4 Overview SureClose Advantage 3.7 includes branding, additional Security features, product enhancements, and defect corrections for the migration of select SureClose Professional users. This document provides a brief explanation of what has been fixed and an introduction to new features implemented with this release. For more information about any of the new features, refer to SureClose Advantage Online Help and search for the specific topic. Deployment Date: June 21, 2013 Post-Installation Considerations After the new version has been deployed and prior to your logging in, it is recommended that you complete the following post-installation tasks: Delete Temporary Internet Files Delete Cookies Deleting Temporary Internet Files (MS Article ID: ) The Temporary Internet Files (or cache) folder contains web page content that is stored on your hard disk for quick viewing. This cache permits Internet or MSN Explorer to download only the content that has changed since you last viewed a web page instead of downloading all the content for the page every time it is displayed. Administrators can customize Temporary Internet File settings to prevent modifications. Contact your System Administrator if you cannot access the Internet Options dialog box or the General tab. Steps 1. Close Internet Explorer and any instances of Windows Explorer. 2. From the Start menu, point to Control Panel and then select Internet Options. The Internet Options dialog box displays. 3. On the General tab, locate Temporary Internet Files and then click Delete Files. The Delete Files dialog box displays. 4. If available, select the Delete All Offline Content check box and then click OK. A confirmation message displays asking if you are sure you want to complete the delete process. 5. To confirm, click OK. Note Be patient when performing this task, if the Temporary Internet Files folder contains a significant amount of web page content, then this process may take several minutes to complete. 5 Deleting Cookie Files (MS Article ID: ) Files starting with the word Cookie may remain in the Temporary Internet Files folder even after opting to delete them. You can delete these files; however, it is recommended that you make a backup copy of cookies prior to deleting them because these files may contain information for a customized web page or login information for a website that you do not want to lose. If needed, contact your System Administrator for assistance or refer to MS Article ID: Steps 1. Close Internet Explorer and any instances of Windows Explorer. 2. From the Start menu, point to Control Panel and then select Internet Options. The Internet Options dialog box displays. 3. On the General tab, locate Temporary Internet Files and then click Delete Cookies. The Delete Cookies dialog box displays. A confirmation message displays asking if you are sure you want to complete the delete process. 4. To confirm, click OK. SureClose 3.7 Release Notes June

6 Features and Functionality This section introduces new features and functionality added to SureClose Advantage 3.7. New in This Release SureClose Advantage 3.7 The SureClose Advantage and SureClose Professional login pages have been redesigned. For more information, refer to Improved SureClose Login Pages. The number of contacts that display now defaults to 50 contacts per page. For more information, refer to Using your Profile to Set Contacts Displayed per Page. The placeholder name is now displayed when viewing a document. For more information, refer to Displaying Placeholder Name when Viewing Documents. The placeholder name is now displayed when splitting a document. For more information, refer to Displaying Placeholder Name when Splitting Documents. Secure messages and documents can now be sent. When sending confidential information, a new message encryption option has been added. Secure documents are now sent as hyperlinks. For more information, refer to Sending Secure Messages and Documents You must login to SureClose to view secure messages and documents. For more information, refer to Viewing Secure Messages in SureClose. The subject line and document name are now displayed when splitting documents from an . For more information, refer to Displaying Subject and Document Name when Splitting Documents. The number of contacts displayed per page can now be set from the Contacts tab. For more information, refer to Setting Contact from the Contacts Tab. Contact search has been improved and moved to the work area. For more information, refer to Searching Contacts. Page navigation has been added to the Contacts tab. For more information, refer to Navigating Contact from the Contact Tab. A new corporate security setting has been added to the Admin tab. For more information, refer to Corporate Setting for Distributing Secure Documents. Existing parties can now be deleted from templates. For more information, refer to Deleting a Party from a Template. eclosingroom has been implemented. Use eclose to electronically process and close a file. Highlights of this functionality include: - Enabling eclose Access - Deleting Signed eclose Documents - Adding eclose Functionality to Templates - Assigning eclose Roles to a Single Party - Assigning eclose Roles to Multiple Parties - eclosingroom Setup - Using eclose at Closing - Signing eclose Documents For complete information of the newly added eclose feature, refer to eclosingroom. 7 Improved SureClose Login Pages The SureClose Advantage and SureClose Professional Login pages have been redesigned and enhanced. First time users still need to change their password on their initial login. When logging in, you will notice a new and improved Login page. On this page, you will find a quick introduction to SureClose as well as a new section geared to providing you with helpful information about SureClose. 8 Home Using your Profile to Set Contacts Displayed Per Page Now you can select how many contacts per page display when viewing contacts. Initially, a default setting of 50 contacts per page is set. However, the default can be changed using the Contacts Displayed per Page selection. Select from the following options: 50, 75, 100, 125, or 150. labeled, Setting Contact Preferences. 9 Files Displaying Placeholder Name when Viewing Document The placeholder name and document file type now display in the document viewer making it easy to identify the placeholder you are working with. labeled, About Documents. SureClose 3.7 Release Notes June

