Introducing Market Snapshot What is a Market Snapshot? Market Snapshot allows you to send automatically generated real-time MLS market updates and trend analysis to your customers. Using it, you can: Easily integrate this service into your own marketing web sites Invite anyone you email to subscribe to the Market Snapshot service by simply adding a one-click link. In addition, it gives you up-to-the minute MLS graphical information and allows you to see what consumers are viewing. By using Market Snapshot, you position yourself as an expert agent who can interpret local market trends and relate them to your customer's plans. Comparing Market Snapshot to other services Other market-evaluation services provide generalized evaluations of average homes. But this is only one of the many pieces of information customers need to make good decisions. Market Snapshot improves on this by adding additional, key information, such as: 1 graphical analysis of important market trends, 2 volume comparisons of recent sales and new listings, 3 percentage comparisons of asking price to selling price for recent sales, and 4 average, median and high/low prices for homes that have recently sold or that are currently for sale. Market Snapshot Quick Setup Running Market Snapshot To set up Market Snapshot: 1 Start up your computer s browser (e.g. Internet Explorer) and go to the Market Snapshot web page: http://www.topmarketer.net The Market Snapshot Control Panel Login screen appears. 2 Type in your User name and Password, then click the SIGN IN button. Note: The first time you sign in, you will be required to review and accept the End User License Agreement (EULA). Market Snapshot User Guide 2

The Market Snapshot Welcome screen appears. 3 Select your time zone and then fill in the rest of the information. The information you enter here will allow you to create a new password if your existing password is lost or forgotten. 4 When you are finish, click Next. Market Snapshot User Guide 3

The Market Snapshot Control Panel appears. Setting up your Agent Profile The Agent Profile is the information that appears in the control panel; much of it will be displayed in the Market Snapshot sent to your customers. To set up your agent profile: 1 From the Market Snapshot Control Panel, fill in the agent information fields. Note that the email address entered in the Email Address field is used to notify you that a Market Snapshot has been created for one of your contacts. 2 Click Update to save your information. Note: You can click Preview to view your profile. Market Snapshot User Guide 4

Setting up your Photo and Logo The photo and the company logo displayed in your Agent Profile will also appear in all the Market Snapshots you send out. To set up your photo: 1 From the Control Panel, click Change Photo. 2 Select Browse then, from Choose file, double-click on the desired image. The file name is then displayed in the Upload Agent Photo dialog box. 3 Click Update Photo. The new photo is displayed in the Control Panel. To set up your company logo: 1 From the Control Panel, click Change Logo. 2 Select Browse then, from Choose file, double-click on the desired image. The file name is then displayed in the Upload Company Logo dialog box. 3 Click Update Logo. The new logo is displayed in the Control Panel. Market Snapshot User Guide 5

Setting up your MLS Data To set up the Market Snapshot so that it uses MLS data: 1 From the Control Panel, select Market Snapshot > Market Snapshot Setup. The Market Snapshot Agent Setup screen appears. 2 Click one of following Minimum Listing Required radio buttons: Require at least 1: Selecting this means that the Market Snapshot will not be sent unless at least one property within the customer's zip code was listed or sold during the past three months. (Recommended) Allow 0: Selecting this means that the Market Snapshot could be sent without any comparables found. Note: If you want to have a Market Snapshot automatically sent to a new lead, click the Automatically Send Market Snapshot to Newly Received Leads checkbox. (Recommended) 3 Make sure that the correct MLS is displayed, then select the radio button beside the MLS so that the Market Snapshot knows where to get the data from. 4 If you have more than one MLS in your list, you must select a default MLS. This will be the MLS from which data will be automatically taken when a Market Snapshot is generated. 5 Enter your MLS credentials (i.e. your username and password), then click Update. The Market Snapshot Control Panel is displayed. Note: If you ve entered your data incorrectly, an error message will be displayed. Re-enter the information, making sure that you are using the correct case. If you continue to get the error message, contact technical support. Market Snapshot User Guide 7

