This manual serves as a reference guide fr Mahindra Nrth America s mcnnect lead management system. This dcument serves as a reference guide. It is nt intended t be used as a trubleshting resurce if the website experiences technical difficulties. Fr technical assistance, please cntact help@mahindradealerprtal.cm. The mcnnect system can be fund n the main page f the REDeCnnect dealer prtal. It is lcated in the Marketing Supprt sectin f the prtal. Befre using the mcnnect system fr the first time it is recmmended that each lcatin assign a designated assciate t manage the system at the lcatin. We recmmend that if yu already have a marketing assciate, that this individual take the lead n the system and be the main pint f cntact. Updated July 2015 Page 2 f 15
Intrductin The Mahindra mcnnect lead management system is a SIMPLE and EASY way t stay in cntact with yur custmers and help yu increase yur bttm line. What is mcnnect? mcnnect is a Lead Management System (LMS) and Custmer Relatinship Management (CRM) system that helps yu keep track f yur prspects and custmers, ffer services and prmtins t keep their Mahindra prducts running smthly, up-sell yur dealership Parts and Service department fferings and strengthen the relatinships that yu have wrked hard t build in shrt, mcnnect is a way t better understand yur custmer and help yu SELL MORE RED and MAKE MORE GREEN! With mcnnect, yu can uplad yur current custmer list r build a custmer list frm the grund up thrugh Dealer Open Huses, Custmer Appreciatin Events, Lcal shws, etc. Frm there, yu can create yur marketing campaign by utilizing the Mahindra Marketing Tl Kit - direct mail, phne, email, events, etc. and gain an insight int yur prspects that will allw yu t track and turn thse prspects int custmers. With mcnnect yu will be able t mnitr mnthly prgram perfrmance and cnversin tracking t custmize a campaign that will help bring custmer traffic int yur dealerships. The latest additins t mcnnect are fllw-up ptins, ability t create tasks (create, read, update, delete), enhanced ntes fr imprved fllw up, and enhanced cntact histry added fr tracking. Dashbard The main dashbard gives yu an verview f yur prspects vs. custmers n a mnthly and yearly basis thrugh the display f charts. (Tp chart) - The chart t the left titled, lead surce shws the percentage f where the leads are cming in frm. Such as, farms shws, web, walk-ins. The chart t the right titled, prspects vs. custmers shws the percentage f prspects vs. custmers. - The widgets (buttns) belw the intrductin text lead t the same page as n the left navigatin. Cntact Management Cntact management allws yu t view and edit cntacts. Yu can als view the cntact histry, tasks, enhanced ntes and filter thrugh cntacts based n certain criteria. Updated July 2015 Page 5 f 15
Add/Uplad Cntacts The Mahindra mcnnect Lead Management System makes it SIMPLE and EASY t uplad new and existing custmer leads. The mcnnect system prvides a user friendly methd t enter leads int the system. We recmmend using the nline frm which will help ensure the data is laded the mst errr prf methd as pssible. Anther ptin t lad leads is thrugh a bulk lad via Excel dcument. Please use the Excel template available n the Uplad Cntacts page t enter cntacts fr the uplad. Please uplad cntacts t an existing campaign r create a new campaign. Uplads must be dne thrugh the prvided nline frm r by an Excel spreadsheet bulk lad. Entering cntacts thrugh the nline frm is recmmended t help keep the data entered cnsistent and errr free. - If yu chse t add the cntacts t an existing campaign, yu simply select which previus campaign yu wuld like t apply the cntacts t. - If yu chse t start a new campaign, please give it a title, select where the lead surces came in frm, and the dates in which yu wuld like the campaign t run. - When lading a database f pre-existing Mahindra prspect custmer yur dealership has managed, please select a new campaign, title the list Initial Lad, and select the cntact type Initial Dealer Lead Lad. - Individual and bulk lads will take 24 hurs t lad t the system. If a change needs t be made n a recently entered lead, the user must wait 24 hurs t mdify the entry. Updated July 2015 Page 6 f 15
