click to highlight) the row identifying the user whose profile you wish to clone. 2. Click Clone. 3. The User Profile Definition tab displays with data from the cloned user profile. 4. Edit data in all fields as appropriate for the user: 5. Click Save. The User List is updated with the new user data. To exit the Administration tool, select the desired menu from the Main Toolbar. C H A N G E T H E A C T I N G P C C If a user is authorized to work in PCCs other than their User PCC while in either Contract Manager or Mark-up Manager, the selection may be made on the first screen of either application. Using the Acting PCC drop-down menu, select the desired Acting PCC for the session. Note: The Acting PCC drop-down menu includes all PCCs defined in the individual user s Admin profile. 16 Create Fixed Price Fares Direct Fare Filing Quick Reference O V E R V I E W Fixed Price fares represent specific dollar amounts negotiated between a carrier and a travel agency or corporation. Direct Fare Filing delivered by the Sabre MyFares application guides you through the required screens to define fare markets, attributes (fare basis, directionality, etc.), fare amounts, and rules. C R E A T E T H E C O N T R A C T 1. On the Main Toolbar, do either of the following to access the Contract Control screen: Select Home, and then select Start Contract Manager from the Main Menu Selection. Select Contract Manager. 2. Select the desired option to specify the contract workflow. When you select Create new contract, the Contract Definition tab then displays. When you select any other option, the Contract Search screen opens. 3. Click Next. 4. Define the contract. Note: An asterisk (*) indicates required fields. Hover your mouse over the various boxes to display tool tips that identify character allowances and types of characters permitted. 5. To continue, click Continue to Viewership. Click Save if you need to complete the contract at a later time (within 60 days). Direct Fare Filing Basics Student Guide Page 16 Page 1 of 7

17 E S T A B L I S H V I E W E R S H I P A N D R O U T I N G S 6. Specify viewership type: In the Viewership Type area, the Fixed Price Fare security button is selected by default. Net Fare security is not available. 7. Select one of two options to establish viewership: Create or Modify the viewership. Select Create new /Modify existing viewership for this contract to manually enter PCC or IATA codes Select Manage Viewership at the Rule Level if you prefer to manage viewership in that manner. Link to or Import from a previously created viewership group. 8. Click Next. Link to an existing user defined Viewership Group and then select a group from the drop-down menu. Import an existing user defined Viewership Group and then select a group from the drop-down menu. Note: If you link to a viewership group and the selected group later changes, the viewership is dynamically updated for all contracts linked to that group. If you import a group, no subsequent changes to that group affect this contract. To create a new viewership group, click the link View/Create a Viewership Group. Complete the Viewership Definition tab. 9. Assign viewership codes to locations where fares may be sold/ticketed: In the Viewership Definition area, use the Type dropdown menu to select the option that applies to all codes entered in a given row. In the boxes at right of the Type menu, enter applicable pseudo city codes for which viewership is granted. Click + to add rows for additional codes. Click (+) to add row with same Agency Sales and Type. (&) for airline vendor use only. Click x to delete a row, (you cannot undo). To impose any restrictions to the viewership type specified above, use the Except the following Type drop-down menu to select the option that applies to the exceptions. Then add the applicable exception codes. Note: In the Type drop-down menu, the choice Nation Code opens viewership to all agencies in the specified nation. If you grant the ability to manage contracts at the nation level in the user s individual User Profile, the use of Nation Code is permitted. Otherwise, the system displays an error message. If you need to specify additional ticketing restrictions, click Next and proceed to Step 10. If additional ticketing restrictions do not apply, click Continue to Routings and proceed to Step 12. Use the drop-down menus, along with the checkbox and box, to select the desired options for any applicable ticketing restrictions. 11. Click Continue to Routings. 12. Select the appropriate option to either default or map to existing carrier routings or to indicate that you will provide routing details. If you select Create new routing, the Routing Definition tab is displayed in order to add routing details and create a routing map, as needed. If you select Map to the default routing for this carrier, the system creates a fare for each existing routing for the carrier between origin and destination. Upon completion of each iteration, the Contract Summary screen displays the iteration summary. To create multiple iterations, click Add from the Contract Summary screen and repeat the fare/rule input process. The Contract Summary screen also allows you to review all completed data prior to submission to the Sabre system. 