Generating your First Market Snapshot Market Snapshot is designed to provide an automatic response to newly-arrived web leads. However, you can also send it to anyone you want to. To generate a Market Snapshot for a customer: 1 From the Market Snapshot Control Panel, select Market Snapshot > Create New Snapshot. The Market Snapshot Request Form appears. 2 In the Email Address field, type in the customer s email address. This is where the Market Snapshot will be sent. 3 Fill in the rest of the customer s information, then click the Generate Market Snapshot button.the Market Snapshot is generated and sent to the customer Note: You will receive a response message confirming that the Market Snapshot has been sent. Adding Market Snapshot to Your Website There are two ways you can link Market Snapshot to your website: As a separate externally linked page As part of an existing page Market Snapshot User Guide 9

Adding Market Snapshot as an External Link To add Market Snapshot as an external link: 1 From the Control Panel, select Leads > Lead Capture Setup. The Lead Capture Setup screen appears. This screen allows you to personalize your lead form. 2 Fill in the information fields: Optional Fields: Use these radio buttons to select what information you want to obtain from your visitors. URL Text Link: Use this to customize the text that will appear with the link. Contact Form: Use this to customize the text displayed as the form s heading and subheading. Agent Lead Source: Choose how you want to identify newly-submitted leads. Market Snapshot User Guide 10

Form Style: Choose from two form designs: curved (rounded edges) and box (square edges). Form Color Scheme: Select a color scheme that matches your website s color scheme. Note: If you click the Preview Form button, you can have find out what the design you ve chosen looks like. 3 Now, click on the Get Text Link. The Get Lead Inquiry Text Link Access (URL) screen appears. 4 Select and copy the text link, then click Close to exit. 5 Finally, either paste the text link into the appropriate area of your website or get your Web Master to do it for you. Note: If you just need the link, without the HTML tags, copy the text link information that appears after href= but before target= (don t include the quotation marks). Adding Market Snapshot as a Widget To add Market Snapshot as a widget: 1 From the Control Panel, select Leads > Lead Capture Setup. The Lead Capture Setup screen appears. 2 Fill in the information fields. Market Snapshot User Guide 11

3 Click on Get Form. The Get Lead Inquiry Form Script screen appears. 4 Select and copy all of the text in the Lead Inquiry Form script box, then click the Close Box button. 5 Finally, either paste the text link into the appropriate area of your website or get your Web Master to do it for you. Using Market Snapshot Setting up Email Leads To set up a new Email Lead source: 1 From the Market Snapshot Control Panel, select Email Leads > Email Lead Source Setup. The Email Lead Setup screen appears. 2 From the Select Source drop-down list, choose the desired Email Source (e.g. Featured CMA). 3 If you want the leads to be forwarded to another email address, click on the Auto-forward email leads check box, then type in the email address you would like them forwarded to (e.g. your agent email address). 4 Click Add to add the new lead source. The Email Lead Setup screen re-appears displaying the email address that will receive the leads in the Received at Email column. 5 Click Update to save your changes and return to the Market Snapshot Control Panel. Important: You must contact your lead-source provider and give them the email address generated in step 4. This ensures that the leads are sent to the proper email address. Getting an Email Leads Status Report You can use the Email Leads Status Report to review previously sent Market Snapshots. To view the Status Report: 1 From the Market Snapshot Control Panel, select Email Leads > Email Leads Status Report. The Email Leads Status Report screen appears. 2 From the drop-down lists, select the Market Snapshot's Email Lead Source and Status. Then select the start and end dates for the reports you want to look at. 3 Click on Reload Report. The Email Leads Status Report screen re-appears displaying a list of sent Market Snapshots that fulfill the desired criteria. 4 Some of the fields displayed are: Email Source: The source of the lead. Received: The date that the Market Snapshot was received. MS Status: This indicates whether the Market Snapshot was successfully sent and if the customer viewed it. MS: Click on View to display the Market Snapshot that was sent. 5 Click Back to Control Panel at the bottom to exit this screen. Tip: You can sort each column by clicking on its column heading. Viewing and Using Lead Histories Each lead you receive is listed by the Lead History screen. From this screen, you can: stop/start a lead's Market Snapshot subscription and view the lead's details (e.g. the lead's source). To view Lead Histories: 1 From the Market Snapshot Control Panel, select Leads > Lead History Report. The Lead History screen appears displaying a list of your leads. 2 To stop a lead's Market Snapshot subscription, click the lead's Stop link in Stop MS column. 3 To start sending a Market Snapshot to a lead, click the Create link in the Create MS column. 4 To view a lead's details, click the View link in the Details column. 5 To close the screen, click the Back to Control Panel button. Note: To re-start a lead's Market Snapshot subscription, just Create it again (see step 3). Creating a Market Snapshot Status Report The Market Snapshot Status Report lists the status of all Market Snapshots that you have sent out to leads. For example, using this you can find out: the last time the lead looked at a Market Snapshot, and how often the lead receives a Market Snapshot. Market Snapshot User Guide 15

