News in Caesar CRM 2018 R1 Caesar CRM 2018 R1 contains many requested news. This time focus has been on GDPR, but the tools created for GDPR can also be used for a lot of other things. In this release you will find improved tools for integration and automation and much, much more! GDPR - Implement your policies Information on persons at customers and prospects are stored in Caesar CRM. This means that you store personal data and therefore should comply to rules set in GDPR. The policies you set up controls how personal data is treated. In Caesar CRM 2018 R1 focus has been on adding functionality that makes it possible to implement your GDPR policies in Caesar CRM. Some examples: Legal basis can be saved for persons. Automation A strong trend today is getting the system to do more for you as a user. We have continued developing automation possibilities. A lot can be done directly in the standard product using Admin and Saint Designer, without third party customizations and programming. Some examples: Scheduled import from Web API and file. Automatic follow up and reminders: Service jobs can be set up to create activities, opportunities etc. Removal of redundant records. New Saint actions helps you to tag and remove information according to your policies. Processes can be automated using Service jobs. GDPR - New legislation May 25th, 2018 Create rules for GDPR Based on your policies, rules are defined to determine the persons you can keep in the system. The time for how long personal data is going to be kept may depend on e.g. Customer category, how long ago the last communication with the person was and whether he or she have given their consent to personal information being stored in the system. Remove data that does not comply with your rules Persons which does not comply with your policies need to be removed. Caesar CRM can be designed to remove persons that fulfil criteria automatically after a certain period. You can also choose to do this using manual routines. Tag persons with purpose and legal basis All persons to be saved or kept in the database need to be tagged with Purpose, Legal basis and Source. To support this a new Saint action is now available to tag many persons at the same time automatically with correct information. Default values can be set to make sure new persons added to the system are tagged with correct information automatically. Details - GDPR Some additional functions have been implemented to make it easy to comply with GDPR ruled and your own policies: It is possible to set what persons GDPR should be used for: Contacts, Individuals and Users. If no Legal basis has been applied to a person, a message indicating this is displayed. You can create settings for Legal basis and adjust descriptions per each Legal basis. You can set the Purposes used in Caesar CRM. Personal information can be distinguished using different sensitivity level categories based on the nature of the information. It is also possible to control what Role should be able to view that information. Consent and subscriptions Something useful, although not directly controlled by GDPR, is to decide how to keep track of the type of information different persons would like to receive. To get a proper response to your mailings it may be important to send the right message to the right person at the right time rather than sending everything to everybody. Collecting consent for different types of information is often called Opt-In or Subscription. All contacts have been tagged with Purpose, Legal basis and Source. www.caesarcrm.com - 3
Smart functions in reports We listen to our customers and Caesar CRM 2018 R1 contains a lot of new requested functionality. Reports and goals There are several new functions when you create reports: Hide columns when a filter is selected To make the system easy to use we wish to avoid displaying redundant information and focus on what is important. When there is a lot of filters in a report, sometimes one or more fields become redundant. If you e.g. display My activities, you don t need to display responsible or if you only display activities for a specified business area, you don t need to display that business area. Create relationships between any fields There is now a new possibility to connect information in reports even if a database relationship does not exist. This could be e.g. customer number, E-mail address or invoice number. maximum value for two columns in a report. This could be the latest activities on the customers, either the latest activity or the latest opportunity, which ever has the highest value. Bubble charts A new type of graph called Bubble chart, has been introduced. This chart needs 3 series. You can e.g. use a bubble chart when you wish to put the number of activities on one axis, the number of opportunities on the other axis and let the size of the bubble represent sales amount: Another example is that you wish to compare service sales, product sales and total sales. Always the same color When you create a graph that displays a field that is a checkbox, e.g. completed activities, Yes and No for Done is always displayed using the same color. This makes it more uniform when displaying similar reports next to each other. Time-out for actions There is a standard value for how long Caesar CRM will try processing data before you receive a Time out. This is the system s method for catching when a report is incorrect or contains too much data. It is a good idea to avoid setting a Time out that is too long since this may cause bad