3 1. Introduction Welcome to Leeds Beckett University s Online Application system. This system will allow you to create an application and follow its progress through the various stages of submission, correspondence and receiving a decision. This guide will take you through the application form step-by-step clarifying what is required in each section and once you have submitted your application, what will come next so you know what to expect when using the system. 2. Registering to Use the System Go to and click here to register. This will open the registration page which requires an address, name and date of birth. Accurately complete the required fields as incorrect information at this stage will affect your ability to access Apply Online. Please read the terms and conditions of applying to Leeds Beckett University before agreeing to them by ticking the box and clicking the submit button at the bottom of the page. Page 2
4 Once you have registered to use the system, you will receive an with your log in details. You will then be able to log in. If you do not receive these details please check your junk mail folder. If you still do not receive your log in details, please contact us by at with your full name and the address you have registered with. 3. How to Log In Go to and enter the details that you have been ed. You may find it easiest to copy and paste your log in details from the directly into the relevant boxes on the main page. Please note that the username and password are case sensitive and access to Apply Online will not work from anything other than a desktop computer (it will not work from an IPad or an IPhone). If you are having problems navigating the website and are frequently being redirected to the login form, it is likely that the problem is that the computer you are using is not accepting cookies from the site. Cookies are used by this site to maintain your logged-in status during your visit and must be enabled in order to use the site. If you are still unable log in please contact us by at studentadmissions@leedsbeckett.ac.uk with your full name and the address you have registered with. Page 3
5 4. Your Homepage When you have successfully logged into Apply Online, you will see your homepage. This allows you to create a new application. You will also be able to view the status of any past or existing applications and view your offer letters. From the home screen you will also be able to edit your account information and password (See Appendix A for detailed information on the homepage buttons). Page 4
6 Once you have created and submitted an application, information on your homepage will change as your application is updated. Application status information that you may see here is: Status Application form received Conditional Offer Conditional Firm Accepted Unconditional Offer Unconditional Firm Accepted Offer declined/declined Offer Application Unsuccessful Deferred Application Admissions Error Course Full Course Cancelled First Reminder Outstanding information Awaiting Further Information Application withdrawn What this means We have received your application form and we are making a decision. We have made a conditional offer on your application. You will need to look at your offer letter to see what these conditions are. You have accepted an offer of a place on this course based on the entry requirements stated in your offer letter. Please upload copies of your certificates/results when you receive them so that we can confirm your place. We have made you an unconditional offer of a place on this course. You have accepted this course as your first choice. Congratulations and we look forward to meeting and greeting you. You have declined our offer. We have not been able to offer you a place on the course, please see your letter for feedback as to why this is the case. You have deferred your application to start the course at a different time. This status is used for an application that has been created in error. This course is now full and so your application will not be considered. If you wish to choose another course or you wish us to consider this application for the next intake, please contact us at directadmissions@leedsbeckett.ac.uk. The course is no longer running and you need to view the letter for further information. We are reminding you that we need further information in support of your application, please view your offer letter to see this. 7 5. Creating a New Application If you have no incomplete applications, then you can select the click here to start a new application button on the home page. This will take you into section 1 of the application form. Please note - The New Applications button will only show on your account if you do not have any existing incomplete applications. To begin a new application you will either need to delete or complete your existing application. The application form is broken down into 5 sections. Each section must be completed before you will be able to submit the application. Until you save the first page, the other sections are hidden and all mandatory areas within each section must be complete before you can continue. An asterisk (*) Indicates a mandatory field which must be completed. If you miss any mandatory information, a box at the very top of the page will show what information needs to be included when you click Save and Continue. Help Text is available on each subsection of the application form to advise you as to what information we require on the application. 8 a. Section 1 - Personal Details This is the first page of the application that you will see once you have selected the New Application button. You will have 3 choices for each academic year. You do not need to use all the choices. Course Details For this section you are required to tick which year of entry the application is for, this needs to be populated before you can continue to enter the course. Once this has been selected you can begin typing in the full title of the course that you wish to apply for (i.e. BA (Hons) English Literature), the course will automatically populate as you type. Please ensure that you choose the correct course title, level and mode of study (Full-time/Part-time). You will then be required to select the relevant start month (Entry) and the Level at which you wish to start the course (Point of Entry) from the drop down boxes on the right-hand side of the course choice. Personal Details Some of your personal details will automatically be populated from when you have registered, please check that these are accurate. Please complete the remaining mandatory sections (Title, Gender and Have you previously studied). If you have previously studied at Leeds Beckett University, please provide your student ID number if you know it. This will usually start either 77 or 33. You will also be required to provide information on whether you have ever been refused a visa for the UK or any other country. Please select Yes or No to complete this question. You are only required to complete the last three boxes if these are relevant to your application. Page 7