To create a Market Snapshot Status report: 1 From the Market Snapshot Control Panel, select Market Snapshot > Market Snapshot Status Report. The Market Snapshot Status Report screen appears. 2 Define the start and end dates of the period you want the status report to cover. If you want to check the status for a specific lead, enter the lead's first or last name (or both) in the available fields. You can use an asterisk as a wildcard to search on partial names (e.g. th* gets all names that start with th). Leaving the Name fields blank displays all available leads. 3 Click Reload Report to run the search. The matching leads are displayed. You can then: Sort the search results by clicking on the columnheader labels. View a lead's address, etc. by clicking the Details link. Examine the information your lead received by clicking the View link. 4 Click Back to Control Panel to return to the Control Panel. Market Snapshot User Guide 16

Creating a New Snapshot The Create New Snapshot screen allows you to generate a Market Snapshot for an existing contact. To create a new snapshot: 1 From the Market Snapshot Control Panel, select Market Snapshot > Create New Snapshot. The Market Snapshot Request Form opens. 2 Fill in the contact s information, then click the Generate Market Snapshot button. The Market Snapshot is generated and sent to the customer via the email address you entered for the contact. Note: You will receive a message confirming that the Market Snapshot has been sent. Area Management Occasionally Top Producer receives consumer inquiries from either the Top Producer site or affiliated sites. The Area Management screen allows you to sign up to receive a share of these complimentary leads. If you would like to do this: To receive complimentary Area Management leads: 1 From the Market Snapshot Control Panel, select Setup > Area Management. The Area Management screen appears. 2 In the field to the left of ADD, type in the full Zip code of the areas from which you would like to receive leads. For areas in Canada, type in the first 3 characters of the postal code (e.g. V5Z). 3 Click on ADD. The code is added to the list below. 4 To delete a code, select it from the list and then click on DELETE. You can use CTRL+ to select multiple codes. Note: You can select a maximum of 35 areas. Stopping a Lead's Subscription If you want to stop a lead from receiving a Market Snapshot, you need to terminate their subscription. To stop a lead's subscription: 1 From the Market Snapshot Control Panel, select Leads > Lead History Report. The Market Snapshot Lead History screen appears displaying a list of your leads. 2 Find and select the row that contains the desired lead, then click the lead's Stop link in the Stop MS column. 3 Close the screen by clicking the Back to Control Panel button. Managing your Subscriptions The Subscription Manager allows you to manage your subscription information. To view and/or modify your subscription information: 1 From the Market Snapshot Control Panel, select Help > My subscriptions.the Subscriber Management page opens. 2 To view/modify your contact information: Click Edit on the Contact Information line. In the Customer Information section, make your modifications, then click Update. 3 To view/modify your billing information: In the Subscription Information section, click a subscription s Subscription Detail button. To make changes, click Edit Billing Information for this Subscription. Modify the information, then click Update. 4 To view your invoice information Market Snapshot User Guide 19

From Subscriber Management, click Invoices in the Subscription Information section. Click View to view the desired invoice. When you re finished, click Back to Account Manager to return to Subscriber Management. Market Snapshot User Guide 20

