What s the NCFE Portal The NCFE Portal is a secure area of the NCFE website which allows centres to register candidates, enter candidates for external assessment, enter internal units for graded qualifications, claim for certificates and view candidate information 24 hours a day. It s designed to make tracking your centre s approvals and candidates progress more simple. Please be aware that if there s 20 minutes or more of inactivity, then the Portal will time out and you ll need to start again. Finding the Portal Use your internet browser to go to www.ncfe.org.uk You can either select to Login or Register 1

Requesting to use the Portal To request a username and Password for the Portal you need to select Register on the homepage. You will then see the following screen: Enter your centre number, full name, preferred username, email address, preferred password and confirm your password, then select Save. ** If your centre already uses the NCFE Portal an email will be sent to the Portal Administrator for your centre. They ll then set you up as a Portal User and an email with your login details will automatically be sent through to you. If you re the first person to request login details at your centre, you ll be set up as the Portal Administrator by your Centre Support Assistant. They ll then send you an email with your login details and you ll be able to log in. Please also set up an LRS administrator as soon as possible, this person will be responsible for looking after the management of ULN numbers 2 on the Portal.

Logging in to the Portal After you have selected Login on the Homepage you will be asked to enter your Username and Password. Once you have entered your Username and Password, select Login. Forgotten your Portal password? If you ve forgotten your Portal password you can use the login screen to reset it. Select Forgotten your password?. Enter your username in the appropriate box and select Reset. This will send an automatic email to you with a randomly generated password. You should change this password using the My Accounts section to make it more memorable. 3

Logging out of the Portal To log out of the Portal select Log out. This is in the top right corner of the home screen. Creating New Users The Portal Administrator is the person who will create new user accounts for your centre. Please refer to the Requesting to use the Portal section for information on how to set up the Portal Administrator. If you re the Portal Administrator and you d like to set up a new user, select Manage Users from the blue bar on the home page. 4

The screen will list the current users at your centre. Select Create New User. In the User Details Fields add users: Name, Email, Username and Password The Portal Administrator must select the permissions a user will have access to. For example, an Exams Officer may have access to everything, but a Tutor may only need access to Search and Candidate Information. Once all fields have been completed select Create User. 5

You can edit users in this screen by selecting Edit next to the appropriate user account. This will allow you to change the permissions and full name of the user before updating their account. You ll also be able to delete users from the Portal using the Delete button. This is useful when users at your centre move on, and the account is no longer needed. Managing your user account You can change your password from the one you were originally allocated, or update your account regularly for your security. Using the Portal home page select My Account, then select Change username & password. 6

Type your current password into the first box and your new password into the 2 boxes further down the page. You can also update your username and email address if they change. Select Save to save your changes. Your details will be confirmed as being changed, the form will reset and you ll receive a confirmation email with your new details. 7

Registration There are various methods of registering candidates which are : Key in Method: This allows users to manually enter candidates details Upload via CSV file: This option allows users to upload their list of candidates via a CSV file. Bulk CSV: You can create multiple lists for different qualifications to upload at one time. Tribal Upload - If you use Tribal Management system you can upload candidate details directly from their system to ours Details on how each process works can be found in this manual. 8

Key in Candidate Names To type in your candidates information select Key in candidate names then select Next. You will then be presented with 2 options: Create a new batch allows you to register candidates on to a new batch. At the end of this process you will be given a new batch number The Add to existing batch option allows you to add candidates to an existing batch that has previously been created. 9

First, you need to select the programme you want to register your candidates on. You can search for an approved qualification by typing in the programme code or the programme title and clicking Search. If you re unsure of the programme code you can change the Show box to Approved and this will list all of the qualifications that you re currently approved to run: When you ve found the programme you want to register candidates on, select it and click Next. 10

Add a purchase order number if you need it to be recorded on an order. The email address will already be completed according to the user account accessing the Portal. If you ve a specific reference that you need to attach to this batch, you can add it in the Your reference number field. Select the academic year that you d like the candidates to be registered on, then select Next. The fields which are marked with an asterisk (*) are mandatory fields which must be completed. All other fields are for your reference only and can be left blank if they don t apply to you. 11

