3 Server Installation Instructions Overview This installation guide describes how to install the filesmart server. The server install is always the first step of a filesmart implementation and must be done before installing filesmart onto any of the workstations. Information about the changes and improvements in this version of filesmart can be found in the Enhancement Notes available in the filesmart Archive help file. Prerequisite Software Trust Accounting System filesmart is always used in conjunction with a trust-account system. It currently supports the following: STRATA Master REST Professional In order to use the filesmart to STRATA Master integration features you must have STRATA Master version 5.5 or later installed. And in order to publish filesmart documents to the STRATA Master web portals you must have STRATA Master version 5.5 or later installed. During the installation you will be prompted to select the location of the STRATA Master database, please be sure to have that on hand during the installation. In order to use the filesmart to REST Professional integration features you must have REST Professional version 10.5 or later installed. And in order to publish filesmart document to the REST Professional web portals you must have REST Professional version 10.5 or later installed. During the installation you will be prompted to select the location of the REST Professional installation, please be sure to have that on hand during the installation. filesmart License file You will need a filesmart license file (FS.lic) from Rockend to enable filesmart to function properly after installation. Please contact Rockend on or filesmartsupport@rockend.com.au if you haven t received this already. Other Components The filesmart Server installer will automatically install the following components to your computer if you are missing them. In some cases this will happen silently, but in others the installation is quite large and you will be prompted so that you can see the progress of the installation:.net 4.0.NET 3.5 SQL Server please refer to the system requirements document. An instance called ARCHIVE will be installed. If an SQL Server instance called ARCHIVE already exists this component will not be installed. Important Notes This installation guide assumes you are a local administrator on the filesmart server. You need to temporarily disable any anti-virus programs before starting the installation. Some antivirus programs disable scripts from running and this will cause the installation to run incorrectly. You may need to restart the Server to complete the upgrade. Page 3

4 REST Professional and filesmart workflow integration If you are not running Active Directory on your network and your REST Professional data is on a separate server/pc to your filesmart server; you will need to make the following in order for the filesmart workflow functionality to operate correctly with REST Professional. Setup a new user on the computer on which the REST Professional data is installed and on the filesmart server; the username and password for this user should be the same on both computers. Ensure that the filesmart Trust Accounting service is setup to run under this new user account. Server Installation 1. Locate the filesmart Server.exe installation file that you either downloaded or received on a USB drive and double click it to run. Many versions of Windows will now prompt you to confirm that you want to make system changes with the following window. Click Yes if you want to proceed with the installation. 2. Prerequisites The first step checks to see that your computer has all the system-level prerequisites installed. Any missing components will be listed. Click Install to start the installation of these components. Depending on your system this may take a while. Page 4

5 3. Preparing to Install The first step simply extracts all the installation files in preparation for the installation. Page 5

6 4. Welcome to the InstallShield Wizard for filesmart Server The welcome screen asks you if you want to proceed with the installation. Click Next to start the installation. 5. Select shared server Folder Many important filesmart files are installed to the shared server folder. This folder will be shared on your network and access by all filesmart workstations. We recommend using a top-level folder such as C:\AS_FILES or E:\AS_FILE (if you don t want to use C: drive for some reason). Click OK once you have selected the folder. Page 6

7 6. MyArchive Database Server In this step you are being asked to set the SQL Server connection settings for the main filesmart database. The following settings need to be set: a. Database Server: This specifies which network server is hosting your SQL Server and the specific instance name to use. This will almost always need to be set to (local)\archive. b. Login ID: This sets the database account to use when connecting to the database. Always set this to: sa. c. Password: This sets the password for the Login account. The default value for this is Archive1 Click Next once you have set the database settings. 7. Custom Setup The custom setup step lets you select which filesmart features you would like to install. By default nothing is selected. You have the choice of installing the following a. REST Professional b. STRATA Master c. Console Gateway Live If you select only one now you can always re-run the installer later to install another. Click Next once you have selected the features to install. Page 7

