Getting Started You re going to need a person or a group to help coordinate the chapter s technology efforts. This will look different for every chapter. It may be 1 person; it may be a committee. The key is to start talking about technology and make it an important discussion point in your chapter!

Chapter Email Addresses Starting in 2012, a Google-based email account was created for every chapter This allows for easy and consistent communication from State Monthly e-newsletters Important updates & requests It also provides chapters with a professional and consistent contact to use

Chapter Email Best Practices Make sure the password is noted & multiple people know it. Assign 1-2 people to check the email address regularly. Delete emails that do not pertain to your chapter, such as advertisements & spam. Keep all important email conversations. Create labels to sort these old emails into folders.

Chapter Email Best Practices Check your chapter email at least once a week, but even more frequently if you are hosting an upcoming event. If you do not know how to handle a particular email or it pertains to a different officer or member, forward the message to the appropriate individual. Leaving emails unanswered and not responding in a timely manner reflects poorly on your chapter s brand & Tri Kappa as a whole. You could also be missing out on important information, deadlines, and opportunities.

Forwarding Chapter Email To A Different Account If you would like to forward your chapter email address to your personal address, we ll walk through the steps. You can also use these steps to change a previous forwarding set-up, like when your officers change.

Once you are logged in, click on the Gears symbol to change your settings. Click the gear icon. Choose settings.

This will bring you to the settings screen where you will click on the Forwarding and POP/IMAP tab, in order to access the forwarding options: Click the Add a forwarding address button. This is also where you will see any current forwarding addresses and can cancel those. Follow the prompts from Google to complete the addition or removal of a forwarding address.

If you also use Gmail for your personal email... How can you login to the chapter email address? If you go to gmail.com and it shows your personal email inbox, this means you are logged into your personal Gmail account. You have 2 options. a. Log out of your personal Gmail account, then log into the Tri Kappa account. b. There is a way to be signed into multiple Gmail accounts at a time. Let s walk through the steps...

Click the circle icon in the top right corner. Click the Add account A new browser tab should open and bring you to the login screen.

Adding Chapter Email To Your Mobile Device The steps vary depending on the type of device you have and they change as the device operating systems are updated. Consult your device s manual for instructions or do a quick Google search to pull up instructions specific to your device. You will need to know your chapter email address and the password.

Members Only Portion Your username is your member number. It is located above your name on the back of Cross Keys. If your Cross Keys says #111111, then you d type in 111111 as your member number Your password is your first and last name, all lowercase with no spaces. Spelled as it is on your Cross Keys. For example, Mary Ann Smith would type maryannsmith

Type your username and password, then click Log In.

Once you successfully login, the full menu will be available. Click on the sections to find forms, contact information, resources, and more.

Chapter Facebook Usage If you re looking to get the word out about who your chapter is and what you do...create a page If you re looking for a way to communicate among your members...create a closed or secret group

Chapter Facebook Page Pages are public A great means to share events, fundraisers, projects, & service Can provide the community with basic information about the mission of Tri Kappa both locally and statewide Follow the guidelines in The Art Of Technology Key A page must be created from an individual s Facebook account. You can, and should, set more than 1 administrator.

Chapter Facebook Page Ask your members to like the page and to ask their friends/families to like it as well As with your own page, go like the pages for Tri Kappa State and the other chapters Go find and like the pages of groups or events your chapter supports or is involved with

Chapter Facebook Page Incorporate photos into your posts! Posts with images are often the most popular on social media. But be sure you have permission to use the photos you are posting. You could share a photo of members doing a service project, members attending State Convention, take pictures of historical chapter items, members during a social event, pictures of the items you are selling, etc.

Chapter Facebook Page Even if you only have 20 likes, your page can still be useful! By posting as the page, you can control the message. Ask your members to share those posts on their own Facebook profiles so their friends can see them. It doesn t take a ton of direct likes to your page to make an impact!

Other Social Networks Is your chapter using any networks beyond Facebook? When considering other networks, think about Your target audience. Who are you trying to reach? What networks do they use? How you ll manage it. Do you have someone in your chapter who understands the network and has the time to manage it?

Events & Technology

Using Facebook To Promote Facebook Events As a Page you can create an event with all the details Ask your members to join it and share Post event details to your Page and have your members share it Create an image with the information Share a website link with the info and sign up details Share pictures during/after the event!

Posting To Community Calendars Most TV, radio stations, and newspapers have online community calendars You can also submit your event to the Tri Kappa website

Selling Tickets Online Provide a means to sell tickets online AND they give you a web link to direct people to for all the event details Sites such as Eventbrite and Splash Most will have a credit card processing fee You can generally pay this as the organization or choose to pass it on to the purchases

Using Email Marketing Programs Send professional-looking emails - invites, reminders, thank yous Programs such as MailChimp & Constant Contact We use MailChimp to do the State emails MailChimp has a free version that will work for many chapters Who to send to? Do you have an email list from a past event? If not, at this year s event gather email addresses of attendees so you can let them know when next year s event is! Send to your members and have them forward it to friends
