Sage One enables subscription owners to invite clients and external bookkeepers to collaborate on company files. To ensure you to invite and grant users appropriate access, please see the guide below. Checklist: You are a Sage One subscription owner You have unused user licenses on your subscription to check, go to Administration Manage Users and scroll to the bottom of the page (not needed if you are inviting internal accounting practice staff) Understand the different types of users Types of users: Internal accounting practice staff and internal bookkeepers Accountants Additional accountants or bookkeepers external of your accounting practice Regular Users Business owners, business users, other users Steps to invite users Step 1 Invite User(s) Step 2 Grant Access Step 3 Adjust Permissions Extra Delete User Step 1. Invite Users Each of the processes below will prompt a system-generated e-mail similar to the one shown here. Be sure to get the user to check their junk mailbox in the event they cannot locate it. Users only need to be invited once even if they require access to additional company files. (See step 2 if they are already an invited user on your subscription.) Usersandaccess Page 3

Grant access Go to Administration, select the Actions dropdown menu against the staff you wish to grant access to, select the option to Assign Clients You will be able to drag and drop to clients to this staff. Accountants and Regular Users: For these users that have already been invite to another company file, go to Administration Control User Access Select the correct company you wish to grant access to, and drag the user as below: Usersandaccess v1.0 Page 5
Step 3. Adjust Permissions Go to Administration, select the Actions dropdown menu against the staff you wish to adjust the permissions for, select the option to Assign Clients you will be able manage their permissions for particular companies by clicking on permissions. Click the +/- to expand the selection, and check or uncheck the boxes under allowed to change access. If you no longer wish for this user to access the company file, simple select the to the right of the user. Usersandaccess v1.0 Page 6
Accountants and Regular Users: Go to Administration Control User Access. Select the relevant company you wish to adjust permissions for, then select the permissions link against the user you with to adjust permissions for. Click the +/- to expand the selection, and check or uncheck the boxes under allowed to change access. If you no longer wish for this user to access the company file, simple select the to the right of the user. Usersandaccess v1.0 Page 7
Extra. Delete User If you no longer wish a staff user to have any access to any of your Sage One files, go to Administration select the Actions dropdown menu against the staff you wish to grant access to, select the option to Delete This will completely remove access to all companies in Sage One for this user, and they will no longer be able to log onto Sage One. Accountants and Regular Users: If you no longer wish the user to have any access to any of your Sage One files, go to Administration Manage Users and click delete next to the user name. This will completely remove access to all companies in Sage One for this user on your subscription. Usersandaccess v1.0 Page 8