8 8. REST configuration (Optional only shown for REST Professional Install) This step lets you set the configuration settings for the REST Professional feature. The following options need to be set: a. Property Management Only: This configuration is used to tell the filesmart installer whether your REST Professional is setup for Property Management only or is setup with Property Management and Sales. b. REST installation folder: You need to select the folder in which your local copy of the REST client is installed. You should always select the root folder of the REST installation. You cannot progress the installation unless you specify a valid REST Professional folder. Click OK once you have selected the REST Professional configuration. 9. Console Database Server (Optional only shown for Console Gateway Live Install) In this step you are asked to set the Console Gateway database connection details and filesmart integration configuration. The following integration options need to be set: Page 8

Property Management Only: This configuration is used to tell the filesmart installer whether your Console Gateway is setup for Property Management only or is setup with Property Management and Sales. The following database options need to be set: b. Database server: Here you need to select the Console SQL Server database server and instance name. In the example shown the server is set to (local) and the instance name is ARCHIVE. Your settings will be different. c. Connect using: Here you are setting the connection details for your Console SQL Server database. Set the authentication method to Server authentication using the Login ID and password below. d. Login ID: Set this to the SQL Server account used by your Console Gateway software. e. Password: Set this to the password used by the above account. 10. Strata Database Server (Optional only shown for STRATA Master Install) In this step you are asked to set the STRATA Master database connection details. The following options need to be set: a. Database server: Here you need to select the STRATA Master SQL Server database server and instance name. In the example shown the server is set to ROCK-FSVM001 and the instance name is ARCHIVE. Your settings will be different. b. Connect using: Here you are setting the connection details for your STRATA Master SQL Server database. Set the authentication method to Server authentication using the Login ID and password below. c. Login ID: Set this to sa d. Password: (please enter your sa password, if you don t know it, speak to your system administrator / IT helpdesk) Click Next once you have set the STRATA Master database settings. Page 9

10 11. Ready to Install the Program You have now set all the installation settings. To start the installation click Install. The installation software will show a number of progress windows and, depending on your operating system, may install some extra components. Please proceed to accept all components. Click Install to start the server installation process. Page 10

11 12. Installing filesmart Server The filesmart server installer now starts to copy the new files onto your server. You don t need to do anything yet. 13. Install Complete The install may take some time to run through to completion. Once it s finished you ll see the following window. Click Finish to end the installation process. Page 11

12 Workstation Installation Instructions Overview This document will guide you through the process of installing filesmart to your workstation. Information about the changes and improvements in this version can be found in the Enhancements Release Notes available in the filesmart Archive help file. Prerequisite Software filesmart Server The filesmart Server installation must have already been run on your server. Outlook Plugin One of the features that can be installed by the workstation installer is the filesmart Outlook Plugin. The plugin provides seamless integration between Microsoft Outlook and filesmart Archive allowing you to archive s directly from outlook. Before you can install the plugin on a workstation you need to make sure that you have Microsoft Outlook installed. The following versions are supported: Outlook 2007 (Service Pack 3 only) Outlook 2010 Outlook 2013 Note that 64 bit versions of Outlook are not currently supported. For Office 2007 it is essential that service pack 3 is installed before the Add-in can be installed. Please see this reference for installation details - Other Components The filesmart Client installer will automatically install the following components to your computer if you are missing them. In some cases this will happen silently, but in others the installation is quite large and you will be prompted so that you can see the progress of the installation: Adobe Reader XI Office Primary Interop Assemblies Visual Studio Tools for Office Visual C++ Runtime.NET 4.0.NET 3.5 Page 12

13 Client Installation The following steps describe how to install the filesmart Client. 1. Locate the filesmart Client.exe installation file that you will find in your \\[filesmart Server]\AS_FILES\Packages\Client folder. Where [filesmart Server] is the name of your server on the network; for example \\CompanyServer\AS_FILES\Packages\Client. 2. Now launch the filesmart Client.exe. Many versions of Windows will now prompt you to confirm that you want to make system changes with the following window. Click Yes if you want to proceed with the installation. 3. Preparing to Install The first step simply extracts all the installation files in preparation for the installation. 4. Custom Setup In this step you can select which filesmart Client configuration you would like to install. If you are planning to run a Property Management owner statement collation from this workstation make sure that you install filesmart PrintMail. If you forget you can always re-run the client installer and add it later. By default the following components are selected. a. filesmart Archive: the main filesmart client interface b. filesmart Outlook AddIn: An add-on component to Microsoft Outlook that lets you save s directly from Outlook into filesmart. 14 c. filesmart Printers: Virtual printer drivers that allow you print from any application directly into filesmart. The files are converted to image (TIFF) files when they are printed like this. 5. Ready to Install the Program The filesmart client is now ready to begin the installation. Click the Install button to start the installation process. During the installation a number of other components may need to be installed, simply accept all component installations. Note however the printer driver installation instructions next. Page 14

