Welcome Welcome to the Andar online database system. This system is different from the previous online database (Online Database Manager ODM). These guidelines have been written to familiarize you with how to use the Andar system to submit United Way grant applications and reports. What is Andar? Andar is United Way s grants management system. It allows you to apply for United Way grants, submit reports and review donor designations. Through ANDAR you can also acknowledge donor designations. 2
Helpful Tips for Andar System ANDAR allows multiple users from an individual agency to work simultaneously. This means, several staff can work on the same report at the same time. ANDAR will automatically log users out after a period of inactivity (approximately 5 minutes). You will then need to login in again at: https://epledge.unitedwayatlanta.org/begin.jsp. Remember to SAVE as you enter data into each section. Using the Save button keeps your information without submitting it to United Way. = in progress. Be sure to save your data often. If ANDAR logs you out because of inactivity, unsaved information could be lost. Make sure you are completely done entering your data before you click. If you need to change something after pressing Submit, you can make edits by section. To unlock any section, click the unlock button [ ]. The unlock button [ ] will not be available after the report s due date. Any data that is submitted after the due date cannot be changed. = completed and sent to United Way. The Year End Report contains several sections. Your report is complete once each section reads completed. All narrative fields throughout the system have a 1,000-word limit. To close out of ANDAR, click the Signoff button in the top right-hand corner. DO NOT CLICK ON THE X in the upper right-hand corner to close or log out of the system as you will receive an error message. Send all communications (i.e., questions, staff changes, etc.) related to ANDAR to grantee@unitedwayatlanta.org 3
ANDAR Log in STEP 1: Enter this link into your web browser: https://epledge.unitedwayatlanta.org/begin.jsp STEP 2: Type in your User ID and the Password. For new or first-time users to Andar: You must send an email request to grantee@unitedwayatlanta.org with your name and organization email address to be set-up to access Andar. After you are set-up, United Way will send a communication including your login information for Andar. You will be prompted to create a new password, one that is convenient for you to remember. (Your password must contain at least 1 upper case letter, at least 1 lower case letter, at least one number and a minimum of 8 characters.) For returning users, if you forget your password, please email us at grantee@unitedwayatlanta.org to reset your password. We highly recommend adding the web address to your Favorites bar and saving your login information for easy access later. 4
Navigating ANDAR: The ANDAR menu is located at the top of the screen. It contains 9 tabs (see picture below). Each is explained below. TAB 1: Home Page This provides a welcome message and general information. Here you can find key deadlines, instructions about where to go for reference materials and other important information. Below is what the home page looks like. Andar Home Page 5
TAB 2: Organization Profile Here is where you will add your agency s contact information. Fields to complete include: Address, P.O. Box, City, State, Zip etc. When you have entered all data fields, click page). (If you would like to add an organization Logo to your profile see next You will need to add the specific contact information for each of your programs. Click on the program name (listed in red) and complete the required fields. Please list the address where the site visit takes place in the address field. 6
TAB 2: Organization Profile Continued: Adding Agency Logo At the bottom of the screen beneath the button, you will see the button. Clicking the button brings you to this screen: Click Browse; find your logo file on your computer; click Open; click Add. 7
TAB 2: Organization Profile continued You will now see the file containing your Logo appear on the screen. Click Add. Your Logo will now appear on the Andar screen. Click. 8
TAB 3: My Profile This tab allows you to enter/update your individual contact information. Remember to press after updating your information. If you have no changes, click. 9
TAB 4: Organization Description You will see a yellow folder followed by your agency name, click on your agency name. Click Add. Note: You may already show an Organization Description. If you have no existing description, you can add one by clicking on the button. Repeat these same steps to add program description(s). 10
TAB 4: Organization and Program Descriptions cont d Next click on the down arrow button. Select - Agency or Mission Statement. Enter your narrative. (You can only add one at a time). If you wish to add your Mission Statement repeat the process and select Mission Statement from the drop down. Click Add. Repeat these same steps to add program description(s). You will now see it appear after you click Add If you need to edit the description click the icon that looks like a pencil, then Click Update. 11
TAB 5: Forms Click on the FORMS tab to complete the Year End Report. After you have completed and submitted your report, you can click on the print icon to save a copy of your report to your computer. 12
Year End form Section List Main Screen Once you click on the Year End Form, you will notice the following screen. UNLOCK BUTTON: If you d like to change information in a section after pressing Submit, click on the reverse arrow icon. You will not be able to make any changes after the due date of the 2017-2018 Year End Report. 13
Indicators In this section, you will click on the Indicator Path that your program is measuring. Each Path has an Initial; Intermediate and Long- Term Indicator. Some programs measure 1 path while other programs measure as many as 3 paths; if your program measures multiple paths, then you would click on each path in order of sequence. 14
