2 Preface IT documentation is the key to successfully managing almost any task in your IT environment, enabling you to track processes and systems. Establishing a detailed documentation is a tedious job if created manually. But this is not the only way to do it. The Docusnap software solution provides major advantages for the creation and maintenance of corporate IT documentation: The software supports IT staff by automatically retrieving system values and configurations, providing pre-designed reports, plans, and analyses to deliver valuable evaluations. Docusnap has proved its efficiency time and time again, and with the new version 6.1, further enhancements are available: The new DocusnapConnect interface allows to integrate Docusnap into third-party systems, such as support ticket systems. In addition, the new version helps you create, import, and manage any kind of IT asset types. Docusnap now also inventories Citrix XenServer and the permission analysis module is able to evaluate Microsoft Exchange environment permissions. 4 IT Documentation Required IT documentation always at hand IT documentation is the basis of all important decisions and planning efforts regarding your IT environment. For this reason, the IT documentation must always be up-to-date. IT documentation actually consists of process documentation and system documentation. From a best practice perspective, Docusnap has established itself as a powerful software solution for system documentation: In a first step, Docusnap collects a wealth of different data from your IT environment and stores it in a central database. Docusnap is then able to generate a variety of documents (lists, plans, overviews, reports) from this database just as required. 6 Inventory A Docusnap scan yields more than you would expect Any IT documentation is based on an up-to-date, detailed hardware and software inventory. In practice, it is very time-consuming and thus not realistic to inventory all components manually. Docusnap collects the data without interfering with the existing IT environment. 8 Visualization A picture is worth a thousand lists In real-world scenarios, it is assumed that certain planning tasks and activities are backed by corresponding plans. To create them manually, most IT professionals use Microsoft Visio. Based on the individual data scanned, Docusnap is able to generate a number of plans directly in Microsoft Visio. You can customize the visualization (layout, algorithms) of the plans created in Docusnap. To visualize the plans, the selected corporate design is used. 10 IT Assets IT documentation without limits Using the IT Assets functionality, it is possible to inventory systems manually or by data import if the data cannot be collected automatically by Docusnap. Docusnap comes with a variety of different IT asset types. If these are not sufficient for a specific case, you can extend them easily by creating additional types or classes with minimum effort. Docusnap generates the required data entry screens automatically. Of course, you can add the various IT assets to your IT concepts, IT relations, reports, and plans. 12 IT Relations Uncover complex interrelations In an IT environment, there are relations between systems and software solutions that cannot be identified and documented automatically by an inventory scan. Docusnap makes these IT relations transparent: Relations created in Docusnap can be exported to Visio and integrated into IT concepts. Docusnap allows you to assign properties, such as technical, organizational, to a previously created relation. The existing interrelations, for example between a web server farm and the database servers, the firewall, etc., are shown graphically. 14 IT Concepts Simply drag and drop to create your concepts Consultants and IT staff spend much of their time creating concepts that are used in the company as the basis for planning, meetings, or decisions. The content of these concepts is usually based on the actual data retrieved from the existing IT environment. This information needs to be added manually to the concept a tedious, time-consuming, and error-prone task! With Docusnap, you can create IT concepts directly in the software, without using a word processor. Predefined concept templates further help you with this task. 16 Permission Analysis More corporate security With today s complex, ever-changing IT environments, it is virtually impossible to keep track of the network permissions. Corporate security, however, requires that all permissions are constantly monitored. The Docusnap Permission Analysis module automatically scans the current status of permissions. 18 License Management Correct licensing backed by hard facts The disparate, immensely complex licensing models used by the software providers make it extremely hard to keep track of the status of licenses in the company. Only a user-friendly license management system reliably allows you to monitor that licenses are used correctly in the company. 20 Organization The easy way to assign documents and information There are some types of information or documents that cannot be inventoried automatically for an IT documentation. It is rightly assumed, however, that a comprehensive IT documentation includes all relevant information. Docusnap allows you to store comments and original documents of any format (Word, PDF, Excel, etc.) with each system. 22 Integration Open for exchange The data from an IT documentation can be used as basic data for other systems and processes. With its DocusnapConnect interface included in the basic license, Docusnap provides an optimum data transfer solution. No in-depth database or SQL knowledge is required to define export formats and transfer them to other systems and formats. These transfers can also be scheduled for later execution. 24 Flexibility Customization to meet individual requirements Each company has specific requirements to their IT system documentation. Docusnap can easily be customized to meet these requirements. There are three different fields of customization: By modifying visual aspects in Docusnap, the corporate design of a company (color schemes, fonts, logo, etc.) can be enforced. Settings are defined centrally and apply to all available output formats (plans, lists, reports, concepts). The second field of customization refers to the data structure. Just like data entry screens, it can be edited and extended at will to reflect company-specific information. 26 Modules and Licensing Model A tailored software solution A major advantage of Docusnap is that you cannot only customize its features, but also the license which will be tailored to the requirements of each company. The modularity of the technical features is reflected by the Docusnap licensing model. Thus, various optional models are offered besides the features covered by the basic license. The result is a license that perfectly meets the corporate requirements. It can be extended at any time when the company grows or its IT documentation requirements change. The following pages describe Docusnap from a technical perspective. We will introduce the features included in the basic license and the extensions available as optional modules. If you intend to use Docusnap in multiple companies, a multi-tenant license is available. 26

