1 Introduction This document provides a user to the SMS web portal. The web portal can be found at www.burysms.co.uk Doc ref : Web portal department admin Page 1
2 User Guide - Key Functions As a user you will be able: Send and receive messages via the web portal. Schedule messages for future dates and times. Import into your own personal address book. Create/view/edit/delete personal groups of contacts. Create/view/edit/delete personal templates. View all messages sent by you. View and edit your own user details including password. Using the global address book, global groups and global templates. Page 2
2.1 Sending Messages 2.1.1 To Simply Send a Message Enter the message to send in the Message to send text box Enter the recipients mobile number in the By Mobile Number text box o To send to multiple mobile numbers separate each number with a comma Click Send User Interface screen shot Point to note:- By default messages are sent immediately and are set with your configured alphatag/senderid If you are about to send more than 250 messages you will get a warning message asking you to confirm to proceed. 2.2 Using the Personal Address Book, Personal Groups and Personal Templates The Web portal has the facility for users to create a personal address book, personal templates and personal groups. See relevant sections on how to do this. The Personal address list can be used from the Messages tab to select message recipients for outbound messages. o On the Messages tab under the Recipient details section By Contacts, drop down the list to select Personal Address Book o The Personal address list is then displayed, select message recipients and then click Return to send messages o The number of recipients is then listed next to By Contacts drop down list Personal groups can be used from the Messages tab to select message recipients for outbound messages. o On the Messages tab under the Recipient details section By Groups, drop the list down to select Personal Group o The Personal groups list is then displayed, select required group and then click Return to send messages o The number of personal groups selected is then listed next to By Groups drop down list. Personal templates can be used from the Messages tab to select a message template for outbound messages o On the Messages tab under the Message Details section drop the Select Template list down to Select Personal Template o The Personal templates list is then displayed, select required template and then click Return to send messages o The Message to Send body is then populated with the selected template. 2.3 Scheduling Messages Messages for future dates and times. o On the Messages tab under the Scheduling Info click the radio but to the right of Now then click the Calendar Icon for the calendar pop-up o Select the date to send the message(s) o You can also select a time to send the messages. Messages can be sent at 15 min intervals. If you do not set a message time for the selected date, messages will be sent out at 8am. o Click Send o Messages will be stored and sent on the scheduled date and time. Page 4
2.4 2way Messaging Points to note:- For message recipients to have the ability to reply to messages sent, rental of a virtual mobile number is required. Contact your reseller for details. Your virtual mobile number, if allocated, will be displayed on the 2way tab Replies to messages are sent back to your SMS portal account and are displayed in the 2way tab The 2way tab is automatically refreshed every 60 seconds, but a manual check can be made by clicking the Check for new messages link on the 2way tab To Send a Message that Recipients can reply to o o o o Enter the messages to send in the Message to send text box In the Scheduling Info section under Send with select the Virtual Mobile Phone Number radio button Enter the recipients mobile number in the By Mobile Number text box To send to multiple mobile numbers separate each number with a comma Click Send Page 5
2.5 Importing Contacts into your Personal Address Book Point to note:- Your personal address book can only be accessed and used by you the user. 2.5.1 To Import into Your Personal Address Book Stage 1 Click the Contacts Tab select Import Personal Contacts Click the Import from custom MS-Excel/CSV/Text files by your own mapping Click Submit for the stage 2. Import Personal Contacts Screen Shot Browse to the file you wish to import Click Submit The file will then be imported for stage 2 Page 6
2.5.2 To Import into your Personal Address Book Stage 2 Your selected file is then presented for import At the top of each column is a drop down list which allows you to select what information is defined in each column You can save the mappings you select for this file for future use. This is optional o At the top of the form enter the name you wish to save for these field mappings Field Mapping Details : Save Mapping As Click Submit to Continue The final screen will display all valid contacts that will be imported into the personal Address Book Click Submit to Import Import Personal Contacts Screen Shot Page 7
2.6 Creating Additional Personal Contacts From the Contacts Tab select Personal Address Book Select Add new Personal Contact Enter required fields Click Submit to complete Adding New Personal Contact Screen Shot Point to note:- Your personal address book is not viewable by any other system user or administrator. 2.7 Creating Personal Groups Point to note:- Personal groups can only be accessed and used by you the user. From the Contacts tab select Personal Groups Select Add new Personal Group Select Add New from drop down list Enter required group name and Add Move across contacts to be added to group o Click Submit to complete Creating Personal groups screen shot Page 9
2.8 Creating Personal Templates Point to note:- Personal templates can only be accessed and used by you the user. From the Templates Tab select Add new Personal Template Enter required template name Enter template body details Click Submit to complete Creating Personal templates screen shot Page 10
2.9 View Messages Sent Click the Messages Tab then select Message Archive Points to note:- Messages are displayed by default in data and time order, most recent first. Messages can be sorted into column order by clicking the arrows at the top of each column. To view a message - click the View Icon. 2.10 Changing your password or user details Click the My Profile Tab this displays your user details. Select Edit/Update (to the right of Site Access Information) to change the password fields to reset your password. Click Update to apply the changes. 2.11 Using the Global Address book, global groups and global templates The Web portal has the facility for all users to share a global address book, global templates and global groups The global functions are created by your administrator for your use. The global address list can be used from the Messages tab to select message recipients for outbound messages. o On the Messages tab under the Recipient details section By Contacts, drop the list down to select Global Address Book o The Global address book is then displayed, select message recipients and then click Return to send messages o The number of recipients is then listed next to By Contacts drop down list Global groups can be used from the Messages tab to select message recipients for outbound messages. o On the messages tab under the Recipient details section By Groups, drop the list down to select Global Group o The Global groups list is then displayed, select required group and then click Return to send messages o The number of global groups is then listed next to By Groups drop down list Global templates can be used from the Messages tab to select a message template for outbound messages o On the messages tab under the Message Details section, drop the Select Template list down to Select Global Template o The Global templates list is then displayed, select required template and then click Return to send messages o The Message to Send body is then populated with the selected template.
