2 Welcome to the Faculty Of Education s new generation of online subject delivery. The Faculty of Education is using an alternative Learning Management System (LMS) Jansion Toolbox for the delivery of a number of its online courses Staff will be able to modify their subjects in a simple, non-technical way. The implementation of this LMS will be post graduate courses especially for those course that are delivered completely online. Subjects requiring an online component, using Janison, will be developed based on the specific needs of the subject and an overall demand for web presence This system requires a commitment from you both in preparation (staff development) and ongoing site monitoring and use. The JET Team is not solely responsible for your subject online. 4 Section 1 - The Subject Development Process 1. Subject coordinator (and their team) set up an initial plan needs analysis for the subject with Faculty Support Manager (Ian) 2. The lecturers/tutors will then work with their team to design a framework for the subject. This may result in a graphical representation of the various components & related links See Appendix for Subject template 3. The JET team mainly Ian & Dave, will then work with this structure and design and construct the layout (web pages.), The faculty has a subject template that will be used for the initial design of the site. 4. At this stage the lecturers/tutors must then be prepared to commit time to professional development, in order to: a. Become familiar with the overall design & use of a Janison site b. Revise their initial design 5. The Subject team supported by the Janison team, will then work with the subject content in the design and construction of learning materials, adding content & redesigning the original framework. In Summary The typical process for getting an online subject from the drawing board onto the Internet uses a three-stage model. Initial design & Development - subjects are built using the template and content is added to them Professional Development & Testing - provides an opportunity to ensure that new subjects are working effectively before they are offered to students Live Online - where students and teachers access the subjects Janison Toolbox A Step-by-Step Guide For UOW Staff - Page 4

5 A Few Technical Notes: Using Janison will require some changes in the way you interact with the Web. One of these is the choice of internet browser. To use many of the new features of the system we suggest you change to a new next generation browser called Firefox. It is available for Mac and Windows. All settings including bookmarks can be imported from your old browser See Fac Ed. IT support to have Firefox installed and setup on your machine. It is also available as a free download from Apart from the basic installation, to allow for efficient use of this browser, you need to make a small adjustment to how it accesses the Janison environment. You need to change a Preference in Firefox. 6 Section 2- Accessing your Subject 1. Accessing your Janison site depends on your UOW account status. On campus staff & students can access via the Faculty of Education Homepage. ie UOW Homepage- Faculties- Faculty Of Education- Janison logon It is a good idea to bookmark this address for later easy access Other staff/visitors who do not have a permanent UOW account should access their subject using: You will then be presented will the Janison logon page Note: A number of support documents are available on this page Janison Toolbox A Step-by-Step Guide For UOW Staff - Page 6

