What Is Synapse InSite? Where to Learn More Synapse InSite is a portal to the prepress environment that lets printers and their customers work with print jobs over the Internet. Synapse InSite helps to manage the proofing, correction, and approval process so that it is more efficient. For more information on a tool or icon, hold your cursor over the icon. A ToolTip appears. Hold the cursor over an icon to display a ToolTip. Click to display online help. Note: ToolTips may not appear if you are running Synapse InSite with Safari on Mac OS X. For complete instructions on performing any Synapse InSite task, see the online help. Logging On To Synapse InSite To log on to Synapse InSite, you must have a high-speed Internet connection (64 kilobits per second (kbps) or higher). For a complete list of supported operating systems and Web browsers, see Synapse InSite 4.0 Client Configuration (part number 719-00004).

2 Synapse InSite 4.0 Customer Quick Start Guide 1. Type the Printer s InSite home page address. 2. Click Troubleshooting to ensure that your system meets Synapse InSite s software and configuration requirements. 3. Type your Username and Password and click Login. Logging Off of Synapse InSite Click to log off.

Viewing Your Jobs 3 Viewing Your Jobs The Jobs view shows your company s InSite jobs. 1. Click to select a job. Pages are filtered by their status. Job Home view provides information about the job. Pages to be reviewed by users. Notes to users accessing this job. Files sent to the printer.

4 Synapse InSite 4.0 Customer Quick Start Guide Sending Files to the Printer s Synapse InSite Server When you upload files or folders to Synapse InSite, they are copied to a folder for the job on the Printer s job server. You need Upload user rights to be able to upload files. 1. Click Home. 2. Click New Upload. 3. Type a name for the upload (optional). 4. Type a note describing the upload. This information will appear on the Job Home page and included in the email notification to the printer s Customer Service Representative (CSR). (Optional.) 5. Click the Upload Files tab.

Sending Files to the Printer s Synapse InSite Server 5 6. Click the Change Folder (Windows) or Desktop (Macintosh) to find folders where the files you want to upload are located. 7. Select the files or folders that you want to upload. 8. Click Add to add files to the Files To Upload box. 9. Click Upload to start the file transfer. The File Transfer Status dialog appears. 10. When the upload is complete, click Close.

6 Synapse InSite 4.0 Customer Quick Start Guide 12. Click Close or X to return to the previous page. 11. Click Refresh or select the Auto-Refresh check box to see the status of file copying or refining.

Asking Other Users to Review Pages 7 Asking Other Users to Review Pages In the Pages view you can select specific users to review specific pages to approve for printing. 1. Select the check boxes of the pages you want reviewed. 2. Click Request Review. 3. Select the check boxes of the groups and/or users you want to review the pages. 4. Click Request Review.

8 Synapse InSite 4.0 Customer Quick Start Guide 5. On the second Request Review page, click Done. The Pages view then shows which users you requested the review from. Change tothumbnail view to see who has been asked to review the pages. You requested reviews of page 2, 5 and 10 from these users.

Viewing Pages in Smart Review 9 Viewing Pages in Smart Review Smart Review provides a detailed, full-screen preview of the selected page, several viewing and annotation tools, and a chat feature. Anyone can view a page in Smart Review; however, you need Annotate rights to review the page and make comments and Approval rights to approve a page or to request corrections for a page. 1. Click Home. 2. Click Requiring Approval. Users who need to review pages.

Viewing Pages in Smart Review 11 To indicate that the page has been reviewed but is not OK, that corrections are needed, or to reject the page, click Request Corrections. To indicate that your review is OK or that you approve the page, click Approve Page. If corrections are necessary, use the annotation tool to indicate the correction. A complete list of the tools appears on page 12. 4. To end the session, click Close. To view a different page, click the page. (You can also view separations or page properties a complete list of the tools appears on page 14.) Join or exit a session. Tip: If you are reviewing a page and you want to join another user s session, click Join Session.

