4 Section A Introduction A.1 - About this Document This document explains how to update an existing install of the Central Suite to version and above using the Central Suite Installer (CSI). The document does not describe how to add an additional product to an existing Central Suite. If you are licensed for any additional Central Suite products that you have not yet installed, it is recommended that you complete this update and then follow the Central Suite guide that describes how to add a new product. 1 CCH CENTRAL SUITE UPDATE GUIDE APRIL 2018

5 Section B Before You Begin B.2 - Program Installation The CSI is able to update any version of the Central Suite from version and above. To confirm the version of your Central Suite proceed as follows: Start the Central Suite. From the Home page click the File tab and then Help > About (or if still using the old UI from the top menu bar select Help > About) The About CCH Central windows will appear with the version number shown at the top. The image shows versions as an example. B.2 - General advice Ensure all users are logged out of the CCH Central Suite. If you make use of the CCH Microsoft Office plug-in or CCH Filing, you must close all Microsoft Office suite products (such as Word, Excel, Outlook etc.) on computers that use the Central Suite, before proceeding with this update. Ensure you allow sufficient time for carrying out the update including the Central database upgrade, which depending on the size of your database, may take a significant amount of time. 6 B.3 - Backups As with any software update please ensure you have current, valid backups of: CCH Central and CCH Document SQL databases. Note that these must be timesynchronised, with the Document backup taken immediately after the Central backup and while Central and any related CCH plugins are not in use. CCH Central program folder (by convention named Deploy). Note: The CCH Document SQL database will only be present if Document, Accounts Production or Portal has previously been installed. B.4 - Where to Run the Central Suite Installer (CSI) The CSI MUST always be run on the server / computer that holds your CCH Central program folder (by convention named Deploy). If you do have more than one Central program folder then each one must be updated in turn, before moving on to the database upgrade. Note: It is not necessary to run the CSI on every workstation that runs the Central Suite unless the Deploy folder is held locally and you are not using the Accounts Production Travel function or unless the Microsoft prerequisites are to be updated. The products listed below have an additional component known as a service. 7 B.5 - Connecting to the CSI Go to the CCH Software Support website From the home page select Product Releases and login if requested to do so. From the Product Releases list expand Central Suite Installer (CSI) then select Central Suite Installer (CSI). Review the page and familiarise yourself with the content, paying particular attention to the Notes and Warnings. Review the Installation section and tick the box when you are satisfied that the listed conditions have been met. Click the Go to the Central Suite Installer button. Note down your Client Code and Password then click OK. Click the large blue Run button and then enter your Client Code and Password. You should now be connected to the CSI with the Navigation Tabs open. CCH CENTRAL SUITE UPDATE GUIDE APRIL

8 Section C Installing the Update This section must be completed regardless of which products you are licensed for and regardless of your Central Suite install configuration. This section describes how to install the update starting from the CSI Navigation. C.1 - Updating the Central Suite Programs The Central Programs update must be carried out on the server / computer that holds your Central Suite program folder, by convention usually referred to as the Deploy folder. Click the Update Navigation Tab Click Check for Updates. 5 CCH CENTRAL SUITE UPDATE GUIDE APRIL 2018

9 A list of the new updates will be presented. Note: In the image above the products and product version numbers are for purposes of illustration only and will not match the products and product versions presented on your system. Products for which you are licensed but are not currently installed will show at the top of the window under the heading of New Licensed Products. If you have any products in this category it is recommended that you complete the update and then follow the Central Suite guide that describes how to add a new product. Ensure any New Licensed Products are not ticked / selected for installation. Click Install Updates. If the question Are you sure you want to skip the installation of these products? is presented answer Yes. The install will now begin. The window changes to display progress information. 10 When the update is complete the progress information will be replaced by the Success window. Click Exit, and then Yes when asked Are you sure you want to exit? Finally close the web browser session that is still displaying the home page of the CSI. Important: If you have a separate SQL Server that holds your Central database continue with section C.2 Updating the Central Suite Services, otherwise go to section C.3 Central Hub Service Installation 7 CCH CENTRAL SUITE UPDATE GUIDE APRIL 2018

