Intrductin This reference guide is aimed at managers wh will be respnsible fr managing users within RiskMan where RiskMan is nt cnfigured t use netwrk lgins. This guide is used in cnjunctin with the respective RiskMan User Permissins Descriptins Guides which can be accessed frm the Help -> Reference Guides Nte: Sme f the naming cnventins used in this dcument may nt be the same as the nes in yur RiskMan system; hwever the cncepts will still apply Hw d I access the User Prfiles t create, mdify r delete a user? T create a new user yu will need t navigate t the Administratin -> User Permissins -> User Prfiles page The User Prfiles page is made up f tabbed sectins. Each tabbed sectin represents the Registers that yu have available in yur RiskMan e.g. Incidents, Feedback, Risk, Quality Activity; with an additinal nn-register specific tab called General. Depending n yur permissins yu may see all tabs r just sme f these tabs The General User Prfile is used t assign User permissins and Restrictin Details that are cmmn acrss all Registers as well as the Administrative Permissins The infrmatin under each f the tabs allws yu t, create r mdify a user and als t activate/de-activate a user fr a particular register. Users that n lnger wrk fr yur rganisatin are deleted under the General tab nly. Belw are the definitins f the sectins that are included under the Register tabs: Filter fields - Used t search fr an active, deleted r expired user r users wh have n permissin under the specific Register User Prfile e.g. Risk Lgin Details - Used t enter the details f a new user r mdify the details f an existing user Restrictin Details - Used t restrict users entry/ update r reprting f ntificatins/items/activities based n cmmn fields thrughut RiskMan e.g. Site/Regin & Campus/Lcatin restrictins Specific Restrictins (nt available under the General and Feedback tabs) - Used t restrict users entry/update r reprting f ntificatins/items/activities fr a specific Register Nte: The Feedback User Prfiles will have a Restrictin Details sectin which will cntain a cmbinatin f cmmn and Feedback specific restrictins Field Settings (nt available under the General tab) - Specify the status f a field e.g. Hide, Entry Required, Read Only, Optinal Entry n a specific Register. Field Settings are usually dictated by the user s assigned template User Permissins - Specify a user s permissins that are either cmmn acrss all registers e.g. administrative permissins (this is dne under the General tab) r specific t a Register. User Permissins are usually dictated by the user s assigned template Clients wh have a User Licence If yur rganisatin has a User Licence rather than a Site Licence yu will be limited t the number f users that yu can create in RiskMan. If the number f users is clse t the maximum r yu have reached the maximum, the fllwing message will appear at the tp f yur User prfiles page. If yu have reached the maximum number f users yu will be able t delete and mdify existing user but will nt be able t create a new user. Yu will have the ptin t purchase mre licences by cntacting RiskMan Internatinal Pty Ltd, r delete users that are currently nt using RiskMan Current/Pending Delegatin - Used t create a delegatin n behalf f anther user (this sectin will nly display if the user has the apprpriate permissin) Page 1 Valid fr Versin 16.02

