Managing GOTV Data on Election Day This tutorial has been created to explain how we manage GOTV data on Election Day. We will be using calling services on Election Day in an attempt to get people out to the polls and voting. The trick is, we don t want to call them and ask them to vote after they have already voted. Scrutineers keep track of who voted on Election Day using bingo sheets, crossing off a person s sequence number when they have voted. This training is here to show you how to take a filled in bingo sheet and transform it to make sure that people who have voted do not get called. Using Airdrie poll 33 as an example, let s say we have a picture of a bingo sheet that has been sent to us by our scrutineers. A sample has been provided on the next page, and while it isn t exact it ll be close to that you ll be working with on Election Day. According to the bingo sheet, 10 people have voted in Airdrie Poll 33 and their sequence numbers are 8, 30, 50, 87, 197, 234, 251, 286, 366, and 371.
In order for the data team to send this list to our calling team, the data needs to be easily accessible and centrally managed. As a result, we ll be putting the information into NationBuilder in order to better facilitate data transfer on Election Day. In order to do that we have to transform constituency, poll numbers, and sequence numbers into NationBuilder IDs. To avoid people having to manually enter data, the Wildrose head office has created an Excel spreadsheet that allows campaigns to find NationBuilder IDs quickly and effectively. This spreadsheet, called the Master Book, contains the master list of poll numbers, sequence numbers, and NationBuilder IDs. It also contains a sheet called Voted which allows you to lookup IDs. A sample of this book has been provided to you for reference. The Master Sheet in the Master Book looks like the following: The Voted sheet look like:
All you need to do in order to find your NationBuilder IDs is enter your Constituency Association, poll number, and sequence number and then press Populate NationBuilder IDs. If required, there is also a button to clear out the NationBuilder IDs. Please test out the sheet ahead of time to make sure you know how it works. If the buttons are not working for you, please make sure that content has been enabled for your workbook. If content has not been enabled in your workbook, you ll have a yellow security warning above your table that looks like the following: Press the Enable Content button in order for the Voted sheet to work. Once pressed, fill in the poll numbers and sequence numbers from your bingo sheet into the Voted sheet and press Populate NationBuilder IDs. You ll see something like this:
If the poll and sequence numbers are not located in the master sheet, the NationBuilder ID field will say Could not find ID. Once you have a list of NationBuilder IDs, copy and paste them into another Excel sheet. It ll look like the following: Please make sure that there are no rows that say Could not find ID as this will cause an error in the upload. In column B, put in the label Voted and populate the column with yes as far down as the NationBuilder IDs go. It ll look like the following: Save this file as a CSV in an easy to find location on your computer. Now that your file is prepared, log into your NationBuilder account. Go to the People Tab and locate the Import under the More menu. It will look like the following:
Once at the import page, select the file you just created and saved by pressing Choose File. Once you ve selected your file, press Upload CSV file : Make sure you sure you: Choose not to import row 1 Choose the field id to be the NationBuilder ID column you just created Choose the field 2015_voter (custom field) to be the Voted column you just created Select Overwrite existing data Set Support Level as Supporters/Non-Supporters (Determined automatically) It will look like the following:
Once this is complete, press the Start import button at the bottom of the screen to import your file. At this point the data team now know that these people have voted and will ensure they are removed from the calling list for GOTV.
