3 Introduction This release of WorldShare Management Services provides eighteen new features and enhancements, in addition to numerous bug fixes. Many of the enhancements are the direct result of user feedback. Recommended actions For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution. Administrative actions These items require immediate actions or decisions. Action Circulation: Review new policy features supporting hold request fulfillment. Modify relevant location policies in Service Configuration as appropriate. 4 Acquisitions New Features Alert when receiving an item with holds Users are now alerted when receiving a monographic item that can fulfill an outstanding hold request. A message appears at the top of the receiving screen notifying the staff member and providing a link to Circulation where the item can be checked in to fulfill the hold request. This feature is active by default. Please contact support if you want to turn off this feature for your institution. Alert when receiving an item with a requestor Users are now alerted when receiving a monographic item that has a requestor. If the item has a value in the requestor field, a message appears at the top of the receiving screen notifying the staff member and displaying the name of the requestor. This feature is active by default. Please contact support if you want to turn off this feature for your institution. 4

5 Support issue management for continually updated resources Users can now manage, receive and claim issues for titles in WorldCat with the material format of continually updated resource. Previously, issue management was only possible for encyclopedias, periodicals, and newspapers. This feature will help libraries that wish to manage issues for loose-leaf and pocket-part titles. To access this feature, search for and select a continually updated resource in Discover Items. The Manage Issues screen appears where the staff member may add and receive issues, set up prediction patterns, and even configure the title for claiming. Supply expected release date based on chronology When creating a new serial issue, the expected release date now displays a value based on the chronology of the issue. For example, if the chronology of the issue is January 1, 2015, then the Expected Release Date displays the same date by default. To accommodate local circumstances, a staff member may still change the date. This feature is especially useful when creating back-issues of a serial title, so that library staff do not need to spend time searching for the expected release date. 5

6 Enhancements Filter outstanding items to copies not cancelled Users can now filter outstanding items to display only those copies that are not cancelled. This is useful when determining which ordered titles still need to be invoiced. This feature is accessed on the Receive & Invoice - Outstanding Items page by choosing Invoice in the Action drop-down menu in the left panel and selecting Not or Partially in the Invoiced drop-down menu in the top panel. Finally, select Not Cancelled in the Received dropdown at the top of the page. These actions will list all ordered items that have not been cancelled but also have not yet been fully invoiced. View amounts when assigning multiple funds When assigning multiple funds to an invoice item, the user now has the option to view the amounts that will be expended on each fund as they assign a percentage. 6

7 Support Summer First and Autumn First chronology types Users can now choose Summer First and Autumn First as the type of chronology for serial issues, an important distinction for titles published in the southern hemisphere. For example, Summer begins in December in the southern hemisphere and Autumn in March or April. When predicting new issues, the year will increment during the Summer or Autumn depending on the Chronology type selected. Save user preferences in Discover Items advanced search The user preference settings for the advanced search option in Discover Items are now available in Acquisitions. These settings were previously available only in Record Manager under the Metadata tab. By clicking on the gear icon in the top right of the Advanced Search dialog, the user can gain access to the user preferences in a separate dialog. Allow all domain types for vendor links and logins Users can now enter any set of characters as the top-level domain when adding URLs in the Vendor Information Center. Previously, only top-level domains that matched an approved list were allowed. This enhancement will enable users to utilize the top-level domains such as.press and.website that became valid only recently. 7

8 Include destination location in EDIFACT order message Users can transmit as part of the EDIFACT order message the branch, shelving location, and fund of the item being ordered. This is communicated in the GIR segment of the EDIFACT order message and is valuable especially for accommodating shelf-ready processing. Include fund in print and (html) order messages Users can include in print or (html) order messages the fund code of the item being ordered. The fund code appears in a new column in the order message and can be used by the vendor to transmit the fund code back to the library via the invoice. This is helpful for libraries that send invoices to a separate department in their institution for payment processing. 8

9 Bug Fixes Use correct processing type when importing serial titles When importing MARC records for serial titles, the correct processing type of Serial is now chosen. Previously, the processing type of Monograph was selected for these titles. Display accurate date/time in Partner Exchange Services logs When browsing the logs in Partner Exchange Services (for a vendor), the date displays accurately in the time zone of the user. Previously, the GMT time zone displayed, incorrectly off-setting the time reported. Refresh the Outstanding Items screen when changing a WorldCat title Changing the WorldCat title of an item on the Outstanding Items screen now triggers a refresh of the page, so that the new WorldCat title is displayed. Do not refresh page when a user selects Start receiving now Previously, clicking the Start Receiving Now link when setting up a new serial title would refresh the entire page, removing any tabs the user had opened. This link now works correctly and does not refresh the page. Fix problems with Read Only user role Users with the Acquisitions Read Only role can now search order items (under Order & Renew) as well as access the Subscription Items and One-Item Items pages. Previously, the user would receive an error message when trying to search order items while the Subscription Items and One-Time Items buttons did not display in the left-hand panel at all. Allow Senior Staff and Order Staff roles to search vendors Users with the Senior Staff and Order Staff roles can now access the Manage Vendors menu in order to search for vendor records. In the past, this menu did not display for users with these roles. 9