Type your candidates details into the fields. The following fields are mandatory: Forename, Surname, Date of Birth, Ethnicity and Gender The Centre Candidate Reference can be used if you ve assigned a specific reference for your candidates. You can leave the field blank if you don t have one. The Unique Learner Number (ULN) is something that the candidate will have, or your centre has requested. You can request a candidate ULN from Learning Records Service here. To add more than one candidate, click the Add Candidate button. The maximum number of candidates that should be entered onto a batch is 2000. If candidates are transferred or cancelled from a batch, this will still count towards the 2000 limit. 12

Ethnicity Codes The available ethnicity codes are; 31 English / Welsh / Scottish / Northern Irish / British 32 Irish 33 Gypsy or Irish Traveller 34 Any other White background 35 White and Black Caribbean 36 White and Black African 37 White and Asian 38 Any other mixed / multiple ethnic background 39 Indian 40 Pakistani 41 Bangladeshi 42 Chinese 43 Any other Asian background 44 African 45 Caribbean 46 Any other Black / African / Caribbean background 47 Arab 98 Any other ethnic group 99 Not provided 13

This screen will allow you to confirm your candidates details. Select Cancel if the registration isn t as you d like it to be. Select Previous if you need to change anything about the registration details. Select Finish if you re happy with the candidates details. Your candidates are now registered and the batch number attached to those candidates will show on the screen. At this point you ll be able to print off any reports that you need, register more candidates and enter your candidates for an external assessment. 14

Upload Candidates Using CSV You can upload candidates from a file on your computer, provided they re in CSV format. Refer to the Creating CSV files section for detailed instructions on how to create a CSV file. To register your candidates using a CSV file, select Upload candidates using CSV from the Home page or via the Registration page. You will then be given 2 options: Create a new batch allows you to register candidates on to a new batch. At the end of this process you will be given a new batch number. The Add to existing batch option allows you to add candidates to an existing batch that has previously been created. 15

You ll now need to locate the CSV file that you ve saved onto your PC. Select Browse, locate your file then select Next. The maximum number of candidates that should be entered onto a batch is 2000. If you need to make changes to the data you can change the data by clicking in the fields then select Next. If the data is incorrect you can select Previous to upload another file. Select Delete to remove individual candidates. Once you re happy with the data click Next. 19

You ll then be able to confirm the candidate details before finally registering your candidates. If you re happy with the information select Finish. If you aren t happy with the information you ve entered you can select Previous and you will be taken back to the edit your candidate details page. 20

Your candidates are now registered and the batch number attached to those candidates will show on the screen. At this point you ll be able to print off any reports that you need, register more candidates and enter your candidates for an external assessment. 21

How to Create a CSV File A CSV file is a file containing data in the comma separated values format. These can be created from most MIS systems including Microsoft Access and Excel based applications using an export tool. CSV files can also be created in text editing applications such as Microsoft Word or Notepad. When creating a CSV file for a single batch of registrations, the information must be set out using the format outlined to the left. As long as all of the candidates are going to be registered on the same programme, you can input as many candidates (up to 2000) as you like using this file. Save the file as a.csv file, and upload the information according to the CSV upload of candidate data section. The CSV tool is useful when you need to create a CSV file and don t know where to start. The tool can be downloaded from here. 22

Key in Method If you d like to key in your candidate details to an Excel spreadsheet then this is a useful option. To download the tool you should click the link and select Save. Save the CSV tool to your PC in a memorable place so you can use it again and again. You may see a message to tell you that the download is complete, select Close. To use the tool, go to the place that you saved the tool and double click the icon, then select Enable Macros. An excel spreadsheet will open and NCFE CSV Tool will appear in the toolbar at the top of the screen. Select NCFE CSV Tool from the toolbar and then select the method with which you d like to import your candidates. 23

Once you ve selected Key in Method the excel spreadsheet will populate the first row with a header row. You can now start to add your candidate details in the same columns as the header row. The Key in Data menu is there to help you arrange your data in the correct way. If you re unsure of the LSC ethnic codes then select the Show Ethnic Codes button on the CSV tool. The tool will expand to show the codes and you ll be able to populate the column in the correct format. Use the Check Data function to make sure you ve got the data in the correct format and columns. If there are any errors the cell will change colour. When you change the data you can select Clear Colours and then Check Data again. Once all the data is recorded you can save the spreadsheet using the Auto Save or Manual Save buttons. This file can then be uploaded to the NCFE Portal using the Upload candidates using CSV section of this handbook. 24