15 6. Printer Driver Installation During the installation of the filesmart client you will be prompted with the following message when the printer driver installation begins. There are six different printer drivers available for filesmart users and this manual will describe the purpose for each and how they are installed. Click OK to proceed with the printer driver installation. 7. filesmart Printer Driver Install This is the printer driver installation welcome screen. Press Next to continue. 8. Choose the installation options: This steps lets you select which printer drivers you want to install. You have the following options: a. filesmart Archive: This printer driver lets you print from any application to the filesmart Archive pending queue. You should always select this to be installed. b. filesmart PrintMail: This printer driver is used to send reports, such as Owner Statements, from REST Professional to filesmart. It will automatically detect the report data and archive it. It is also used for compliance reports such as Bank Ledgers and Monthly Bank Reconciliations. c. filesmart Archive Dual: This printer driver lets you print from any application to the filesmart Archive pending queue, it also re-directs your document to a physical printer. This means you get to send the document to filesmart and print it out in one step. d. filesmart PrintMail Dual: This printer driver is used to send reports, such as Owner Statements, from REST Professional to filesmart. it also re-directs your report to a physical printer. This means you get to send a document to filesmart PrintMail and print it out in one step. This printer should only be installed if you have PrintMail installed on this workstation and if you are integrating filesmart with REST Professional. Page 15

16 e. PrintMail Send Assist: This printer driver is used to send reports, such as Owner Statements, form Console Gateway to filesmart. The printer is configured in conjunction with your Send Assist setup so that any documents exported through Send Assist are also directed to this printer. f. PrintMail Send Assist Dual: This printer driver is used to send reports, such as Owner Statements, from Console Gateway to filesmart. It also re-directs your report to a physical printer. This means you get to send a document to filesmart PrintMail and print it out in one step. The printer is configured in conjunction with your Send Assist setup so that any documents exported through Send Assist are also directed to this printer. For more information about configuring these printers for Console Send Assist refer to the Post Installation section later in this document. 9. Installing printers Shows the progress of the printer installation Page 16

17 10. Setup has finished installing the printer(s) on your computer. This indicates the end of the printer driver installation. 11. InstallShield Wizard Completed This step indicates that end of the filesmart Client installation has been reached. Click Finish to complete the installation. Page 17

18 Post Installation Installing the filesmart license file Open the containing the filesmart license file and save the FS.lic attachment to the AS_FILES\License folder on the filesmart Server. This folder may be on the C: or another drive, depending on where filesmart is installed. Ensure the file is called FS.lic if it isn t already. Once the file has been placed in the folder above, in a few minutes filesmart will automatically update its licensing information. If you do not have the filesmart license, please contact filesmart Support on or filesmartsupport@rockend.com.au. You can continue with the installation in the meantime but filesmart will be in read only mode until the license file has been applied as above. Test the filesmart Printer Driver Open the filesmart Archive Printer properties page by going to: On Windows XP: Start Printers and Faxes On Windows 7 or Later: Start Devices and Printers Then right-click on the filesmart Archive Printer and select Printer Properties. Click Print Test Page. Page 18

19 Login to filesmart, ensure you are in Archive Documents View so the Pending Queue is dipslayed and check to see if the printer test page appears. If it does not see the trouble shooting section. Page 19

