Behind a School Firewall? What your school-based technician needs to know:! Collaborate connects on one of two ports 2187 or 80 [non-encrypted] or 443 or 80 [encrypted].! Access through either port to one of the above listed servers is required to make a connection to Collaborate session. Communication is in a proprietary protocol called the Collaborative Communication Framework (CCF), which is layered on a TCP transport protocol.! Click here for more technical details about connection issue.

Minimum requirements for your computer! Make sure you update your system! For Mac, click on the apple at the top left corner and choose software updates! For Windows, click on start button at the left bottom corner and choose widows update.! Click Here to check your system requirements.

How to Get in?! Every collaborate classroom comes with a Moodle course which is a repository space. When you log in to Moodle and click on your course, there will be a section called Collaborate. In that section, there is a link to the Collaborate classroom, sand box, recording, and support documents. You may also get the links from your instructor through email.! Instructors have their own personal links to log in to the Collaborate.

You click on the classroom link:! If your Browser blocks popups, left click the Allow Popups Button to allow the popup. According to the security level of your computer and settings, you may not see the first window but if you do, click run! in the next window accept. If you get a security warning, select Always allow from the options given.! A window prompt to ask you about your connection. If you are not dial up, choose cable/dsl. This setting is also good for wireless networks as well.! Enter you first and last name and log in

! You will see a small window with a progress bar on your screen after a minute or so you should be in the classroom When you access Collaborate, the first screen is the Launch screen. Don t close it and be patient; it is loading in the background.

Audio and Video Window Expand and collapse the video panel Mic & Speaker level slider and level indicators Talk Button! Only one participant can speak at a time. Video Preview Start Video! Left-click once on the Talk Button in the Audio window to talk, left-click once to turn off your mic.! To test and adjust your audio: Tools Audio Audio Setup Wizard Or click on the following icon to start the audio set up.

Audio Setup Wizard! Click on refresh and then ok.! In the next window, click play and adjust the slider to your liking and then stop.! The third window will prompt to ask you if you were successful to set the speaker volume. If you were successful, click ok.

! Click on record and record a message, then stop and play back to see if you hear your speaker properly. Finally click stop.! Refresh and click ok. Audio Setup Wizard Cont.! This window is asking you if the loudness of the message was as loud as the message you heard at the beginning. If yes, click ok.! The last window will give you confirmation that your audio set up was completed.

Participant Window cont. If you step away from your computer, click this button If you want to talk, raise your hand and enter the queue When you are number 1, it is your turn to talk You can right click on some one and send a private chat or view their profile.

User Profiles! If the participant has added a profile it will appear when you right click on his/her name in the participant window.! To add profile, you can right click on your name and edit profile or go to edit, then preference and under profile you can update your profile.! You can also send a private message to that person by right clicking on their name and choose send a private message.

Polling (only for moderators) Click Tools and then polling and the following options are available:! Polling Type Yes/No option A-C Multiple choice A-D Multiple choice A-E Multiple choice! Response to poll Yes/No/None! Publish responses to whiteboard it publishes the responses anonymously to the board in terms of percentage! Lock responses does not let anyone to delete their answers. The poll button disappears from participants window.! Make responses visible you can make the participant s responses visible or invisible according to the sensitivity of the question.! Clear it clears all the responses

Participant Window cont. (only for moderators) By clicking on the box at the top of the chat window or in front of each individuals, moderator can:! Take away the privilege to talk, chat, or etc from everyone at once.! Create break out rooms! Lower hands! Invite new participants! Change the polling type from yes or no to multiple choice and lock the responses! Make the responses visible or invisible! Publish the responses to the whiteboard anonymously! Give moderator privilege to a participant! Remove a participant

Audio is never lost. It will be buffered and played back in an accelerated format. Participant will be resynchronized.

Break Out Room (only for moderators) Tools Breakout rooms Create breakout rooms! A breakout room has the same features as the main room and can be used to facilitate small group activities or private meetings.! Breakout rooms have their own private Audio, Whiteboard, Application Sharing, Video, polling, etc.! What is said or viewed in a breakout room will not be captured in a recording. There is no limit on the number of breakout rooms or the number of participants in each room.

Break Out Room (only for moderators)! You can create as many breakout rooms as you like.! You can move the participants randomly, divide them into groups or don t move them at all.! You can click on the students name and drag and drop them in the rooms you want or out of the rooms. You can do the same to yourself.! The Breakout room will appear in alphabetical order below all participant names.! If you right click on any students name, you can bring them back to the main room, close the room, and copy the Room s white board to the main room. - 21 -

Break Out Room (only for moderators) Page explorer As a moderator you can:! Return every one to the main room! copy the whiteboard material of each room in to the maim room! Make sure public page is selected (you can choose that in the page explorer) before copying the material into the main room or loading any presentation.! Enter a room! Close a room! Rename a room

Chat Window Expand and collapse the window Area to type your message! You can also send a private message to that person by right clicking on their name in the participant window and choose send a private message.! Now at the bottom of the window you have 2 tabs. Make sure when you are sending the private message, you are on the right tab.

Chat Window Cont.! If you want to close the tabs, move you mouse over the little picture on the tab and it will change in to an X, then you can close that tab. Make sure when you are sending the private message, you are on the right tab! If you have not detached and expanded your chat window and you have more than 3 tabs open, you see an arrow on the right side. To get to other people if have to click on that arrow and choose the person you want to sent the private message to.

