Bethany College, Hurstville Bring Your Own Designated Device Program 2017 User acceptable use and agreement policy RATIONALE: WHY BYODD? What is a BYODD program? Bring your own device (BYOD) refers to technology models where students bring a personally owned device to school for the purpose of learning. A personally owned device is any technology device brought into the school and owned by a student (or the student s family), staff or guests (Alberta Education, 2012). Put simply, BYOD is a solution where students quite literally bring their own device to school in order to access the internet and/or school network by Wi-Fi, be it a smartphone, tablet, laptop or other device. (NSW DEC BYOD Review 2013). Derived from this is a BYODD model where the device, or limited choices of device, used by the student is designated by the College. Bethany College is continuing to use a Windows platform as we have in previous years. Why BYODD? At Bethany College, our vision for learning fosters a love of deep learning, encourages students to think critically and creatively and provides a foundation for authentic learning. All students will have the opportunity to engage in learning that incorporates real-life experiences, technology, and tools that are already familiar to them. Learning is enriched through interactions with community members. The effective use of technology can support this vision for learning and can thereby bring authentic learning into the classroom. (Horizon Report, 2015, p.5) A BYOD/BYODD program aims to better provide for the learning needs of each student. This program offers a truly personalised learning experience, where the student assumes responsibility for their own learning, becomes a knowledge creator and manager, and an active and informed citizen.

BRING YOUR OWN DESIGNATED DEVICE PROGRAM - Years 7 and 9 This program is currently for students who will be Years 7 and 10 in 2017. The designated device for this program is as follows: HP Probook 13 If a student will not be purchasing a designated device then the device must also comply with the specification list presented below. Special Note: The devices of students in Years 8, 9, 11 and 12 (2017) are still under lease from the College. Therefore these students continue to bring their leased College Probooks to school. Please contact the College if you require any clarification. The following flowchart shows the process for choosing a device for BYODD PARENTS/CARERS READ THROUGH THE BYODD INFORMATION PARENTS/CARERS ATTEND THE BYODD INFORMATION NIGHT DEVICE: STUDENTS MUST BRING A DEVICE THAT COMPLIES WITH THE SPECIFICATIONS LISTED INTENTION TO PURCHASE A NEW HP PROBOOK FOR YOUR DAUGHTER TO USE AS THEIR BYODD TAKE THE SPECIFICATION SHEET ALONG TO A STORE TO MAKE SURE YOU GET THE CORRECT DEVICE OR PURCHASE FROM SCS PORTAL. STRONGLY RECOMMENDED: THE PURCHASE OF A 3 YEAR ONSITE NEXT BUSINESS DAY WARRANTY SO THAT WARRANTY REPAIRS CAN TAKE PLACE AT THE COLLEGE INTENTION TO USE AN EXISTING DEVICE OWNED BY THE FAMILY ENSURE THAT THE DEVICE COMPLIES WITH SPECIFICATIONS IN PARTICULAR BATTERY LIFE IF THE DEVICE IS LESS THAN 12 MONTHS OLD CONSIDER EXTENDING THE WARRANTY TO INCLUDE A 2 YEAR ONSITE WARRANTY WHERE THE REPAIRS CAN TAKE PLACE AT THE COLLEGE. ONCE DEVICE HAS BEEN PURCHASED/CHOSEN THE FINAL PAGE OF THE HANDBOOK NEEDS TO BE COMPLETED AND RETURNED TO REGISTER THE DEVICE WITH THE COLLEGE STUDENTS PARTICIPATE IN A BYODD INDUCTION PROGRAM AT THE START OF THE SCHOOL YEAR

