This has now been fixed. Background Funding The background funding text blocks for Attvest and Victory have been updated. WinBEAT4.2.17 Released 16/4/2018 Custom reports - DQY Security With the current focus on Mandatory Data Breach Notification Laws, it has come to our attention that some of our users do not understand how WinBEAT DQYs work and the potential security risk they may pose. In WinBEAT Custom Reports, users can create a report and then export it as a DQY. A WinBEAT DQY (Database Query) is an inquiry into the database. A DQY is used to extract data from a database in a readable format. In order to access the database the DQY contains the database password. It is our strong recommendation Administrators NEVER give users access to a.dqy file generated from custom or bordereau reports. Allowing access to a DQY file that can be edited may give a user access to all Clients/Policies in the WinBEAT database, depending on what data the DQY is designed to extract. In response the Mandatory Data Breach Notification Laws we have made some changes to WinBEAT for DQYs. Currently, where your WinBEAT ledger is registered for WinBEAT Account Manager Security, all users below administrator are denied access to the DQY button in Custom reports and Bordereau reports. Once this update is installed the DQY button in Custom and Bordereau reports will require Administrator level security even if Account manager security is not activated Custom Security on Export DQY Button The DQY button is now has custom security. That is, the DQY button can have it's own security, set via Maintain users. FILE Administration Users. The permission for ReportsDQY is set OFF (Deny) by default. You should only ALLOW for trusted users. Custom Reports and Bordereau report For both Custom reports and Bordereau reports, if the DQY button security is set to ALLOW, then the user will receive a new security warning dialog: email winbeat@ebix.com.au Page 2 of 16
Trusted Connections For your technician: If your WinBEAT DSN connects via Trusted_Connection = Yes, then WinBEAT will not: - write the UI and PWD into the DQY and - warn about putting the password in the DQY file. Sunrise Imports and Account Manager Security We have made some changes to enhance Account Manager Security for the Sunrise Imports list. Sunrise does not know the policy account manager in WinBEAT so the Sunrise Imports List displays a full list of policies available for Import, regardless of the user s settings. If a user does not have access to the CLIENT account manager on the selected Import policy, WinBEAT will display a message advising This Policy has been restricted by Account Manager Security and the user will not be able to process the import. Funding Updates Auto Funder Log-in Once a user has logged into a funder WinBEAT will maintain their funder log-in until they exit WinBEAT. This means users can easily perform a in Client Policy Enquiry and it is more efficient to obtain Funding Quotes for funders that are commonly used because users will not have to log in each time they access the funder. Background and Opt-out Funding Some funders have amended their invoice and statement text boxes for Background and Opt-out funding on WinBEAT Forms. These include Macquarie Pacific, Premium Funding, Principal and Victory Funding. Funder URLs Principal and QPR have amended their Funder URL please contact the funder directly if you have any queries regarding changes to your WinBEAT set-up. (MAINTAIN Funding Funders) Update Funding Status on Log-in In the WinBEAT4.2.13 release we automated updating the funding status of invoices for any funder that is activated for background funding when any user with access to TRANSACTION Funding Update status logs into WinBEAT. We have now eliminated any errors popping up during this process to ensure users can login without delay. Admin users should still manually update funding status on a regular basis, using TRANSACTION Funding - Update status. Email templates Email templates Inception and Expiry dates will now correctly reflect the dates of the transaction being emailed instead of the original renewal or new business dates. Insured name line two will now display correctly in an email template. You will find full details on setting up your email templates in, search email templates. email winbeat@ebix.com.au Page 3 of 16
WinBEAT4.2.13 Released 24/11/2017 WinBEAT System Administrator Notes WinBEAT System Administrators should note the following in relation to this update: The update database process may take slightly longer than normal as we are making some changes to the data structure Opt-out or Rollover Funding is now available. You will need to discuss activation with your individual Premium Funder/s You should update your funding Universal Class Codes to include five new codes Pay GST to Lloyds has been implemented. Contact your Allianz representative for further information. Premium Funding Enhancements Background Funding Opt Out This release of WinBEAT includes new functionality for rollover or Opt-out funding. Once an invoice has been Background Funded the client can be flagged as rollover in the Funder system, by the Broker or Funder. This means that client s renewal invoices, endorsements and additional new business invoices will automatically be Premium Funded. The client will be advised on their invoice that if they do not want to continue to premium fund they need to Opt-out of the funding contract. An additional Text Box has been included on the WinBEAT Invoice remittance for Opt-out funding which explains the new instalments and Opt-out procedure to the client. Each Funder will have their own Opt-out text box. Below is a sample Invoice remittance showing the Opt-out text box: email winbeat@ebix.com.au Page 4 of 16
Update Funding Status The new background and opt-out funding modules automate many of the premium funding processes in WinBEAT as the ability to view the correct funding status on an invoice becomes increasingly important. When a user (who has access to TRANSACTION Funding Update status) first logs in, WinBEAT will automatically update the funding status of invoices for any funder that is activated for background funding. This automation does not alleviate the requirement for brokers to Update Funding Status from the funding menu but it will mean any background funded invoice will automatically be updated daily. Loan Enquiry button When viewing and selecting invoices in Client / Policy Enquiry you will see a new button. Where the selected invoice is premium funded the button will be active. Click to instantly access the premium funder s online system and view details for that specific loan contract. email winbeat@ebix.com.au Page 5 of 16
