Compliance Status To get an overview of your compliance status click on the Compliance Status tab on the menu bar displays the My Compliance Status page. This page will list all jurisdictions, the current progress, the next upcoming deadline, and the remaining credits for each jurisdiction. Jurisdiction Detail: Summary Clicking on the Jurisdiction name in the Compliance Status screen will display a detailed compliance record for that jurisdiction. Summary, the first tab on the left, is selected by default. All results are in real time. The Compliance Status / User Detail: Jurisdiction: The details for each of the jurisdictions can be viewed by clicking on the drop down located in the upper left corner of the record and selecting a jurisdiction. Reporting period: The reporting period is changed by clicking on the drop down located in the center top of the record and selecting a reporting period. Note: Over time the number of available historical reporting periods will increase, however, only one reporting period is available at start up. Summary Section: This section displays the total credit required by the jurisdiction during the reporting period, the total credits earned, and the remaining credits. The credits 9

applied will not equal the credits earned if you have surpassed the number of credits allowed in the Jurisdictions Restrictions section, as explained below. Detailed Requirements Section: If a jurisdiction requires a minimum number of credits in a field of study(s), the requirements, as well as status, are displayed. Jurisdiction Restriction Sections: If a jurisdiction sets a maximum number of credits allowed by delivery mode or field of study, this section would display the status for each. When maximum numbers of credits are exceeded, credits are no longer applied in the sections above. Jurisdiction Detail: All Programs Clicking on the Jurisdiction name in the Compliance Status screen will display the user s detailed compliance record for that jurisdiction. Click on All Programs, the second tab in from the left. All results are in real time. The Compliance Status / User Detail / All Programs tab: All Programs lists all programs you have completed Program Name: Clicking on the title of the program name will display the programs details, how it is tagged for all jurisdictions, and in some cases, allow you to edit the credit allocation. Credit Allocation Details: Click on the links under Credits & Allocations to view how the program s credits are tagged for the jurisdiction you are viewing. Note: How a program is categorized could be different based on the broad categorizations or groupings of each jurisdiction you are viewing. 10

Jurisdiction Detail: Programs by Category Clicking on the Jurisdiction name in the Compliance Status screen will display the user s detailed compliance record for that jurisdiction. Click on Programs by Category, the third tab in from the left. Results are real time. The Compliance Status / Jurisdiction Detail / Programs by Category tab: Programs by Category: This screen lists all programs you have completed, grouped by category. To make viewing easier, click on the category name to expand and collapse the categories. Categories: Each jurisdiction can define dissimilar categories to group courses by. As you view different jurisdictions (by clicking on the jurisdiction name in the upper left corner drop down box), you will notice that the categories will change dynamically to reflect how that jurisdiction groups courses when tracking compliance. Tip: When examining the calculations of your compliance, this is a useful tool to view details and determine if programs are tagged properly for that jurisdiction s requirements. Jurisdiction Detail: Licensure Information Clicking on the Jurisdiction name in the Compliance Status screen will display the user s detailed compliance record for that jurisdiction. Click on Licensure Info, the last tab on the right. The Compliance Status / Jurisdiction Detail / Licensure Info: Licensure Information: Many jurisdictions ask questions that are pertinent to only that jurisdiction. This can range from dates, to the type of work 11

performed by the user. This information is then used to determine renewal dates and various minimum requirements. Importance: For the Compliance Tracker to accurately calculate the status of the various jurisdictions, it is essential that this information be filled out properly. Note: In some cases, missing licensure information can prevent the system from calculating a result or showing activity for that jurisdiction until the information is provided. For any jurisdiction with incomplete licensure information, it will show as TBD until all information is provided. Export Compliance Reports Click on the Compliance Status tab on the menu bar to display the My Compliance Status page. To export the details of a jurisdiction for a reporting period: Click on the drop-down box and select a jurisdiction Select a reporting period Click on the Generate Report button This will export activity details for that jurisdiction in Excel format The Subtotals tab contains the summary The Course Details tab contains all the jurisdiction s records for the selected period Note: The Course Details tab displays the activity in columns - BOTH by the jurisdictions categories AND by actual fields of study. Therefore, if you add all columns it will be double the actual number of credits. You can of course delete one set of columns or the other based on your needs. 12

External Programs Located at the top of the page in the menu bar, the second tab is for reviewing and entering External Programs. External Programs are activities that have taken place outside of the system such as conference attendance, state society seminars, online courses sponsored by third parties and not launched thru the AICPA. By adding this activity into the system, the compliance reports will be able to produce a complete status snapshot. The External Programs tab: Default View: The report shows one record for each external program that was entered in the system. Sorting: To change the order of the records click on the header of the Program Name, Provider Name, Format, Completion Date, and Created By headers. Clicking on a header once changes the sorting to ascending order, clicking a second time sorts the report in descending order, and a third click returns the report to the default view. Searching and Filtering: Robust searching and filter capabilities are included to help you find existing records. Located at the left of each of the header titles, is Search button. Click on the search button to search based on that column. For instance, to start a search based on the name of a program, click on the search button in the header to the left of Program Name, enter your search criteria, and click Filter. To remove the filter, click on the search button in the header to the left of Program Name, and click on Clear. View / Edit Program Details: Click on the program name of any eternal program to view program details and override credit allocations. Add External Programs button: Click on the button in the upper right corner to add external programs. Details on how to use this function are in the following section. Note: In the bottom left of the screen, you can use the page buttons to view additional records. 13

External Programs: Adding Programs Located at the top of the page in the menu bar, click on the External Programs tab and then click on Add External Programs. Entering External Program steps: Step 1: Program Details - Program description, such as title and sponsor information Program Details: Program Name: The title of the course Provider / Sponsor Name: The qualified organization that presented the program Sponsor and QAS#: The qualified presenter will have this on the certificate of completion Program Delivery Format: These are the NASBA recognized methods of delivery. In Step 3 this can be adjusted to match the required categories of each jurisdiction. Start Date and Completion Date: The Completion Date will auto-populate with the next day. If the program is only one day, set this to the same date as the Start Date. Step 2: Fields of Study - Multiple NASBA fields of Study can be selected with related credits Fields of Study: The check box must be selected to indicate the desired field of study Enter the CPE credit hours to the right of the related field of study Multiple fields of study can be entered, just make sure that the total credits entered are equal to the total number for the program These are the NASBA recognized fields of study. In Step 3 this can be adjusted to match the required categories of each jurisdiction. 14

Step 3: Jurisdictions - Information can be fine-tuned to comply with each jurisdiction s rules The fields of study and delivery methods from the prior steps have been applied to each of the jurisdictions. This can now be reviewed and modified to ensure that each program is accounted for properly per the rules and regulations of each jurisdiction. Step 4: Confirm - review and save the program Review the information that you entered for this program. When you click on Confirm at the bottom of the screen, the program is saved. You can click on the edit button, which will allow you to go back to the prior steps and enter changes. Note: The information entered in each step is saved as you proceed through the process. If you leave program before clicking on Confirm the information is still available for you to continue later. Simply search External Programs, click on the program, and continue. 15