7 2. Logging on For permanent UOW Staff & students Type in your normal UOW user name and password. (the same format as your UOW account) Casual UOW staff/visitors will have their name & password established in consultation with the Janison Team 3. You will now be presented with your Toolbox Desktop Your Toolbox Desktop is available to you at all times it remains in a background window and is used to manage certain aspects of your site. Do not close this window. It is also used to Log Off (top right corner) 4. You may like to look at, and change, your current details here For UOW staff & students - do not change your password here as it will have no effect on the main UOW password check For non UOW staff & students use this facility to change your initial password, and update your details. 5. Explanation of some of the features of your Subject Menu Course header image Headers Access to separate modules (units/topics) All these buttons can be defined, moved or turned on & off by you Here you can change /update your details - inlcuding your password Indicates who is currently online This is where you can change all these buttons If your subject contains modules Clicking on the Modules/subject/topics header will give you access to separate sections of this site that will look like a new site. 10 Section 3- Modifying Existing Pages Once your subject is established you may like to change the actual content, look of a particular page, or the display in the side bar navigation frame. A. Simple changes to pages Janison has a built in page editor called Toolbox Editor or TED. TED s collection of tools is similar to those of a word processor. 1. Go to the page you wish to edit. If your page has this symbol this will give you access to edit the current page. 2. Click on the on the top right of your screen to start the editing process. 3. Enter an admin user and password this is different from your normal logon. The username will be uow. Then your regular UOW username e.g uow.johns but your password will be different. Contact: Ian ( ) or Dave ( ) for these. This will take you editor. into the Note: Placing the cursor on an icon will display its function. You can now make changes to the page. The editing features are not extensive but for minor alterations TED is quick and easy. 11 B. Modifying the Navigation menu (Side Bar) Here you can edit item names, change their position or add new ones. In Janison this is referred to as CONFIGURING YOUR COURSE 1. You can access this either at the bottom of the Navigation Side bar or using the palette icon on the top icon bar Here is the main Configuration screen Most of the changes will be done using the Navigation Objects Nav Objects Use the tab to allow you access your particular page. 12 The Navigation items will then be displayed with their details Note: By placing your mouse cursor near one of the options will display its function Edit a Navigation Object. Adding a new Nav Object immediately above the arrow. A new screen will appear on the right Changing the order of Navigation Objects buttons. Deleting Navigation Objects Hiding Navigation Objects (it will turn red). This may be useful for when you want give students access to a page only at a certain time. 13 C. Creating new pages from scratch This involves 2 steps: Creating an item in the Navigation menu (Side Bar) then. Creating the actual page Step 1. Firstly we need to create the new item in the navigation bar 1. Click on the Configure Course button 2. Use to add a new Nav Object immediately above the arrow. You will be presented with a blank item in the Navigation frame Make the Object type a URL 3. Type in the name (caption) for this item e.g. Task 3 Details 4. In the Url text field, at the end of the existing text, type in a forward slash (/) then the name of this new page, followed by the dot asp extension (ie.asp). Eg: Therefore at the end of the path already in the text field, you will have added /task3.asp 5. Click Update to create this link to the new Nav Object. 15 Step 2. Now we need to create the actual page that this item links to. 6. In the Navigation frame click on your new item e.g. Task 3-Details You now have a number of options of how you will create this page. The simplest option is to start with a new blank page - choose Edit in TED Note you will be asked for the Admin Name & Password before continuing. This is different from your normal logon. The username will be uow. Then your regular UOW username e.g uow.johns but your password will be different. Contact: Ian ( ) or Dave ( ) for these This will present you with a new blank page with the word processing type feature. - You can now add/change your content here. 16 Other options for creating this new page. Option 2: Using a template These ready-made templates may save you time in setting up the layout & content of a page. The schedule template sets up a table for input of lecture notes etc on a week by week basis. See Appendix 3 for other sample templates. For example the student exercise - template includes the toolbox components: memo, bookmarks & a file upload Option 3: Cut & paste to create a new web Page This option provides a similar process to that described in Cutting & Pasting see Page 15 without the need to use a basic text editor. Note that formatting will be lost using this method. Option 4: Uploading an existing file EG. An html file (a web page) If you have such a file ready you can upload it using this option. 17 Section 4 - Using Word or Powerpoint files Word Documents If you have Word documents (or parts of), that you wish to use on your site, you can either cut & paste or include the complete document. Alternatively you can attach a link (a File download Toolbox component ) to an existing page and attach your file this will enable students to download the file to their own machine. i. Cutting & Pasting This option will lose most of the formatting - you will then need to go through and manually replace the format. To take content from your Word file: Setup the page in Janison - ready to receive the text Open your Word file copy the section or the whole document. Switch back to the Janison page (make sure you are in TED bottom of your page click on the Source Mode Paste onto the page At the bottom of your page click on the Design Mode Your text will now need formatting ) - & at the Remember to save your changes using ii. 2. Using a complete Word or Powerpoint File. Before inserting your file onto your site make sure that the file name doesn t contain any spaces or strange characters and it has the.doc or.ppt E.g. Use Topic A_Assignment1.doc not Topic A - Assignment #1 This process is similar to creating a new page from scratch see Page 11 Configure Course and then add a new Nav Object Change the Object type to Content Click the Content tab Add your Title e.g. Topic A - Assignment Details Change Content Type to Word Document or Powerpoint Janison Toolbox A Step-by-Step Guide For UOW Staff - Page 17

18 You will now need to upload the new file Click the blue to access the file directory. You will need to enter the Admin username & password This will present you with the File Browser Choose upload a new file This will enable you Browse and find the file on your own machine & upload it the Janison Server Click on the file & then choose select This will place the correct path for the file.e.g. Now press update The name of your new file will now appear in the left hand side menu. E.g. Topic A Assignment Details Click on this file name This will show a blank screen - but with a little O (MS Office) Click the O next to your TED icon. 19 Note if your word document has separate sections (Section Breaks) you can split the document into separate web pages tick the box Choose update Now click this item in your menu Your file is now embedded as a page in your site. Janison Toolbox A Step-by-Step Guide For UOW Staff - Page 19