Data Dump Method If you have your candidate information already stored in an Excel file, but it needs to be formatted correctly then this method is really useful. To download the tool you should click the link and select Save. Save the CSV tool to your PC in a memorable place so it s easy for you to access. You may see a message to tell you that the download is complete, select Close. To use the tool, go to the place that you saved the tool and double click the icon, then select Enable Macros. An excel spreadsheet will open and NCFE CSV Tool will appear in the toolbar at the top of the screen. Copy your data into the open Excel spreadsheet and select NCFE CSV Tool from the toolbar, then select the method with which you d like to import your candidates Once you ve selected Data Dump Method, the Data Dump menu will appear. You ll need to assign header values to the columns you have in your file, so any header rows that you currently have need to be cleared. If there s no header row you ll need to insert a blank header row using the tool The data in your excel file may be arranged in a way that s not accepted by the NCFE Portal so you must assign header titles to the columns you have and sort them Select a blank cell in the header and select the mandatory header that relates to that cell Continue to do that until all of the mandatory headers are assigned If any of the headers don t have a corresponding column, then select a blank column. For this example spreadsheet, the header row will look like this: 25

Once the mandatory headers are assigned, the rest of the columns can be removed. Select Sort NCFE Mandatory Header. The example spreadsheet now looks like this: At this point if there are any errors with the data which would mean that the file won t be imported to the NCFE Portal, these would be highlighted. The incorrect data is highlighted red and a request for you to change the data is displayed. The data can be changed by typing over the information in the cell. However, if the data that needs to be changed is the ethnicity or gender columns, the tool can be used to update it easily. Highlight the ethnicity column with errors in it and select Show Search and Replace. The tool will expand to show the ethnicity codes and you ll be able to create a unique list from your highlighted column. This list will include the data you ve entered into the column. Select an item from your unique list Select the equivalent value from the LSC ethnicity codes Select Replace The column in your excel spreadsheet will update with the correct information, and you can then continue to update the remaining items in the list. The same process can then be followed for the gender column. 26

Once all the corrections have been made, select Exit to return to the main menu. To make sure the rest of the data is in the correct format select Check Data. The date of birth has to be formatted in a specific way and so often this is an area that will cause an error when checking the data. A message will appear to let you know the date of birth format is incorrect. The date of birth can be overtyped to display the correct format. Use the Check Data function to make sure you ve got the data in the correct format and columns. If there are any errors the cell will change colour. When you change the data you can select Clear Colours and then Check Data again. Once all the data is recorded you can save the spreadsheet using the Auto Save or Manual Save buttons. This file can then be uploaded to the NCFE Portal using the Upload candidates using CSV section of this handbook. 27

Create a bulk CSV file A bulk CSV file allows you to register candidates on multiple qualifications from a single CSV file. When creating a bulk CSV file, the header row to the batch must be set out using the following format: Record type (NCFE1), centre number, centre reference, blank field, product code, blank field, blank field The candidate information rows must be set out using the following format: Record type (NCFE2), first name, middle name, surname, date of birth, centre candidate number, ethnicity code, gender, unique learner number (ULN). The mandatory fields for the candidate information rows are: Record type (NCFE2), first name, middle name, surname, date of birth & ethnicity code You can register as many batches on as many qualifications/awards as you like using a bulk CSV file. Save the file as a.csv file and upload the information according to the Upload candidates using bulk CSV section. 28

NCFE and Tribal Group plc NCFE and Tribal have linked the NCFE Portal and Tribal s Management Information System, ebs to reduce the duplication of work normally needed when registering candidates. The first phase of the link described in the following pages show the simple steps involved in linking data exported from Tribal s Management Information System, ebs to the Portal. They also show how to download base data which is specially formatted to be imported directly into Tribal s Management Information System, ebs. Who is Tribal Group plc? Tribal candidate uploads You can upload candidates to the Portal from a CSV file created by Tribal s Management Information System, ebs. To upload your Tribal CSV file follow the instructions in the section named Upload candidates using bulk CSV. Tribal qualification/award (base) data You can download NCFE qualification/award data for use with ebs. From the Portal home page, select Tribal Downloads, and then select the option that you d like to download information for. Once you ve selected the option, you ll be asked to select the qualification you d like the information for. A link will be presented and you ll be given the option to open or save the file. Select Save and save it to an appropriate drive on your PC. Once the download has completed you will be asked to close the dialogue box. Please contact Tribal for help and guidance when importing the scheme and link base data into ebs. 31

