CHECKS MUST BE PAYABLE TO: NORTH WESTERN CIRCLES ASSOCIATION BOOTH FEE: $50.00 FOOD BOOTH FEE: $120.00* *Any vendor offering consumables, ingestibles, and/or food at their booth (including samples or freebies) must pay an additional $70 to cover event permitting unless documentation is provided from the Department of Public Health stating that the vendor is not required to obtain an event permit. If so, please specify. All applications go through an approval process. We will inform you of your application s approval or rejection by email. Upon approval, we process all applicable fees. Checks that are returned for insufficient funds are subject to a $40 service fee. We will not process applications without booth fees included at time of submission or checks NOT made out to North Western Circles Association. If we reject your application, we will return any fees submitted (insufficient funds fees will not be returned) and notify you of our decision. We reserve the right to refuse any application at the NWCA Board of Directors' discretion. Vendor s Security/Merchant Privilege Rule Option I hereby agree and authorize the Security Department or designee s permission to act as individual vendor security, and loss prevention services pursuant to Penal Code Section 490.5, Merchant Privilege Rule. These services are part of the vendor s space fees. This authorization is for the purpose of preventing and apprehending persons that commit crimes against vendors and give the Security Department the ability to act upon seeing criminal acts occurring in a vendor s space. I hereby authorize this service. Festival Guidelines, Rules, and Code of Conduct Please initial your understanding of each of the following: 1. Vendors must supply their own tables and chairs. No open flames allowed. The festival does not guarantee electricity to booth areas. Booth spaces are limited to 10x10 spaces and will be under the pavilion using pavilion lights. 2. Vendors, spiritual r eaders and h ealers must have a copy of b usiness/resale l icense and/or minister credentials on hand. In a shared booth situation (two businesses), both parties must have individual licenses available. You are solely responsible for collecting and reporting all sales and income taxes for yourself and/ or your business. Food Vendors a n d h a n d s - o n t h e r a p i s t s ( R e i k i, m a s s a g e ) must submit proper licensing and health permits documentation to festival. 3. Fire extinguisher: All booths must have a full and working fire extinguisher in the booth. 4. Set-up begins at 5 PM on Saturday, October 22, 2016. NO CHECK-IN IS ALLOWED after 6:00 pm Saturday. PRIVATE VEHICLES ARE NOT ALLOWED ON EVENT GROUNDS AT ANY TIME AS PER THE VFW. Please make arrangements for the transportation of any supplies from the parking lot to your booth or presentation area. Setup must be completed by 6:30 pm. 5. All booths must stay open until midnight the night of the event, at which time, packing may begin. 6. Weather providing, some booths will be inside the vendor hall and some outside. Guests are routed through the vendor hall to access the main event area. Inside/outside spaces are assigned according to the event s greatest good. 7. No overnight camping is available at the event site. All booth areas must be clean and cleared by 2:00 am. 8. Vendors are responsible for keeping their booth area clean and placing trash put in proper receptacles. 9. Vendors may share booths with approval of the event coordinator prior to the event. All participants sharing a space must be listed on the application and must read and acknowledge the information, guidelines, rules, and code of conduct. The person signing the festival application and paperwork assumes responsibility for all persons working in or around the booth they have rented. Because of the high demand for vendor spaces, we are only offering 10x10 booth areas with no double booths. 10. No one under the age of 18 may be on festival grounds, including the children of vendors. Page 5

11. All participants will conduct themselves in a well behaved and lawful manner at all times. Participants are responsible for all members of their party. Inappropriate behavior by those who accompany you to The Sacramento Witches Ball may result in removal of all parties associated with that vendor without fee reimbursement. Please educate everyone with you about these festival rules. 12. Per VFW rules, no pets are allowed on festival grounds. Service animals are the exception to this rule. 13. This is not a clothing optional event. Nudity or inappropriate behavior will result in expulsion from the event with no refund of fees paid. 14. No swords, daggers, ritual blades allowed unless sheathed and peace tied at all times. (Vendors may safely display blades and ritual participants may use athames with prior approval.) No firearms or weapons allowed on festival grounds. 15 ***DO NOT*** BRING IN LIQUOR/ALCOHOL FROM OUTSIDE FESTIVAL GROUNDS. There is a full service bar inside the VFW and ONLY alcohol purchased at the VFW bar may be consumed on festival grounds. Please use the VFW bar responsibly. No illegal drugs or substances are allowed on festival grounds. Those used for medical reasons are required to do so off festival grounds. 16. No open flames are allowed in the vendor booths. A fire extinguisher must be within reach of any candle or flame during ritual or performance. 17. No unauthorized soliciting allowed on festival grounds, including raffles or opportunity drawings hosted by individual vendors or presenters. 18. North Western Circles Association, sponsors of The Sacramento Witches Ball, reserves the right to add additional information, guidelines, rules, and code of conduct as necessary. If there is an update, all parties will receive a new copy and notification. 19. Vendors are responsible for leaving their vendor booth area in the same condition it was in when they arrived at check in. Any damages are the sole responsibility of the vendor. RULES WILL BE ENFORCED. SECURITY WILL BE PRESENT AND ACTIVE Page 6

You also understand that failure to follow the stated guidelines, rules, and code of conduct may result in expulsion from the festival without refunding of fees paid, as well as exclusion from further events hosted by the North Western Circles Association.