20 Section 5 - TED s commonly used functions Adding a Hyperlink Allows a hyperlink to be placed behind text or an object. Use this when you want to link to an external web address (Url). Just highlight the object or text you want to use as a link then click the link icon. Then type the path to the specified web address or file, e.g. the google address as above Note: If this is an address you would need to add mailto: For example: in the above URL box you would type mailto:iano@uow.edu.au Using the drop down black triangle will give you a list of all the other pages in your site choosing one of these will give you this internal link. Adding an Image Opens the Toolbox File Directory - this allows you to browse to and insert an image from your computer or from the remote server. Linking to another Nav Object in your course if you need to link to another page (Nav Object) within your course, use this Toolbox function. 22 Section 6 - Commonly Used Toolbox Components One of the exciting features of Janison Toolbox is the Component Library. These components enable you to add interactive elements such as discussions(forums), , drop boxes and annotations - directly onto any page. Following is a description of three of the commonly used components: File, Forum, and Memo. 1. Adding a File component This component allows users to upload and download files such as (Word, PowerPoint files etc) to/from a page. This component comes in three versions, which are: Teacher Upload Component allows teachers to place a file onto the page for students to view. Student Upload Component - This allows students to upload and download files to a page and assigns them the rights to alter these files. Page Upload Component This is a common file area where all people able to access the page can upload and download files. They can alter any file on the page. 1a. Setting up a Teacher File Component. 1. Open your page where you want to insert the file component in TED. 2. Click on the icon. This will open up the Toolbox Component Library Leave The The editor TED will name the component for you 3. Choose the Teacher you want from the Category list. 4. Choose the Files you want from the Type list. 5. Click SAVE to save the component in the page. This will place a Teacher File box on your page. 23 Use the icon in your editor to Save the page. 1b. Using the Teacher File Component 1. Open the Component by clicking on the red icon in the page. 2. Use the Browse button to locate the file you want to upload from your computer or network. 3. Click the Upload button to add the file to the page. 2. Adding a Forum A Toolbox forum (or discussion board) component can be placed on any page you want a discussion to take place. 2a. Setting up a Page Forum Component 1. Open the page you wish to place your forum in TED. 2. Click on the icon. Leave the Name field as it is. 3. Choose Page from the Category Drop-down box. 4. Choose Forum from the Type Drop-down box. 5. Click the Save button to save the Forum to the page. 6. Click the icon to Save the page. The new Forum is now shown on the page. 25 2b. Modifying your forum Only users with Teacher permissions can modify and facilitate forums. If you find you cannot modify a forum you have placed on a page, speak to JET so that you get the correct permissions. 1. Click the Author button to switch into Author mode. You will find the Author button in the top right hand corner of the right frame. You might need to scroll up to see it. If you do not see it, it means you do not have the right permissions. Speak to JET to get the right permissions. 2. Click the icon next to Modify News/Forum Options that now appear below the Forum. This will open up a box that will allow you to configure the forum to suit your needs. 3. Type in a name for the forum and select, either to have the forum to appear closed or open on the page. Experiment with these options to find what you want. 4. Click the icon to Save the new configuration. 5. Click on the icon in the top right-hand corner of the screen where the Author mode button was. This will return the page to normal viewing mode. Your students will now have access to the forum. 3. Adding a Memo The Memo Component allows users to make notes within a web page. Notes are private to the user who created them; however teachers can review some of these notes and make comments. Types of Memos Student and group a. Student Memo - 2 different forms Student Memo (viewed by the student and the teacher not other students) Private Student Memo (viewed only by the student) This memo could be used as a quick student response mechanism b. Group Memo Teachers can also use this Memo component to leave messages for their students. The Janison Toolbox A Step-by-Step Guide For UOW Staff - Page 25