Dwnlad Cntacts The dwnlad cntacts aspect allws yu t dwnlad cntacts by chsing prir campaigns run r certain lead surces (direct mail, farm shw, pen huse, etc.) - Yu can specify additinal search criteria such as prspects/custmers, cunties, pstal cdes, tractrs wned, Mahindra tractrs wned, and length f Mahindra tractr wnership, custmer type, and ttal acres. - In step 2 yu can review yur filters t make sure they are crrect. Yu can als adjust the search criteria t and/r. Chsing AND will make the search mre narrw, OR will braden the result. - Step 3 nce all the cntacts have cme thrugh, yu can further filter thrugh and apply the campaign t certain cntacts. - Step 4 yu can chse t assign histry t the cntacts t an existing r new campaign and dwnlad the list t an Excel spreadsheet r yu can chse t nt assign histry and still dwnlad the list f leads. - Chsing nt t assign histry, is if yu wuld just like t view a list f cntacts and yu are nt ready t assign them t a campaign. Marketing Tlkit Under marketing tlkit are the direct mail and custmer survey features. Direct Mail The direct mail is dne thrugh a cmpany called MediaWrks. Mahindra USA, in partnership with MediaWrks Marketing, Inc., is excited t ffer The Bullseye Direct Mail Prgram a high-quality, c-p pre-apprved, sales generatin tl custm-designed t drive traffic and generate increased sales at yur Mahindra dealership. - On this page yu can brwse thrugh different templates and read dealer testimnials. Once yu are ready t make yur selectin there is a link that will take yu directly t the MediaWrks page s yu can rder mailers fr yur campaign. Updated July 2015 Page 10 f 15
Custmer Survey - A cllectin f surveys will be available t use fr farm shws, walk-in, prspect and pen huse/events. - Each survey is catered t whichever prgram the dealer chses t use. - Surveys can be used by yur internal data entry persnnel r can be setup n a laptp r tablet fr custmers t enter their wn infrmatin at an event. - If yur event requires custmers t fill ut their wn infrmatin, please cpy, paste, and send this link n t the cmputer r device yu wish t use fr custmer data entry. - Please d nt let custmers fill in their infrmatin direct int the mcnnect system. Please nte if a change needs t be made n a recently entered lead, the user must wait 24 hurs t mdify the entry. Updated July 2015 Page 11 f 15
Phase II Added Features: Tasks Under the tasks tab n the main dashbard under cntact management yu can view all the current, pending and past tasks created by the dealership. Please keep in mind yu can view, edit and mark tasks as cmplete in this sectin. Yu cannt create a task in this sectin. - In this sectin yu can filter n task type such as: phne, email, r mailing. - There is als a search functin that will allw yu t find a certain task faster. - Yu can chse t view cmpleted tasks in this sectin by checking Include Cmpleted in the tp right hand crner. - If yu wuld like t change hw many entries are displayed yu can chse t display 10, 25, 50, r 100 entries by changing the Shw entries in the tp left hand crner. - If the task is highlighted in red that indicates that this task is past due. Creating Tasks T create a task, yu must g int the individual cntact in cntact management. - Once yu are in a specific cntact scrll t the bttm and yu will see 3 different tabs. Task histry Cntact histry Nte histry - Yu will be defaulted t Task histry. This sectin resembles the main task sectin, hwever in this sectin yu have the ability t create and delete a task. - T create a task, click n the Add New Task buttn. Enter the task name, due date, task type (email, phne, mailing), task details and yu have the ability t uplad files (such as a REDeQute PDF) - Click Create Task in the bttm right crner nce yu are dne. - If yu created a task and then wuld like t delete it, yu can simply click Delete next t the task. Ntes T create enhanced ntes, yu must g int the individual cntact in cntact management. - Once yu are in a specific cntact scrll t the bttm and yu will see 3 different tabs. Task histry Cntact histry Nte histry - Yu will be defaulted t Task histry. Please tab ver t the 3 rd tab titled, Nte Histry. Here yu can add advanced ntes regarding the cntact such as what tractr r XTV they were interested in, service r parts histry, birthdays and anniversaries. - T create a nte, click n the Add New Nte buttn. Enter the nte name, and nte details. - Click Create Nte in the bttm right crner nce yu are dne. - If yu created a nte and then wuld like t edit it, yu can simply click View/Edit next t the nte. Then click update nte - If yu created a nte and then wuld like t delete it, yu can simply click Delete next t the nte. - Yu may add multiple ntes per cntact as yu chse. - There is als a search functin that will allw yu t find a certain nte faster. - If yu wuld like t change hw many entries are displayed yu can chse t display 10, 25, 50, r 100 entries by changing the Shw entries in the tp left hand crner.