10 Displaying Placeholder Name when Splitting Documents When splitting a document from a file, the placeholder name now displays above the document pages making it easier to identify the document placeholder you are working with. labeled, Splitting Documents. SureClose 3.7 Release Notes June

11 Sending Secure Messages and Documents New options for sending confidential information have been added: Send a secure message by selecting Send secure message. Send secure documents that contain private information by selecting Send hyperlink to access documents. Corporations can ensure all message communication is secure by selecting Send Hyperlink to Access Secure Documents. For more information, refer to Corporate setting for distributing secure documents. Secure Message and Document Recipient Requirements When sending secure messages or secure documents, the following criteria must be met: All recipients must have login access to SureClose. All recipients must have Allow Login selected on the Permissions tab. All recipients must be a party on the SureClose file you are working with. All recipients must log into SureClose to view secure messages and secure documents. Sending Secure Messages Select the Send secure message check box to send private or confidential information. When this method is selected, the message is safely stored in the recipients SureClose Secure Message box and a generic message is sent to the recipient s address providing instructions on how to retrieve the secure message. For more information, refer to Receipt of Secure Message. When selected, the Send hyperlink to access documents option is automatically checked and disabled. When working with a file, secure messages can be sent anytime you: Message Party from the File Summary page (all recipients must be on the file). Distribute a document from the File Document page (all recipients must be on the file). Send a Manual Notification from the File Document page (all recipients must be on the file). Secure messages and document hyperlinks cannot be sent using Auto Notification. SureClose 3.7 Release Notes June

12 If a secure message is sent to one recipient and that recipient does not have login rights, an Information Message will display and the message will not be sent. If a secure message is sent to multiple recipients and some have login rights while others do not, an Information Message will display listing which recipients do not have login rights. The sender can use this information to decide how to proceed: Click OK to send the secure message to all recipients that have login access. Recipients that do not have login access will not receive the message. Click Cancel and the message will not be sent. The sender can edit the recipient s login permissions; recreate the message, and then resend. Receipt of Secure Messages When a secure message is sent, it is stored in the SureClose Secure Message box. Recipients will receive a notification that a secure message has been sent. The notification is a generic message that informs the recipient a secure message has been sent and is available to view in SureClose, provides SureClose login instructions, and includes a hyperlink to the recipient s SureClose login page. 13 Sending Hyperlink to Access Documents To send a secure document when messaging parties or distributing documents, attach the document and select the Send hyperlink to access documents check box. When selected, the document attachment is converted to a hyperlink. Clicking the document hyperlink directs the recipient to their SureClose login page. Recipients must log into SureClose to view secure documents. Note Recipients of secure messages and secure documents must have Allow Login selected on the Permissions tab. 14 Receipt of Document Hyperlinks When Send hyperlink to access documents is selected, the original message content is sent to the recipient. A default message is added that informs the recipient a secure document has been sent. A document hyperlink is included in the default message. Click the document hyperlink to be directed to the SureClose login page. When sending a secure message or document hyperlink, the ability to add external addresses becomes inactive and a note is added. labeled, Sending and Receiving Secure Messages. 15 Messages Sending Secure Messages and Documents New options for sending confidential information have been added to the Messages tab. For more information, refer to Sending Secure Messages and Documents in the Files section of this document. You can secure messages and documents anytime you are: Sending a New message. Replying to a message. Forwarding a message. Secure Message and Document Recipient Requirements When sending secure messages or secure documents, the following criteria must be met: All recipients must have login access to SureClose. All recipients must have Allow Login selected on the Permissions tab. All recipients must be included in the Personal Contacts or Corporate Contacts book. Viewing Secure Messages in SureClose Once you login, the secure message displays and is denoted by a new Lock icon. Double click the message you want to view, the message opens and the document hyperlink(s) displays. Click the hyperlink to open the secure document you want to view. If you have access to Messages, you will notice a new Filter By option has been added to the top of the Messages page. Use this option to filter the types of messages that display: All, Regular, and Secure. SureClose 3.7 Release Notes June