26 message will be displayed whenever students log on, 3a. Setting up a Student Memo Component 1. Open the page you wish the Memo to sit on, in TED. 2. Click on the icon to open up the Toolbox component library. 3. Choose Student from the Category Drop-down box. 4. Choose Memo from the Type Drop-down box. 5. Leave the Column and Row lengths as they are. You can change the size of your memo according to your needs by adjusting the Column and Row sizes. Experiment with this until you get what you want. 6. Click the Save button to save the Memo to the page. 7. Click the icon to save the page. The new Memo is now shown on the page as a small icon in which the student can click on and type in notes or responses which remain on the page. These notes can also be edited by the student and reviewed by the teacher. Example: Question of the Week The example below uses a Group memo to pose the question and a student memo to allow all students in the group to respond. 27 3b. Reviewing students memos A teacher can review and comment on each students response 1. As a teacher Log on to the page 2. Click on the icon to open the Memo. 3. Click on the Review All icon to open the Memo Review tool. 4. Add any comments you like to the text boxes provided. 5. Click the icon to Save your review comment When the student logs on they will receive an announcement with the teacher s response and when they go to the page containing the memo they will also see this reponse Janison Toolbox A Step-by-Step Guide For UOW Staff - Page 27

28 Section 7- Assignment Collection Tool 1. Setting Up a page for Assignment Collection This involves 4 steps: Creating an item in the Navigation menu Creating the actual page Setting up a Student File Upload component Setting the Assignment Criteria Step 1. Firstly we need to create the new item in the navigation bar 1. Click on the Configure Course button 2. Use to add a new Nav Object immediately above the arrow. 3. Make the Object type a Content 4. Type in the Title for this item e.g. Task 3 5. In the Content type change this to Assessment 6. In the Page Url text field, type in a forward slash (/) then the name of this new Url object, followed by the dot asp extension (.asp). a. Eg: At the end of the path already in the text field, type in /task3.asp b. Click Update to create this link to the new Nav Object. You should notice a new button in the Navigation Frame as the screen refreshes Step 2. Now we need to create the actual page that this item links to. In the Navigation frame click on your new item e.g. Task 3 To start with a completely new page - choose Edit in TED Note you will be asked for the Admin Name & Password This will present you with a new blank page with the word processing type features. The assignment action bar will be presented across the bottom of your page

29 Step 3. We now need to insert a toolbox component to allow students to upload their files. Click on the toolbox icon Category Student Type Files Click Save This will place a toolbox component icon on your page Remember to save your changes using Your page should now look something like this Your students can now upload their assignments to this page. Step 4. Setting Assignment Criteria Once the assignment is setup the lecturer will need to Edit some of the assignment criteria. 30 Total % - of all assignments/tasks Remember to Update your changes 3. Submitting & Marking Assignments 3a. Submitting An Assignment Students navigate to the appropriate page & click in the icon to upload their file E.G. After uploading their file they must take Action & click Submit My Work ie at the bottom of their screen They are presented with a submission confirmation 3b. Marking the Assignments When a lecturer is ready to mark some (or all) of the assignments clicking on Mark will present a list of the students Janison Toolbox A Step-by-Step Guide For UOW Staff - Page 30

31 Marking a Student s Work To mark a students work click on the name (e.g. Black Cat) & your window will split into 2 windows. The whole class will be on the top and the requested student below you may need to use the scroll bar to see the students details. To examine the assignment - in the answer column click on the students file e.g. My_Task4_Black Cat.doc This will either display the file on your computer or prompt you to open or save the file. After viewing and marking the assignment you have 2 options for recording your response. Summative Specific A Summative response: Use the upper window to: ie Record a mark, Notes - for summary of the student s work this might be used to give an overall comment on a task that contains a number of components Completed keeps a tally of who has submitted Mail - the student will receive an with the results Janison Toolbox A Step-by-Step Guide For UOW Staff - Page 31

32 A more specific response: Use the lower window to choose your student (click on their name): A response file can be provided to the student in 2 ways. This may be a document with just your comments or it may be the students assignment file with embedded comments (e.g. using Words track changes option) 1. As a separate file uploaded as a file with your comments (Mac Users use this option) Click on Add a Response File in the Teacher s Response column & upload your feedback document. Note: This response file may be the student s file with the embedded comments 2. Students assignment file with embedded comments Windows users -depending on the setup of your machine you may be able to do this. Clicking on the Response file icon response & allow you to comment. - this will open a copy the students file as a If you receive this error message this may require you to install the Toolbox Launch to enable you to use this option.
