1 Calendaring & Scheduling Toolkit User Exercises In this document you will find Bamboo Calendaring Toolkit exercises which will walk you through some common scenarios for using these products, and will also provide a hands-on method to accelerate your understanding as to how they work. All of the information below can also be found in our Online Application Notes for each product. Note: Some of the exercises in this workbook are interdependent, so we recommend that you follow each section, in order, from beginning to end.

3 Common Tasks Throughout these exercises, we will be asking you to perform common SharePoint actions. See the instructions below for reference. Modify a Web Part When we ask you to modify a Web Part, we simply mean to click the Web Part actions arrow and select Modify Shared Web Part. 2

4 Calendar Plus Exercise 1-1 Change your Work Week to Monday through Friday 1. Navigate to the Onboarding page and modify the Onboarding Tasks Bamboo Calendar Plus Web Part. 2. In the configuration tool pane, select the Calendar Plus Web Part Settings button. 3. Under the Day and Work Week tab, check the days that are in your Standard Work Week and then select Monday as the first day of the week: Exercise 1-2 Change your default view from month to work week 1. Now that you have set your days of the week, go into the General Settings tab and change the Default Calendar View to Workweek View: 3

5 2. Click the Save button, and then the Close button, to save and close the Calendar Plus Web Part Settings window, then click the OK button in the Web Part configuration tool pane: 3. Your calendar view will now display Monday through Friday as the default view: 4

6 Exercise 1-3 Display Onboarding Tasks on the Hiring Agency Calendar. 1. Navigate to the Hiring Agency page and modify the Hiring Agency Tasks Bamboo Calendar Plus Web Part. 2. In the configuration tool pane, select the Calendar Plus Web Part Settings button. 3. Select the SharePoint List and Library tab, and select Bamboo Project Task List Onboarding in Step 2 of the Web Part configuration: 4. Step 3 requests Item Display Column and Single Date field. Select Title and Due Date from the drop-down menus: 5

7 5. In Step 4, select the Use List View radio button, and select All Tasks as your view. Select the Runtime Filter View checkbox and then click the double-arrow button to select all Available Views. Click the Allow users to add new items to this list checkbox and name the calendar Onboarding Tasks: 6. For Step 5, highlight Priority, Status, % Complete, Assigned To and click the single-arrow button. Control-click to select multiple items. 7. You can skip step 6. In Step 7, select Priority as the Column to Color Code. You can either leave the default colors or feel free to select your own. 6

8 8. You can either skip Step 8 or pick your own custom color to identify the calendar. 9. IMPORTANT Click the Add this List or Library to Calendar button: 10. Click the Save button, and then the Close button, to save and close the Calendar Plus Web Part Settings window, then click the OK button in the Web Part configuration tool pane: 11. Your calendar view will now display the color-coded Onboarding Task list items. 7

9 Task Master Exercise 2-1 Create and Assign a task to yourself 1. Navigate to the Recruiting page and click on New Item link in the Recruiting Tasks Bamboo Task Master Web Part. 2. Input a Title, input your sandbox username in the Assigned To field, and select the Check Names icon, input a Start Date and Due Date, and then click the OK button to save the new task. 3. Navigate back to the Hiring Agency page and take a look at the My Tasks Bamboo List Rollup Gridview. You ll now see the task you just created. This is Bamboo List Rollup in action, automatically aggregating all tasks from the site collection and filtering to show only those that are assigned to you. Exercise 2-2 Change the Task Master filtered view to My Tasks 1. Back on the Recruiting page, modify the Recruiting Tasks Bamboo Task Master Web Part. 2. In the Task Master Configuration section, you can select the view of the task list that you want displayed. Select the My Tasks view. 3. Click the OK button to save changes, and you will then see a filtered view of only the tasks assigned to you. 8

10 Exercise 2-3 Change the Column to Color Code 1. Modify the Recruiting Tasks Bamboo Task Master Web Part. 2. In the Task Master Configuration section, scroll down to Color Code Settings, select Status and then choose the color you would like to represent each status. 9