28 Operating Systems Technology Basic License Operating systems are the link between hardware and software solutions. With the Docusnap basic license, you can scan Windows, Linux, and Mac operating systems, as required. Docusnap is able to collect data on all hardware components, the operating system configuration settings, and the installed software. In addition, Docusnap takes an inventory of all objects in the Microsoft Active Directory, the associated permissions, and the group policies. The information gathered in this process can be output to predefined reports and plans. 30 SNMP Technology Basic License The inventory of SNMP devices is part of the Docusnap basic license. The SNMP scan covers all SNMP-capable devices existing in the network (switches, routers, printers, etc.). To obtain a manufacturer-specific scan, you can integrate any thirdparty MIBs, so that is even possible to get information such as printer toner levels. In addition, Docusnap performs a topology recognition based on the Spanning Tree protocol or on empirical methods. The result of the SNMP inventory can be shown in reports, by using an SNMP Explorer, and in various plans. 32 Internet Information Services Technology Basic License In recent years, Microsoft Internet Information Services has become the industry standard for.net-based web applications. Internet Information Services are extremely important for every company because they provide, among other things, the foundation of the Microsoft Exchange Server and Microsoft SharePoint Services functionalities. Docusnap retrieves all major values and settings from Microsoft Internet Information Services. The data collected by Docusnap will be presented in a report. 34 Microsoft Exchange Server Technology Additional Module Most companies use Microsoft Exchange Server as their communication platform. Docusnap collects and documents the settings and configuration options used in the Exchange environment. It is also possible to scan public folder and mailbox permissions and then generate corresponding reports with Docusnap. Docusnap provides the plans required for an analysis of the Exchange environment structures, making it easy to grasp the current situation. 36 Microsoft SQL Server Technology Additional Module In many companies, Microsoft SQL Server is the default database. Many other applications and software solutions are based on the Microsoft SQL database. Docusnap scans Microsoft SQL Server and retrieves information on database tables, columns, views, users, and groups. Based on the values collected from the Microsoft SQL Server database, Docusnap prepares E/R diagrams. Of course, the data resulting from these Docusnap scans can be output to predefined reports. 38 Microsoft DHCP/DNS Technology Additional Module Microsoft DHCP and DNS server services provide important basic technologies for operating a network. For example, without a working DNS environment, it would be impossible to use Microsoft Active Directory. Docusnap retrieves all configuration options defined for the Microsoft DHCP and DNS server services. Reports can be generated for the thus obtained values. In addition, Docusnap creates a plan to visualize how the Microsoft DHCP server services are integrated into the network. This plan provides users with a quick and concise overview of the Microsoft DHCP server services. 40 Microsoft SharePoint Technology Additional Module For many companies, Microsoft SharePoint is the optimum web-based portal solution to manage documents, lists, and workflows on their Intranet. The Docusnap SharePoint module scans Microsoft SharePoint for the settings and configurations of the various SharePoint installations. To output these values, Docusnap uses predefined reports that still can be customized at any time. What is more, the Docusnap SharePoint module retrieves the permissions granted within the SharePoint installation. Using the functionality of the optional Docusnap Permission Analysis module, the SharePoint permissions obtained by the inventory scan are presented graphically and as reports, just like normal directory permissions. 42 Virtualization Technology Additional Module Since long, virtual technologies have become an industry standard adopted by many companies. For the inventory process, Docusnap supports the Hyper-V, VMware, and XenServer virtualization technologies. In a first step, Docusnap scans the relevant properties and configurations of these technologies. Docusnap then generates various plans from the data retrieved, which present the technical facts in an easily understandable way to the user. What is more, all data collected is available in the software and can be output in the form of meaningful reports. In the context of SNMP topology recognition, Docusnap also supports virtual VMware and Microsoft Hyper-V switches. 44 Permission Analysis Technology Additional Module The Permission Analysis module extends the Docusnap functionality to include the analysis of Microsoft Windows directory, Exchange, and SharePoint permissions. SharePoint permissions can only be analyzed with Docusnap if the Microsoft SharePoint module is licensed as well. Similarly, the Exchange module is required for the analysis of Exchange permissions. As required, Docusnap performs permission analyses based on users or resources (e.g. directories). To visualize the origin of the effective permissions, Docusnap graphically displays the various group and user hierarchies as well as resource inheritances. Another advantage of using this feature in practice is that the descriptive reports generated by Docusnap can be scheduled for time-controlled execution. 46 License Management Technology Additional Module Using the License Management module, the installed software found by the inventory scan can be assigned to the actually purchased licenses. For this purpose, Docusnap provides an easy-to-use keyword search functionality that even allows you to group subversions of a software. Docusnap is of course able to map any common licensing models. License Management not only includes the automatic calculation of upgrade and downgrade paths, but is also able to monitor expiration dates of time-limited licenses. Monitoring scripts that record terminal server access enable you to determine the software used on each terminal server so that these licenses, too, can be managed correctly. Comprehensive reports make the current licensing situation visible to the user. Thus, it is possible to easily analyze and evaluate the respective state of licenses. The resubmission feature provided by the License Management module allows you to easily track license agreements that are about to expire. 48 Customizing Technology Additional Module The Customizing module is useful for companies which require additional data structures, object classes, or data entry forms in Docusnap. With this module, virtually any data management requirement can be met: You can extend existing elements or even create entirely new structures. The desired customizations can be made conveniently and directly in Docusnap and require no specific software development know-how.