Tribal candidate registration (base) data You can download candidate registration data for use within ebs. From the Portal home page, select Tribal Downloads, and then select the option that you d like to download information for. New registrations are registrations that have not been downloaded before. A link will be presented and you ll be given the option to open or save the file. Select Save and save it to an appropriate drive on your PC. Once the download has completed you will be asked to close the dialogue box. Please contact Tribal for help and guidance when importing candidate registration data into ebs. Upload Candidate using Tribal/Bulk CSV The Tribal/bulk CSV method of registration allows multiple qualifications with multiple candidates to be uploaded in one file. This is extremely useful if you have large numbers of candidates with NCFE. 32

Refer to the Creating bulk CSV files section for detailed instructions on how to create a bulk CSV file. To register your candidates using a bulk CSV file, select Upload candidates using bulk CSV from the home page or via the Registrations link, then select Next. You ll now need to locate the CSV file that you ve saved onto your PC Select Browse and locate your file then select Upload when the field is populated. 33

The batches show below the upload field and give a brief outline of the qualification details you re going to register your candidates on. To move on, select the batch you d like to register by clicking Select and then Next. You can now edit the contact details for this batch and allocate an address to it by selecting from the drop down box. The academic year (session) should be selected from the drop down box. You can enter a purchase order number if you need it to appear on the invoice for this batch. Select Next once you re happy with the information. 34

Verify your candidates details are correct by selecting Next. Changes can be made directly to the cells before selecting Next. Any errors will show as a coloured box and a description of the error can be found on the screen Changes can be made directly to the cells before selecting Next. This screen allows you to confirm your candidates details before finally registering your candidates. If you re happy with the information select Finish. 35

Your candidates are now registered and the batch number attached to those candidates will show on the screen. At this point you ll be able to print off any reports attached to the batch and enter your candidates for an external assessment. V CERT Qualifications There s a separate tab on the portal for V Cert qualifications, this can be found next to the other tabs on the blue ribbon. Here you can make Registrations and Entries as well as Submit Unit Grades and Claim Certificates for V Cert qualifications. 36

If you wish to register candidates for V Certs click on Registration under the V Certs tab. The process for registering candidates is the same as registering for all other qualifications, which can be found on page 10. Entering a Candidate for External Assessment (V Certs) To Show previous external assessment entries simply click on the link, here you can search for entries by batch number or programme code. For further information see page 60. 38

Click on Entries under the V Certs tab on the blue ribbon and select Enter Candidates for External Assessment. Next, select which marking window you want the candidates to be entered for. 39

Select the candidates you wish to be entered for assessment. Check the learner s information is correct and click Finish. 40

Submitting Internal Unit Grades for Candidates (V Certs) Please note: Unit grades should only be submitted once the work has been assessed and a sample has been internally moderated. Once this has been done, please submit the applicable grades for each candidate. The unit grades will be stored until your External Moderator banks them following a successful moderation visit. Please check the information you re about to submit is correct now, as once the grades are submitted you re unable to make amendments. Search using your batch number and select the candidates that you want to submit grades for and click Next. Select the unit from the list on the left and select the grade achieved for each candidate. If you re submitting more than one unit to be banked, work through each unit selecting the grades as above. If you need to remove units, use the red cross down the right hand side to clear the line. When you ve finished submitting the grades for your candidates, fill out the Centre Declaration and Internal Moderators name and click Submit. 41

This screen will show an overview of your submission. Please print a copy of this screen for your records. 42

Claiming Certificates (V Certs) Please note: If you wish to claim certificates for your candidates, this should be done once all internal unit grades have been banked by your External Moderator. You can claim a unit certificate for any candidates who haven t completed the full qualification, but who d still like recognition for the parts they ve successfully completed. Click on Claim Certificates under the V Certs tab on the blue ribbon. 43