11 3. Click the OK button to save changes and to see the tasks color coded by Status. 10

12 In/Out Schedule Board Exercise 3-1 Add Vacation time 1. Navigate to the Recruiting page and click the Recruiting In/Out Schedule link. 2. Click on New Item and fill out the form with Title, input the current date and time for Start Time, input an End Time, input your sandbox username in the EmployeeID field, select the Check Names icon, and select Out of Office for Status. Click the OK button to save your changes. 3. Navigate back to the Recruiting page and you will now see your new Out of Office indicator. 11

13 Exercise 3-2 Configuring the My Status Web Part Using the Tool Pane 1. On the Recruiting page, modify the Bamboo In and Out My Status Web Part. 2. In the Enter Site URL field, input./ to use as the relative URL. 3. Click Connect. 4. Select the Bamboo In and Out Calendar List from the Select List Name drop-down list. 5. Select EmployeeID from the Select User Name drop-down list. This is the column the Web Part will use to determine which items are associated with the user. 6. Select Status from the Select Status Column drop-down list. This is the column from which the Web Part will determine the user s status. 12

14 7. Select all of the status values to associate with Out status from the Available Value list, and add them to Value To Out of Office. Any status value included here will be considered Out by the My Status Web Part anything not included will be considered In. 8. Select End Time from the Return Date Column. 9. Select Comments from the Select Comment Column drop-down list. The Web Part will display this column s information along with the status of the user 10. Click the OK button to save, and you will now see your Out of Office Status (assuming you have input the current date and time as per 3-1 Step 2. 13

15 List Rollup Exercise 4-1 Create a Rollup of Recruiting and Onboarding Events 1. Navigate to the Hiring Agency page, scroll to the very bottom of the page, and select Restore on the Bamboo List Rollup Schema Designer Web Part. 2. Click the New Schema link in the Web Part. 3. In Step 1, click the Configure Discovery Mode button. Select the Automatically Find Lists in Site Collection option, and click the Save button. 4. For Step 2, click the Select a List button. Input the relative URL./ in the Select a Site field, click the Load Lists button, select the Recruiting Events list, and click the Save button. 5. Step 3 is easy - just click the Include List in Rollup button. This now includes the Recruiting Events list in your rollup and will now find and aggregate all Event type lists within the Site Collection automatically. 14

16 6. In Step 4, click the Select Columns button. Select End Time, Location, Start Time, and Title (Ctrl+Click to select multiple items), and select the single-arrow button. Select the List Name and Site Name checkboxes and click the Save button. 7. Click the Define a Filter button in Step 5 and leave All Items selected. Click the Save button. 8. In Step 6, click the Define Recurrence button. Select the Expand Recurrence Items checkbox, select the Year radio button, and click the Save button. 15

17 9. We can skip Step 7 for now, as we do not want to exclude any lists. 10. Click the Schema Settings button for Step 8 to finish creating our Rollup. Name the schema Department Events Schema and click the Save button. 11. Click the Preview Rollup button to see what data will be contained in the Rollup. You should simply see a summary view (does not contain all items) of Onboarding events. 12. Click the Create/Update Schema button to finish creating the Rollup. Exercise 4-2 Configure List Rollup Grid View to Display Hiring Agency Events 1. Select Site Actions > Edit Page. 2. Select Add a Web Part in the middle zone to open the Web Part Gallery. 3. Select the checkbox for Bamboo List Rollup Grid View in the Bamboo Solutions section: 4. Input Hiring Agency Events for the Grid View Name, input./ for the Site URL, and click the Load Schema button. Select the Department Events Schema: 16

18 5. Expand Column and modify as shown in the screenshot below: 6. Expand Group By and Select column to group by Location: 7. Expand Grid View General Settings and select all checkboxes: 17

19 8. Click the Show Data button to view your rollup in the Grid View. Play around with the Filtering, Sorting, and Grouping options in the Grid View.
