Royal Mail Group Getting started with the Wizkit templates 2010 A useful guide from the Royal Mail brand team The Wizkit templates Wizkit is a set of branded templates for PowerPoint, Word and Excel that have been created to help you communicate consistently with colleagues and customers. The templates are pre-loaded on your work laptop or PC, giving you a professional looking package that conveys our brand look and feel. Wizkit has existed on everyone s desktop for a number of years but has recently been rebuilt to ensure it is compatible with the upgrade to Windows/Office 2010. The templates include: PowerPoint Selection of templates for creating Royal Mail or Royal Mail Group presentations Embedded Arial fonts ensuring that all copy remains consistent and is automatically compatible on computers outside of the business Pre-loaded image library, including icons and diagrams that can be used to create visually interesting slides Quick-start guides which can be used as a good practice guide or as a template by re-using the slides as a basis for presentations Presentation style guides giving tips and hints Brand colour palette toolbar to enable easier access to our brand colours Help and trouble-shooting guides Word Selection of Royal Mail and Royal Mail Group templates Range of useful document templates including a standard letter, agenda and email Embedded Arial fonts ensuring that all copy remains consistent and is automatically compatible on computers outside of the business 1
Excel Brand colour palette toolbar to enable consistent use of our brand colours within the spreadsheet The Royal Mail Group colours are displayed within the theme colours on all Wizkit templates. Supported by a range of tints, they will always appear as the main selection with a wider selection below within the standard colours section. 2
The new PowerPoint templates While updating the templates, we addressed some design issues. One key change is the look of the slides. On the Royal Mail slides, the moving red in the title slide and bar along the bottom have been removed to present a cleaner and less inkheavy presentation pack. We have moved the logo and also replaced the Chevin font with Arial, on both Royal Mail and Group slides, as this avoids any formatting issues that arise when the slides are viewed outside of the business. Arial also looks cleaner and represents much better in bold. Another important difference is how the templates are displayed. Previously the PowerPoint templates were accessed via the drop down menu along the top bar within PowerPoint. The new templates appear as a tab within the Microsoft Office applications (see below) 3
Office 20007/10 operates differently, with all the menus and tools accessible along the ribbon as opposed to drop down menus. All the Wizkit templates are displayed within that format and therefore spread along the top of the screen (see example below) You can access the PowerPoint, Word or Excel templates from here. You will notice that the PowerPoint templates have more supporting documents than the Word documents. Excel only has the colour scheme as the spreadsheet is a simple template. Using PowerPoint To begin, you will need to select New PowerPoint Document. This will open a box with various sections to fill in and drop down lists to select from. 4
You can choose from a selection of Royal Mail or Royal Mail Group templates; including Welsh and Scottish versions where appropriate. 5
You can also give the presentation a title, add other general information and select a classification - all of which will appear on the presentation. You can also mark it as a draft copy if necessary. Updating past presentations The reason the templates had to be rebuilt was because the original versions would not be compatible in Windows 2007/10. This means that any presentation you created prior to the upgrade will have formatting issues and become unusable. The new Wizkit package contains an Update Presentation tool to enable you to reconfigure your old presentations into the new style. To do this, you will need to open the previous presentation that you wan to update. Select Update Presentation from the ribbon. 6
Once you have selected this, the slides will update from the old branding to the new style slides (see example below) Please note: You may need to make some slight amendments to image sizes but the template is now in the correct style and format and can be used and shared. Brand checker Another useful tool is the Brand Checker. This tool allows you to check your presentation to make sure it is on brand i.e. using the correct colour scheme, font and style. Before using this tool, you will need to save the presentation you are working on. Once saved you can re-open it and run the checker. It will only take a few seconds and will flag anything that appears inconsistent with our chosen style, particularly colour and font. The following example shows what happens when the wrong colour is used for the font. In this case, yellow was selected. The presentation was saved. On re-opening the presentation, the brand checker was run and reported the issue with the font colour. It also offers an auto fix. 7
Running the auto fix will resolve the highlighted issues and your presentation will be compliant. Supporting documents Within Wizkit, there are a number of supporting documents to guide you when creating presentations. Presentation guidelines will give useful tips on creating engaging slideshows. There is also a link to the brand centre website where you can find more information on how to use the brand. 8
The Quick Start Guide offers a selection of slides. You can delete any of the slides and replace text and content as necessary, but they provide a good starting point upon which you can build to create your presentation (see below). Within the Supporting Materials folder, there are a number of libraries including icons, maps, charts and diagrams and a large selection of images - all of which can be used within your presentations. The Wizkit templates have been produced to give you time to think about the content while ensuring your presentations and documents remain professional and in the house style.