Using Market Snapshot with Top Producer 7i If you are using Top Producer 7i, Market Snapshot integrates seamlessly with that system. The following section describes how it works. Running Market Snapshot from 7i To run Market Snapshot from Top Producer 7i: 1 Login to your TOP PRODUCER 7i account 2 Go to Setup > Application Setup >Top Marketer Control Panel. Note: The first time you sign on the End User License Agreement (EULA) screen will appear. When you ve read the license agreement, click Accept, then the Market Snapshot Control Panel will display. Sending Market Snapshot to a 7i Contact You can send a Market Snapshot to any one of your 7i contacts. To send a Market Snapshot to a 7i contact: 1 From Top Producer 7i s main screen, select Contacts > Address Book. 2 Select the contact, then click on View or edit contact from the Action menu. 3 Select the Generate a Market Snapshot action item. The Market Snapshot Request Form appears. 4 Enter the contact s email address in the Email Address field. This is where the Market Snapshot will be sent 5 Fill in the rest of the contact s information, then click Generate a Market Snapshot. The Market Snapshot is generated and sent to the contact Note: You will receive a message confirming that the Market Snapshot has been sent. Market Snapshot User Guide 22

Stopping a 7i Contact s Subscription If you want to stop a Top Producer 7i contact from receiving a Market Snapshot, you will need to stop their subscription. To stop a contact's Market Snapshot subscription: 1 From the Market Snapshot Control Panel, select Market Snapshot > Market Snapshot Status Report. A list of your contacts is displayed. 2 Find and select the row that contains the desired contact, then click the contact's Stop link in the MS Stop column. 3 Close the screen by clicking the Back to Control Panel button. Viewing a 7i Contact's Market Snapshot History A contact's Market Snapshot behavior is captured and displayed by the Contact notes. From this screen, you can find out: When the Market Snapshots were sent. If and when the contact viewed the Market Snapshot. Whether or not Market Snapshot generation succeeded. To view a contact s Market Snapshot history: 1 From the Top Producer 7i Home screen, select Search > Search for Contacts. 2 Enter the first and/or last name of the desired contact. A list of matching contacts is displayed. 3 Double click on the row containing the desired contact. The Contact Details screen appears. 4 Select the Contact Notes tab at the bottom of the list. A list of all Market Snapshots that have been sent, as well as those that have been viewed, will be displayed. Market Snapshot User Guide 23

5 To view Market Snapshots that have been previously sent to a contact, double-click on a Snapshot Sent link. The Snapshot that the contact received on that date is displayed. Viewing your Account Information from 7i To view your account information from Top Producer 7i: 1 From the Top Producer 7i Setup menu, click My subscriptions. The Subscription Manager appears. 2 Click View my account history. 3 To view specific account information, select the appropriate month/day/year. 4 From the Subscriptions drop-down list, select the subscription you want to view. The subscription appears. 5 Click Show receipts. The desired account history appears below. 6 To view the receipt, click View. The receipt is displayed in Acrobat Reader 7 To print the receipt, from Acrobat select File > Print. Market Snapshot User Guide 24

Creating a Contact Snapshot The Create Contact Snapshot screen allows you to generate a Market Snapshot for an existing contact from within Market Snapshot. To create a contact snapshot: 1 From the Market Snapshot Control Panel, select Market Snapshot > Create Contact Snapshot. The Create Contact Snapshot screen opens and displays your list of contacts. 2 Type in the First and/or Last name of the desired contact, then click on Reload Report. The Create Contact Snapshot screen re-opens displaying the contacts that match your search criteria. 3 Click on the Create link in the contact s Create MS column. The Market Snapshot Request form appears displaying the contact's pertinent information. 4 Make the desired changes and then click on Generate Market Snapshot. The Market Snapshot will now be sent. Note: You will receive a message confirming that the Market Snapshot has been sent. 5 Click Close to return to the Market Snapshot Control Panel. Market Snapshot User Guide 25

Changing Your Password To change your password: 1 From the Market Snapshot Control Panel, select Setup, then select Change Password. The Change Password Step 1 of 2 screen opens. 2 Enter your old password in the Old password field. 3 Enter a new password in the New password and Confirm password fields, then click Next. Note: Use a password that is at least 8 characters long and contains some letters, numbers, and other symbols (e.g. asterisks and pound signs). 4 Either a Password Change Success screen will appear or you will be asked to re-enter the new password. Click Continue. The next time you login, use the new password. Market Snapshot User Guide 26