15. Define fixed fare markets. In the Location Set 1 and Location Set 2 areas, do one of the following: Click Select a User Defined Geographic Group and use the drop-down menu to choose a predefined group. Click Provide geographic codes in the fields below, use the Type drop-down menu to choose a location type, and enter corresponding location codes in boxes. Click + to add rows for more codes. Note: Only city or airport codes may be included in any geographic groups selected. To create a new geographic group, click the link View/Create Geographic Group. Complete information in the Attributes area: Enter the Fare Basis code. Select the appropriate Fare Type. Select the type of trip (OW/RT) applicable to the fare. Enter the Ticketing Code to be used for ticketing/display purposes, if applicable. The system automatically selects the global indicator. However, you may use the Global drop-down menu to select any global indicator applicable to the markets and override the system selection. Select the Passenger Type that applies (defaults to ADT). The Carrier box defaults to the contract-owning carrier. If different, enter the applicable carrier code. Enter the applicable Booking Code(s). Minimum of one is required. To specify different booking codes between given locations, use the first and second Type drop-down menus to select applicable location types. Then use the first and second Location boxes to enter the corresponding location codes. Enter the Ticket Designator code, if applicable. Select the correct application from the Application drop-down list. Click + to add rows if need to enter more passenger types, carriers, booking codes, locations/types, ticket designators. 16. 20 17. Define fixed fare amounts. In the Direction drop-down menu, select the option to indicate direction of travel. In the Currency drop-down menu, select the applicable currency option. In the first Amount box, enter the numeric fare amount for the specified currency. Note: The boxes for Passenger Type and Provide the specified amount are automatically populated, based on data previously entered and are not editable. The location data input on previous screen has automatically generated a fare row for each valid market pair. Do one of the following: If the values selected apply to all fare rows, click Apply to All Records. If the values selected apply only to specific fare rows, select checkbox at left of rows and click Apply to Selected Records. Once the specified values are applied to the fare amounts table, the Direction, Currency, and Amount boxes are automatically cleared. 18. Click Save. 19. (optional) Adjust fare amounts table. In the Adjustment drop-down menu, select the option desired to increase or decrease the fare. Specify either an Adjustment Amount OR Percent. In the second Amount box, enter the numeric amount by which all or selected fares are to be increased or decreased. In the Percent box, enter the percentage by which all or selected fares are to be increased or decreased. Do one of the following: If the adjusted values selected apply to all fare rows, click Apply to All Records. If the adjusted values apply only to specific fare rows, select checkbox at left of rows and click Apply to Selected Records. You also have the option to simply click on an amount in the fare amounts table and enter a new amount. Note: If you do not want to process a fare for a given market pair, click the checkbox in the Not Processed column to the right of the row. This allows you to continue the workflow without applying fare data to selected rows. 20. Click Continue to Rules. Note: As you apply various conditions, the menu remains in place, allowing you to easily move from one rule category to another until you select either Return to Contract Summary or Continue to Miscellaneous Rules. Specify that you wish to add restrictions for the selected rule category. Note: The Override checkbox is disabled for Fixed Price fares. Upon initial display of selected category s Summary screen, checkmark indicates no restrictions currently exist for the category. (The example shown is the Advance Reservation and Ticketing category). If this box is checked, only the Save button is available. To add restrictions, remove the checkmark. 22. Click Add. 23. Add detail for the selected rule condition. Note: Specific input fields vary with each rule condition. See the MyFares help system for more information and to determine the assumption for each category if you add no restrictions. 24. Click Save. 25. Review summary for selected rule condition. Summary screen column headers correspond to the significant input fields for the respective rule. Values displayed in each column reflect the actual input from the category s Detail screen. To enter additional details, click Add, which returns you to the Detail screen for further input. Each time you use the category Detail screen to add data, an additional summary row is created. To change data, select (click to highlight) the desired summary row. Then click Edit/View, which returns you to the Detail screen where you may edit the data. To delete data, select (click to highlight) desired summary row. Then click Delete, which generates warning that data will be deleted and cannot be retrieved. 22 Once restrictions are detailed for a given category, an asterisk (*) displays on the corresponding category selection button on the Rules main menu to indicate its application to the fares. To continue, do one of the following: To apply another rule condition, select the appropriate category selection button from the Rules main menu. Click Return to Contract Summary. (optional) Define miscellaneous rules. 