16 If you do not have access to Messages, then a new Secure Messages sub-tab displays. Use this option to view and access secure messages and documents. labeled, Sending and Receiving Secure Messages. Secure Messages in Guest View If you are a guest user, logging into a branded site, then you will notice a new Secure Messages tab has been added to the top menu. Click this tab to view and access secure messages and documents. SureClose 3.7 Release Notes June

17 Viewing Secure Messages in Guest View When a secure message is sent, it is stored in the Secure Message box. Recipients will receive a notification that a secure message has been sent. The notification is a generic message that informs the recipient a secure message has been sent and is available to view in SureClose. It provides SureClose login instructions, and includes a hyperlink to the recipient s SureClose login page. After login, the secure message displays. Guest users already logged into Stewart Online can view secure messages by clicking the Secure Messages tab. A list of secure messages displays. Click message you want to view to open the message. When opened, you can read the full content of the message and/or print the message. If a secure document was sent or attached to a secure message, the document will display as a hyperlink. Click the document hyperlink to view the document. For more information, refer to Sending Hyperlink to Access Documents. To close the message, click the X located at the top right of the message. 18 Closing messages does not delete or remove them; rather they are listed on the Secure Messages page as reference along with the name of the person who sent the message and date/time stamp. Deleting Secure Messages in Guest View A new, Delete button has been added to the Secure Messages tab. To delete a secure message, select the message(s) you want to delete using the check box to the left of the message. After you have selected the message(s) you want to delete, click Delete. 19 Displaying Subject and Document Name when Splitting Documents When splitting documents from Messages, notice two new options have been added: Subject and Document Name. Use these options to easily identify which document and message you are working with. labeled, Splitting and Transferring Documents (Messages). SureClose 3.7 Release Notes June

20 Contacts Setting Contacts from the Contacts Tab A new Select number of contacts per page option has been added when searching for contacts. Use this option to select 50, 75, 100, 125, or 150 contacts per page when a search is performed. 21 Searching Contacts Contact search has been improved and relocated. Contact search fields have been moved from the left navigation pane to the top of the work area. In addition, the City, State, and ZIP code filter has been replaced with individual text fields so that all three can be used when searching for existing Contacts. When searching for contacts, use the check boxes to select the Scope (choose Personal, Corporate, or select both options), or use the radio buttons to select the Type of contact (choose Individual, Company, or Both). You can also enter a Company Name if needed. If you select the Individual radio button, you can include First Name and Last Name in your search criteria. When you chose to search using the Both option, the search results include all companies with names that match your search as well as all individual contacts that are associated with that company. Use the new, City, State and Zip fields to help narrow your search. As an added feature, notice the State field defaults to your home state. labeled, Searching for Contacts. 22 Navigating Contacts from the Contact Tab Page navigation has been added to the Contacts tab. You can scroll through contact pages one at a time by clicking the > link to move forward or the < link to move backward, selecting the page number, navigate directly to the last available page by clicking the >> link, navigate directly to the first page by clicking the << link, or Jump to page using the drop-down selection. labeled, Using the Contact Tab. 23 Admin Corporate Setting for Distributing Secure Documents A new Send Hyperlink to Access Secure Documents check box has been added to the Admin tab for Corporations concerned about sensitive information. Selecting this option ensures all outgoing documents are secure and sent by hyperlink. labeled, Corporate Setting for Distributing Secure Documents. SureClose 3.7 Release Notes June