After you click on the Path that has the Initial; Intermediate and Long-Term Indicator that you wish to report on; then the table below will appear. Ignore the Indicator information section as it is a repeat of the information on the previous screen. Enter the Year End numbers under the Measurement section. On the Base line, enter the Total number of program participants your agency served. On the Indicator line, enter the number participants served for the indicator listed. When you have finished reporting on Indicators. Click Your screen will default to the previous Indicators screen. Repeat the same steps as listed above until you have entered all Indicators for your program. Once you ve entered all the indicator data for your programs, click Submit. You will then be directed to the next section. 15
Age In this section, enter the data about the ages of program participants served into the numbers column. When you have entered all the data, click. The screen will default you back to the main yearend report sections list. The total number of participants served will be displayed in parenthesis next to Age. If the total differs from the totals of other demographic information you submitted, you will receive an error message saying: (Demographic total doesn't match that of other completed demographics). Gender In this section, enter the data about the genders of program participants served into the numbers column. When you have entered all the data, click. The screen will default you back to the main year end report sections list. The total number of participants served will be displayed in parenthesis next to Gender. If the total differs from the totals of other demographic information you submitted, you will receive an error message saying: (Demographic total doesn't match that of other completed demographics). 16
Race and Ethnicity In this section, enter the data about the race and ethnicity of program participants served into the numbers column. The Unknown category should only reflect the number of people for whom race or ethnicity is not known or disclosed by the program participant. When you have entered all the data, click. The screen will default you back to the main year end report sections list. The total number of participants served will be displayed in parenthesis next to Race and Ethnicity. If the total differs from the totals of other demographic information you submitted, you will receive an error message saying: (Demographic total doesn't match that of other completed demographics). 17
County of Residence In this section, enter the data about the county of residence for program participants served into the numbers column. When you have entered all the data, click. The screen will default you back to the main year end report sections list. The total number of participants served will be displayed in parenthesis next to County of Residence. If the total differs from the totals of other demographic information you submitted, you will receive an error message saying: (Demographic total doesn't match that of other completed demographics). Please Note: Data for Fulton County is split up into North Fulton, City of Atlanta, and South Fulton and should be entered accordingly. 18
County Zip Codes Each county is listed as its own section. When you click on a county zip code section (ex: Butts County Zip Codes ) you will be taken to a screen that lists all the zip codes in Butts County. Enter the number of program participants served related to each zip code. Andar requires the total number of participants in each county to be equal to the total number of participants listed in each demographic section (total number of participants overall). Hence, to work around this, in the Other line, enter the number that will make your total equal to that of the other demographics. For example, if your agency serves 10 in Butts County and 100 overall, then enter 90 on the Other line (100-10=90). The total then becomes 100, and when you click submit, you should not get an error message. When you have entered all the data, click. The screen will default you back to the main year end report sections list. Click on the next county zip code list until you have completed information for all counties listed: Butts, Cherokee, Clayton, Cobb, Coweta, DeKalb, Douglas, Fayette, Gwinnett, Henry, North Fulton, South Fulton, Paulding, and Rockdale. 19
Program Budget Complete all line items related to your program budget. After entering your budget data, click. 20
Year End Narrative In this section, enter the Year-End Narrative for your program. Respond to each question thoroughly and click 21
TAB 6: Agency Documents In this tab, you can find your Applications and Result Summary Documents of 2016-2017 year. To view these documents, click on the icon to the left of the document name [ ]. [Attention: Documents are not listed for new agencies and new programs. These documents are only for agencies and programs funded in both 2016-2017 and 2017-2018.] 22
TAB 7: Resources In this tab you can access information related to the investment process, like Funding Guidance Letters. 23
Printing Report To print out the data you have entered into the system, you can download the report then print it. Each item listed under the FORM section must be submitted before reports are printed to preserve the integrity of the documents. While you may print individual pieces directly from the FORM page, the report section contains formatted pdf documents that are designed to print multiple items together. PDF CSV Status should read completed before you save or print the document. There are two ways to print Reports: Press this icon to print your document in PDF format. (Preferred- will generate a well formatted report) Click this icon to print in.csv (commas separated values), which will open as an excel document.