Hw d I create a New User? Users can be setup under any f the tabbed sectins f the User Prfile. Hwever when yu d create a user, depending n yur RiskMan setup, a user may nly be activated fr specific Registers e.g. Incident & Feedback, but nt activated under the Risk r Quality Activity Registers. All users will be activated under the General tab Nte: At this stage, users will always be activated under the Feedback Register until this Register is merged int the new frmat General tab The General User Prfiles nly cntains the User permissins that are cmmn acrss all Registers The Restrictin Details that are cmmn acrss all Registers The Administrative Permissins 1. Under the General tab press the New User buttn Nte: If yu want t restrict the Registers that a user is autmatically activated fr, please cntact RiskMan Supprt - supprt@riskman.net.au In this guide, it will be assumed A user is always activated under the Incident & Feedback Registers but nt under the Risk & Quality Activity Registers The persn creating, mdifying r deleting a user has access t all the Register and General User Prfiles Creating a User If yu d nt have permissin t all the Register & General User Prfiles, a user can be created under ne f the Register tabs r the General tab. Where a user is autmatically activated e.g. under the Incident, Feedback & General tabs, they will be assigned the Default template. This will give the user the minimum access t RiskMan If yu wish the user t be assigned a different template then yu will need t mve between the Registers & General tab t assign the apprpriate template If yur rle is t prvide Administrative supprt t RiskMan then we suggest that yu have permissin t all the Register and General User Prfiles 2. Enter the user s details in the Lgin Details sectin Username: Suggest using the same naming cnventins as yur netwrk lgins Passwrd: Yur Administratr has the ability t set the cmplexity and expiratin f passwrds used fr RiskMan Standard accunts if desired. The settings can be mdified via Cnfiguratin > Glbal Settings > Users > Passwrd Management. Please refer t the Glbal Settings Descriptins Dcument fr a detailed explanatin fr cnfiguring passwrd cmplexity rules. Belw is sme additinal infrmatin abut RiskMan passwrds: Yu can pt fr passwrds never t expire in a User Prfile. This will verride any passwrd expiratin setting yu have enabled in the Glbal Settings: Page 2 Valid fr Versin 16.02

Passwrds are case sensitive Passwrd recvery is nt pssible; if a user has frgtten their passwrd it will need t be reset Yu can frce users t change their passwrd when they lg in fr the first time: as a reference when templates are updated and changes are applied t all users n that template Reset fields t this type : Select the template the user will be assigned t (this will be the same as the template selected under the This user s RiskMan User Type is field). The User permissins fr that template will be updated Nte: All restrictins under the Restrictin Details sectin will either need t be manually selected fr that user, r will need t be applied thrugh the Apply Template Changes ptin which will affect all users n that template - refer t the RiskMan User Templates Guide When this bx is checked, the next time the user lgs in t the system, they will be required t create a new passwrd fr their accunt befre they can cntinue. This change is nt cntrlled by any settings and will be applied autmatically. Users can change their passwrd if they want. Hwever, if a user wants t change their passwrd they cannt use any f their last 12 passwrds. This change is nt cntrlled by any settings and will be applied autmatically. It is pssible t add t the ability t prevent users frm changing their passwrd t frequently. When enabled, users will nly be able t change their passwrds nce a day. This prevents users, when frced t change their passwrd, frm imediately changing it back. This is cntrlled by Glbal Settings (See Glbal Settings guide). It is pssible t lck ut users wh enter the wrng username and passwrd cmbinatin successive times. The number f times they can enter the wrng cmbinatin befre lck-ut is defined in Glbal Settings (See Glbal Settings guide). Start Page : A default start page (the page the user will be presented with when they first lgn t RiskMan) may display depending n the assigned template. This can be changed if required 3. If required, select the user s verall Restrictin Details i.e. the restrictins that are cmmn acrss all Registers. Once selected, they will be applied acrss all Registers Entry/Update Restrictins: If the user can nly enter r update Register specific ntificatins/ items/activities based n Sites and/r Lcatins, select accrdingly. T select mre than ne item in a list hld yur CTRL buttn and click n the list items T view the Lcatin restrictins Click n the Filter List buttn under the Lcatin Restrictin bx In the pp-up windw, select the Site and press the Filter list buttn The list f Lcatins will ppulate int the Restrictin Details sectin Highlight as required (Hld CTRL key if yu wish t select mre than ne Lcatin) Email Address: It is advisable that all managers have an email address registered with their User Prfile s they can receive email ntificatins frm RiskMan This user s RiskMan User Type is : Select the template the user will be assigned t. This is used Page 3 Valid fr Versin 16.02

