Page 11 Entering data 1 Starting with your cursor in cell A1, press the TAB key on your keyboard. 2 With the cursor in B1, press the Caps Lock key and enter the word BREAKFAST 3 Press the TAB key and enter the word LUNCH in cell C1. 4 Press the TAB key again and enter the word DINNER in D1 5 Press the Enter key this should take the cursor back to column A, but into Row 2. If not, use any other method to move your cursor back to A2. 6 Key in the following, pressing Enter after each one: MONDAY, TUESDAY, WEDNESDAY, THURSDAY, FRIDAY, SATURDAY, SUNDAY Your spreadsheet should look like this: 7 Move your cursor to B2 and enter the following data, pressing Enter after each entry: 1.00, 1.10, 0.99, 1.00, 0.99, 1.45, 2.50 (Do not worry that your data looks slightly different!) Wendy Wiggins 1
8 Complete the remainder of the spreadsheet in the same manner, using the following data: Your spreadsheet should now look like this: We will look at making it prettier in a later exercise. But let s save it first. 1 Insert the floppy disk in the drive until it clicks. 2 Click on File/Save As (see page 15) 3 Choose to save onto the floppy disk (A:) with the filename Food. 4 Close the file using File/Close. Wendy Wiggins 2
Page 12 Dates and Times 1 Click onto Sheet 2 of your workbook 2 In cell A1, key in the number Click on Format/Cells 4 Make sure the Number Tab is selected, and in the Category box, click on Date. 5 Select a date format, then click on OK. How old am I? One of the functions in Excel will enter today s date =TODAY() 1 Key this into cell C1 on Sheet 2. 2 Press Enter and, in the cell below (C2), enter your data of birth in the same format. 3 Press Enter again and enter the following formula followed by Enter: =C1-C2 Because you are using dates, the result is a date 4 Format the cell to show a simple number: Format/Cells/Category: Number; Decimal Places: 0/OK The result shows how many days old you are! 5 In C4 enter the formula: =C3/ This will show you how many years old you are is it right? Wendy Wiggins 3
Page 13 Retrieving a file 1 Open the workbook previously saved as Food. 2 Look at the spreadsheet and identify the following areas: Constant Data Input Data (The Processing/Output data have yet to be entered) Page 14 Simple Formulae 1 In cell E2, enter the formula: =B2+C2+D2 Followed by the Enter key. (12.3) 2 In cell E3, enter the formula: =SUM(B3:D3) Followed by the Enter key. (10) (This performs the same job, but allows you to encompass a range of cells.) 3 Now go to cell B9. Enter the same formula, but for the range B2:B8. Press Enter. 4 In cell B10, insert the formula for Average try this for yourself. (1.29) 5 For the next three cells down, insert the formulae to find the minimum of the range; the maximum and the Count. (0.99, 2.5 and 7) Did you get it right? 6 Save your work. Wendy Wiggins 4
Page 17 Replicating entries using the Fill Handle The spreadsheet is looking a little lopsided. We need to enter more formulae for the other rows and columns. 1 Select cell E3. Place your cursor over the little black box in the bottom right corner of the cell until it changes to a small black cross. 2 Hold down the left mouse button and drag the cross down to E8. This has replicated the formula into the other cells. 3 Do the same for the Total, Average, Min, Max and Count rows, by dragging the formulae across. Page 20/21 Formatting cells/adjusting column width 1 Select the range of cells that contain numeric data. 2 Go to Format/Cells/Number. Make sure it shows 2 decimal places and click on OK. 3 Some of the columns are still too narrow to show all the data contained in them select column A. Go to Format/Column/AutoFit Selection. 4 Take the cursor to the top of the columns, in between B and C, until it changes to a double headed arrow. Double-click. 5 Practice the different methods of widening and narrowing columns. Wendy Wiggins 5