9 Contact Details - You can use the UK Address Finder to search for an address in the UK only by entering your postcode and clicking the search button. For International addresses, you will need to type in the full address. Please ensure all fields marked with a * are completed before moving on to the next section. Fee Status This section helps us to identify your status for fees purposes. In this section you begin by selecting whether you are a permanent resident in the UK, EU or overseas. The option you select will determine the information you are required to provide in this section. For UK applicants you are required to select your country of birth, nationality and UK country of residence from the drop down menu. For applicants within the EU you are required to select your country of birth, nationality and EU country of residence from the drop down menu. For overseas applicants you are required to select your country of birth, nationality and passport number if known. If you were not born in the UK/EU then please complete the date of entry you first came to the UK/EU field. You will need to complete both the first entry and the most recent entry fields; these can be the same dates. We will contact you if the information you have provided means that we need to undertake a Fee Status Assessment. For Further details about Fees Status checks, please us at feestatus@leedsbeckett.ac.uk. To complete section 1 applicants are required to provide details of who will be paying their fees. Please select an option from the drop-down menu. Page 8
10 Sponsor Details If your tuition fees are being paid by a sponsor and you already have their details you can add them in this section by ticking the relevant box at the end of section 1. You will be required to provide the organisation s name, address and contact number. You can use the UK Address Finder to search for an address in the UK only by entering your postcode and clicking the search button. For International addresses, you will need to type in the full address. You can also upload documents at the bottom of this section to provide evidence that your sponsor is prepared to support your studies. Once all sections marked with a * have been completed please click page to progress to the section 2. at the bottom of the Page 9

Section 2 Previous Study and Qualifications In section 2 you are required to provide details of your highest qualification on entry, any other qualifications required for entry, your English language qualifications and any relevant employment history. Highest Qualification On Entry In this section please select the most appropriate option from the drop-down list. This may not be the qualification you studied most recently if it is at a lower level, for example if you have an undergraduate degree and are currently studying an Access to Higher Education course, your highest qualification will be the undergraduate degree. If you are not sure which qualification to select, please us at studentadmissions@leedsbeckett.ac.uk. Page 10
12 Qualifications In this section you are required to provide further details of your highest qualification on entry. You can also add details of any other qualifications to support your application. You must provide the details of at least one qualification in this section to progress onto section 3. All of the boxes must be completed to allow you to save this section. If you have previous studied an undergraduate degree, please select Higher Degree from the Qualification type drop-down menu. Please see a completed example below: Click save to add each qualification before adding more. English Language Qualifications English Language is a standard requirement of entry to the University and is normally equivalent to an English Language GCSE grade C or IELTS overall score of 6 with no skill below 5.5 if you are an international applicant. Please note the requirement is higher for some courses so please refer to the entry requirements section of the individual course descriptions on the Online Prospectus to check if you have a suitable qualification. In this section, please tell us about the English Language qualification you have already taken, with the result; or about the qualification you are about to take and when it will be completed. Employment History Please enter the details of any relevant current or previous employment undertaken, with the start and end dates. If the employment is still current, leave the end date blank. Once all sections marked with a * have been completed please click page to progress to the section 3. at the bottom of the Page 11
13 c. Section 3 Personal Statement Other Relevant Information This page is for information in support of your application (i.e a personal statement). Your personal statement should include why you have chosen this particular subject area, how you think it may help you to achieve your aims; reference to any relevant work experience (paid or unpaid) or any voluntary work you may have undertaken and any interests you wish to tell us about. This section is limited to 4,000 characters including spaces. If your Personal Statement is longer than 4,000 characters, please attach it as a separate document in the Supported Files section of your application. If you choose this option please put 'See attached' in this space. Supporting Information - Upload all documents that you wish to provide with your application, including certificates, references, personal statement and additional questionnaires as required. Please note there is a file size limit of 5MB per file. If your files exceed this limit please them to directadmissions@leedsbeckett.ac.uk Once all sections marked with a * have been completed please click page to progress to the section 4. at the bottom of the Page 12