24 This selection automatically checks and disables Send hyperlink to access documents and requires all documents be sent as hyperlinks. Deleting a Party from a Template A new Delete Party button has been added to the Template Parties page. Use this button to delete parties from templates. labeled, Using the Contact Tab. 25 eclosingroom A new eclosingroom option has been implemented to enable you and your customers to electronically sign eligible closing documents in SureClose. Parties can be assigned eclosing roles. eclose icons make it easy to identify a party s eclosing role, identify documents that are required by eclosing, and track the status of eclosing documents. Note Any party that has eclose Role Setup selected on their security profile can assign eclose party roles. A party may be assigned more than one eclose role on a file. eclose Roles include: eclose Manager This role can add eclose parties to the file, add and delete eclose placeholders on the file, and set up and initiate the eclosingroom. eclose Notary This role must log into the eclosingroom using an eclose password and release the required eclosing documents before they can be signed. eclose Signatory This role logs into the eclosingroom, must Opt In, and accept the Legal agreement prior to viewing and signing eclosing documents. eclose Lender This role can view and sign eclosing documents. Admin Enabling eclose Access Before you can begin using the eclosingroom, the following are required: Prerequisites In order for eclose functionality to work, the users Corporation must be set up for eclose. In order to see the eclose Configuration link on the Admin tab, the eclosing Configuration Wizard security profile setting must be selected. In order to assign eclose Roles to parties, the eclose Role Setup security profile setting must be selected. In order to see the eclose link on the Documents tab, the edelivery security profile setting must be set up and you must have an eclose Role on the file. In order to delete an eclose document, eclose Delete Signed Documents must be selected. Deleting Signed eclose Documents Only the eclose Manager can delete eclose documents from the eclosingroom. To do so, eclose Delete Signed Documents must be selected on the application and file security profile. SureClose 3.7 Release Notes June

26 Configuring Opt In, Opt Out, and Legal Messages for eclose Signatory A new eclose Configuration link has been added to the Admin page. In order to have access to the eclose Configuration link, the eclosing Configuration Wizard must be selected. Click the eclose Configuration link to display the eclose Configuration page. Use the options on this page to modify the Opt In, Legal and Opt Out messages. These messages display for eclose Signatories when they access eclosingroom for the first time. Note Selecting Reset will blank out the Opt In and Opt Out sections and restore the Legal section to the default text. labeled, Managing eclose Configuration. SureClose 3.7 Release Notes June

27 Adding eclose Functionality to Templates eclose options have been added to templates. When creating templates, you can assign eclose roles to parties and determine which placeholders can be used to complete an eclosing. Adding eclose Roles to Templates To add eclosing roles to parties when creating a template, click the new eclose Party icon and assign an eclose Role to each party on the template that needs access to the eclosingroom. labeled, Adding an Individual as a Party (Template). 28 Editing eclose Roles for Template Parties If needed, you can edit eclose roles for parties on a template. From Party Details, double-click the party you want to work with and select the Permissions tab to edit a party s eclose role. labeled, Editing Individual Parties (Template). 29 Adding eclose Placeholders to Templates When adding placeholders to templates, a new Required by eclosing check box has been added. Select this option to identify documents that can be signed in the eclosingroom. Once added, placeholders can be set to required by selecting a new Required By eclosing check box. To edit a placeholder, double-click the placeholder and then select the Required By eclosing check box. SureClose 3.7 Release Notes June

31 Files Assigning eclose Roles to a Single Party A new eclose Role option has been added to the File Permissions section when adding a new party to a file. eclose Managers, with the appropriate permissions, can assign an eclose role to a party on a file. These roles determine the level of access a party has when in eclosingroom and the type of activity they may be required to complete. labeled, Adding a New Individual as a Party (File). 32 Assigning eclose Roles to Multiple Parties The eclose Manager can set eclose roles for all parties in one place. Select the file you want to work with and click the eclose Party Roles icon, the Setup eclose Party Roles window displays. 33 Editing eclose Role Permissions eclose Managers can edit or add eclose roles to an existing party on a file. To make changes or add an eclose role to an existing party on a file, select the party you want to work with and double-click to display the edit options. From the Permissions tab, select an eclose Role for the party. A new eclose icon has been added to parties assigned an eclose role. Hover your mouse over the eclose icon to display the assigned eclose role of that party. labeled, Editing Individual Parties (Files). SureClose 3.7 Release Notes June