11 C.2 - Updating the Central Suite Services Complete this section only if you have a separate SQL Server to hold your Central Suite database(s) The Central Suite Services update must be carried out on the server / computer that holds your Central Suite database(s) and, if CCH Scan is present, the computer that holds your OCR Service Start the CSI as described in section B5 Connecting to the CSI Note: The message Please specify the location of your Deploy folder should be ignored and the location left blank, as shown in the image above. 14 C.3 - Central Hub Service Installation Complete this section only if you are licensed for the Company Secretarial Central Link. The Central Hub Service installation must be carried out on the server / computer that holds your Central Suite database(s). Start the CSI as described in section B5 Connecting to the CSI Click on the Services Install Navigation Tab. Tick the Central Hub Service Folder. Click Install Note: the Install button might be just off the screen in which case a right-hand slide-bar will be available, as in the image above, to move down. The install will now begin. 16 C.4 - Database Upgrade An automatic database upgrade is required by the update. This upgrade runs as a result of the first Central login following the Central Suite update. Start Central and login as a superuser. Click Yes to continue with the automatic database upgrade. Click Yes to accept the recommended database backup. Click Yes to continue with the database upgrade. During the upgrade, the application that is being upgraded is displayed with a and a progress percentage, once the application has reached 100% one of the following symbols is returned: Upgrade was successful Upgrade failed Upgrade was successful but has script errors Where no errors are detected, the success icon is returned. NOTE: If script errors or upgrade failed are reported please contact us at CCH Software Support to investigate the matter. 13 CCH CENTRAL SUITE UPDATE GUIDE APRIL 2018

17 C.5 - Office Plugin Update This section only needs to be completed if you are licensed for Document Management and using the Document Office and / or Filing plugins. The release requires an update to the plugins. The plugins are installed locally therefore this section must therefore be carried out on each workstation that runs the Central suite. Logon to the workstation using an account that has local administrator rights. Ensure that all programs, including Microsoft Office, are closed. Using the desktop icon start the Central Suite. The following window will briefly appear. The update will complete in a matter of seconds returning to the Central Home page. C.6 - Travelling Laptops Update This section only needs to be completed if you are licensed for Accounts Production and using the Travel functionality. Laptops that use the Accounts Production Travel functionality have a local copy of the Central Suite. Providing the Desktop shortcut is correctly configured to use the CentralLoader program, updating this local copy of the Central Suite is now carried out automatically the first time that the program is used following the main server update. This automatic update can only take place if no jobs are currently Travelled Out on the laptop. If therefore a Travelled Out job is detected when starting the Central Suite, the message shown below will appear indicating that the update may not be run until such time as all jobs are Travelled back. 18 After clicking OK the existing version of Central Suite will then start. To continue with the update, proceed as follows: Travel all jobs back in. Exit the Central Suite. Restart the Central Suite to begin the update. Warning: Do not use the CSI Workstation Install option to update the Travelling Laptop. This will cause the local program folder to be deleted and replaced with a fresh copy and will negate the automatic feature that synchronises the server copy of Central Suite with the local laptop version. 15 CCH CENTRAL SUITE UPDATE GUIDE APRIL 2018

19 Section D - Completion After completing your software update, it is worth spending a few moments to check your work. To confirm the version of your Central Suite proceed as follows: Start the Central Suite. Select File > Help > About The About CCH Central windows will appear with the version number shown at the top. 20 Section E - Troubleshooting E.1 - Files in Use (when updating the Office Plugin) When logging on as an administrator to update the Office Plugin, I get a message Files in Use. This message occurs if the Office Plugin cannot be updated. The most likely cause of this is that either a program in the Microsoft Office suite is open or DM Watch Folder is open. Proceed as follows: Close the Central Suite. Close all Microsoft Office Suite programs. Look in the system tray for the Watch Folder (this is shown in the image below) Right click on the icon and select Exit. Start the Central Suite and complete the Office Plugin update. Exit the Central Suite and restart the workstation. 17 CCH CENTRAL SUITE UPDATE GUIDE APRIL 2018

21 E.2 - Large Database Warning During the update I get a Large Database Warning message This message may appear either when running the CSI to update the Central Suite or when first logging in to the Central Suite after an update, at the start of the database upgrade. The message is indicating that your Central database is approaching the maximum size that Microsoft SQL Server Express edition is capable of maintaining. Should you receive such a message, delay the update / upgrade and discuss that matter with your local IT support team or contact us at CCH Software Support. E.3 - Error Code 49 During the database upgrade I get an Error Code 49 message This message suggests there may be an inconsistency in the documents or formats stored in your database.