BYODD SPECIFICATIONS GUIDELINES: Your device must comply with these specifications: Wireless Connectivity Wireless connectivity is essential for any BYODD device. The chosen device must support the following standards: The device must support 5GHz wireless networks. The device must support the 802.11n protocol. It is recommended the device also supports an 802.11ac wireless protocol. Battery Life An 8 hour battery life is recommended Chosen devices need to maintain a consistent charge for the entire school day. Hardware Features Required External display connectivity eg. HDMI, VGA USB Port Camera/Microphone Keyboard Bag Specifications: Black/Grey in colour Handle and shoulder strap Is firm or padded protection for Probook Fits in College backpack Operating System The chosen device must be running either the current version or the previous version of the following operating systems: Windows 10 Storage Requirements Minimum RAM requirements 4 GB Minimum Hard disk Requirements 128GB Predominantly, students will be storing and retrieving learning resources on our Virtual Learning Environment; Cloudshare. There will be a need to occasionally back up content on the local hard drive. Screen Size Recommended size 13 display The device will be used for significant periods throughout the day. Any display smaller than 13 could place unnecessary strain on eyes. Recommended Bags: HP 14 Slim sleeve HP 15.6 Signature slim top load case Important Considerations Cost: Base your decision on the learning needs of your child. The cost of a BYODD device should not exceed $1,200. HP Probooks designated comply with this. Weight: Is the device sufficiently durable and light enough to transport in the College bag? Casing: An important accessory. The case should provide a barrier to potential breakages. Insurance: Devices can become lost or broken when transported. Ensure your contents insurance policy covers these circumstances. Warranty: It is strongly recommended that the device include an on-site warranty with HP for the useful life of the computer e.g. 3 years, so that the parent/carer can organise for the repairs to be made at the College by the HP repair technician. This can only be done through the parent purchasing portal. Each retailer will have their own warranty agreement. Purchasing warranty and warranty claims for BYODD is the responsibility of the parent/carer.

WARRANTY REQUIREMENTS Please read carefully the additional warranty information provided below. It is STRONGLY RECOMMENDED that you purchase the 3 YEAR HP Care Pack on site next business day warranty. With onsite warranty you are able to organise a repairer promptly to assess and fix any warranty issues on site at the College, rather than you having to take the device to a repairer or send it off which can be time consuming. In order to do this you will need to purchase from an HP Direct on the SCS purchasing portal http://byo.syd.catholic.edu.au/home General Points on warranty All devices must have a warranty if purchased in Australia Make sure you are given a copy of the warranty Warranties are for HARDWARE faults only. If you install a program (software) on the device and it stops working because of that the warranty will not apply. If the problem is found to be software, you will most likely be charged a significant amount for the repair There are a wide range of warranties available and not all devices have all warranties available. There are legal requirements for a warranty and the legal requirements over-ride any manufacturers warranty. The warranty only covers defects in manufacturing NOT damage from use e.g. broken screens, broken cases if it is dropped or any repair if it has been in water, coffee etc. Often this excludes keyboard keys coming off If you open the device case itself the warranty is void and no longer applies What are the types of Warranties I can have? Next Business Day. (NBD) This does not mean that the device will be repaired the next business day. What it means is the technician will be in contact with you to arrange a repair on the next business day. In most cases they will ask you to perform some troubleshooting so that they can bring the correct parts with them. On-site. The technician will go to a place nominated by you to repair your device - more on this later. Note some on-site warranties change to return to base after a specific time. HP do not offer this unless the device is purchased through an authorised Education Reseller like the SCS parent purchasing portal. Next Business Day On-site: A combination of the above two options Return to Base. (RTB) You must return the device to a place nominated by the manufacturer. You need to be quite careful with this type of warranty, particularly if you buy the device overseas or in online auction sites. NOTE: It is advisable to keep the packaging in case you have to return it as the packaging is more likely to protect it that you just wrapping it up. 1. Where is the device to be sent i.e. another city? another state? another country? 2. Who pays for the freight to the repair centre? 3. Who pays for the return of the device? 4. Is the device insured in the mail - i.e. if it is lost or damaged is it replaced? 5. What is the timeframe from receipt of the device till it is returned to your address With some HP warranties, the device is exchanged for another unit at a HP Reseller - students are reminded to ensure they have backed up their device.