34 Displaying Icons for eclosing Documents New icons have been added to the Documents page to identify the various states of an eclose document. Red Document has not been sent to the eclosingroom Green Document has been sent to the eclosingroom Black Document has been returned from the eclosingroom Red Check Mark Signed document has been returned from eclosingroom Hover your mouse over each icon to display the document state. After eclose documents are signed, the eclose Signed Documents divider displays, as well as, a new placeholder for the signed document. labeled, Adding Document Placeholders and Folders (File). 35 eclosingroom Setup A new eclose button has been added to the top of the Documents page and displays for all eclose roles. The eclose Manager clicks the link to set up the eclosingroom for each file. eclosingroom setup requirements include: Verifying the file s property address is correct Adding eclose Parties to the eclosingroom Adding eclose Documents to the eclosingroom Adding Signature and Initial blocks to Documents Preparing eclose Documents Activating eclose Documents Submitting eclose Documents labeled, Setting up the eclosingroom. 36 Navigating the Room Confirmation Page After clicking the eclose button, the Room Confirmation page displays. The Room Confirmation page includes the following sections: Office, Property, Parties, and Documents. Using the Office Section This section displays the office associated with the file and is read-only. Using the Property Section This section displays the file s property address and is read-only. If needed, it can be edited. However, any edits to the property address must be done in SureClose. labeled, Setting up the eclosingroom. SureClose 3.7 Release Notes June

37 Using the Parties Section This section displays a list of parties by name and role on the file designated within SureClose to work in eclosingroom. Also included is an Action column. Parties being sent to the eclosingroom for the first time are listed with the action, Add and existing parties, with Replace. By default, all parties being added to eclosingroom are selected. To add a new party, click Add. If needed, clear the check box to indicate the party should not be added. By default, all parties being replaced within eclosingroom are not selected. To replace an existing party, select the check box next to the party you want to replace. Using the Documents Section This section displays a list of documents by name on the file designated within SureClose to be sent to eclosingroom. Also included is an Action column. Documents being sent to eclosingroom for the first time are listed with the action, Add and existing documents, with Replace. By default, all documents being added to eclosingroom are selected. To add a new document, click Add. If needed, clear the check box to indicate the document should not be added. By default, all documents being replaced within eclosingroom are not selected. To replace an existing document, select the check box next to the document you want to replace. Click Accept to continue the setup. The Room Confirmation Manager screen displays. 38 Using the Closing Room Manager Use the options within the Closing Room Manager to manage your closing rooms. Closing Room Manager Use the options within the Closing Room Manager to view the room status, view basic closing details, and complete a variety of actions including: Refresh Click this button to update the screen to any changes that may have been made. View Room Click this button to view the eclosingroom in the signing state. Delete Room Click this button to clear and delete the entire room. Managing Parties All parties involved in the closing are listed by Name, Role, Notary status, Signer status, number of documents each party is required to sign, and Status. Note If needed, you can add additional parties or documents to the eclosingroom. SureClose 3.7 Release Notes June

39 Managing Documents In the Documents section, documents on a SureClose file that require an electronic signature for eclosing are listed. All documents must be prepared for signing. To prepare a document, open it and place the required signature blocks in the appropriate locations. You can also indicate whether the document can be recorded or transferred. The number of signature blocks added to the document display. Documents in this section are listed by one of the following statuses: Unprepared Signature block placement is not complete and the document is not ready for signing. Prepared All required signature blocks have been placed on the document accordingly and it is ready to be activated for signing. Activate The document is ready to be signed, activated and is ready for signing. Completed - The document has been signed by all parties and returned to SureClose. SureClose 3.7 Release Notes June