Reprting Restrictins: If the user has access t running Register specific Reprts, yu can restrict their access t what they can view in the reprt based n any f the displayed fields. T view the Lcatin restrictins fllw the steps described abve under the Entry/Update restrictins Nte: Additinal Entry/Update and Reprting Restrictins can be added under the Specific Restrictins sectin under each f the Register User Prfiles. The Specific Restrictins sectin is nt available under the General tab 4. T save the user, press Save User Assign a Register Specific Template fr the New User Once the user has been created under the General tab, yu will need t mve between each f the ther Registers t ensure the user has the crrect permissins t the ther Registers, where applicable. The fllwing pages describe setting up the new user under all the Registers that the user will have permissin t access. Nte: Because RiskMan is cnfigured accrding t the requirements f each client, the fllwing scenari may nt directly apply t yu. It is likely that yu will have fewer r mre Registers than what is depicted in this User Guide. Incident tab 1. Click n the Incident tab and the newly created user will be displayed (we have assumed the user is autmatically active under this Register) 2. Assign the apprpriate Incident Template in the Lgin Details sectin This user s RiskMan User Type is : Select the Incident template the user will be assigned t. This is used as a reference when templates are updated and changes are applied t all users n that template Reset fields t this type : Select the same Incident template the user will be assigned t. The Incident fields, User permissins, Field Settings and any Restrict t these Reprts and/r Restrict t these Jurnal Types restrictins fr that template will be updated Nte: All ther template specific restrictins will either need t be manually selected fr that user, r will need t be applied thrugh the Apply Template Changes ptin which will affect all users n that template - refer t the RiskMan User Templates Guide Start Page : If this was selected under the General tab it will als display here. If nt, yu can select a start page frm this list. Page 4 Valid fr Versin 16.02

3. Restrictin Details : If the user des nt have any Restrictin Details then this sectin will be cllapsed. T expse the Restrictin Details sectin click n the icn. Feedback Tab 1. Click n the Feedback tab and the newly created user will be displayed If the user has restrictins this sectin will be expsed. If yu make any changes t these restrictins they will affect all Registers the user is active under (as these are the cmmn restrictins) 4. Specific Restrictins : This sectin will display the Register specific restrictins Highlight the Entry/Update, Reprting and/r Jurnal Type Restrictins as required Shw Only Alerted Incidents in Inbx: This ptin shuld nly be checked if the user has access t the Incident Inbx (e.g. Risk/Quality Managers) and shuld nly see incidents they have been alerted t Shw Only Alerted Incidents in Reprts: This ptin shuld nly be checked if the user has access t the Incident Reprts (e.g. Risk/Quality Managers, Executives, Line Managers) and can nly reprt n incidents they have been alerted t If yu restrict the list f reprts the user WILL NOT have access t the Incident Custm Reprt Builder n the Incident Reprts page t create, mdify r delete Custm Reprt Layuts 5. T save the user, press Save User Page 5 Valid fr Versin 16.02

2. Assign the apprpriate Feedback Template in the Lgin Details sectin (refer t the descriptin under the Incident Tab) 3. Restrictin Details : In this versin, there is n Specific Restrictins sectin. The Site & Lcatin Entry/Update r Reprting restrictins will be carried acrss frm all ther Registers. In additin, n the Feedback User Prfile, the fllwing restrictins can be included Shw Only Alerted Feedback in Inbx: This ptin shuld nly be checked if the user has access t the Feedback Inbx (e.g. Risk/Quality Manager, Cnsumer Advcate) and shuld nly see feedback they have been alerted t Shw Only Alerted Feedback in Reprts: This ptin shuld nly be checked if the user has access t the Feedback Reprts (e.g. Cnsumer Advcate, Risk/Quality Manager, Executives, Managers) and can nly reprt n feedback they have been alerted t 4. T save the user, press Save User Risk Tab In ur scenari, users are nt autmatically activated under the Risk Tab. 1. Click n the Risk tab 2. A message will display at the tp f the page specifying that the user yu have created des nt have a recrd in the Risk Register User prfile i.e. they are nt activated under this Register 3. If yu wuld like this user t be an active Risk Register user, press the Save User buttn 4. Assign the apprpriate Risk Template in the Lgin Details sectin (refer t the descriptin under the Incident Tab) Page 6 Valid fr Versin 16.02

