Introduction This release of WorldShare Management Services brings 9 new features and enhancements in addition to numerous bug fixes. Many of the enhancements are the direct result of user feedback. Recommended actions For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution. Administrative actions These items require immediate actions or decisions. Action Page Number Minimum guaranteed loan period Review new loan policy settings and make appropriate adjustments to your Loan Policies in Service Configuration if applicable to your library s circulation procedures. Page 6 Hold fulfillment for groups configuration Review new policy setting for hold fulfillment for groups. If applicable, make appropriate adjustments to your Holds Fulfillment preferences in Service Configuration. Page 6 Print Notices Review the new print notices functionality and determine if this is something that your library wishes to implement. Follow administrative procedures to setup. Page 8 Bill receipt enhancements Review new display options for bill receipts. Make appropriate adjustments to bill receipts in Service Configuration. Page 8 Follow-up actions In an effort to keep your staff informed of new features and changes, you may also want to consider these items. Acquisitions Enhancement Upload files with any file extension When importing acquisitions data, libraries can now upload files of any file extension, as long as the data within the file is appropriately formatted using the MARC or EDIFACT standards. Previously, users had to rename files when the file extensions sent by vendors did not fit a pre-defined list:.mrc,.bin,.dat,.order,.edi,.txt. Now, files ending in.inv or with no file extension whatsoever can be loaded, provided that the data in the file itself is properly formatted. Bug Fixes Display the Issues link consistently Access to the Issues link for serial titles in Discover Items has been restored in both Acquisitions and Circulation. Do not require a user to access Acquisitions before using "Add to Order" in Collection Manager Library staff can now use the "Add to Order" feature within Collection Manager (in Metadata) before Acquisitions has been accessed during the work session. Allow users to notify a vendor of a serial issue claim Library staff can now consistently specify the vendor to which a claim message should be sent. Previously, as part of the claiming process for serial issues, library staff could select Notify Vendor but sometimes could not specify the vendor to which the claim should be sent. This prevented the claim message from being sent. Upload files using Internet Explorer Library staff can now successfully upload files for import into Acquisitions when using Internet Explorer. Close the New Order dialog automatically in License Manager When using Manage Collections within License Manager, the New Order dialog within the Add to Order window now closes automatically upon saving. Delete empty order plan Library staff can now delete order plans that contain no items. 4

Circulation New Features Minimum (guaranteed) loan period In the Loan Policy in Service Configuration, library staff can now specify a minimum loan period before an item can be recalled from a patron. If the library has established a minimum loan period and the item is recalled, the recall due date will be adjusted so that the item is due after the minimum loan period. The default value for a minimum guaranteed loan period is 0 days. Prefer patrons from my institution when fulfilling hold requests within a WMS Group A library that is part of a WorldShare Management Group can now set the policy for hold fulfillment so that items owned by the library will first fulfill requests for patrons of that library before fulfilling requests for patrons of other libraries in the group. This policy setting, Prefer My Patrons, is set in the Admin/General section of Service Configuration. It is a global setting that governs all items owned by the library. The default value is not to prefer the library s patrons. If the library selects Prefer My Patrons, and an item owned by the library is currently available or becomes available by being checked in, that item will fulfill a hold request for a patron from that library regardless of the patron s position in the title s hold queue. 5

Refund previously paid bills WMS Circulation can now record that a refund of the paid portion of a bill was given to a patron. The refund option will appear only for bills that are eligible to be refunded, and the amount that is eligible to refund will display automatically in the Amount to Refund section of the bill. Refunding all or a portion of a bill will not change the original amount of the bill. [NOTE: The refund option applies only to new bills created after this software release.] Print notifications Libraries may now print notices for patrons. The following parameters apply to notices of all types (bill, hold expiry, hold pickup, loan overdue, recall, schedule expiry, schedule pickup, schedule placed): Printed notices will be created for any patron account that does not contain an email address. Patrons with email addresses will continue to have notices delivered to them via email. A single default format is available that uses the paper size most prevalent in each locale: o A4 (210 x 297 mm): Australia, Europe, South Africa, New Zealand o Letter (8.5 x 11 inches): United States, Canada The default format accommodates the most commonly available windowed envelope in each locale. To accommodate the setup of printed notices, a print preview button has been added to the Notification Policy screen in Service Configuration. The print preview displays the printed output of the first notice (Notification 1) using sample patron and bibliographic data. Subsequent notices attached to the policy, such as a second and third bill notice, are not eligible for preview. 6

Libraries can search for and retrieve applicable notices for printing by using two new Circulation platform services available on the OCLC Developers Network. Libraries will need to have a valid Wskey to download printed notices. For assistance in configuring these Circulation platform services, please contact OCLC support. [NOTE: This release presents the first phase of printed notices. Libraries can expect in future releases features such as additional configuration options, notification preference options in the patron account and the capability to force all notices of a specific type (e.g., final bill notices) to be printed.] Enhancements Display enumeration, chronology and description on a bill receipt Enumeration, chronology and description (i.e., the summary holdings for a title) fields have been added as options for display on bill receipts. Library staff can include these fields by selecting them on the Circulation Receipts Bill screen in Service Configuration. The default option is not to include the new fields on bill receipts. 7

Warn that items cannot be checked in prior to the time that they were checked out An error message will display when the check in of an item is backdated prior to the date and time that the item was originally checked out. Group bibliographic data elements together on customized receipts The order of the data elements on receipts has been reordered so that all bibliographic information about the item displays together. Provide a better message for expired patron accounts When library staff attempt to check out an item or request items for an expired patron, the message now contains specific information that the patron account has expired. 8

Bug Fixes Save changes in SIP2 IP addresses without error messages Legitimate changes in the Service Configuration registration screen for SIP2 IP addresses can now be saved without displaying an error message. Correct outstanding amount in the self-service interface after payment In the self-service (SIP2) interface, the outstanding amount that a patron owes the library is now displayed. Previously, the system incorrectly displayed the original amount instead of the outstanding amount for payment, regardless of whether there had been partial payments made against the bill. Allow overrides according to hold fulfillment policy In the previous software release, library staff could override a hold request for an item at a shelving location that cannot fulfill holds despite the location policy being marked Cannot Override. This situation has been corrected. Display the correct date when backdating check-in transactions For items that are checked in using a previous date (i.e., backdating), the Check In screen now displays correctly the date to which the item was backdated. Display the Loan Policy Map even if the library has not established any Long Overdue Policies The Loan Policy Map now displays in Service Configuration regardless of whether the library has established Long Overdue Policies. Allow the use of ampersands (&) in the title of a notification policy Library staff may now create or update a loan policy that references a notification policy with a title that contains an ampersand (&). Display umlauts ( ) correctly on the Checkout tab Items that contain an umlaut as part of the author or title now display correctly on the Checkout tab. 9

This issue will be addressed in a future release. 10
