2 New Features Knowledge Base Cooperative Data Management: Phase Three We announced cooperative management of WorldCat Knowledge Base data in the March 2014 release notes as a series of three improvements to be implemented over three releases that would allow users to participate in assuring the quality of KB data and allow them to submit changes to collections. Phase one, the ability to review and approve or deny data updates to the KB, has been active for several months and users have been participating. Phase two, which allows libraries to submit changes to customizable global collections, was launched with the May 2014 install and is being used by cooperative members. We are excited to announce the final phase of the cooperative suite of features. Phase three of knowledge base cooperative data management introduces the ability to submit new titles to existing customizable global KB collections, delete titles from existing customizable global KB collections, and to add entirely new customizable collections to the global knowledge base. We still have some improvements we know must be made, but this release represents all of the different aspects of the cooperative data management features. Users of phases one and two will notice some changes in the user interface. In an attempt to visually tie the suite of cooperative features together, we have changed the color of existing phase one and two buttons in the user interface to green. With the addition of phase three features to the collection and title level, we also needed change the single buttons to drop-down option buttons to accommodate added options and allow for potential future expansion. 2

Enhancements Migration to WorldShare Interface Complete Over the last year, we have messaged consistently about the migration of functionality from the Service Configuration interface to the WorldShare interface. Note that this announcement relates only to the WorldCat knowledge base section inside of the Service Configuration interface. Other modules, such your library information in the WorldCat Registry, will continue to be administered through the Service Configuration interface. All Service Configuration users should have received their new WorldShare login information from our Order Services department already. If you have not received credentials to the WorldShare interface, contact We consider the migration completed and will remove the knowledge base functionality from the Service Configuration interface at our discretion. Added Provider and Collection Details to History Summary and Details Entries In order to make reviewing data update changes a little easier, we have added the provider to summary entries. We have also added collection properties and linking information to the data update review pages. 3
4 Indexing Improvements Users have been seeing issues with inaccurate title counts in collections and delays in titles appearing in collection title lists after being added. These issues are tied to indexing problems. The nature of indexing means that there is an almost infinite amount of time that could be spent and number of improvements that could be made. So our improvement efforts are on-going. This release we ve made several improvements to address these issues. We ve added a lock to prevent duplicate actions to collections such as file uploads that waste system resources. We moved to one system of counting across different pages in order to create consistent counts within the system. We increased our cache size(s), improved the indexing processes to automatically heal certain errors, and we optimized some of our more expensive queries to speed up page loads. We hope that these steps will help to considerably reduce the number of challenges and issues our users are seeing and thus speed their workflows. Matching Improvements We have had several reports of mis-matches: links to items of the wrong content type and short title problems. As with indexing, the nature of matching is that we could spend an infinite amount of time and effort on improving matching, so our efforts must be incremental and ongoing. For this release we have significantly reworked our matching processes, which should give us a better footing on which to start for further improvements. We have taken all the problems reported as a baseline to ensure that we have corrected everything that we are aware of. We have increased the matching rate to a single OCN by 8%, bringing us to a 87% match rate (across our largest pool of test data), improved proper format type matching, and reduced false positives. We also made the matching rate slightly faster. Added Several Fields to Title Details Screen to Expose Stored Data For some time, users have been able to see some pieces of information in the KBART download file that were not present in the user interface. We have also stored some pieces of information, like grouped OCNs, that were not exposed anywhere, but were used internally to find the correct KB results. We have added these pieces of information to the user interface to bring the two features to parity and ease user workflows. Users will now see editable fields for: Author Publisher Other ISBNs on ebook, audio, video, and image formats And a read only table for Grouped OCNs on all formats Author, Other ISBNs, and Grouped OCNs are used to determine which links to show on items in WorldCat Local and WorldCat Discovery Services searches. Grouped OCNs are the OCLC numbers from 4
5 WorldCat records associated with the knowledge base title through our automated matching process, similar to the way a single OCLC number is matched. Wording Change on Local / Custom Collection Creation Screen There has been some confusion about the When Sharing setting for locally created collections. This setting determines whether a collection is customizable or non-customizable. We have clarified the wording in the interface to decrease confusion. After the collection is created by saving, the setting converts to the appropriately checked (customizable) or unchecked (non-customizable) When sharing libraries can select individual titles. Bug Fixes Google Scholar IP Ranges and Settings Not Saving We had two bugs related to our Google Scholar Export feature. One prevented IP ranges from saving, despite seeing a save message. The other prevented users from saving a change to the collection level setting once it had been changed from the default setting, even though it looked like a successful save. Both issues have been fixed. Cooperative Feature Bugs We had two bugs in the cooperative data management features. One prevented more than ten items showing in the review queue and another where using special character(s) in the comment pop-up truncated comments after save. Both have been resolved. Empty Coverage Not Saving We had an issue where users could not save an empty ending volume and issue if a value had previously been saved. This has been fixed. 5
6 Unselected Global Collection Showing Selected Shared Collection Counts We had a bug that caused the unselected global collection to show the selections and counts from the shared version of the same global collection making it impossible to effectively compare the shared to global one. This has been fixed and both collections now show the appropriate contents. Refreshing Issues In the March 2014 release notes, we noted that we were experiencing some refreshing problems after the first title has been selected or added where they were not re-appearing in the title list or appeared not to have been updated. We have resolved these issues by refreshing the page after the first title appears in the collection. Open Tab Issues We had a bug where when users had multiple tabs for collections and history entries open they would not see the correct information displayed in the main screen. We have fixed this and users should now see the correct information in the main screen regardless of the number of open tabs. Known Issues Upload Pop-up Remaining Open After File Upload We currently have a bug that prevents the upload pop-up from closing after a file has been submitted for upload. The upload is still working, users can see the upload successful message in the background, but users must manually close the pop-up using the cancel or X.