5. Restrictin Details : If the user des nt have any Restrictin Details then this sectin will be cllapsed T expse the Restrictin Details sectin click n the icn. If the user has restrictins this sectin will be expsed. If yu make any changes t these restrictins, they will affect all Registers the user is active under (as these are the cmmn restrictins) 6. Specific Restrictins : This sectin will display the Register specific restrictins Quality Activity Tab In ur scenari, users are nt autmatically activated under the Quality Activity Tab. 1. Click n the Quality Activity tab 2. A message will display at the tp f the page specifying that the user yu have created des nt have a recrd in the Quality Activity User prfile i.e. they are nt activated under this Register 3. If yu wuld like this user t be an active Quality Activity user, press the Save User buttn Highlight the Entry/Update, Reprting and Jurnal Type Restrictins as required Shw Only Alerted Risk Items in Inbx: This ptin shuld nly be checked if the user has the fllwing Management Permissin: Can Review Entries in Inbx (e.g. Risk/Quality Managers, Executives) and shuld nly see Risks they have been alerted t 4. Assign the apprpriate Quality Activity Template in the Lgin Details sectin (refer t the descriptin under the Incident Tab) Shw Only Alerted Risk Items in Reprts: This ptin shuld nly be checked if the user has access t the Risk Reprts (e.g. Risk/Quality Managers, Executives, Managers) and can nly reprt n risks they have been alerted t If yu restrict the list f reprts, the user WILL NOT have access t the Risk Register Custm Reprt Builder n the Risk Reprts page t create, mdify r delete Custm Reprt Layuts 7. T save the user, press Save User Page 7 Valid fr Versin 16.02

Specific Restrictins : This sectin will display the Register specific restrictins Highlight the Entry/Update, Reprting and Jurnal Type Restrictins as required Shw Only Alerted Quality Activity Items in Inbx: This ptin shuld nly be checked if the user the fllwing Management Permissin: Can review entries in Inbx (e.g. Risk/Quality Managers, Executives) and shuld nly see Activities they have been alerted t Shw Only Alerted Quality Activity Items in Reprts: This ptin shuld nly be checked if the user has access t the Quality Activity Reprts (e.g. Risk/Quality Managers, Executives, Managers) and can nly reprt n activities they have been alerted t Mdifying the Entry/Update and Reprting Restrictins under the Restrictin Details sectin, as these are cmmn acrss all Registers Mdificatins that need t be dne under the specific Register tab Changing the user s assigned template in the Lgin Details sectin Activating a user under a specific Register e.g. Risk r Quality Activity Registers Mdifying the Entry/Update and Reprting Restrictins under the Specific Restrictins sectin as these are specific t a Register It is strngly recmmended that User Permissins and Field Settings are nt mdified under a specific User Prfile, if the user is assigned t ne f yur main Templates e.g. Default, Manager, Executive, Risk Manager. This is because if any f these templates are mdified and an Apply Template Change is dne acrss RiskMan, the user s field settings and user permissins will be verwritten. If the user is assigned a template where the users n this template have special needs that are dictated by their User Prfile, then yu can mdify the user s individual field settings and user permissins. Ensure the template that these users are assigned t is never mdified Searching fr a User If yu restrict the list f reprts the user WILL NOT have access t the Quality Activity Custm Reprt Builder n the Quality Activities Reprts page t create, mdify r delete Custm Reprt Layuts 7. T save the user, press Save User Hw d I mdify an existing user? T mdify an existing user, ensure yu are n the Administratin -> User Permissins -> User Prfiles page Mdificatins that can be dne under any f the Register tabs where the user is active Under any f the Register r General tabs, lcate the user 1. Select the user frm the Select User list r 2. Enter filter criteria in ne f the filter fields Press Rebuild Select User List Nw Mdifying the user s Lgin Details: All the details under the Lgin Details sectin can be mdified except fr the Username. If yu wish t mdify the Username yu will need t delete the User Prfile and create a new ne Select the user frm the Select User list Creating r mdifying a delegatin fr a user: This can be dne under any Register tab where the user is active, prvided yu have the Administrative User Permissin: Can mdify ther users Delegates under the General tab Page 8 Valid fr Versin 16.02