26. From the Rules Summary, click Continue to Miscellaneous Rules. Miscellaneous rule conditions include: Class of Service Surcharge and Minimum Fare Exclusion. Miscellaneous rules apply at the contract level. As with the general rules, use category selection buttons to apply these conditions. Then use Add, Edit/View, and Delete buttons to input data and subsequently change or delete data. 27. After applying miscellaneous rules, click Return to Contract Summary. Finalize contract data. Contract Summary for Fixed Price Fares provides a summary of each fare/rule iteration. To define a new iteration, click Add. To view data, select (click to highlight) the desired row. Then click Edit/View. To copy data, select (click to highlight) the desired row. Then click Clone. To delete data, select (click to highlight) the desired row. Then click Delete. The Upload Fares button allows you to upload fare records into Direct Fare Filing from a Microsoft excel spreadsheet. Make any changes and verify data. 28. To send all contract data to the Sabre system for processing at this time, click Submit. Once submitted, fares are generally loaded into the Sabre system within 30 minutes, depending on the size of the contract. Please wait at least 1 hour after submitting the contract before contacting the Sabre Customer Support Center to verify the contract load. To review all contract data before submitting to the Sabre system, select Reports from the Main Toolbar (See Using the Reports Tool quick reference). Direct Fare Filing delivered by the Sabre MyFares application guides you through the required screens to define a set of fare markets, attributes (fare basis, directionality, etc.), fare amounts, and rules. C R E A T E T H E C O N T R A C T 1. On the Main Toolbar, do either of the following to access the Contract Control screen: Select Home, and then select Start Contract Manager from the Main Menu Selection. Select Contract Manager. 2. Select the desired option to specify the contract workflow. When you select Create new contract, the Contract Definition tab displays. When you select any other option, the Contract Search screen opens. 3. Click Next. 4. Define the contract. Note: An asterisk (*) indicates required fields. Select Calculation method for the resulting fare: Standard Calculation Method select method from drop down menu. Select the desired Adjustment option (Reduce/Increase the Base Fare by). Use the Percent box to enter the applicable percentage. Use the Specified Fare Amount to enter the applicable amount. Partial display Due to the size of the fields you must use the horizontal scroll bar to view all fields. Select the applicable Currency option. (optional) Additional Calculation Methods - select method from drop down menu (Less Percent 1 Less Percent 2, or Less Amount Less Percent 1). Use the Percent 1/Percent 2 boxes to enter the applicable percentages. Use the Specified Fare Amount to enter the applicable amount. Select the applicable Currency option. Type the Qualifying Ticket Designator you want to use for pricing. In the Discount Applies to Fares With Minimum Mileage of box, enter the minimum mileage required per fare component to qualify for the discount, as applicable. In the Discount Applies to Fares With Maximum Mileage of box, enter the maximum mileage allowed per fare component to qualify for the discount, as applicable. The Discount Applies Conditionally with One of the Following Restrictions box is inactive but automatically populates if one of the Conditional Rules is applied by selecting Continue to Conditional Rules. 17. Complete the Base Fare Attributes section. Note: Base Fare refers to the published fare from which you are creating a discount. Therefore, completion of this section applies only when creating calculated discounts from published fares. If creating specified discounts, there are no Base Fare attributes. Partial display Due to the size of the fields you must use the horizontal scroll bar to view all fields. Complete only attributes that identify fares you wish to target. The more fields you complete, the more specific the target becomes. The fewer fields you complete, the broader the target remains. Therefore, leaving fields blank targets a wider range of fares. 27 18. Complete the Resulting Fare Attributes section. Note: Resulting Fare refers to the new fare being created. Completion of this section is required when creating specified discounts. If creating calculated discounts, most fields require completion only if information for the Resulting Fare differs from the Base Fare. The Category Selection Resulting Rule Conditions section is display only and cannot be manually edited. During the initial create process, the boxes for the rule conditions are blank until you select either Continue to Conditional Rules or Continue to Rules and subsequently return to this screen. Upon returning to this screen from the Continue to Conditional Rules option, the display for each rule category is set to the default value. Upon returning to this screen from the Continue to Rules option, the display for each rule category reflects any action taken on the respective category detail and/or summary screens. If no action is taken on a given category detail or summary screen, the default value is displayed. 19. To define rules, click either Continue to Rules or Continue to Conditional Rules. Once a given Conditional Rule is detailed, the remaining Conditional category selection buttons are disabled. 