1 Office 2016 What has changed?... Not too much Not as much has changed as you might think. If you are comfortable using office 2007, then the change to office 2016 should pose few challenges. The look of office 2016 is more modern and, many think, clearer. Many of the changes are under the hood making the office suite more powerful but does not change the way you use it. The File Tab The file tab is where you will find all the tools needed for managing a document, you will also find that the file tabs for Excel and PowerPoint are almost identical. Click here to go back to your document The file tab has no ribbon but instead has a column of links on the left had side of the window. Each link gives access to a set of options or tools, these will be explored further. File Open Cloud and online locations. A list of recently opened documents Click here to access folders and files in your Documents. This will include mapped network drives Click here to access folders and files on your computer and on network drives File Save As If you are saving a new document word will often suggest you save in the location that you last saved a document to. If you are using save as to save a copy of a document word will initially offer the current location of the open file to Save As to. In the example below word is saving in Documents on the PC

Folders and files within the current location This will include mapped network drives File - Print The options you see here may be different depending upon the printer you are connecting to Click here to print your document Choose how many copies of the document will be printed How the printed page will look If you have other printers, you can choose them here Printer specific settings General print and page setup options Detailed Page setup options Page navigator Zoom control

3 File Share This makes sharing your documents very easy, and can be done without leaving word (or any other office programme). This sends a copy of the document, Useful if you need to share a document outside of your organisation If your document is saved in a shared location you can send a link to the file location, rather than send a copy This will create a PDF copy of your document and attach it to an . It does not create a separate PDF file that you need to save Where s help gone? Tell me what you want to do Tell me what you want to do is the new help! It s designed to focus on what you want to do rather than specific features. It allows you to type a description of your task; if Word can identify what you are trying to do it will give you instant access to the Word tools as well as offering further help from Microsoft or the internet. In the example below I ve asked for help with type a letter Word is suggesting that these tools may help. If I wanted a new document from a template I could click on it here If you are still not sure, help is still available Need some more info? Clicking here will give you access to online resources such as definitions, how to articles etc.

4 You can access further options for any of these tools (if available) just by hovering your mouse over the tool that you are interested in. In this example I ve hovered over the Start Mail Merge option to access the other tools The Design Tab and Themes Themes Your document s Theme is its colours, fonts and effects all under one banner. If you want to change documents formatting quickly and easily, use Themes on the Design Tab. Choose a Theme (changes the colour palette, fonts and style sets that you can choose from) Style Sets for your theme Change colour palette or fonts without changing the whole theme Change Theme 1. Click on the Design Tab 2. Click on Themes 3. Hover over each theme to see what effect it has on your text 4. Click on a Theme to choose it Office Theme (default) Damask Theme Style Sets Styles are text and paragraph formatting presets such as normal and heading 1. It is good practice to use these to format all documents for the reasons listed at the start of this section. You can use the Design Tab and Style Sets to alter all the styles through your document. 1. Click on the Design Tab 2. Choose a Style Set from the gallery 3. The Styles throughout your document will change accordingly

5 Outlook Outlook 2016 now has the same Ribbon interface as the rest of the Office 2016 suite, such as Excel and Word Outlook Screen Ribbon Tabs The Ribbon Folder Pane List of s you have received Navigation Buttons Preview of the you have selected in the list Receiving a New Message How can I tell I have new messages? There are a number of ways to know you have received a new message A message will appear in the top right of your screen The number in brackets next to the Inbox icon In the Inbox screen, a closed envelope next to the message Bottom left of the screen, i.e. 15 items, 3 Unread In the Inbox screen any Unread message appears in bold A dialogue box asking you if you want to read your new message Reading your new message Any new message will automatically appear at the top of your inbox screen. Blue is the clue This is new, the blue bar to the left and the blue and bold subject title helps you spot new messages.

6 Replying to the sender of a message in the reading pane 1. Click on the message you want to reply to in the list 2. Click on the Reply button at the top of the Reading pane 3. Type your reply at the top The original message will automatically be shown underneath 4. Click on Send Attachments Attaching a File to a Message 1. Compose a new and type a message 2. Click on the attach file icon 3. Choose either a recently used file, local files, or to browse online documents Recently used files Web locations (OneDrive and SharePoint) Local Files

7 To copy or to link? In your recently used files list you will see a cloud next to any OneDrive (or SharePoint) files if you have them. Any item with a cloud against it is an online document and will produce a link. Items without the cloud are on your computer or a shared drive and will attach as a link.