Mdificatins: Template Changes & Specific Restrictins 1. Click n the specific Register tab and lcate the user 2. Mdify the Template changes in the Lgin Details as required This user s RiskMan User Type is: Select the template the user will be assigned t fr the selected Register. This is used as a reference when templates are updated and changes are applied t all users n that template Reset fields t this type: Select the same template as selected in the This user s RiskMan User Type is field. The User permissins, Field Settings and any Restrict t these Reprts and/r Restrict t these Jurnal Types restrictins fr that template will be updated Nte: All ther template specific restrictins will either need t be manually selected fr that user, r will need t be applied thrugh the Apply Template Changes ptin which will affect all users n that template - refer t the RiskMan User Templates Guide Mdificatins: Lgin Details & Restrictin Details 1. Click n the specific Register tab and lcate the user 2. Mdify the Lgin Details as required All fields in the Lgin Details sectin can be changed except fr the Username. This cannt be changed because the username can be linked t Register Items Template changes shuld be dne under the respective Register r General tab - refer t the sectin Mdificatins: Template Changes & Specific Restrictins Nte: Advise that yu d nt mdify the field settings r the user permissins as these are cntrlled by the User Templates and culd ptentially be verwritten if the templates are mdified 3. Mdify the Restrictins Details as required 4. Press Save User 3. Mdify the Specific Restrictins as required 4. Press Save User Example: Mdifying a User under the Incident Register User Prfile Page 9 Valid fr Versin 16.02

Mdificatins: Adding r Mdifying a Delegate fr a User If a Manager is n annual leave r nt available t perfrm their RiskMan duties fr a perid f time yu can Check t see if the Manager has already assigned a delegate and if nt assign a delegate n their behalf; r Mdify a manager s delegatin if the selected delegate becmes unavailable e.g. n sick leave T assign a delegate 1. Lcate the user under any Register r the General tab 2. Press the Edit Delegatin buttn Mdificatins: Activate a User under a Register Users can be active under sme Registers e.g. Incidents & Feedback but nt necessarily active in ther Registers e.g. Risk and Quality Activity. This will depend n hw yur system is setup. All users will be active under the General & Feedback tabs If a user is nt active under a Register, then they can be activated as fllws: 1. Click n the specific Register tab e.g. Risk 3. Press the Add Delegate buttn 4. Search fr the delegate using the Filter icn and then select the user frm the Delegate list 5. Enter the delegatin perid (End Date shuld be the date the user is returning) 6. Press Save 2. If the user is nt in the Select User List and the user can lgn t RiskMan, it means that the user has a user prfile in RiskMan, but is nt active under that Register Enter the user s first r last name in the User Name Filter field Check the Only Shw Users with n permissins in this register ptin Press the Rebuild Select User List Nw buttn T mdify/delete an existing delegate 1. Lcate the User under any Register r the General tab 2. Press the Edit Delegatin buttn 3. Duble click the Delegate s Name in the list 4. If yu wish t mdify the details f the delegate, make any respective changes and press Update 3. Select the user frm the Select User list 4. Press Save User A message will display t infrm yu that the User is nw activated 5. If yu wish t delete the delegatin press Delete 5. If required, mdify the User s Prfile as apprpriate e.g. Assign the apprpriate template in the Lgin Details sectin and press Save User Page 10 Valid fr Versin 16.02