26. After applying a desired Conditional Rule, click Return to Discount Amount. Note: The Conditional versions of these 3 rules are the same as those in the Rules screen. The distinction is to advise the pricing system when to create and not to create a Discount Fare for Pricing. Unlike Fixed Price Fares and Net Fares which are pre-built and held in the database in the form of a fare record, Discount Fares are created by the system using a fare build process, when needed. Based on any action taken on the general Rules category detail and/or summary screens, the Category Selection Resulting Rule Conditions boxes reflect one of the following: OVERRIDE (override rule input applies instead of the base fare rule). Complete the Base Fare Attributes section. Note: Base Fare refers to the published fare from which you are creating a discount. Therefore, completion of this section applies only when creating calculated discounts from published fares. If creating specified discounts, there are no Base Fare attributes. Partial display Due to the size of the fields you must use the horizontal scroll bar to view all fields. Complete only attributes that identify fares you wish to target. The more fields you complete, the more specific the target becomes. The fewer fields you complete, the broader the target remains. Therefore, leaving fields blank targets a wider range of fares. Display type includes: L Selling Fare T Net with Selling C Net Fare you may make this an updateable or non-updateable fare depending on the Markup privilege settings you set in the Security screen. Note: Resulting Fare refers to the new fare being created. Completion of this section is required when creating specified discounts. If creating calculated discounts, most fields require completion only if information for the Resulting Fare differs from the Base Fare. The Category Selection Resulting Rule Conditions section is display only and cannot be manually edited. 16. 35 APPLY FARE RULES The Rules main menu screen provides the option to apply the various rule conditions. When discounting an existing fare, you may apply the conditions in addition to or as overrides to the base fare rules. When not using an existing fare, you must detail the rule restrictions, as needed. 17. Select the appropriate category selection button to apply a given rule condition. Note: As you apply various conditions, the menu remains in place, allowing you to easily move from one rule category to another until you select Return to Discount Amount. 18. Click the Net Fare category. Click Add. 19. On the Detail screen, complete any ticketing requirements, as appropriate, according to the contract instructions. 36 DEFINE SECURITY The Security tab allows you to specify security at the rule level. 20. Under Manage Security, select PCCs: PCC Group - you may Link, Import or View/Create PCC Group. PCC code select the PCC Type and enter your PCC codes. 21. Click Apply to Security to allow these PCCs access. Or click Apply to Exception to disallow these PCCs access. The PCCs display under Assign Permissions in the appropriate section. 22. Select the check box for the permission(s) you want to assign. Note: Mark Up is not permitted if you specified the display type L (Selling Fare) in markets and fares or T (Net with Selling). 23. Click Apply to All Records. You may also select one or more of the PCCs below and then Click Apply to Selected Records. 24. Click Save. 25. Click Continue to Fare Creator. If you set the Fare Amount as updateable, then using the Fare Creator is optional. If you do not need to go to Fare Creator, click Return to Discount Amounts and continue to step 30. If you set the Fare Amount as non-updateable, then the Fare Creator is required with Display Type C. 37 DEFINE FARE CREATOR The Fare Creator Summary tab eventually provides a table that summarizes each iteration of the Fare Creator. This tab allows you to define parameters for agencies to provide their own mark-up amounts or to provide system-calculated net or selling amounts. 26. Click Add to begin adding details for the net fares. 27. On the Fare Creator Table: Net/Sell populates based on what you selected on the Markets tab and is not editable. Display Type populated with the display type you selected when creating the resulting fare attributes. Direction click Between or From. Type1 - choose a location type. Location 1 - type a location code for the first location. Type2 - choose a location type (not required if you selected From for Direction). Location 2 - type a location code for the second location (not required if you selected From for Direction). Fare Indicator - select the option to be used for creating the fare. Calculated Percent enter percentage when fare indicator is C, A or M. Specified Amount enter specified amount when fare indicator is S, A or M. Specified currency enter the applicable currency when fare indicator is S, A or M. Minimum/Maximum Percent - Minimum/Maximum Amount/Currency 1 - Minimum/Maximum Amount/Currency 2 - Note: Refer to the MyFares help system for more details about the allowable Display Type/Fare Indicator combinations and for examples of Fare Indicator applications. 28. 38 FINALIZE CONTRACT DATA 30. Review results of rules activity on the Discount Amounts screen. If one of the Conditional Rules is applied, upon returning to the Discount Amounts screen, the corresponding condition automatically populates in the Discount Applies Conditionally with One of the Following Restrictions box. Based on any action taken on the general Rules category detail and/or summary screens, the Category Selection Resulting Rule Conditions boxes reflect one of the following: OVERRIDE (override rule input applies instead of the base fare rule). BASE (base fare rule applies). BOTH (both base fare rule and override rule input applies). 