10 Circulation New Feature Limit hold requests to my patrons New settings allow a library to restrict hold requests from being placed on its materials except by patrons affiliated with the library (i.e., a patron whose home branch value in the patron profile matches the location of the material). The Location Policy in Service Configuration contains two additional values in the Fulfil Holds For column that appear when appropriate. For an institution that has only a single location: All patrons. Hold requests are not restricted. No patrons. No hold requests are allowed. For an institution that has branch locations: All patrons. Hold requests are not restricted. Branch patrons only. Only patrons whose home branch matches the holding location (branch) of the item can place a hold on the title. o Scenario 1: For titles where this is the only branch that holds a qualifying item: the item may be requested only by patrons whose home branch matches the holding location of the item; patrons from other branches will not be able to request these items. o Scenario 2: For titles where there are qualifying items across multiple branches: any item at the selected branch may be requested only by patrons whose home branch matches the holding location of the item; patrons from other branches will not be able to request the items from this holding location; however, there may be other location policies in place that allow the items at those holding locations to be requested by any patron regardless of the patron s home branch. No patrons. No hold requests are allowed. For institutions that comprise a WorldShare group: All patrons. Hold requests are not restricted. 10

Only patrons whose home branch matches the holding location (branch) of the item can place a hold on the title. o Scenario 1: For titles where this is the only branch that holds a qualifying item: the item may be requested only by patrons whose home branch matches the holding location of the item; patrons from other branches will not be able to request these items. o Scenario 2: For titles where there are qualifying items across multiple branches: any item at the selected branch may be requested only by patrons whose home branch matches the holding location of the item; patrons from other branches will not be able to request the items from this holding location; however, there may be other location policies in place that allow the items at those holding locations to be requested by any patron regardless of the patron s home branch. Institution patrons only. Only patrons whose home library matches the home library of the item can place a hold request on the title. o Scenario 1: For titles where this is the only library in a group that holds a qualifying item: the item may be requested only by patrons whose home library matches the holding library of the item; patrons from other libraries will not be able to request these items. o Scenario 2: For titles where there are qualifying items across multiple libraries in the group: any item at the selected library may be requested only by patrons whose home library matches the holding library of the item; patrons from other libraries will not be able to request the items from this library; however, there may be other location policies in place that allow the items at those libraries to be requested by any patron regardless of the patron s home library. No patrons. No hold requests are allowed. Enhancements Indicate whether a checked out item is eligible for automatic renewal Library staff can see whether an item is eligible for automatic renewal by viewing the statistics for that item. The note will indicate whether an item is a candidate for automatic renewal. However, it does not indicate whether the item will actually be renewed automatically due to future requests or recalls. 11

12 Display more than ten items in relevant patron account tables Library staff can view more than ten items on each of the tables included in the Holds and Bills sections of the patron account. Selecting a different number is session specific and will persist until either a different number of rows is selected or the session ends. Allow patrons to request different issues of the same serial title Patrons can now submit a hold request for a different volume/issue of a serial or multipart title when they have another volume/issue of the same title checked out. 12

13 Add location elements to the list of items checked out Library, branch and shelving location now appear as options on the gear widget for the list of items checked out in the patron account. The default option is not to display these elements. Focus the cursor when creating a temporary item To optimize the workflow when creating a temporary item, the cursor now defaults to the Title input box. Focus the cursor when printing to a network printer To optimize the workflow when printing receipts to a network printer, the cursor now defaults to the Print button of the print preview, allowing libraries to print the receipt by pressing the Enter key. (NOTE: This feature will be available in December.) Display last location for items in transit The location from which an item was sent has been added to the item status display for items in transit. 13

14 Display loading indicator on the Clear Hold Shelf and Pull List reports A loading indicator has been added to the Clear Hold Shelf and Pull List reports to assist library staff when retrieving larger Pull List and Clear Hold shelf reports. Bug Fixes circulation receipts to patrons Receipts can now be successfully ed to patrons, enabling a feature delivered in the previous software release. Include the date and time an item expired in applicable notices Notices for expired holds now include the date and time the item expired rather than the date and time the notice was created. Remember the printing preference for checkout and bill payment The option for printing receipts (Do not print, POS printer, Network printer, ) on the Check Out and Resolve Bills screens is once again persistent across sessions. Create a search tab for temporary items Searches for temporary items now create a corresponding search tab in Discover Items. 14

15 Correct bill assessment problem in Firefox browser A blank row has been removed from the top of the bill reason drop-down list. This allows the bill reason to be set properly, correcting a periodic problem being experienced by libraries using the Firefox browser. Accommodate multiple items on the receipt preview window A scroll bar has been added to the receipt preview window when the number of items included on the result exceeds the size of the preview window. 15

16 Known Issues A list of known issues can be found at: Patrons without an address already present in their records will not receive receipts receipts cannot be sent to a patron that does not already have an address in the patron account, even when the library staff member adds an address in the receipt preview window. If the address in the receipt preview window is blank, the patron does not have an address in their account. Staff will need to add the address to the patron record and then resend the receipt. This feature will be fixed in a subsequent release. 16