Whiteboard Cont. Participant! A participant can t change pages, share files, tour the web or load a presentation until moderator privilege is granted to him/her. Page explorer! Participants can change the size of the whiteboard for themselves. Moderators Navigate through pages You can lock the participant s page on one of the slides while you are navigating through them on your screen

! To c h a n g e y o u r layout, simply click and drag each section from the top and drop any where you like.! What you see here is our recommendation.! Up to 6 cameras can run at a time! If you close your video window, it automatically goes back to the top left corner of the page where it was originally. Changing the Layout of Your Screen

Whiteboard Tools If you click on any of these tools, an option window will open at the bottom of the tools column which you can change the color, opacity, font type and size, and line thickness. If you click on the color portion of each palette. The above window opens up with so many option for color.

Load a Presentation (moderators only)! As a moderator you can click on the load content at the right top corner of the white board (Pic.1). 1! Brows in your computer to find the PowerPoint presentation, select and click open (Pic.2).! Choose import presentation with PowerPoint (Pic 3).! Make sure the PowerPoint application is closed on your computer.! Some windows will open and close and you see the presentation is loading up (Pic.4).! When it s done, you can see all the pages in page explorer (Pic.5). 2 4 3 5

Application Sharing (only for moderators)! Click on application sharing and the first window on the left will open and from there you can choose what you want to share with others.! You can choose your desktop or other application that are open in your computer. When you choose your application, a yellow border will appear around it to show that this area is shared. You can always stop sharing by clicking pause or stop at the top right corner of the yellow boarder. Participants can only follow the moderator

Web Tour (only for moderators) The arrows will take you back and fort through website pages.! Click on Web Tour and click in the URL section type or paste the URL of the website you want to go to.! Viewers will follow along as you click as long as the webpage does not open in a new window or sit behind a password login.! Students can click on the links during web tour. NOTE: Some users may not be able to see the webpage if accessing Collaborate from school and the item is firewalled (for example YouTube videos).

Web Tour (only for moderators)! The Web Tour function is a way to show a video uploaded to a website, including something to YouTube.! As well, you can show a PDF that is uploaded to a website in this way Many PDFs will open in a new window. You can use the Web Tour feature right up to this point, and instruct participants to open the PDF themselves and go to the page you wish to review with them. NOTE: Because of the delays in feed for some users, tell participants to click their ü when they are finished. When the moderator closes the Web Tour window, it closes for everyone.

File Transfer (only for moderators)! During a Collaborate session, it is possible to quickly send files and web links to every participant.! Click on Window in the menu bar and choose Show File Transfer Library.! Click the green circle with the + sign and upload the file or click on the globe icon to upload the web link. All users will be prompted to save the file The file will also be included in the recording.! You can also save the file that is transferred by others or send it to garbage. You have all these icons at the top when you have moderator privilege. Delete Transfer URL Save Transfer file

File Transfer (only for moderators)! When a file or URL is transferred, a pop up window will ask you if you want to save the file. Click yes and save the file where you want on your computer.! If you choose no and wanted to save it later, it stays in the file transfer library until the end of the class.! To open the transfer library just click on Window in the menu bar and choose Show File Transfer Library.! You can also share the URL through the chat window.! If you are not the moderator, your window will only have the save option.

Multimedia Transfer (only for moderators)! Click on Window in the menu bar and choose Show Multimedia Library.! Click the Load a Multimedia File icon OR the Load a Multimedia URL icon.! Find the file where you have it saved. Click on it and the upload process will begin.! Once the file is loaded, left-click on it once and click the play icon! When you start playing the video, all the participant can also see the video. They can also pause and play at their own paste. Delete! You will get a pop-up warning, instructing you to use a WMV, MPEG, MPEG4, MP3,Quicktime (mov), or Flash file (swf). Other file types are incompatible with Collaborate. NOTE: The upload process will take time. Load your file before class begins. Play Pause

View Session Recordings! If the session was recorded, a link to that recording will be added automatically to your Blackboard course site within a few hours.! In Blackboard, go to Content, then Click the Collaborate folder Click Class Recordings! What you see is exactly like a collaborate classrooms but there is a pause/play button at the bottom of the page is added. There is also a slider to show where you are in the recording.! The files that are transferred during the session are not going to be saved. Pause/Play Slider

Tools in Menu Bar When you click on Tools in the menu bar, you have the following options:! Application sharing (slide # 31)! Audio Audio Setup Wizard (slide # 15-16)! Breakout Rooms Create breakout rooms (slide # 22-24)! Chat Send Announcement if you send announcement to participants, a window will pop up in their end with the announcement.! In-Session invite Invite new participant in the window a link to the classroom can be copied and emailed to the new student.! Interaction (slide # 17-18)! Polling (slide # 17-19) Polling type Respond to poll Publish responses to whiteboard Lock responses Make responses visible

Tools in Menu Bar Cont. When you click on Tools in the menu bar, you have the following options:! Profile Show profile of no one Moderators Everyone! Recorder Record or erase recording When you start recording it show at the top right corner of the white board! Timer start timer When you set the timer, it shows at top of the white board. You have different options for the type of timer as well.! Video Camera settings Make video follow speaker! Whiteboard Protect the White board Manage clipart collections Use explorer mode

View in Menu Bar When you click on View in the menu bar, you have the following options:! Show side bar it eliminates the video, chat, and participant window.! Whiteboard (slide # 29-30)! Application sharing (slide # 32)! Web tour (slide # 33)! Restore default layout it brings all the windows to its original positions. Whiteboard Application sharing Web tour

Window in Menu Bar When you click on Windows in the menu bar, you have the following options:! Show graphing calculator only for math related courses! Show quiz manager you can make your quiz with multiple choice or short answer options. Add questions Create a new quiz Add different types of answers! Show multi media library (slide # 37)! Show file transfer library (slide # 36)! Show notes if you saved any during any session