31. After all rule applications are completed, from the Discount Amounts screen, click Return to Contract Summary. The Contract Summary provides a summary of the markets for which discounts are created. To specify an additional market, click Add. To view data for a given market, select (click to highlight) the desired row. Then click Edit/View. To copy data, select (click to highlight) the desired row. Then click Clone. To delete data, select (click to highlight) the desired row. Then click Delete. Make any changes and verify data. 32. Click Submit to send all contract data to the Sabre system for processing at this time. Once submitted, fares are generally loaded into the Sabre system within 30 minutes, depending on the size of the contract. Please wait at least 1 hour after submitting the contract before contacting the Sabre Customer Support Center to verify the contract load. To review all contract data before submitting to the Sabre system, select Reports from the Main Toolbar (See Using the Reports Tool quick reference). 39 Using the Reports Tool Direct Fare Filing Quick Reference O V E R V I E W Direct Fare Filing delivered by the Sabre MyFares application allows you to perform basic contract queries and generate simple reports for viewing, saving, and/or printing. These reports are used in a view only mode, whereby they create no updates nor require any further activity in the contract database. T Y P E S O F R E P O R T S Two types of reports are available: Fare Detail Contract Detail Allows you to view a list of the fares associated with a given contract. Provides complete details of a contract, including fares, rules and routings, along with in-depth information regarding contract status. For example, if a contract fails to activate when submitted, access the Contract Detail Report to determine the cause. Either type of report can be viewed directly in a separate browser or saved locally for printing or archiving purposes. P S E U D O C I T Y C O D E S Report requests are limited to one pseudo city code (PCC) per report. In addition to your default PCC, also known as the User PCC, there may be other PCCs in which you are authorized to work. These are referred to as Acting PCCs. Upon changing into an Acting PCC, you not only change the PCC for creating and viewing contracts, but also the PCC for running reports. W O R K F L O W The Reports tool may be accessed from Contract Manager or directly from the Main Toolbar, independent of the contract workflow. Although accessible while working on a contract, opening the Reports tool does not impact the current contract workflow. You may wish to initially view, save and/or print reports prior to submitting your contracts to the Sabre system. This may be especially helpful for quality control purposes. If someone needs to review the contract information before it is submitted for processing, you can easily print a report or save it to your hard drive and it to a designated individual, if desired. 40 To access from the Contract List screen of Contract Manager, select Fare Report or Contract Report. S E A R C H F O R A R E P O R T When accessed from the Main Toolbar, the Reports tool opens to the Report Search tab. 1. Complete any of the fields. Only 1 field (your choice) is required for the search. All other fields are optional. If you complete multiple fields, the search assumes an AND condition, looking for contracts that match all specified criteria. Wildcard searches (use the asterisk (*) symbol) are permitted in the following fields: Fare Basis, Ticketing Code, Passenger Type, and Fare Type. 2. After completing the desired fields above, click Search (or you may press the Enter key). Selecting Clear (instead of Search) clears all fields on the tab and allows you to input different search criteria. 41 3. The Result List includes the contracts found using the search criteria. Sorting options are available for the columns displayed: No., Contract Version, Contract Label, Carrier, Account Code, and CorpID are sortable alphanumerically A-Z and 0-9 and in reverse by clicking on the column headers. Each time you click the column header, the sequence is reversed. Status sorts alphabetically and in reverse, using the complete word. This is the general contract status and maps to the status drop-down menu options on the Report Search screen. Detailed Status sorts alphabetically and in reverse and reflects only the code associated with each detailed status. User sorts alphabetically and in reverse. Linked to Viewership Group sorts alphabetically and in reverse. Notes Regarding Expired Status: When you search for expired contracts by selecting a general Expired status option on the Report Search screen, the Report List displays all contracts with a Last Travel Date that is past or that has a past expired date on the contract. It makes no difference whether the contract was expired manually or was allowed to expire naturally. 4. From the Result List, select a contract and specify a report option. Select (click to highlight) the row identifying the contract for which you wish to view, save, or print reports. Click the appropriate option: View Fare Detail Report Save Fare Detail Report View Contract Detail Report Save Contract Detail Report Note: Refer to the examples that follow for each option. If you select the option to View Fare Detail Report from the Result List screen. The Fare Detail Report window displays the data for the selected contract. You may then use the option boxes provided in the Fare Detail Report window to do any of the following: Save Fare Detail Report (opens a Save HTML Document dialog box, so you can save the report). Print (opens a Print dialog box, so you can select a printer to print the report). Close (closes the Fare Detail Report window without taking any action). Print (opens a Print dialog box, so you can select a printer to print the report). Close (closes the Contract Detail Report window without taking any action).
