CONFERENCE PREPARATION DEADLINES Mandatory Webinar for conference session organizers at Noon Eastern (presenters are welcome to join the webinar) November 18, 2013 Deadline for session organizers to make changes to the program, changes include revised title or description, new presenters, changes to bio or contact information, and uploading of presenter pictures. After this date the only change that can be made to a program is a change in the presenters and presenter changes made after December 6 th must be submitted to ABA staff. December 6, 2013 Deadline for informing Section staff about Scheduling Constraints Additional Audio-Visual request deadline Speaker release deadline Deadline for Presenters to register for the conference and pay registration fee December 6, 2013 February 7, 2014 February 7, 2014 February 14, 2014 Last day to submit presenter changes to the ABA staff. After this date presenter changes cannot be reflected in the conference on-site program book, conference app, or on the conference web site February 14, 2014 Deadline for Materials to be included in March 17 th online posting of materials for conference attendees. Conference Location The Conference is at the Hyatt Regency, conveniently located in downtown Miami. The hotel is within 5 minutes walking distance of area attractions and a quick cab ride away from the Miami beaches.
Presenter Schedule Constraints Organizers can provide schedule constraints on the online proposal site. Schedule constraints must be added by December 6th to ensure that ABA staff will be able to consider them when scheduling the programs. Dispute Resolution Section Staff will schedule sessions after the December 6th deadline and will notify presenters by January about the schedule.
Changes to Program Information in the Online Proposal Site Until December 6 th organizers can make changes to their program within the online presenter s portal. After December 6 th the system is locked and organizers will not be able to change the program information. Organizers will be able to upload materials, speaker releases, and make additional AV requests up until mid February.
Changing Presenters Any changes to presenters made after the December 6th deadline must be made by ABA staff. If you need to add or remove a presenter, e-mail Christen Hamilton at Christen.Hamilton@americanbar.org with the submission number of your program and the needed changes. If you are adding a presenter you must provide Christen with the following info about the presenter: Name, Organization, City, State, Email address, Biography, Presenter Picture. The deadline for all presenter changes for the materials is February 14, 2014
Presenter Pictures This year we would like for all presenters to provide us a picture (a head shot ) that we will use on the conference web site and conference app. The pictures can be uploaded to the presenter portal using the link provided with your session acceptance.
Conference Registration The full conference registration rate for conference faculty is $375.00. This rate includes the conference breakfasts on Thursday, Friday, and Saturday, all concurrent sessions on Thursday and Friday, the Wednesday Symposium on ADR in the Courts, the Saturday programs, and all other non-ticketed programming. You can register online or complete the pdf registration form at www.ambar.org/spring2014. Conference Registration Requirement (from the Request for Proposals) The Conference first and foremost presents a unique opportunity for experienced ADR professionals to both learn from and share information with their colleagues. The Conference Committee expects all panelists to participate in the Conference in addition to their formal presentation. It is therefore required that each panelist registers for the Conference. In recognition of panelists' contributions to the conference, all presenters receive a discounted registration rate. A special one-day rate will also be available to presenters who are only able to attend one day of the Conference. The Conference committee will be forced to cancel and replace an entire presentation if any of the panelists have failed to properly register for the Conference by the February 14, 2014 presenter registration deadline.
Session Materials Most of the conference sessions will be offered as CLE programs. The ABA requirements for CLE credit mandate that substantive written materials accompany each presentation. Materials prepared for the session as well as popular or academic articles and white papers relevant to the discussed topic are generally expected. The bare minimum is a detailed two-page outline of the presentation with an accompanying article. Bibliographies are not considered sufficient and must be accompanied by the presentation outline or an article. Papers and articles should be written by the speaker or the session organizers must have the appropriate permissions in writing before submitting someone else s materials. A thoughtful contribution of relevant written materials adds valuable information and resources which cannot be covered in the short 60 or 75 minutes allotted to most of the presentations..
Submitting Session Materials Session organizers must provide the required written materials no later than February 14, 2014 or the presentation will be replaced. Only one document with materials may be uploaded for each session. If presenters on a panel wish to compile multiple documents for session materials, it is the session organizer s responsibility to combine the documents into one file. Materials must be provided in either Microsoft Word or Adobe PDF format. The materials submitted by the program organizer will be posted to the online site for conference registrants in advance of the conference and available on the conference app. The Section will not print and hand out session materials at sessions. Any additional materials presenters want to provide to Conference participants can be added to the web site following the Conference as long as the materials are provided to staff by April 18, 2014.
Speaker Releases The ABA requires each person presenting at the conference to submit a speaker release. We will not be able to include your materials in the online conference materials available to attendees unless we have received a completed and signed speaker release from all presenters on your program. You can upload the speaker release by using the link to your session that was sent with your session acceptance. Go to the Presenters tab and upload a speaker release for each presenter.
Audio-Visual and Technology Support The Conference will provide each concurrent session room with the following: A head table for 4 Two wired microphones on the head table (one microphone for each 2 panelists) LCD Data Projector Screen Any requests for additional audio/visual equipment - such as A request for audio capability if you are making a presentation with a sound component Flip chart(s) can be submitted in the Online Presenter s Site by February 7, 2014. If you are planning to show a PowerPoint presentation or project anything on the screen, someone from the panel is responsible for bringing a laptop. You must provide any special adapters needed to hook your Mac laptop to the LCD projector. Do not expect the audio visual personnel to have power cords, adapters or thumb drives. Internet Access Presenters will not be able to access the internet from any of the meeting rooms.