12 Synapse InSite 4.0 Customer Quick Start Guide Smart Review Tools The Smart Review tools allow you to review a page. Single Page Mode toolbar Reader Spread Mode toolbar Use This Tool... To... When you ask Smart Review to carry out a task, such as zooming in or out, this icon spins to tell you that Synapse InSite is working on your request. Show or hide the Chat area so that you can write messages and see messages from other members of the Smart Review session. This is available in Group Session only. Reader Spread Mode (multiple pages) Or: Single Page Mode Pan the page Zoom in on the page Zoom out on the page Show the page at 1:1 to view 1 screen pixel to 1 image pixel Fit page to screen Make a text annotation Draw a free-form line Draw a rectangle Position a horizontal guide

Smart Review Tools 13 Use This Tool... To... Position a vertical guide Delete the selected annotation Measure color density at any point Measure using the ruler Hide annotations Rotate the page. Available in Single Page Mode only. 14 Synapse InSite 4.0 Customer Quick Start Guide Use this additional Smart Review toolbar to list available pages, separations and page properties. Use This Tool... To... Show or hide a filtered page list Show and hide a list of separations. In Reader Spread Mode, the list of colors are grouped colors that are common to both pages and those that are unique to each page. Turn separations on or off Show and hide information about the page, including width, height, resolution, and zoom factor, and change the measurement unit. You can also show or hide trim lines and bleeds.

Approving or Rejecting a Page 15 Approving or Rejecting a Page You need Approval rights to approve or reject pages. When you are satisfied with a page, you can approve it. Reject a page if there are problems with the page that you don't think can be corrected. If you think the page can be corrected, annotate the page in Smart Review and request corrections. 1. Select the pages that you want to approve or reject. Or: Click Select All. Or Click Select All. 2. Click Approve Pages or Reject Pages.

16 Synapse InSite 4.0 Customer Quick Start Guide 3. To approve pages, click Give Final Approval For Pages and click OK. You can add a comment (optional). Or: To reject pages, click Reject Pages and click OK. You can add a comment (optional). Note: A Synapse InSite notice is emailed to your CSR indicating that you approved or rejected the page.

Creating or Editing Customer Accounts 17 Creating or Editing Customer Accounts Creating a Customer User Create a user account for each customer employee who will use Synapse InSite. This enables accurate tracking of who performed what task on a particular job. You can also create a customer user account for a guest user: for example, a guest user may be someone from outside the company, such as a lawyer, who needs to access a job. When adding a user account, you specify which Synapse InSite features this user is allowed to use. For example, a graphic artist may only need mark corrections (annotate) for pages in a customer s job. You can add, change, or remove a user s rights whenever required. For a detailed description of user rights, see Synapse InSite Online Help. 1. Click Admin. 2. Click Add New User.

18 Synapse InSite 4.0 Customer Quick Start Guide Type information in the boxes that appear in red: Unique Username, Password, Confirm Password, First Name, and Last Name. If the user is to receive email notification, you must also type an address in the Email box. 3. Type the required information and assign the appropriate user rights. If required, set the expiration date and job access. Then click Add User. Account will expire in 10 days. User can only access this job Tip: To view the whole page, use the scroll bars at the right side of the page.

Creating Customer User Groups 19 Creating Customer User Groups Adding a New Group Use groups to streamline the process of setting job access and requesting user reviews. You can create different groups of the customer s users. If there are numerous people working on jobs with differing roles and responsibilities, simply set up different groups of users to streamline the review process. For example, if you have one group of users who only review pages, create a Review Only group. If you have more users who also approve pages, create another group called Approve. A customer user can belong to more than one group. 1. Click Admin. 2. Click Add New Group. To add or remove members or change job access, click the group name.

20 Synapse InSite 4.0 Customer Quick Start Guide 2. Type a name for the group. 3. Select the members who belong to the group. 4. Select the job or jobs the group can access. 5. Click Add. To change users in the group or the group job access, simply edit the group. To add another user to the group, select the check box beside their name; to remove a user, clear their check box. To change job access, select or clear the jobs you want to add or remove.

Changing Your Password 21 Changing Your Password The printer may require strong passwords in InSite. Strong passwords have at least eight characters and a combination of different types of characters. For creating strong passwords, see the Synapse InSite Online Help for guidelines. All users can change their own passwords. 1. Click to edit your user profile. 2. Click Change Password. 3. Type your current password. 4. Type a new password. 5. To confirm the password, type the new password again. 6. Click Update.