20 Update filesmart from STRATA Master This section only applies if you have installed filesmart for STRATA Master. filesmart will update information from STRATA Master automatically every day at 1AM via a scheduled task in the Windows Task Scheduler. There is also a shortcut on the desktop so that you may run this process manually when required. Update filesmart from REST Professional This section only applies if you have installed filesmart for REST Professional. filesmart will update information from REST Professional automatically every day at 1AM via a scheduled task in the Windows Task Scheduler. There is also a shortcut on the desktop so that you may run this process manually when required. filesmart Backup Configuration filesmart has a built-in backup utility that utilises 7-Zip to back up the SQL database and document store to a compressed ZIP file. Refer to the Administrator Tasks Backup section in the filesmart help file for more information on how to use the backup utility. Scanner Configuration If you have a scanner attached to a workstation and would like to configure it to scan into filesmart, follow the steps below: 1. Ensure the scanner drivers are installed and the scanner works properly by following the manufacturer s instructions. In most cases the instructions will tell you that the scanner should not be connected to the computer until after the drivers have been installed. 2. Log into filesmart Archive and ensure the scanner is turned on. 3. From the Scan menu, select Choose Device and Select Source Page 20

21 4. From the displayed list, choose the TWAIN driver of the scanner you installed and Click the Select button (don t choose the ISIS driver if that has also been installed). Tam : The following sources are shown 5. Click on the Scan Documents button in the main Control Panel Toolbar Page 21

22 6. The scanner interface for the brand of scanner you are using should appear. If not, check that the correct scanner driver has been selected in the Scan menu and that the scanner has been installed correctly as per the manufacturer s instructions. Scanner preferences 7. Most scanner interfaces allow you to save customised scanning settings into a User Preferences list. Depending on the brand of scanner, this may be called Custom Settings or User Profiles or similar. These lists allow users to quickly choose all the correct scan settings for common scanning jobs without having to understand all the individual controls. 8. To start off, choose settings for Black and White, 200dpi, Single-sided (this option may be called Simplex ) and save this as a User Preference called B&W single-sided. 200dpi resolution gives a good quality scan and a relatively small file size. Higher resolution settings are not required. 9. Then choose settings for Black and White, 200dpi, double-sided (or Duplex ) and save this as a User Preference called B&W double-sided 10. As you use the software and find modifications to the settings that give better results, modify the User Preferences already saved. And as you find new setting combinations that work well for particular scanning jobs, add those settings to the list with a suitable description. Console Send Assist Configuration For those customers who are using Console with Send Assist the following configuration steps will need to be followed once the printer drivers are installed. 1. Open Console Gateway on the End Of Month workstation 2. Go to Tools Send Assist 3. Click Preferences 4. Select the PrintMail Send Assist printer 5. Set the Save to location to C:\ASEOM (or whichever driver the workstation uses) 6. Make sure all other check boxes are un-set and then click OK Page 22

23 Uninstalling filesmart Server The following steps describe the process to remove filesmart from the server. This includes deleting all filesmart server components such as database and documents. Uninstalling the Server Software 1. Launch the Windows control panel and open the software management tool (StartControl Panel). This tool has a different name on different versions of operating system. a. On Windows XP it is called Add / Remove Programs b. On Windows Vista and later it is called Uninstall a program when the control panel is viewed in Category View. It is called Programs and Features when viewed in Small icons or Large icons view. 2. Select the program entry called filesmart Server and press the Uninstall button. Uninstalling the Databases Warning: deleting the databases will remove all archiving data associated with the documents filed in filesmart. This operation cannot be undone unless you have a separate backup of these databases. 1. Open SQL Management Studio (Start All Programs Microsoft SQL Server) 2. Delete the FSLink2Strata and/or the ASLink2REST databases. Also delete the MyArchive database. Do this by right-clicking on them and selecting the Delete command from the context menu. 3. In the Delete Object screen, ensure that both the Delete backup and restore history information for databases and the Close existing connections options are ticked. Page 23

24 4. Click OK to delete the database. Repeat the same process for all the databases. Removing the Shared Server Folder Warning: deleting the shared server folder will remove all documents that were archived into filesmart. This operation cannot be undone unless you have a separate backup of these files. 1. The last step is to delete the AS_FILES folder on the server drive where filesmart was installed on. 2. Restart the server to complete the uninstallation process. Page 24