performance and lock out users during the set time. When running Saint actions however, it may be OK to let the system process data for a longer period. You can control when to run the report and the action, and if possible run this type of action when there is low user activity in the system. Calculated columns There is a new function for calculated columns allowing you to display e.g. the A bubble chart displays 3 dimensions: If the bubble: Is in the top of the chart The customer buys many products. More smart features Calendar view To get a better overview of your working day, week or month, it is possible to display your activities using a Calendar view. This view allows you to display all kinds of information in your reports. It can be used for anything with a category and Start date and End date, which makes it useful for getting an overview of e.g. your projects and opportunities. Customize and develop Caesar CRM You decide what your standard product should look like and how to fit it into your own way of working. Import You can add information from an external system using import. It is now possible to scheduler import using files (.xlsx and.json) or via Web API. Many customer import sales statistics on customers, but you can import to all elements (modules) in Caesar CRM. It is also possible to import current currency exchange rates. Share If you need a colleague to check something in Caesar CRM it is now possible to send an E-mail containing a link. You may want some help with a quotation. Then click the Share > Internal link option in the dialog to open a new E-mail. The mail will then contain a link to the opportunity, and now you can just add a comment and send it. Collect important information in the dialog Information lists can be displays directly in the dialog instead of as a tab. This allows you to e.g. show documents directly in the activity dialog and addresses and contracts directly in the customer dialog. If you want to send a link to an activity or an opportunity, just click Share > Internal link to open an E-mail. Modules All elements in the database are now managed as Modules, i.e. Customer, Contact, Activity, Opportunity, Project, Object, <Module>. Some advantages: You can move information from tabs and put them directly in the dialog. In the picture we have put the Document information list in the Activity dialog. Merged column - You can add the new merge column <Name> in reports to display information from several fields. If you e.g. have a list of customers, you can let the column show City and Unit. This information will also display when you select customers from a pick list when you e.g. connect to an object or select a customer in Caesar for Outlook, allowing you to easily pick the correct customer. 6 - www.caesarcrm.com
A small change makes a big difference Information list It is possible to show information lists in dialogs for e.g. contacts and activities. Deactivate module It is possible to Hide a module. If you e.g. are not using Projects, it is possible to hide this module everywhere. Automation Give more back! Automation is a way to make users more efficient and to make sure that they benefit even more from the system. In Caesar CRM 2018 R1 you can automatically create or remove records in the database, which provides new possibilities directly in the standard product without having to program anything. For you who have customizations and existing integrations to other systems, it creates new possibilities to make things happen in Caesar CRM based on what comes from e.g. that integration, Only your imagination sets the limits, but here are some examples of what you can do: Follow-up quotation - When an opportunity changes phase to Quotation, the system automatically create a follow-up activity 2 days later, and automatically remove it if it is not Done before the opportunity changes phase to Order. New opportunity - If you know that a sales cycle is 3 years; as soon as an opportunity is set to Order, you can create a new opportunity e.g. 33 months forward. This can become a means to help sales people build up a pipe line and stay one step ahead. Create follow-up If you have an activity type called e.g. Product demo, you can create a reminder to follow up on that demo one week later. Technical information New version of the database - The database must be upgraded to version 500.3 to work with Caesar CRM 2018 R1. New ActiveX Caesar Document ActiveX 7.0.2 should be installed on the client to get full functionality for Document management. System notifications - As more business logic gets implemented in the product, the need for system notifications if something goes wrong increases. In Caesar CRM 2018 R1 you can send a notification via E-mail if a Service job or Goal calculation fails. Caesar Territory System Support for Territory version 2 In Territory version 2 you can simplify your Territory configuration. Possible to run without SQL Views Direct login makes separate log in per territory obsolete SMO-independent. Easier to restore backup. NOTE: Old Filters (using Caesar Filter Editor) will no longer work since they are incompatible with the new database structure. A proper ALL-territory - You can create a territory that contains all data: Used for import, service jobs, integration etc. There can be Local data that is not displayed in the All-territory, and it is possible to create local records and rows that are displayed only in the ALL-territory Can also be used for creating e.g. campaigns that should be available in all territories.