40 Adding Signature and Initial eclose Blocks To add Signature and Initial blocks to a document, click the hyperlink of the document you want to work with. The eclosingroom Editor displays. Select the eclose role for the signature or initial you want to add from the list. Then click and hold down your mouse on the Signature or Initial block and drag releasing when in place. After all of the blocks are positioned, click Save Document then Exit to eclose. Other options include: Clear All Blocks Removes all Signature and Initial blocks from the document. Save Template As Saves the document as a template for future use. For example, you may use this option to add Signature and Initial blocks to frequently used form documents. Load Template Loads a saved template (document) including all Signature and Initial blocks. Note To add date fields, click the Calendar icon within the Signature block. This creates a date field associated to the Signature block. A date is populated when the Signature block is signed by the designated party during the closing process. labeled, Adding Signature and Initial Blocks to eclosing Documents. 41 Preparing Documents After all Signature and Initial blocks are added, the document must be prepared. To prepare a document, select the check box next to the document you want to prepare and click Prepare. Activating Documents After a document is prepared, it displays in the Prepared/Activate section. The Status of each document displays indicating which documents are Prepared and which documents are Active. Prepared documents are ready for signing. Before a document can be signed, it must be activated. To activate a document, select the check box next to the document you want to activate and click Activate. Note If selecting multiple documents, and there is a preference to the order in which the documents must be signed, use the Order arrow buttons to move a document up or down. labeled, Setting up the eclosingroom. 42 Using eclose at Closing On the day of closing, there are a few things to consider. Special Considerations Request all customers to have their USERNAMES and PASSWORDS on hand for closing. Request the eclose Notary to have their notary PASSWORD on hand for unlocking documents. The notary will need two PASSWORDS, one to login to SureClose and one for unlocking documents in the eclosingroom. Opting In to the eclosingroom Users assigned the eclose Signatory role will have the option to Opt In or Opt Out of using the eclosingroom to sign documents. If an eclose Signatory chooses to Opt Out, they may still Opt In at a later time. After the eclose Signatory chooses to Opt In, the Legal Notice displays and the user can Accept or Decline to continue. 43 Signing eclose Documents Note Any document that requires a notary must be unlocked by the eclose Notary before it can be signed. Prior to closing, have all signers log into SureClose and open the eclosingroom. Documents requiring a notary must be unlocked by the eclose Notary before they can be signed. To unlock the document, the notary must click Unlock and type their enotary password. This second login unlocks the document. After the document is unlocked by the notary, the Unlock button changes to Lock and the documents can opened for signing. labeled, Signing eclosing Documents. SureClose 3.7 Release Notes June

44 Applying Acceptance to Documents To sign an eclose document, click the document title to open it in the eclosingroom. Click the Yellow Arrows to accept the Signature block where your signature will be applied. Repeat this process for all Initial blocks. When finished, click Accept. Once all documents have been accepted, the eclose Signatory clicks Submit. The signer selects Click to Approve to apply their signature using a signing tablet. SureClose 3.7 Release Notes June

46 Applying the enotary Signature After the all of the closing documents have been signed, the notary logs in to notarize the documents. The enotary clicks the Notarize button to enter the Notary eclosingroom. Once in the Notary eclosingroom, the documents requiring enotarization display. All documents display with a status of PENDING SIGNATURE. If any documents show as anything other than PENDING SIGNATURE, all signatures have not been completed for the document and it is not ready for notarization. Note The enotary may select Batch notarize which will place the notary acceptance on each document in the Notary signing location. labeled, Applying a Notary Stamp to eclosing Documents. 47 Applying the Notary Stamp The notary opens the document and clicks the Signature block. After accepting and submitting, the notary is prompted to enter the Password to their notary stamp. The notary stamp displays in the Signature block location after the Password is entered. The notary can then add comments. When the application of the notary stamp is complete, a Congratulations page will display and the signed documents can now be completed by the eclose Manager. labeled, Signing eclosing Documents. 48 Home eclose Signature Verifier Download Added An eclosing Signature Verifier download has been added to Technical Requirements located on the Home tab. This download installs software that verifies that the eclosing electronic signature is valid and creates an audit trail including a date and time stamp of when the electronic signature occurred. 49 Defects Defects were fixed in SureClose Advantage 3.7. Previously, when setting up document notifications for all parties, the file owner would not receive notifications. This issue has been corrected. When importing a file from either AIM+ or AIM for Windows (AFW), a default setting added contacts on that file to your address book. This issue has been corrected. Parties with a No Access security setting were being reset so that the party had access to a file when any of the following activities occurred: - The file was archived. - A party was added to an Archived file. - A party was edited on an Archived file. This issue has been corrected. When contacts were added to a company address book as a Corporate contact, the Corporate check box would not be selected for other users in that company. This issue was fixed so that any user in a company can add a contact to the company address book as a Corporate contact and all users within the company will see the Corporate check box selected for that contact.
