How to use the Rand McNally Driver Portal The Rand McNally Driver Portal may be used to create, edit, and certify hours of service logs (or time cards, when appropriate) on any device that can connect to the Internet, when a driver does not have access to a truck equipped with an ELD. The Driver Portal works best on a PC or large-screen tablet. Accessing the Driver Portal To access the Driver Portal, open the following link in your browser: connect.randmcnally.com/connectservicesportal/account/logon Use the same user name and password that you use to log into the ELD. In the Company Code field, enter unigroup-prod then click on Log On. After logging in, you will see HOS Logs Overview below the menu bar: 3
Reports Menu There are two options under the Reports tab, Fuel Purchase and Manual Mileage. The manual mileage report is planned to not be used at this time. Fuel Purchases: To see fuel purchases you have entered, select the Fuel Purchase tab. Choose a date range and click Get Results. A list of fuel purchases will be displayed. Click on the magnifying glass icon to the left of a fuel purchase to see its details. Manual Fuel Purchase is used to enter fuel purchases when your truck has an ELD but you forgot to enter the fuel purchase on the ELD. A fuel purchase may be entered for the current day or for any of the previous three days. To add a fuel purchase, click the Add button in the upper left corner of the report grid. The Fuel Purchase Add window will be displayed. Following is an explanation of the fields in the Fuel Purchase Add window. 4
Driver: This field is pre-populated with your Driver ID. Truck: If you are adding a fuel purchase for a truck with an ELD, check the Existing button, and begin typing the truck number in the box. When the correct truck number appears, click on it. Terminal: Choose from the list of terminals in the drop-down box. Operational Authority: Choose from the list of operational authorities in the drop-down box. Location Name: Make sure the Existing button above the location name field is checked. Start typing the name, store number, or zip code of the fuel stop in this box. When the name and address of the fuel stop appears, click on it. If you cannot find the name and address of the fuel stop this way, check the Other button and manually type in the name, address, city, state, and zip code of the fuel stop. Purchase Date: Click in this field and a calendar will be displayed, from which you can choose the date of the fuel purchase. Total Sale: Enter the total dollar amount of the sale. Units Purchased: Enter the total number of gallons or liters purchased. Unit Price: Unit price is calculated automatically. Units Type: Choose gallons or liters from the drop-down box. Fuel Type: Choose diesel, gas, etc. from the drop-down box. Purchase Type: Choose personal credit card, fuel card, cash, etc. from the drop-down box. After you have filled in all of the fields, click Submit to complete entry of the fuel purchase. The Fuel Purchase report will show purchases created on your ELD as well as in the Driver Portal. 5
Compliance There are three options under the Compliance tab: Log Overview, Current Totals, and Log Copy. Log Overview: This function allows you to view, create, edit, and certify your logs in the Driver Portal when you do not have access to an ELD in a vehicle. The Driver field is filled in with your DriverID. Choose a data range and click Get Results. The screen below will be displayed. This screen shows a summary of your HOS logs for the dates you requested. The top portion of the screen shows your total time in each duty status for the period selected, and your current available and used driving, on-duty, and total on-duty time. Note that available time is calculated only on an ELD device. Click on any date to see the log for that date. 6
A checkmark in the checkmark column and on the log indicates that you have certified that log. One or more icons may appear to the right of a log date. Log recorded while vehicle/system was experiencing inconsistent behavior Log contains violations. Log had violations, but they have been removed by a later edits to the log. Log is pending edit/review. Either you or a Safety Department ELD team member have edited the log in the portal, and it is waiting for you to accept it on the ELD device. Log has revisions. Either you or a Safety Department ELD team member have edited the log after it was certified. To edit and certify your logs in the Driver Portal, click on the yellow Edit & Certify Logs button. The following window will be displayed. Certify and edit your logs in the order displayed. The button type next to the date will indicate whether you can certify, edit, or create your log for that date. 7
Click on the Certify button to certify a log. The log will be displayed. Click on the Certify button (you cannot edit the log). Next you will see a confirmation screen. Click Yes to certify the log. 8
After you click Yes, your log will be displayed very briefly with a large green checkmark and the word Certified across the front, then it will disappear. Next the Perform Edit & Certify window will be displayed again, without the log date you have just certified. You can now continue to certify, edit, or create your logs. Changes you make to your logs in the Driver Portal will be displayed on your ELD the next time you log into it. The ELD will recalculate your used and available driving, on-duty, and total on-duty time based on any changes you made to your logs for the current date and 7 days prior. If the Edit button is shown next to a date in the Perform Edit & Certify window, you can add new duty statuses on that date s log, but you cannot change duty statuses that have been entered previously. Click the Add New Status button. 9
In the Add/Edit Status window, enter the location by starting to type the city name. The system will display a list of matching locations which you can select. Enter the time (hours, minutes, seconds). Choose the duty status from the Status drop-down menu. Edit the truck number if necessary. Choose a reason for the edit from the drop-down menu, or type a remark in the box. (You cannot enter miles in this window). Click Add to complete adding the duty status. 10
Every log must have at least one Carrier. Your agency ELD Administrator should have set up at least one Carrier for your use. To add a Carrier, click on the Carrier tab, then click Add Carrier. Enter a start time for this Carrier in the Time field. Check the Existing tab and choose the Carrier. Then click Add. Time Card Entries: If your work situation does not require you to complete a log (e.g. working in a warehouse, 100 or 150 air-mile radius, etc.), you can also make time card entries in the Driver Portal. In the log edit window, click Clock In to go on duty. 11
Enter the location, time, and remarks, and click Add. To go off duty, click Clock Out and complete the window above. 12
Exporting your logs to save or print: From HOS Logs Overview, click on the date of a log your would like to save or print. When the log window is displayed, click on the Admin tab below the grid. To save or print the displayed log only, click on Use Selected Logs Date so that it is checked. 13
To save or print logs for multiple days, uncheck Use Selected Logs Date and select a date range. Select Download PDF, Email, or Fax and click the Export Logs button. If you select Download PDF, the resulting PDF file can be saved or printed. Current Totals: Shows your HOS current totals. Note that these are calculated on the ELD, not in the Driver Portal. 14
Copy Logs: This function allows you to copy your logs from another United or Mayflower driver ID you have, if you are cross-qualified, or had previously. On the following screen, enter the driver ID you want to copy logs from, and click Copy. Enter the password associated with the driver ID you are copying logs from, then click Submit. Driver Mail This function allows you to send and receive emails with your ELD device s email account. Choose a date range and click Get Results. Click on an email message in the list to open it. 15
Click on the yellow Send Message button to create and send a message. There are three message types in the Message Type drop-down menu: Free Form, Form, and Email. To send a message to an address other than Dispatch (the Connect portal for managers), choose Email in the Message Type, and then type the address in the To field above it. 16
Future Off-Duty Logs If you are going to be off duty for several days or weeks, you can schedule this off duty time in the Driver Portal. The system will create a certified log for each day showing 24 hours off duty. To schedule off duty time, click on the Schedule Off Duty button in HOS Logs Overview. You can schedule off duty time for up to 30 days into the future. Choose a start and end date from the calendar, then click Submit. 17
Click Submit again to confirm, or click Cancel to go back and modify the dates. You can view your future off-duty logs in HOS Logs Overview by choosing Next 14 Days or Next 30 Days in the date selector, and then clicking Get Results. If you come back on duty before your scheduled off-duty time ends, you can un-certify your current day s log on your ELD to start logging again.
