1 CREATING PORTFOLIO VIEWS FROM THE PORTFOLIOS TAB When using views on the portfolios list, you might find that you need a view that doesn t already exist. You can create a view on the fly by using the Select Custom View menu option from the view list. This document shows you how to create a new view and rule, as well as how to create a new view from an existing rule. There are other ways to create views. For a list and description for the various ways to create them, see Views Overview: What They Are and How To Use Them. There are two ways to create a view from the Portfolios tab: building a new rule, as described below, and by using an existing rule, as described in the Creating a View Using an Existing Rule section, starting on page 5. CREATING A NEW PORTFOLIO VIEW AND RULE FROM THE PORTFOLIOS LIST In this section, we show you how to access the Add View dialog from the Portfolios tab and cover some basic on building a Portfolio rule. 1 From the portfolios list, click the down arrow to the left of the view label to see the Select View menu (see example on the right). 2 Choose Select Custom View from the menu to open the Select View dialog. 3 In the Select View dialog, click the Add button to create a new view. 2 4 The New View dialog opens. Type a name (A) for your View, up to 30 characters. 5 If applicable, enter a view Category. View categories are used to organize your views. 6 Enter a description of the View (B). The view description can be up to 100 characters long. 7 Enter the Rule name. As you enter the View name, the same name automatically appears in the Rule Name field, but you can edit the name as needed. 8 Next, set the rule criteria. To do so, look under the Rule Name on the Rules tab. There are two areas under the rule name to specify criteria: Portfolio Criteria for individual portfolios and Groups Criteria for group or household portfolios. Click the Add Criteria link in the appropriate area to begin adding rule parameters. Use the View Category to organize and manage your views to make it easier and quicker to find the view you need. For more information about creating and using view categories, see Managing and Organizing Views. 9 The Define Criteria window opens, allowing you to enter the criteria required to include a portfolio in the result set. First, select the group criteria setting: AND or OR. This setting determines the relationship of multiple criteria, if you enter more than one parameter. Select AND if you want resulting portfolios and/or groups to meet ALL parameters listed Select OR if you want resulting portfolios and/or groups to meet ANY parameters listed. 3 10 Select the Column name for the first parameter. Click the browse box to the right of the Column field (A) to open the Select Column/Custom Field dialog box. 11 In the Select Column/Custom Field dialog box, select the name of the column you want to add. You have a choice of: All portfolio fields Any Custom Portfolio Fields you have created Hidden attributes, such as Last Modified Date for the portfolio, default account, and advisor assignment Items associated with portfolios, such as Billing Specs, Models, and Targets 12 Not only can you base rules results on which of these items has been assigned to a portfolio, but you can also base it on attributes of these items. For instance, you could build a Rule to include any portfolio that has a model assigned that is based on Asset Class. Click OK to save the column name. 13 Select the Operator for the selected parameter. The operator is the relationship between the Column and the Value, such as Equals, Less than, or Greater than. The available operators depend on the field s data type. Use the drop down list to choose the operator for this condition. See the table below for a list of operators: OPERATOR DESCRIPTION = Must match exactly. <> Does not match exactly. >, <, >=, <= Greater than, less than, greater than or equal to, less than or equal to. Is Blank Is Not Blank Contains Does Not Contain Ends with Starts with No value is entered for the field. For example, Model Name Is Blank returns all portfolios with no Model assigned. Any value has been entered for the field. Contains the specified text anywhere in the field. Use? as a wildcard to represent a single character. Use * as a wildcard to represent any number of characters. Does not contain the specified text anywhere in the field. Contains the specified text at the end of the field. Contains the specified text at the beginning of the field. See Operators for Rule Conditions for a detailed description of each operator, including its related data types and how it functions logically. 4 14 Enter the Value for the parameter. Click the browse box to the right of the Value field and select the value from the list. The available values should correspond to values available in the database. 15 Click OK to save the selection. 16 On the second line, click the browse box to the right of the Column field and select the next criterion. In this example, we selected Taxable Flag. 17 In the Operator field, select the appropriate operator. In this example, we selected =. 18 In the Value Field, select the value you want to filter for on the criterion. In this example, we selected Security. 19 Click OK to save the criteria changes. The rule now displays State of Primary Residence = NC and Taxable Flag = True. Creating Portfolio Views from the Portfolios Tab Page 4 of 7
5 20 The rule limits the number of accounts appearing in the View. Usually, the shorter list only gives you half of the information you need. Add Data Columns to crossreference the shorter list with additional information. Click the columns tab in the New View dialog to see the list of columns. 21 The list on the left contains all the available column names; the list on the right contains only the columns appearing in the View. Scroll through the list on the left to find the names of the columns you want to add to the View. When you find one you want to add, select it and then either click the right arrow or double click the name of the column to add it to the right. 22 Once you have selected all the columns you want to appear on the View, you can order them on the right. Select the column you want to move and then click either the up or down arrow to move it s position in the view. Columns at the top of the list appear on the left. 23 When you finish adding and moving columns, click OK to see your view on the Portfolios tab.