Advance Replacement : The manufacturer ships a replacement unit to the user before the defective unit is returned. NOTE: If the user does not return the defective device within a nominated time period they are required to pay for the replacement device. How long do Warranties last? All devices must come with a warranty. The length depends on manufacturer and the type of device. In most instances, your device will be expected to last a minimum of two years and a maximum of three before it is replaced. This will vary from school to school Extended warranties are available. i.e. an extra year or two years. Once again, be sure you understand what you are buying. 1. A three year extended warranty does NOT mean an extra three years, it DOES mean three years in total. 2. Is the extended warranty supplied by the manufacturer or another party? 3. Is the extended warranty identical to the manufacturer's warranty. for example is the extended warranty return to base when the original was on-site 4. Are there any exclusions/ e.g hard drive or screen in the extended warranty? e.g. It is highly unlikely the battery is covered 5. Does this extended warranty cover just labour or parts and labour? NOTE: Again we remind you that the warranty we are recommending you purchase is the HP Care Pack. What information do I need when I call the warranty line for onsite warranty (repaired at the College)? You will need to provide the following information where possible: 1. Contact Name and Number 2. Invoice Number 3. Product Name and Serial Number 4. Fault Description 5. Repair Location Details: Onsite warranty cover - 2-4 Croydon Road, Hurstville and contact the Network Manager, Mr Enoch To. Offsite cover - determined by the retailer. What will your school do to assist with warranties? If you have an ON-SITE warranty, you have the option of arranging for the repair to be carried out by the manufacturer during schools hours. NOTE: It is critical that you understand, the school is simply providing a workspace for the computer to be repaired. The school is not involved in any part of the repair process. The process to follow is: 1. The owner of the device calls the manufacturer, carries out the troubleshooting as required and informs the technician that the device will be at the school for repair between school hours of 8:45am - 3pm. 2. The owner of the device completes a Warranty Repair Form obtained from the ICT office. 3. The student brings the computer with charger to school and gives it with the Warranty Repair Form to the school Network Support Staff first thing in the morning. The Network Support Staff will not accept a machine without the completed form. 4. The school Network Support Staff provides a workspace for the technician 5. The Network Support Staff will return the device to the student after the technician has repaired it. What is the College Network Support Staff forbidden to do? 1. The College Network Support Staff may not undertake any repairs to a BYODD device

2. The College Network Support Staff may not have any discussions with the technician who repairs your computer 3. The College Network Support Staff cannot recommend a place to repair any out of warranty damage but may provide a list of places for you to choose from. The College does not guarantee that any of the places will repair the device.

BYODD USE: Care for self, Care for others, Care for device We urge students and parents to review the CEO s Acceptable Use Policy 2017. The school reserves the right to capture, store and review all online activity and content created or accessed via school provided services. Such material is the property of the school and the CEO. A BYODD may be taken or reviewed where there is a reasonable belief that: There has been or may be a breach of the school rules or policy There may be a threat of harm to a student or others or system security Care for self I agree to bring my device fully charged to school everyday, unless specified by the College. I agree to only use the College s Wireless Network and all associated infrastructure for educational purposes. I agree to only to access the internet through the Bethany College Network. I agree to report any inappropriate behaviour and material to my teacher. I agree to keep my personal information safe and not share these with other students and strangers. I agree that I will use my device only under the direction of the teacher. Care for others I agree that I will not take images or video of other students without their permission. I will not post images or video of other students on any social media site. Images or Videos recorded without the supervision of the teacher at the College must not be transmitted or posted anywhere on the Internet without written permission from the College Assistant Principal to do so. I agree that I will not deliberately damage or misuse another student s device. I will work collaboratively with them and treat the student and their device with respect. I agree that I will not access, create, store or transmit any material that may be seen as offensive, indecent, obscene, intimidating; or that harasses, insults or attacks others. I agree to follow copyright laws and understand that I must cite any work gathered from the Internet that is not of my own creation. Care for device I agree to maintain my device with up to date anti-virus and anti-malware software I agree that it is my responsibility to keep my device in my possession, keeping it secured at all times. I understand that College staff is not responsible for the security of my device. I agree that the College is not responsible for the replacement or costs of damaged, stolen or lost devices. All BYODD devices should be stored and transported in a proper case and have a protective screen cover to minimize damage. In the event that my laptop is damaged, I agree to have my laptop repaired in a suitable time that will not impact on my learning. I will take responsibility for loaning out a replacement laptop from the ICT office and I will return this laptop to the ICT office within two weeks. I agree to have the serial number of the device recorded by the school for the purpose of device identification. Parent/Carer Responsibilities In the event that my child s laptop is damaged, I will have this laptop repaired in a suitable time (2 weeks maximum) so that will not impact on my child s learning. I understand that my child will be issued with a temporary device, which will be loaned out for a two week period only. I understand that the College Technical support officer will provide support to o Connect to the device to the school wireless. o Connect to the Internet. o Connect to CloudShare (Google Mail, Drive etc). o Connect to Sentral Student Portal. I understand that the College WILL NOT be liable for loss or damage of the BYODD or any other personal property. I give permission for my daughter to participate in elearning across all curriculum areas especially the ICT General Capabilities in the Australian Curriculum.