You can search by any of the details associated with a candidate or a batch. There s also an advanced option which will allow you to search by date of birth, ULN or current status. To conduct your search please complete one or more of the boxes and click Search. You ll then be taken to a results page which will match candidate records to your search. To claim certificates for your candidates please select the check box to the left of their name and click Claim. 44

This screen shows the learners and their aggregated grades along with the status of their overall claim F= Full, P=Partial. If you select an individual learner you can see what units they have completed and at what grade. This is your last chance to change an incorrect candidate name spelling before certificates are produced. You can do so by clicking Edit Name to the right of the candidate s name. Once you ve checked this, click Claim. 45

Claim Report The claim report can be generated in either Excel or PDF format. It will confirm all details of the candidates that you ve certificated. For V Certs the Claim Report will look like this: 46

Entering Candidates For External Assessments Click on the Entries link then Enter candidates for external assessment. On the following screen click Next. You can search for the candidates you wish to enter for assessment either by entering their batch number or searching for all candidates on a particular programme code. The results will allow you to select the batch that you d like to enter before selecting Next. 47

Enter the site, date and time of the assessment using the 24 hour clock. Then select Next. Select the candidates you d like to enter by clicking in the tick box under Request Assessment. Then select Next. The Verification screen allows you to confirm the entry before selecting Finish. 48

This screen confirms the entry you ve just made, as well as allowing you to print off any paperwork you need. It also allows you to go on and enter more candidates for the external assessment by selecting Enter more candidates. 49

Online Certification Online certification enables you to claim certificates for learners without having to complete a paper certificate claim form. When claiming certificates for V Certs click on the dedicated V Certs link on the blue ribbon at the top of the page. Claiming Certificates To claim certificates using Online Certification, click the Certification link at the top of the screen. The certification screen has 2 sections; To claim certificates for the first time, please select Search for your candidates to make a claim. To view a previous claim click on View a claim you ve made using Online Certification. 50

Full (F) this is for a full claim, where candidates have completed all of the necessary units and/or assessments. Partial (P) for candidates who ve completed some of the units or candidates that haven t achieved their assessment. Withdraw (W) if the candidate s no longer studying at your centre and you d like to withdraw them from the qualification. Once you ve done this, the screen will show the units for the qualification. You ll need to mark the units that your candidates have completed by selecting the box marked Result. With each click on the Result box the status will cycle through the following options, please click until you select the appropriate choice (*QCF qualifications only): Achieved the candidate has fully achieved the unit. *Credit Transfer the candidate has completed this unit previously with another awarding organisation/different centre. *Equivalence the candidate has already completed a unit that s the same or similar within a different qualification. *Exemptions the candidate has completed a similar qualification or part of the same qualification elsewhere and they re exempt from completing a unit. 52 No Claim nothing to claim for this unit.

When you ve marked the units you ll need to confirm the candidate details are correct, (this is your last chance to change an incorrect candidate name spelling before certificates are produced, you can do so by clicking Edit Name to the right of the candidate s name) tick the declaration, enter the internal moderator s name and purchase order number if applicable. Once you ve checked this is correct, click Claim. 53

Before you submit the claim for certification you ll need to check the details. Once you re satisfied that you re claiming for the correct candidates please click Submit Claim. You ll then be taken to the confirmation page where you can download the claim report detailing the claims you ve just made. Claim Report The claim report can be generated in either Excel or PDF format. It will confirm all details of the candidates that you ve certificated. 54

Additional Claim Information You can only claim certificates in batches of 100 or less. If you partially complete a claim and log out, your candidates will be put into a basket. When you next log back into Online Certification you must either claim these candidates or remove them from your basket as you can only claim for one programme at any given time. If you have Direct Claims Status your claim will be sent straight to our Processing team to be certificated within one working day*. If your centre doesn t have Direct Claims Status for the programme you are claiming for, you can still claim certificates using Online Certification. Your claim will not be sent straight to the Processing team, it will be sent to your External Moderator who ll be able to log in and sign the claim forms. These will be approved within 3 working days and then processed the following day. If for any reason the External Moderator is unable to sign the claim, an email will be sent to your Centre Support Assistant to contact you directly. *Claims received before 3pm will be processed that day whereas claims received after 3pm will be processed the following day. *If a claim needs to be reset by NCFE then it will stay in a pending status for 5 working days from the original date of claim. 56