14 d. Section 4 Other Questions Please note that the questions in this section are mandatory and must be completed. Duration in Care - This section must be completed but you may select the Information not provided option if you do not wish to provide this information. Please be assured that this information will not be taken into consideration as part of the selection process. Responding to this question means that we will be able to address your needs and provide appropriate services should you enrol with us. Criminal Conviction - If you have a criminal conviction that is not spent, and which would not be filtered out on a Disclosure and Barring Service (DBS) check, then you must declare it as part of the application process. Details on periods before convictions can be considered 'spent', or on filtering, can be found at In addition, for some courses, we will require you to undertake a DBS check, and will contact you separately where this applies. 15 e. Section 5 Educational Reference & Additional Personal Information Educational Reference Where possible please supply the details of two referees. You can use the UK Address Finder to search for an address in the UK only by entering your postcode and clicking the search button. For International addresses, you will need to type in the full address. Your referees should be able to comment on Motivation, commitment, reliability and attendance Intellectual qualities including present and potential performance Personal qualities, including self-discipline and working with others Communication skills oral and written If you already have your reference you can attach this to your application in section 3. If you are yet to receive a reference please ask your referee to the reference to us directly using the directadmissions@leedsbeckett.ac.uk address. Disability Information Enter details about any disability that you have. Please be assured this information will not be taken into consideration as part of the selection process. However, if you do have any special requirements and wish to provide us with this information, it will help us to provide appropriate support during your studies at Leeds Beckett University. Ethnicity Enter your Ethnicity. You can refuse to provide this information if you wish. Please be assured we only use this information to monitor the effectiveness of our equal opportunities policies. Page 14
16 Marketing Enter how you heard about Leeds Beckett, if you do not want to disclose this information, select other and manually enter Not provided. Terms and Conditions You will need to read the terms & conditions and agree to them by ticking the box before you can submit your application. To complete this section please click will show you the below message: at the bottom of the page. If all sections are complete then this If you have any sections which have X in the section number as shown below, then there is some information which is missing from the application or you have not clicked the Save and Continue button to progress through the application. Once you have double checked that the information you have inputted is correct on all sections, you can submit the application by clicking this will display the following prompt: If you think that the application is incomplete, select I wish to go back to my application. If you are happy with the application select I wish to submit my application now. Page 15
17 6. What Happens Next? Now that your application has been submitted, the University will review your application and contact you by asking you to log into Apply Online to view the latest status of your application. We will contact you through Apply Online when: We need further information from you in support of your application We have made a decision on your application. 7. Viewing your Letters Once a decision has been made on your application, you will receive an notification asking you to log into Apply Online. Once you have logged in, you need to click on the My Applications button to see what the response is to your application. If you have been made an offer or if your application has been unsuccessful, you can view the letter we have sent you via Apply Online by clicking on the View/Print Letter button If you have been made an offer please read through your offer letter before you decide to accept any offers we have made you. Any letters that we send you will open in a new browser window in a PDF format. You can also save the letter onto your computer and/or print it off. 8. Further Information Requests As part of the application process, we will review your application to ensure that we have all the information we need to be able to make an informed decision on your application as to your suitability for the course you have chosen. If we need more information from you in order to be able to do this, we will write to you by and ask for more information. If you receive this , you should log into your Apply Online account and upload the information we have requested into section 3 of your application form. You will have 2 weeks from the date of this letter to send us the additional information so we can proceed with your application. Page 16
18 9. Replying to your Offers You need to reply to the offer by clicking on the Reply to Offer button. This will take you through the application acceptance process which follows below. Please note, if your offer is conditional please check your conditional details in your offer letter before making a decision. In this section you have the option to accept, decline, withdraw or defer your offer. Depending on your choice please select the option from the list and click next to finalise your decision. 1. If you wish to accept the offer, select Accept the Offer and click Next. 2. Confirm that you are wishing to accept the offer by clicking OK. Apply Online will automatically refresh the page and you will see that the acceptance has saved. If you have been made more than one conditional offer you can accept them all, however, you cannot accept a conditional offer if you have already accepted an unconditional offer for the same year on a different course. 19 Appendix A: System Buttons This section, describes the different buttons that are found within the Apply Online system and what their function is.