New Universal Class Codes There are five new Universal Class Codes available for mapping to your policy classes: ELP Employers Liability EL Employee Liability LP Liability Package MD Material Damage SL Statutory Liability These new codes can mapped via MAINTAIN Funding Classes. Background Funding Workflow Enhancements The new Background Funding Module has streamlined the process of funding an individual invoice or a selection of invoices. You can background fund via Transaction Entry, Client Statement (automatic or manual) and via the new Funding Statement. At the request of the Funders we have completed the following changes to further enhance the workflow for background funding: When you are performing background funding, the invoice/s will now be locked to the background funder, even though they are still in the Quoted stage. This means that: You can no longer premium fund a policy that is already funded (Unapproved or Approved.) Funded polices are no longer displayed in the Funding grid You can no longer fund a policy that belongs to another funder. Policies background funded for other funders are no longer displayed in the Funding grid Funders can now Validate that an invoice is funded with them and has an outstanding balance via the background funding interface On a Manual Client Statement you cannot Background fund if the client has an invoice that belongs to a different funder. You will get an error message. If you try to Background fund via an Automatic Client Statement that includes an invoice belonging to a different funder, the client it will be silently skipped and WinBEAT will generate a regular Client statement, with no funding option on the remittance For a Funding Statement, invoices that belong to a different funder are not included on the statement. The WinBEAT Background Funding User Guide provides full details on setting up the Background Funding module. Email winbeat@ebix.com.au to obtain an updated copy. Please contact your individual funder to discuss activation and setup of background and opt-out funding Pay GST to Lloyds Refer Lloyds Market Bulletin Ref: Y5099 WinBEAT now handles the new ATO requirement for processing Australian GST due on Lloyd s Australian insurance business. email winbeat@ebix.com.au Page 6 of 16
Background In 2015 the Australian Government announced changes to GST legislation to address the nontaxation of certain consumer transactions. These changes required some non-australian resident businesses that provide services to Australian resident consumers to charge GST on their supplies. As a result Lloyd s underwriters have an obligation to charge and bring to account GST. The changes were effective from 1 July 2017 and directly impact all taxable insurance contracts incepting on or after 1 July 2017. With effect from the 1 July 2017 GST must be charged on taxable supplies of insurance made to non-gst registered insureds, i.e. consumers. If the insured is GST registered the supply should be zero-rated, i.e. no GST charged. WinBEAT Client Account You will need to find out from any of your clients who are insured through Lloyds if they are registered for GST. Where a client is not registered for GST and has a policy with Lloyds you are now required to send the GST to Lloyds for this client. To facilitate this process you will now flag the client as being required to pay GST to Lloyds. WinBEAT has a new checkbox on the client account. Select the specific Client account and click Click the Additional details tab The Pay GST to Lloyds checkbox is situated on the bottom left. No further set-up is required. Once the Pay GST to Lloyds checkbox activated, WinBEAT will automatically include GST in the premiums of any Lloyds policy processed for that client. Processing a Lloyds policy Once the relevant clients have been flagged as required to pay GST to Lloyds, WinBEAT will automatically calculate the GST on Base Premium and commission, regardless of the GST flag on the Lloyds Underwriter account. The GST on base premium will be paid to Lloyds as part of the Underwriter payments process. The broker will be responsible to remit the GST on commission to the ATO as part of the normal Pay GST process The Lloyds component of the policy will include GST. The Client invoice will show the GST The Underwriter closing to Lloyds will show the GST: email winbeat@ebix.com.au Page 7 of 16
There will no longer be a GST risk for the Lloyds invoice as the GST on base premium is included in the premium paid to Lloyds. The broker GST on commission will be included in the normal pay GST process. Payment to Lloyds On payment to the Lloyds underwriter, the GST will be included with the net premium paid. For full details of the GST change for Lloyds, please email winbeat@ebix.com.au to obtain an updated WinBEAT Overseas Underwriting User Guide Transaction Entry updates There have been a number of cosmetic changes in Transaction Entry. WinBEAT Instalments The Instalments checkbox was previously labeled Pay by the month, it is now Pay by instalments email winbeat@ebix.com.au Page 8 of 16
Cancel a Cancellation In order to alleviate confusion we have renamed the Cancel a cancellation selection in Transaction entry to Reinstate Policy so it is clearer what the transaction is to be used for. Note that you will no longer be able to cancel an endorsement cancellation (ECN). You will be required to re-process the endorsement transaction if it was cancelled in error. A Sunrise or iclose policy should be end-term cancelled via the Sunrise or iclose product. For those products that do not allow an end-term cancellation transaction, the user should mid-term cancel from the expiry date of the policy. Mark policy non-renewable In Transaction entry the Mark policy non-renewable selection will now only display non-edi policies for selection. To make a Sunrise or iclose policy non-renewable an end-term cancellation should be performed using the Sunrise or iclose interface. Sunrise Instalments Allianz Insurance Australia Ltd have launched their Sunrise instalments module. Contact your Allianz representative for further information on implementation of instalments for Allianz Sunrise transactions. IBA Enquiry Multi Select IBA Enquiry allows users to select individual entries and print or re-print receipts or remittances.