Reviewing Your Claims You can also search for any claims that you ve made using the View a claim you ve made using Online Certification link. You can search by batch, session, programme code, candidate forename or candidate surname. Once you ve completed the details click Search. Your results will be displayed below the search bar. You can download the Excel or PDF versions of the claim report using the icons on the right. 57

Searching the Portal for Information There are a number of searches available to help you find information about registered candidates and your centre s approved awards/qualifications. Log into the Portal and from the home page select Search. At this point there are 4 options that you can choose to search for; Candidates, Batches, Programmes, Candidate Entries. In the bottom right hand corner of any of the searches you can use the page size drop down menu to view between 10 and 100 results per page. 58

Search for Candidates Click on the Candidates tab. You can search in this category by programme code, candidate number, first name and surname. Once you ve entered the information you want to search for, select Search. The results will show as a list below the search criteria and show the candidate name, candidate number, batch number, date of birth, programme code and status of the candidate. You have the choice to export these results to a CSV file by using the Download in CSV format button just above the results. Search for Batches Click on the Batches tab. You can search in this category by batch number or programme code. Once you ve entered the information you want to search for, select Search. Three icons will appear next to your search results, these icons allow you to Enter candidate for an external assessment, Show candidates on that batch number and View all reports for that batch number. 59

Search for Programmes You can search for a qualification by typing in the programme code or the programme name and clicking Search. Alternatively, if you don t have any search criteria, you can select Approved in the Show drop down box and the list will show all programmes that your centre is currently approved to run. Click Search The results show the programme code, programme name, status of the qualification, type of qualification and level of qualification. 60

Search for Candidate Entries Click on the Candidate Entries tab. Here, you can search for external assessment entries made by your centre using batch number or programme code. Once you ve entered the information you want to search for, select Search. Show all Candidate Batches The results will show as a list below the search criteria and show the batch number, programme code, session, assessment code, assessment name and entry date (date of assessment). To show all batches you don t need to type in any information, just click Search and all batches that your centre has ever registered will show. The results will show as a list below the search criteria and show the batch number, programme title, qualification name, session, status of batch, registration date and External Moderator/Verifier (if there s one allocated). Just as when you search by Batches three icons will appear next to your search results. These icons allow you to enter candidate for an external assessment, Show candidates on that batch number and View all reports for that batch number. 61

Show Previous Entries There s an option to view all of your batches with entries for external assessment via the Portal. You can access this information through the home page by selecting Show previous external assessment entries. Show External Assessment Results You can search in this category by batch number or programme code. Once you ve entered the information you want to search on, select Search. Alternatively, if you don t have any search criteria, you can select Search and the list will show all batches with results for your centre. Clicking on the icon to the left of the batch number will show you which candidates were entered on that particular date. Click Select next to the entry that you d like to see results for and select Proceed. 62

The Learner Registration Service (LRS) Screen Any registered Portal user can use the LRS screen to view candidates whose ULN is blank and update these candidates ULN. Your centres LRS Administrator will also be able to use this screen to view candidates who have been returned as invalid from LRS. Candidates without a ULN (Unique Learner Number) Only the LRS admin user can access the LRS screen to update a candidate ULN. Candidates without a ULN will appear in a list with a search bar above it which you can use to filter the list. You can type the candidate s ULN into the empty box and then either select Save on each line individually or select Save All. If you try and save a ULN in an incorrect format (less than 10 digits or starting with a 0) the ULN field will turn red. 63

If the ULN is in the correct format the line will turn green. NCFE will then send the ULN to LRS to be validated. 64

LRS Administrator Access When your LRS Administrator opens the LRS screen they will see more information; blank ULNs and any candidate data returned by LRS as invalid. The search bar has additional options to filter by response code and whether to show blank ULNs. You ll receive an email from NCFE which explains the response codes, but you can also hover over the tick boxes to see what each one means. This screen will let you change ULNs and candidate names which have not been validated by MIAP. 65
